What is a vendor compliance specialist?
Description The Vendor Compliance Specialist’s primary responsibility is to proactively and continuously improve the customer experience by ensuring that the execution of vendor integration and receiving is streamlined, seamless and meets all requirements for both inbound and outbound handling. This role will be responsible for ensuring that vendors are onboarded correctly throughout the organization, comply with all Incoming Legal and Customs requirements as well as meet all Testing requirements according to company milestones. In addition, The Vendor Compliance Specialist is a proactive, data-driven and very hands-on solutions role. They will ensure new vendors are able to comply with organizational requirements as it relates to Compliance and Testing requirements. They will be required to manage multiple vendors across multiple categories and SKUs, elevate awareness and risk on compliance issues, and provide feedback to the organization including legal and regulatory compliance activities and similar supporting issues. VENDOR SET UP, COMPLIANCE AND PARTNERSHIPS Proactively manage vendor set up and compliance requirements within multiple categories to ensure quality and compliance standards meet or exceed our brand objective Complete vendor onboarding for the organization including Accounting Set-Up, Vendornet/D365 Training, and Certificates of Insurance (FPLI) Ensure Item records including all compliance documents, product non conformances, recall information and other pertinent data necessary for the business are properly maintained and retained Maintain and support collaboration of the Vendor Quality and Compliance Manual with departments across the organization including Vendor Communication Ensure and train vendors on documentation and appropriate labeling to support industry and regulatory compliance issues including but not limited to Lacey Act, Fish & WildLife, CARB, CPSC, Prop 65, URN and other application regulations

Partner with Corporate Customs and our transportation forwarder in regards to CCF Requests Communicate and train vendors on internal vendor compliance/shipping practices to ensure seamless receipt into our distribution centers Learn, maintain and grow partnerships with each agent, vendor and forwarder TESTING AND CHARGEBACKS Monitors and ensures all Testing requirements are up to date and completed prior to Vendor Shipping. Takes the lead in communication and monitoring of vendor corrective actions and is supported by Quality Specialists as well as Merchants and Sourcing. Executes all chargebacks for vendors including late shipments, receiving failures, nonconforming product, Lacey Act, etc., in coordination with Sr. Director of Sourcing and Quality Support clear communication and documentation for vendors on inbound transportation and receiving processes including documentation for nonconformance and corrective actions Integral in the Return to Vendor (RTV) Process when needed. PACKAGING, SHIPPING AND TRANSPORTATION Monitors Outbound Freight issues including oversized, correct shipment methods and overmax reporting with Transportation teams including dispute and vendor chargebacks Assist Fulfillment Center with Receiving and ASN issue resolution for vendor nonconformances TEAM SUPPORT Supports and assists with communication of improvement projects and initiatives from the Fulfillment Centers for interested parties within the organization Critical Skills/Knowledge Proactive and creative problem solver who performs root cause analysis and implements effective, systemic solutions Clear and concise verbal and written communication skills across multiple departments, internal and external partners including those where English is not their primary language Provide sound judgment and decision making from learnings through each project Dynamic high energy individual contributor Displays attention to detail with ability to understand evaluate and manage data, and interpret / implement industry regulatory requirements, test protocols, and other legal documents. 3 -5 years of previous experience in Quality, Import Compliance or direct to consumer industry including supply chain preferred but not required Enjoy working collaboratively and across many cultures; experience working and communicating with international and domestic vendor base
