Time Budgeting Worksheet – Instructions

COACHING – CLARITY – STRATEGY - RESULTS

Time Stewardship – The ability to intentionally appropriate any available time to a predetermined and elevated priority to maximize it's efficiency and effectiveness.

Income = Hours in the Day Any budget starts with calculating the income. Concerning time income, we all have the same amount to work with. No richer or poorer here, only those who choose wisely - and those who do not, in the area of time expenditures. Income = Hours

1 Day = 24

7 X 24 = 168

168 x 4 = 672

168 x 52 = 8736

Expenditures = Time Spent on Tasks We use up our total time budget every day. None of us can control the pace of it, only the opportunities and choices for utilizing it. Time marches on, and we either march intentionally with it or it marches right by us, wasted. Categories and Sub Categories In creating our budget we must first look at our expenditures in a terms of Top Priorities, and then a few categories within each priority. Priority 1 = Non Negotiable

You may wish to add more detail and categories to these priorities. You know the focus areas of your life better than anyone and you know where you would like to be going. Step 1 - Determine where to start. You need to determine if you would like to start the process by dissecting your day, your week or your month. I recommend starting at the weekly level. This will give you a broader overview and allow for more categories to fall into place. A one day view may be too limiting at this stage and an entire month may be overwhelming. Your unique situation and context may prove to lend itself to starting with the daily or monthly, but most people begin well in the weekly category. We will refer to weekly calculations for our example. Step 2 - Determine how much time you Currently spend on the Non Negotiable's. NOT what you would like to spend, but what you currently spend on average. Hours Eating Hours Sleeping Hours of Hygiene Step 3 - Determine how much time you Currently spend on the Key Areas of Life. NOT what you would like to spend, but what you currently spend on average. You may need to take a best guess to start. Hours of Spiritual Focus Hours of Physical Focus / Exercise Hours of Home and Family Focus Hours of Financial Focus / Planning Hours of Career Involvement Hours of Personal Development Focus Step 4 - Determine how much time you Currently spend on the Want To's. NOT what you would like to spend, but what you currently spend on average. You may need to take a best guess at your averages here to start. Hours of Social Time Hours of Charity Involvement Hours of Hobby Time Hours of Leisure Time Step 5 - Determine how much time you Currently spend on the Discretionary Category. NOT what you would like to spend, but what you currently spend on average. Again, your best guess is a good place to start. You can choose your own categories here based on your real life situation. It is the catch all of all the other things you may be doing that do not fit anywhere else .

Step 6 – Take all the numbers you have on paper now and add the total. How close are you to 168? The truth is, 168 hours happened in the week, if your categories totals are not matching up then you have missed the mark with your estimates. If you have come up short, then think about any categories that may be missing. If too high, then you have allocated too much time to some categories. Try to go back and refine your estimates to get a truer reflection of what your current habits are. This is not the time to think in terms of what you would like it to look like, but what it currently does look like in reality. Keep working it until you can get closer to 168. Adding in more category details under each main category may be helpful. You may divide Spiritual Focus into Personal Quiet Time – Prayer – Church Involvement for example to gain more clarity and accuracy. Step 7 – Dream Ask yourself the following: • • • • • •

If time were not an issue what would I like to add to my life? What would bring real value to my life if I were to be consistent at it? What would have to be a part of my life to move me towards my biggest dreams and goals? What are the things that need to be done that only I can do to make me a better _________? (Father, Leader, etc.) What are the things that energize me that I just can't seem to fit into my schedule? What are the things in my schedule that drain me that I can't seem to get rid of?

Step 8 – Create a new Time Budget around your Preferred Future. Use your existing categories and add any new categories that surfaced from your answers to the proceeding questions. Now adjust and refine your time allocations based on a new and more efficient perspective. Determine how much time you would like to spend in each category and add and subtract and adjust as you go to get it to exactly 168 hours. Where is time being wasted or misused? Where can time be shifted or reallocated to help you achieve the important instead of the urgent? What tasks or duties can be delegated away to someone else? How can you structure your time budget to truly maximize the 168 hours that you have this week? You may need to use a half an hour here and there to get it all in. And, remember to include down town and rest or you may shift yourself into overdrive and not be able to maintain the schedule. Conclusion – Refocus – Refine - Repeat It may take some work to trim the fat off of your week and get down to the leanest and meanest best case scenario use of your 168 hours. But getting there will be well worth the effort. After you have completed the worksheet for a week, then try a single day. Build it in such a way as that it supports and supplements your weekly allocations. When you feel comfortable and you have a real working model for each day of your week in place, start thinking in terms of the month and tackle that project as well. (You should be able to make time under your personal development category by now for that project :) )
