Optimized Print Services Success Story Company Profile: BKCP Bank, Belgium BKCP Bank has a network of 27 delegated offices and 43 agencies, and serves 129,000 customers. It is backed up by a solid parent company in the form of Crédit Mutuel Nord Europe (CMNE) which boasts more than a million customers, spanning 235 outlets in 7 French departments.
Customer’s current situation/challenge According to Yves van der Beken, Chief Information Officer at BKCP Bank, the bank was looking for a professional partner to help them optimise their IT infrastructure and print environment. Before BKCP Bank started with Optimized Print Services, their complete infrastructure was hosted at Clearstream services in two data centres in Luxembourg. In total they had 119 systems (55 A3 MFPs and 64 printers) all owned by BKCP Bank. 64 units were installed at the head office, consisting of 18 different printer types. To enhance their efficiency and cut the total cost of ownership of the printing fleet, BKCP Bank not only wanted to reduce the overall number of printers but also slash the confusingly large range of models from 18 to only 3. Although BKCP Bank had no tools to precisely measure the monthly print volume, it was estimated at 2.5 million for the total company and 80,000 for the head office. In addition to the need to optimise the TCO, BKCP Bank also urgently required a reliable security management system to provide safe protection to the highly sensitive and confidential business and customer data.
Success summary BKCP Bank profited from the centralisation of personal printers and copiers. This included a significant reduction in the size of the printer fleet which resulted in an impressive overall lowering of TCO, and a satisfactory rise in productivity. A security management was set up which included authentication, follow-me printing and accounting. The bank is now assured of keeping sensitive company and banking information secure at all times. BKCP’s confidence in their OPS partner was built on Konica Minolta’s professional analysis, demonstration and proof of concept of their OPS solution, and cemented further by the reliability of the company, its products and its solutions. Optimized Print Services OPS has three implementation phases. The first is OPS Consult, in which Konica Minolta analyses and identifies the customer’s environment and can then propose the best solution. OPS Consult is followed by OPS Implement and OPS Manage.
OPS Consult In the OPS consulting phase, as much information as possible was gathered on the current volumes, distribution and location of the print units. With this basic orientation data, detailed analysis was then carried out by experts looking at each device, and taking into account the use and any relevant functions. Thanks to the availability of most of the information on current volumes and locations, and the expertise and experience of the OPS consulting team, the analysis and optimisation phase was wrapped up in only two weeks, much to BKSP Bank’s appreciation. The work resulted in the configuration of an Optimized Print Services plan for the whole company and including optimised floor plans.
OPS Implement The consulting phase and elaboration of a project plan was followed by installation of the first print units in a roll out that took just eight months. The print unit fleet was harmonised and 49 black & white plus eleven colour multifunctional bizhub systems were installed. To ensure extensive management of the print volumes and to guarantee secure printing, Pcounter was implemented with badge readers at the head office, and PIN code access at the BKCP Bank agencies. In addition, the EveryonePrint solution now secures mobile printing in the head office for local consultants and external users. This is all complemented by automatic counter reading, preventive alerts and automated toner delivery. After successful installation and configuration in accordance with the client’s wishes, the complete infrastructure is now professionally serviced, and BKCP Bank receives comprehensive training services so that its workforce knows how to use the printers efficiently.
OPS Manage After the successful testing and implementation of the new infrastructure, the service is continuously monitored, and accompanied by regular review meetings to satisfy the client’s wish for maximum insight. The Pcounter and EveryonePrint applications are used in the head office as well as in the agencies. To ensure efficient device management, automatic counter reading, preventative alerts and toner delivery are constantly in use. In addition, the optimisation of the floor plan and implementation of the new, improved print unit feed have slashed the size of the printer fleet and generated impressive cost and time savings.
