ISO 45001: the new standard replacing OHSAS 18001 Publication of the new ISO 45001 standard is likely to be in March 2018. OHSAS 18001 will be withdrawn on the publication of ISO 45001 and organisations currently certified to OHSAS 18001 will have three years to migrate to ISO 45001. OHSAS 18001 is changing . . . ISO 45001 is the new international standard for Occupational Health and Safety (OH&S) management and will replace the existing OHSAS 18001 standard. Launched in 1999, OHSAS 18001 was designed to align the range of national health and safety management standards into one standard with the intention of ruling-out confusion and market fragmentation. The overall aim of ISO 45001 is the same, but as with all new and revised ISO standards, it follows the common terminology and structure of Annex SL, and is the single major difference between OHSAS 18001 and ISO 45001.
Who is it for?
ISO 45001 is applicable to any type of organisation, both large and small, all industries and in any location. Its use of the new ISO Annex SL structure means that it can be easily integrated with other management systems such as ISO 9001 and ISO 14001, and also unified into other employee wellness programs.
Why ISO 45001? With globalisation, more and more organisations are starting to trade and integrate internationally, resulting in organisations tackling new health and safety challenges. Many organisations tend to use generic or national health and safety standards and none are promoting global conformity. As a result, many interested parties have expressed the need for an international OH&S management system standard, to enable benchmarks to be set against health and safety policies and practices across different geographical areas. The ISO Project Committee, ISO PC 283, was setup by the International Organisation of Standardization (ISO) to develop an international standard for OH&S management, ISO 45001.
New requirements The ISO 45001 standard requires organisations to look beyond their own health and safety requirements and consider what external risks exist. Organisations should not only consider what health and safety issues directly impact on them, but also take into account the impact on wider society. With ISO 45001 using Annex SL, there becomes a much stronger focus on the Context of an Organization and the role of top management, ensuring buy-in from top management and a greater employee contribution. ISO 45001 expects OH&S aspects to be integrated into the structure of an organisation.

With ISO 45001, the H&S responsibilities will now need to be integrated into everyday business operations with wider accountability and no longer be the sole responsibility of the Health & Safety Manager.

What are the benefits of the new standard? The new ISO 45001 standard will provide clear and improved requirements and clauses, compared with OHSAS 18001, which served as a basis for the standard. One of the main objectives of ISO 45001 is to integrate employees and their representatives into the core of the OH&S management system. ISO 45001 will enable organisations to improve resilience by anticipating, adapting and responding to Health and Safety risks. Other benefits include: –– Easier integration with other ISO standards, such as ISO 9001 (Quality Management) and ISO 14001 (Environmental Management) –– Top management involvement will lead to greater commitment and shared Health & Safety responsibility throughout the organisation –– By managing risks in an organised manner, organisations will reduce hazards and risks
–– With the introduction of “Context of the Organisation” organisations will understand the internal and external drivers, providing clarity on objectives and strategic plans –– The process of managing outsourcing, contractors and procurement arrangements will be made more explicit, leading to reduced risks and greater efficiency.

4 Preparing for Migration to ISO 45001 from OHSAS 18001 This course will support organisations in addressing the new standard requirements, explain the concepts and requirements defined in ISO 45001 and how they differ from OHSAS 18001:2007. It will also look at what may need to be revised in your current Occupational Health and Safety management system and how to address the new standard revisions. ISO 45001 for Internal Auditors Add to your existing audit experience and learn how to adapt internal health and safety auditing skills for ISO 45001. You will learn the key changes introduced in ISO 45001 and the requirements concerning process thinking, the importance of ‘Context of the Organisation’, and how to measure and monitor risk.
ISO 45001 Update Workshop Acquire an understanding of the extent and nature of the changes introduced by ISO 45001, that will supersede OHSAS 18001:2007. You will learn about Annex SL and its influence in shaping the future of all management systems standards.

Does GDPR apply to you? If your organisation processes personal data about EU citizens, regardless of where the processing takes place, then your organisation will need to comply with GDPR. GDPR is not just limited to the marketing or sales departments. With data being so widespread in how we all work, GDPR is likely to impact on all areas of your organisation. It’s important to remember that the personal data you process relates to an actual person. How you then deal with it, can have a significant impact on them. Understanding the risks to processing an individual’s data therefore becomes important when trying to mitigate these risks. The six principles of GDPR have addressed these main risks. Article 5(2) sets out the accountability concept, which means your organisation is responsible for and must be able to demonstrate, how you comply with these principles.
How to prepare for GDPR Organisations will be expected to comply with GDPR from 25 May 2018, so it’s essential that you start planning your approach soon. If you already comply with the UK Data Protection Act 1998 (DPA) this will remain valid under GDPR, so it’s a great starting point. It’s also important to understand any gaps you may have between the two regulations. Identify what new processes or procedures you need to implement and start employing data protection by default in your processes.
GDPR’s Six Principles Lawful, fair and transparent data processing Data must be processed as described at the point of collection and ensure individuals understand how their data will be used.
Ensure data is accurate and kept up-to-date Data held on individuals should be accurate and updated when necessary. If inaccurate, it must be erased or rectified without delay.
Collect data for specified, explicit and legitimate purposes Personal data can only be used for a specific processing purpose if the individual has been made aware of its use.
Store data for no longer than is necessary Personal data that is no longer required should be removed.
Limit data collection to what is necessary Personal data collected on individuals should be relevant, adequate and limited to what is necessary.
Appropriately secure your data Individual’s data should have appropriate security processes in place to protect against unlawful or unauthorised access or processing.
Designate a representative to manage your data protection compliance and name your organisation’s details and point of contact. Start keeping records of the data you hold, where it came from, how you use it and who you share it with. Check your processes and procedures to insure they cover the individual’s rights and review how you seek, record and manage consent.
How to demonstrate compliance to GDPR Data protection policies, HR policies, staff training and internal audits of data processing can all be used to demonstrate compliance. GDPR also supports the use of approved codes of conduct and certification to international standards.
