1. Before installation This chapter describes the settings required for running the application.

1.1 Options To use the application, options (i-Option) are required separately. For details of the options, see the manual for each option.

1.1.1 Recommended options To use the following functions with the application, the options need to be installed separately. Without installing the options, the functions cannot be used. – Functions to print and scan DOCX and XLSX formats. The file format extension package function (LK-110) in the i-Option licence kit must be installed.

[Confirmation method] 1. Press the “Menu” key on the machine to open the menu. 2. Tap the “Utility” button to open the utility screen. 3. Tap the “Administrator Settings” button to open the administrator settings. On this screen, enter the administrator password. 4. Tap the “Licence Settings” button to open the licence settings. 5. Tap the “List of Enabled Functions” button to open the list of enabled functions. 6. Confirm that the “File Format Extension Package” is displayed on the list of function names. – Function to create searchable PDF files during scanning by OCR (optical character recognition) function for DOCX, XLSX, and PPTX. Searchable PDF function (LK-105 v3) in the i-Option licence kit needs to be installed.

1. Press the “Menu” key on the machine to open the menu. 2. Tap the “Utility” button to open the utility screen. 3. Tap the “Administrator Settings” button to open the administrator settings. On this screen, enter the administrator password. 4. Tap the “Licence Settings” button to open the licence settings. 5. Tap the “List of Enabled Functions” button to open the list of enabled functions. 6. Confirm that “Searchable PDF” is displayed on the list of function names.

1.2 Free space on hard disk The application requires 110 MB of free space on the HDD. Without sufficient free space, the application may not work properly.

1.3 Preliminary MFP/system settings Before using the application, confirm that the following settings are configured correctly. Otherwise the application may not work properly.

1.3.1 Confirmation of network settings Confirm with the network administrator that the following hosts and ports are available. – – – – – – – – – –

1.3.2 Confirmation of IP filtering setting If the IP filtering setting is enabled, please allow the IP address “127.0.0.1”.

1. Press the “Menu” key on the machine to open the menu. 2. Tap the “Utility” button to open the utility screen. 3. Tap the “Administrator Settings” button to open the administrator settings. On this screen, enter the administrator password. 4. Tap the “Network Settings” button to open the network settings. 5. Tap the “TCP/IP Settings” button to open the TCP/IP settings. 6. Tap the “Forward” button to display the second page. 7. Tap the “IP Filtering (Permit Access)” button to open the IP filtering (permit access) screen. 8. If IP filtering (permit access) is enabled, add the IP address “127.0.0.1” [Set]. 9. Tap the “OK” button to return to the TCP/IP settings. 10. Tap the “IP Filtering (Deny Access)” button to open the IP filtering (deny access) screen. 11. If IP filtering (deny access) is enabled and the IP address “127.0.0.1” is included in [Set], delete the IP address. 12. Tap the “OK” button to return to the TCP/IP settings.

2. Installation of the application on MFP Please refer to the bizhub MarketPlace manual for further details of the installation. Please keep in mind that depending on the MarketPlace configuration only MFP administrators may install applications.

2.1 Application administrator settings Configure various application settings to use the application. Configure the settings according to the following procedures.

2.1.1 Administrator sign in method To configure the administrator settings, specify the administrator password registered in the device to sign in as an administrator. 1. Start this application, and select the “Administrator Settings” tab in the sign in screen.

2. Enter the administrator password registered in this device, and tap “Sign in”.

2.1.2. Proxy setting Configure this setting when connecting to the Google service (external) via a proxy server.

2.1.2.1 Application setting 1. Sign in as an administrator, and select the “Server” tab in the administrator settings.w

2. Enter the required information, and tap “Save”. Entry of the port number can be skipped. If the port number is not entered, the port number “80” is used when connecting. Enter the username and password if proxy authentication is required.

2.1.3 System settings Configure auto logout and various auto reset times for the application. 1. Sign in as an administrator, and select the “System1” tab in the administrator settings.

2.1.3.1 Auto logout setting Specify the automatic logout time that applies if no operations are performed. If this application is not connected to the server during the specified time period, it is automatically logged out the next time an attempt is made to access the server. 1. Select the auto logout time from 1 to 8 minutes, and tap “Save”.

2.1.3.2 System auto reset setting Specify the system auto reset time. This is the same as for the following administrator settings. Administrator Settings > System Settings > Reset Settings > System Auto Reset This application is force exited if no operations are performed during the specified time period. 1. Select the system auto reset time from 1 to 9 minutes or select “OFF”, and then tap “Save”.

2.1.3.3 Browser auto reset setting Specify the Web browser auto reset time. This is the same as for the following administrator settings. Administrator Settings > System Settings > Reset Settings > Auto Reset This application is restarted if no operations are performed during the specified time period. 1. Select the browser auto reset time from 1 to 9 minutes or select “No”, and then tap “Save”.

2.1.4 Domain setting You can change the standard domain of the Google account that is entered when signing in to this application. 1. Sign in as an administrator, and display the “Domain” tab in the administrator settings screen.

3. Enter the standard domain, and tap “Save”.

3. Quick operating instructions for the application This chapter describes the operating procedure of the application.

3.1 Sign in When you have started the application, the sign in screen appears at the beginning. The following functions can be used: – Function that enables the user to sign in to the application using the Google account – Function that enables the user to sign in to the administrator settings function of the application using the administrator password registered on the machine – Function that enables the user to browse licence information of various software products used for the application If the function that enables the user to hold sign in status is enabled, the sign in screen does not appear, and you can sign in automatically. For the function that enables the user to maintain the sign in status, refer to the description of the “Stay signed in” checkbox in the following table.

3.1.1 Sign in Sign in to the application by using your Google account credentials.

Enter the Google account to sign in to the application.

– “Email (Local)” text box

Enter the local part of the Google account to sign in.

– “Email (Domain)” text box

Enter the domain part of the Google account to sign in. If the standard domain is specified by the administrator setting function, its value is displayed.

“Password” text box

Enter the password of the Google account used to sign in.

“Language” dropdown list

Specify the language of the application.

“Stay signed in” checkbox

Matches the entered Google account with the user who signed in to the MFP in order to specify whether the specific user will be automatically signed in when the application is started next time. To release the sign in holding status, sign out from the menu after you have logged in. When you change the Google account used for signing in, sign out from the menu that appears after logging in, and sign in again. This option cannot be used if a public user is logging in to the machine

Capture

A capture is displayed if capture authentication is requested from Google. – Normally this item is not displayed, but it will be displayed when authentication has failed several times.

“Capture” image

Displays a capture image transferred from Google.

“Capture” text box

Enter the characters displayed on a capture image.

“Sign in” button

Press this button to sign in to the application using the Google account and password you entered.

3.2 Home When you have logged in to the application, the home screen appears at the beginning. If the “Stay signed in” function is enabled, the sign in screen does not appear, and you can sign in automatically. For the function that enables the user to maintain the sign in status, refer to “3-1-1. Sign in”. The following functions can be used: – The “Document Upload” function that enables the user to scan a document using a one-touch operation and upload the PDF data to Google Drive – Link function that enables the user to access each function provided by the application

“Sign out” button

Press this button to sign out from the application. The sign in screen is displayed after signing out. When signed out, the function that enables the user to maintain the sign in status is disabled.

Document Upload

Function that enables the user to upload scanned data to the root directory of Google Drive. Data is saved in PDF format. – The following items are not displayed if the signed in user does not have scanning privileges.

– “Document Name” text box

Enter the desired document name to upload scanned data. Up to 50 characters can be specified, including double-byte characters, single-byte alphanumeric characters, and single-byte symbols (-, =, `, [, ], ‘, ,, ., !, @, #, $, %, ^, &, (, ), _, +, ~, {, }, and ;). Example: “Test_document.2011.12.31” – If this text box is blank, the document name is automatically set in format “YYYY-MM-DD_HH-MM-SS” based on the date.

– OCR Scan after Uploading” checkbox

Specify whether to perform OCR processing for a document to be uploaded. Using OCR processing, uploads data via the Google server and extracts a text on the server side. If OCR processing is specified, a PDF document cannot be encrypted.

– “Add Star to the Document” checkbox

Specify whether to add a star to a document to be uploaded.

– “Start” button Service link – “Document List” link – “Email List” link

Press this button to start document uploading. Enables access to each function provided by the application. Displays notebook or note in a list. Displays a list of emails in Gmail.

3.3 Google Drive list The following functions regarding Google Drive can be used: – Function that enables the user to display a list of documents stored in Google Drive – Function that enables the user to scan and upload a document

3.3.1 Google Drive list Displays a list of documents in Google Drive that are associated with your specific Google account. Collection information is only displayed in the list if the filtering function is specified.

Press this button to sign out from the application. The sign in screen is displayed after signing out. When signed out, the function that enables the user to maintain the sign in status is disabled.

“Home” button Path display Document list

Press this button to access the home screen of the application. Displays the directory (hierarchy) of the currently displayed document list using labels. Displays document information in a list, and enables scrolling to show documents that are not displayed.

– “Star” icon

Displays whether a star is added to a document in icon format.

– “Document Type” icon

Displays the icon that shows the file type of a document. – For icons, refer to the table below.

– “Document Name” label

Displays a document name.

– “Last Modified” label

Displays the date when a target document was last modified.

– “Preview” button

Press this button to preview the document. – For the file types that are able to be previewed, refer to the table below. – This button is displayed if the document type is other than “Collections”.

– “Display the document list in the selected sub collection” button “Document Type Filter ” button “Reload” button Cache filtering

Press this button to carry out the filtering search based on the document type. – For the filtering search screen, refer to 3.3.2 “Document type filter dialog”. Reloads the currently displayed document list to update the list. Filters the document information found based on a keyword. This function displays documents that partially match the specified document name. Enter a keyword for cache filtering. You can type in up to 500 double-byte characters or 1,000 single-byte characters.

– “Keyword” text box – Filtering button

Press this button to load documents in the collection and redisplay the list. – This button is displayed if the document type is “Collections”.

Press this button to filter the document information found based on the specified filtering keyword, and update the list. Press this button to release cache filtering and redisplay all document information. This button only appears if cache filtering is specified. Press this button to scan and upload a document. Data is saved in PDF format. A document is uploaded to the currently displayed directory level (root or collection). – This button only appears if the signed in user has scanning privileges. Press this button to print the currently selected document. – For the file types that are able to be printed, refer to the table below. – The password entry screen appears if an item to be printed is an encrypted PDF file. – This button only appears if the signed in user has printing privileges. Press this button to load documents in the selected collection and redisplay the list. This button appears if filtering is performed in “Collection” for filtering documents.

3.3.1.1 Document types in document list The table below shows the types of documents to be displayed in the list, and whether they can be printed or previewed. Icon

3.3.2 Document type filter dialog The document type filter dialog is displayed when you have tapped the “Document Type Filter” button in the document list screen. You can specify a document type and filter the document to be displayed.

3.4 Gmail The following functions regarding Gmail can be used: – Function that enables the user to display a list of emails in Gmail – Function that enables the user to scan a document and send it by email – Function that enables the user to browse an email body

3.4.1 Gmail list Displays a list of emails in Gmail associated with the Google account that was used when you signed in.

Mail list

Press this button to access the home screen of the application. Displays Gmail label information specified in Gmail in the dropdown menu. Email information associated with the target label is loaded by selecting a label. Displays email information within Gmail in a list, and enables scrolling to show emails that are not displayed.

– “Star” icon

Displays whether star is added to an email in icon format.

– “Date” label

Displays the date of an email.

– “From” label

Displays the email sender.

– “Subject” label

Displays the subject of an email.

– “Display attached files” icon

Displays in icon format whether an email has an attached file. – For icons, refer to the table below.

– “Preview the body of the selected email” button

Press this button to load documents in the collection and redisplay the list. – This button is displayed if the document type is “Collections”.

“Reload” button

Cache filtering

Reloads the currently displayed email list to update the list. Filters the email information found based on a keyword. This function displays emails that partially match the sender name or subject. Enter a keyword for cache filtering. You can type in up to 500 double-byte characters or 1,000 single-byte characters.

“Send email with scanned document” button

Press this button to filter the email information found based on the specified filtering keyword, and update the list. 3.4.1.1 Attached-file icons The following attached-file icons are displayed in the email list. If no attached file is found, these icons are not displayed. Icon

3.4.2 Gmail body preview This function allows you to browse the body of the email you selected in the email list screen, or carry out various printing functions associated with the email. You can display the next or previous email in this screen without returning to the email list screen.

Press this button to load and display the next email to the currently displayed email. – This button cannot be tapped if the next email is not found.

“Print body of the mail” button

“Print file attached to the mail” button

Prints the body of the currently displayed email. – This button only appears if the signed in user has printing privileges. Prints the file attached to the currently displayed email. Select the file to be printed in the checkbox in the attached file list. – For the file types that are able to be printed, refer to the table below. – The password entry screen appears if an item to be printed is an encrypted PDF file. – This button only appears if the signed in user has printing privileges.

3.4.3 Scan and Gmail send Scans a document and sends it by email as an attached file. A destination can be specified by directly entering an email address, and it can be selected from Google contact information or user information registered on the machine.

“Subject” text box

Press this button to access the home screen of the application. Press this button to display the screen that enables the user to select a sender. Enter the subject of an email to be sent. Up to 80 characters can be specified, including double-byte characters, single-byte alphanumeric characters, and single-byte symbols (-, =, `, [, ], ‘, ,, ., !, @, #, $, %, ^, &, (, ), _, +, ~, {, }, and ;).

“Print body of the mail” button

Prints the body of the currently displayed email. – This button only appears if the signed in user has printing privileges.

“Body” text box

Enter the body of the email to be sent. Up to 1,000 characters can be specified, including double-byte characters, single-byte alphanumeric characters, and single-byte symbols (-, =, `, [, ], ‘, ,, ., !, @, #, $, %, ^, &, (, ), _, +, ~, {, }, and ;).

“Attachment Name” text box

Enter the name of a scanned document. Up to 50 characters can be specified, including double-byte characters, single-byte alphanumeric characters, and single-byte symbols (-, =, `, [, ], ‘, ,, ., !, @, #, $, %, ^, &, (, ), _, +, ~, {, }, and ;). – If this text box is blank, the document name is automatically set in format “YYYY-MM-DD_HH-MM-SS” based on the date.

“Preview Scanned Document” checkbox

Specify whether to preview the scanned document before sending the email. The scanned document can be sent as an attached file of the email after being checked on the preview screen. – Preview on the preview screen is only available if the scanned document format is either “PDF” or “Compact PDF”.

“Send” button

Press this button to send a scanned document to the selected destination as an attached file.

“Back” button

Press this button to stop scanning and sending an email and return to the email list screen.

3.5 Menu The following functions can be used to execute the application: – Function that enables the user to access the document or email list screen provided by the application – Function that enables the user to configure, scan or print settings for the application and specify the number of items to be displayed – Function that enables the user to carry out a server search based on a keyword in the document or email list screen – Function that enables the user to check account information used to sign in to the application

3.5.1 Menu dialog The menu dialog box displays a menu that enables the user to access each function of the application or configure various settings.

Displays the screen that enables the user to access the document or email list screen provided by the application.

“Settings” link

Displays the screen that enables the user to configure scan or print settings and specify the number of items to be displayed in the list.

“Search” link

Displays the screen that enables the user to carry out a server search based on the specified keyword. This link is only available in the email or document list screen.

“Account” link

Displays account information used to sign in to the application.

4. Uninstallation of the application Please refer to the bizhub MarketPlace manual for details of the uninstallation process.

Note – Uninstalling the application will delete all information set with the application.

5. Frequently asked questions 5.1 Sign in/sign out Q: I want to keep the sign in status. A: If user authentication is disabled on the machine, or the signed in user is Public, this function is not available. Please sign into the machine as an individual user, and start the application. On the sign in screen, the “Stay signed in” checkbox will appear. Select the checkbox and sign in. When you start the application next time, you will be signed in automatically. Q: I want to release the retained sign in status. A: Tap the “Sign out” button to sign out from the application. When you start the application next time, the sign in screen will appear.

5.2 Setting Q: I want to save the scan setting as the default setting, but the “Save” button is not displayed. A: The function is not available if the user who signs into the machine is Public. Please sign into the machine as an individual user. Q: I want to save the print setting as the default setting, but the “Save” button is not displayed. A: The function is not available if the user who signs into the machine is Public. Please sign into the machine as an individual user.

5.3 Scan Q: I cannot scan DOCX/XLSX file formats. A: Confirm that the file format extension package function (LK-110) in the i-Option licence kit has been installed on the machine. Without installing the option, you cannot use the function. For the confirmation method, see “1.1.1 Recommended options” in this document. Q: I cannot scan PDF/CompactPDF with the searchable PDF setting. I cannot scan DOCX/XLSX/PPTX with the OCR (optical character recognition) setting. A: Confirm that the searchable PDF function (LK-105 v3) in the i-Option licence kit has been installed on the machine. Without installing the option, you cannot use the function. For the confirmation method, see “1.1.1 Recommended options” in this document.

5.4 Print Q: I cannot print DOCX/XLSX files. A: Confirm that the file format extension package function (LK-110) in the i-Option licence kit has been installed on the machine. 5.5 Others Q: How do I return from the document preview screen? A: Tap the “x” button in the upper right-hand corner of the PDF viewer. Then the screen will automatically return to the previous screen. Q: Is there an upper size limit on the Gmail body preview? A: The maximum size is 1 MB. A Note that exceeds the size limit may cause error during communication. In addition, if preview data is not completed within the timeout period (five minutes), application behaviour is not guaranteed. If the timeout error is displayed, press the “Menu” key to open the menu screen, and then restart the application.

6. Precautions relating to use of the application This chapter describes points to note when using the application.

6.1 Procedure before uninstalling the application When uninstalling the application, make sure that the application is not displayed on the control panel. (Example: display the menu screen by pressing the “Menu” button.) If the application is uninstalled while it is displayed, then the MFP may not work properly. If this happens, turn the power off and on, and then uninstall the application again.

6.2 Procedure during installation/uninstallation of the application Do not turn off the main power of the MFP during installation/uninstallation of the application. In case the main power of the MFP was turned off by accident during installation/uninstallation of the application, install/ uninstall the application again.

6.3. Multi-touch operation Scaling of the display on screens other than the preview screen is not supported. When the display is scaled by pinching in/out, the display may be distorted.

6.4. Operations on the preview screen When saving or printing is performed from the toolbar on the image preview screen, the screen sometimes does not change. In that case, double-tap or pinch in/out the centre of the screen to return to the image preview screen.
