ELECTRONIC LOCKER LOCKS

Go Keyless. Go KitLock.

Provides enhanced benefits to facilities managers looking to simplify access control without the need for keys.

BENEFITS • Up to 10,000 four-digit user codes • Between 15,000 and 50,000 operations • Three Functions - Private, Public and Remote Code • Silver grey or black standard finishes • Easy to fit KL1000NC: NetCode is the smart way to generate time-sensitive codes.

Go Keyless. Go KitLock.

cluk012015v1

The KitLock range provides simple keyless access.

KITLOCK

CODED LOCKER LOCKS

Four numbers to remember. No Keys to Forget. No more problems with lost, forgotten or stolen keys. The future is to move to keyless entry, the user need only remember the four digit code and is free of the burden of keys, often a problem in many different environments. Lost another locker key? Go keyless and make the switch to digital locker locks. Replacing lost or broken locker keys can be a major concern for some organisations. Imagine having several hundred lockers or cabinets to manage, whether in a school, gym, data centre or workplace. In this environment the problem of replacing lost and broken keys can be time consuming and expensive. KitLock to the rescue! KitLock is a digital access solution that uses a four-digit code to secure and open lockers and cabinets. Fitted in place of standard cam locks, KitLock provides simple keypad access without the hassle of keys, tokens or coins.

Go Keyless. Go KitLock.

WHY GO KEYLESS? What are the main benefits of keyless entry?

The most obvious benefit is having no key to carry around. This is particularly useful if you are a user of a gym or spa, or if you work in a hospital where there might be many locked cabinets, or lots of keys to issue. People are far more likely to lose a key than they are to forget a four-digit code. But if a KitLock code is forgotten, then entering a six digit technician code will open the door. From a maintenance perspective, having no more keys to replace saves a great deal of time and money.

HOW DOES A KITLOCK OPERATE? The three functions explained. Private Function

Where can KitLocks be used?

• Offices : Secure confidential information. • Hospitals : Staff lockers, patient cupboards, medical trolleys, medical cabinets. • Schools and Colleges : Pupil lockers, lab and IT storage. • Gyms, Spas, leisure facilities: Changing room lockers.

This is the default function and used where the same code will be repeatedly used, e.g. a pupil in a school or an employee with the same locker in the workplace.

Public Function In this function the KitLock operates with a single User Code. The user enters a personal four-digit code. This locks the lock. The same code is entered once only to open the lock before automatically being erased and ready for the next user. This function is used for short term, multiple occupancy applications, e.g. a locker in a sports club or spa.

QUICK INSTALL KitLocks are easy to fit, taking just a few minutes to remove the existing cam lock and then making an additional top fixing for the new lock. KitLocks can also be fitted to lockers or cabinets that do not have an existing locking device – just drill another hole.

NetCode is activated prior to the lock owner shipping and installing at a remote site. The NetCode portal allows you to register and set up your account, activate your locks and generate time-sensitive codes. Using time-sensitive codes is a more secure way to grant access as the code will not work outside a designated timeslot. Remote Code Function is typically used for issuing codes to visiting service engineers, delivery personnel (drop boxes), and medium term locker rental. Generated codes can be sent by email or SMS. For instant access, codes can also be generated by SMS from any pre-registered mobile phone.

CASE STUDY : CHAMPNEYS

Champneys Health Spa Resorts go keyless Champneys Health Spa Resorts go keyless with KitLock to secure their changing room lockers and improve guest satisfaction. Champneys has four luxury health spa resorts in Bedfordshire, Hertfordshire, Leicestershire and Hampshire. Guests at Champneys resorts can relax in luxurious accommodation, be pampered with the finest beauty treatments and enjoy a wide range of fitness and relaxation classes. Each resort has a well-equipped gym, 25m swimming pool, sauna and steam room. Champneys has over 2,800 spa members who are regular users of the facilities. The trouble with keys Before using KitLock, Champneys guests had to secure their

“The locker key and key chain kept coming up in guest questionnaires, so we knew our guests found them annoying to carry around all day,” explained Alex De Carvalho, Managing Director at Champneys. “Also, misplaced keys were expensive to keep replacing on a regular basis so we knew a more permanent solution was needed.”

changing room locker key to their wrists using a key chain.

A more secure option “The KitLock solution is more professional and, from a guest perspective, the lockers are now far more secure as keys are not left lying around in robe pockets,” said Alex.

As many guests wear a robe to relax in whilst waiting for treatments and, as the key chain was awkward to wear on the wrist all day, very often guests would leave their key chains in their robe pockets and many of them ended up getting lost.

“It’s a smarter way to control the lockers and, to a certain extent, it takes the duty of care away from us, as the guests are responsible for using the lockers and selecting their own codes. And they look good too.”

CASE STUDY : CHAMPNEYS Champneys has placed instructions on the back of every locker door so that guests can operate the new keypad locks correctly. Members of the fitness team are able to open all the lockers at the end of each day, just to check that property is not left inside overnight, ensuring the lockers are free for use again in the morning.

AT ATAAGLANCE GLANCE What: over 1000 KitLock KL1200 products in silver grey.

Where: at Champneys Health Resorts – Tring, Forest Mere, Henlow and Springs.

How does a KitLock operate? The lock is ideal for use on lockers used for short-term occupancy, as they are in many changing room facilities. In Public Function, the lock operates with a single User Code setting facility. The guest enters a four-digit code, that will lock and open the locker only once, then be erased. The locker then remains open until another guest uses it again. The Blue LED will flash after the last digit; the new code is now accepted. A Red LED light will flash to show the locker is in use. To re-open the locker, the guest enters the four-digit code and turns the lever to the open position, ready for the next guest to use.

How: by going keyless with KitLock!

Training by Codelocks KitLock digital cabinet locks are available to order from Codelocks. Codelocks trained Champneys’ maintenance team to help them install and programme the locks. “Our maintenance team installed all the locks themselves,” said Alex. “It’s a relatively straightforward and easy job that took about 10-15 minutes per locker.” The installation process involves removing the existing cam lock from the locker and then making an additional top fixing for the KitLock. Once in place, a KitLock will perform 50,000 openings on just two AAA batteries.

www.kitlock.com

cluk012015v1

When a locker is available, the lever handle will be in the open position. The guest opens the locker door, places items inside the locker and closes the door. The lever is turned to the closed position and the guest enters a four-digit PIN code. A beep is audible for every button pressed.

Why: to prevent guests from having to carry their changing room locker key and key chain around all day, and to save Champneys money on replacement locker keys.

CASE STUDY : RUSH COMMON SCHOOL

Codelocks digital lock with audit trail provides reassurance for Rush Common School Like many people in charge of maintaining school premises, Danny Latimer keeps the security provision at Rush Common School, Abingdon, under constant review. Controlling access is important, not only for pupil and staff safety, but also to ensure that property and equipment is adequately protected. Along with other stakeholders, Danny undertakes regular risk assessments so that the school environment is as safe and secure as it can be. In order to deter intruders and restrict the movement of authorised visitors while on site, most schools employ a variety of access control methods.

Rush Common School has a standalone hard-wired PIN access control system on the main access door and uses a range of keyless digital locks internally. “When I’m looking at providing additional access protection throughout the school, the last thing I need is more keys!” said Danny. “Keyless locks are so much more convenient than traditional locks and keys; it’s far easier and cheaper to change an access code than it is to keep replacing lost keys. And as keyless locks can be added-one-door-at-a-time with the minimum amount of disruption, they are a simple and cost effective solution too.”

Control authorised access One of the challenges facing Danny as maintenance manager is the ability to grant access to authorised visitors out of school hours, at weekends and during the school holidays. The school’s facilities are used by an independent after-school club, and other various sports and holiday clubs. Contractors also need to access certain facilities for planned maintenance during the school holidays.

CASE STUDY : RUSH COMMON SCHOOL AT A GLANCE

To solve this problem, Danny has recently installed the new Codelocks CL5010 tubular mortice latch lock with audit trail on an external door located at the back of the school with access via the playground. The door leads into a restricted area of the school where there is access to facilities and water.

What: CL5010 Audit Trail. Where: at Rush Common School Abingdon.

“It’s great because I can assign different codes for the cleaners, the after-school club, the football club and for contractors during the holidays. Once I’ve downloaded the audit trail data, I can see exactly who has been through the door and when. Because the lock registers incorrect code attempts, it’s reassuring to know that I can also see if anyone is trying to gain access when they shouldn’t be or if anyone is tampering with the lock,” said Danny.

Why: flexibility of managing individual codes to grant access to authorised visitors out of school hours and placing in ‘code free’ mode for simple day-time access.

About the CL5010 Using the data management software, Danny can create over 900 individual access codes. Settings can be copied from one lock to another and codes can be created so that they are time-sensitive. The lock registers 2,000 audit trail entries, which can be exported and saved to an Excel spread sheet. During the day, the lock can be placed into ‘code free’ mode allowing children and teachers free access in and out of the playground.

How: by choosing control + convenience + audit.

“The lock is nice and secure,” said Danny. “Much better than the old mechanical lock that was in its place beforehand. The school staff find it easy to use.”

cluk012015v1

Unlike other access control systems, the CL5010 does not require any hard wiring, saving the school money on expensive installation costs and reducing disruption. The lock performs 200,000 operations from just four AA batteries.

CASE STUDY : UNIVERSITY HOSPITAL SOUTHAMPTON

Digital door locks control contractor access at University Hospital Southampton

working at the hospital, it’s inevitable that some will get lost or stolen. The time taken to manage the issue of new and replacement cards can be considerable, but it’s essential in order to maintain security.

Access control products are widely used within hospital buildings to enhance the safety and security of the people and equipment inside. For the locksmiths working in the estates building maintenance department at University Hospital Southampton, access control is a high priority. Supervisors, Eamonn Devaney and Ron Bran, and their team* need to control the movement of thousands of people on campus and keep the hospital running efficiently at the same time. With over 9,500 employees and a large transient population visiting the hospital daily, this is no easy task.

Because cost is such an important factor when considering which access control products to use for new buildings or refurbishments, it’s not always possible to extend the use of products including locks and keys, hard-wired hard-wired systems throughout campus. systems requiring RFID cards and readers, as Sometimes it’s more cost effective to look at well as standalone mechanical and electronic a standalone solution, and this is where the digital locks. Working together, the products use of digital door locks can provide many advantages. help create a physical barrier, while at same time allowing authorised personnel to go about their daily routine.

To help deter unauthorised entry to restricted areas, the estates building maintenance team use a combination of access control

Managing keys and cards Managing room keys and access cards for hard-wired systems on a large scale can be problematic. With such high numbers of staff

CASE STUDY : UNIVERSITY HOSPITAL SOUTHAMPTON AT A GLANCE

Digital locks can be installed one door at time without impacting other systems. There are no keys or cards to issue; instead staff members are given an access code to get through the door.

A good example of this is at the University Hospital Southampton, where the estates building maintenance team is trialling the use of eight new digital electronic locks with audit trail from Codelocks. One of the challenges the team faces is the ability to protect vital supplies, equipment and machinery needed to keep the hospital operating efficiently. Access protection is needed to deter theft and damage to property, both of which disrupt the smooth running of the hospital. The hospital employs different contractors to manage the building’s services, and the contractors’ engineers need regular access to rooms containing plant and machinery.

Where: at University Hospital Southampton.

Using the Codelocks CL5010 tubular mortice latch locks with audit trail and accompanying software, the team can allocate individual time-sensitive access codes to plant room doors. The codes will only work for the hours the engineer is contracted; they will not work outside this timeslot. So far, the trial at University Hospital Southampton has worked very well and everyone is happy with the functionality the product provides. Supervisor, Eamonn Devaney commented: “All of the experienced locksmiths working on the team have found the product to be very user friendly and easy to maintain. It’s also great knowing that Codelocks is on hand to provide additional support if necessary”. Unlike other access control systems this product requires no hard wiring, cutting down on installation costs and causing very little disruption.

Why: to control and monitor contractor access to rooms containing plant and machinery vital to the smooth running of the hospital.

How: by choosing control + convenience + audit.

As technology continues to enable improvements in the performance and capability of electronic digital door locks, the breadth of their application will expand and enable them to claim an even greater share of the access control market. *The estates building maintenance team at University Hospital Southampton consists of supervisors, Eamonn Devaney and Ron Bran, carpenter/locksmith and lock maintainer, Richard Fenton, and carpenters/locksmiths, Simon Priestly and Gerry Whittaker.

www.codelocks.com

cluk012015v1

With electronic digital locks, more code combinations are available, the locks will shut down temporarily after three incorrect code attempts and code changes can be made via the keypad. Now, thanks to developments in technology, some electronic door locks facilitate PC-based programme control and audit trail. Where previously only card-based access control systems could provide this functionality, the doors to new applications for this product are wide open.

What: eight CL5010 with Audit Trail.

CASE STUDY : PEER 1

KitLock brings flexibility to cabinet access at Peer 1 colocation data centres

Peer 1 Hosting provides a range of data centre services including managed hosting, dedicated servers, colocation and cloud computing.

cabinets and cages, and manage their own hardware. Peer 1 has state-ofthe-art colocation facilities in 10 major city centres across North America and Europe.

Colocation services are offered at Peer 1 Data Centres equipped and configured to allow secure client access to racks and cages. Peer 1’s customers lease the server

Peer 1’s Data Centre Operations Manager, Mike Duncan, is responsible for making sure that each server cabinet is securely locked and inaccessible to other colocation clients. Before using KitLock digital locks, each cabinet was locked with a bespoke padlock and key. Control access “To control access from the outside, we use high-tech security solutions. Yet on the inside we still used old-fashioned padlocks and keys,” explains Mr Duncan. “At full capacity our data centres could have up to a thousand locked cabinets and that’s a huge number of keys to

manage and find space for. The feedback from customers was also negative. Many of their technicians and service support staff forgot to bring the padlock key with them when they visited the data centre. So while they were able to enter the building with biometric access control, they were not able to get instant access to their cabinet. If a customer forgets their padlock key, they have to wait while a Peer 1 member of staff locates the master key and opens the cabinet for them”.

CASE STUDY : PEER 1 AT A GLANCE “When the customer is finished, the cabinet is relocked and the key safely stored. Not only does this slow the customer down, but it also costs them money as there is a charge for our time. Our customers also told us that the problem wouldn’t be so bad if keys were not forgotten or lost on such a regular basis. If a key is lost, often the customers choose to replace the entire locking system, again this is an additional cost but necessary in order to maintain security.”

What: 1000 KitLock 1200 cabinet locks

Peer 1 Hosting decided to look for a more modern and functional alternative to the padlocks – one that would allow their customers to have greater control of access to their own hardware inside the building.

Where: at Peer 1 colocation data centres in UK and North America

Go Keyless with KitLock KitLock 1200 is a keyless digital lock designed specifically for securing cabinets and lockers. It provides simple keypad access without the hassle of keys. Instead, access is gained by entering a four-digit code on the keypad. With KitLock, an eight-digit Master Code can be used to easily delete and reset the access codes. A KitLock 1200 provides 50,000 openings from just two AAA batteries.

Why: to give customers greater control of access to sensitive equipment in data cabinets, and to save Peer 1 having to secure and manage large numbers of keys.

“One of my colleagues started looking online for keyless cabinet locks, and found the KitLock website,” said Mr Duncan. “The KitLock 1200 exactly matched our requirements in terms of functionality, so we decided to retrofit all of the cabinets installed at our data centre with this product.”

How: by going keyless with KitLock electronic locks

Positive feedback “Due to the sensitivity of the equipment in the cabinets, we keep a record of the Master Codes for each KitLock, and customers maintain their own access codes,” added Mr Duncan. “If a customer forgets their code, we can generate a new one at the touch of a button and without incurring any additional costs. Customers are much happier with the new system, it’s far less time consuming and I don’t have to worry about keys anymore!”

“Codelocks has been super-helpful throughout the whole process, and I’ve really enjoyed working with them,” continued Mr Duncan. “They added our logo to the lock handles and changed the factory-set Master Codes on all of the locks before they were shipped to us, which significantly speeds up the installation process.”

Aftercare No maintenance of the working parts is necessary. Do not oil. To maintain the finish the lock should be cleaned regularly with a soft cloth. A silicon spray or similar should be used to provide a protective film against grit and grime. It is strongly recommended to undertake a regular maintenance schedule and wipe the outer surface of all Codelocks products clean and encourage the displacement of water. Do not use oil-based lubricants as these will attract dirt.
