Logistics The Real Deal..

Challenge: Accepted! VENUE! The biggest challenge for us was the venue. We, the conference team did our best to provide a new experience, different from hotel for our delegates. 1st, we waited for 2 weeks for an answer from JA for their amazing venue - Hambar. However, it turns out the venue is busy in 1 of the days. 2nd, then we raised the Center for training the students for Olympiad. However, in the last week they called us and informed us that the venue will be booked by the Ministry of Education, and they are with priority. That’s why in the last moment we needed to switch the venue. 3nd, we contacted many options around Sofia, but all of the spaces were already booked or overpriced for the budget of the organization. 4th, luckily we managed to book 2 big rooms in UNWE.


Challenge CONTINUES: After the 1st day of the Conference, the challenge continues. We were called by the University’s administration, and we were said that Saturday the rooms will be changed. Due to the fact that the new assigned room are not suitable for our prepared Workshop with “In your hands” we had to evolve immediately again. Luckily, the National student’s house have a free hall for the same room, and with the collaboration of our positive and understanding Delegates we managed to mobilize ourselves and had our 2nd day in another venue.

Our ACHIEVEMENT: 2nd Conference in a row, our CC Lucho managed to raise amazing in-kinds for our Delegates.

Ensure at least 3 options for VENUE: ● ● ●

Decide if it’s going to be in a hotel or some working spaces Make a list of possible venues Contact all of them and check their availability

Book the venue ASAP! ●

Book the venue which is the most suitable, but have a second option just in case.
