SALARY: £30,060 - £31,586 (PRO-RATA £10,874 - £11,426)

JOB DESCRIPTION

MAIN PURPOSE

To assist the Assistant Accountant with processing, recording and collection of income through the College’s finance systems.

REPORTS TO

Assistant Accountant

MAIN DUTIES

1. Process Invoices on the College’s billing systems, including pupil fees, facilities hire users, sponsors and pupil trips.

2. Receive and allocate payments against invoices.

3. Follow debt collection procedures as necessary using telephone, written and email communication.

4. Prepare aged debt reports for and review reports on a monthly basis to ensure accuracy.

5. Ensure debtors reconciliation is carried out on a monthly basis.

6. Distribute list of students with outstanding debt to the Assistant Accountant monthly and as required.

7. Deal with email and telephone queries relating to billing.

8. Assist with Free School Meal recording and returns to the Education Authority.

9. Assist the Finance department in automating procedures where possible.

10. Liaise with internal and external auditors as and when required.

11. At all times ensure compliance with the College’s financial regulations.

12. Any other duties as may be reasonably required.

GENERAL

1. To participate in relevant training and staff development opportunities where appropriate.

2. To take an active part in the Appraisal and Mentoring processes.

3. To comply with all relevant Health and Safety regulations and assist the college in the implementation of its own Health and Safety Policy.

4. To comply with and actively promote within their section the College’s Equal Opportunities Policy.

5. To carry out all other duties as may be reasonably required.

PERSON SPECIFICATION

ESSENTIAL CRITERIA

1. Good standard of general education (GCSE at Grade B or equivalent including Maths and English).

2. Understanding of basic principles of accounting.

3. Experience in general administrative role.

4. Good working knowledge of Microsoft Office software including ability to use Excel to an Intermediate level.

5. Good communication skills including the ability to resolve difficult situations with staff or customers effectively.

6. Experience of working on own initiative.

7. Ability to work effectively as part of a team.

8. Ability to work under pressure and to tight deadlines.

9. Ability to prioritise workload effectively.

10. Excellent attention to detail.

1. Studying for AAT or CCAB.

DESIRABLE CRITERIA

2. Experience in Accounts Receivable role.

3. Experience of computerised accounting systems and automating procedures.

The essential criteria which will initially be measured at the shortlisting stage and which may also be further explored during the interview/selection stage. You should therefore make it clear on your application form how, and to what extent you meet these criteria. Failure to do so may result in you not being shortlisted.

Appointment to this position is subject to the successful candidate undertaking an Access NI check and to this check being clear of any offences that may affect appointment to this post. The College’s decision on what is acceptable in terms of this check will be final. The cost of this check is £32.00 and the successful candidate will be required to pay the school for this service.

Appointment to this position is also subject to two satisfactory references being received.
