The way forward for Caerphilly County Borough Council Discovering that a new printing strategy at Caerphilly County Borough Council has slashed the Authority’s print costs dramatically, was an exciting concept for Network Development Officer, Wayne Turner.

XMA & Toshiba helped one council meet their need to change the way that their staff worked.

The Government department initially rolled out 200 tablet PCs, enabling them to reduce office space for staff by 30%. Staff were given access to their virtual private network, as well as authentication tokens as a further security measure. The tablets used encryption software which was centrally managed and compression software to improve connection speeds.

This fresh approach to remote working provided a whole host of benefits. Laptops consume a quarter of the energy compared to desktops and the network was modernised through virtualisation both which resulted in substantial cost savings.

To follow up the successful initial rollout the council worked with XMA and Toshiba to deploy 800 upgraded light-weight Toshiba Portégé devices to staff that spend on average 75% of their working day out of the office. The number of scheduled appointments set up by their staff increased 30%

Green thinking Changes in the environment and particularly the climate have been one of the most talked about topics this year. Consuming less energy and dealing with waste more effectively are two initiatives that have been highlighted by the government. This resulted in the WEEE directive; forcing legislation on manufacturers to be more responsible when it comes to the disposal of products at the end of life.

Look out for ENERGY STAR qualified products to ensure you select those that are most energy efficient. On average, ENERGY STAR qualified imaging equipment that meets the new imaging equipment specification is 25% more efficient than conventional models. Find out more at www.energystar.gov. 2 Manage your documents electronically Document management is a simple way to reduce your carbon footprint by replacing paper-based processes. Easily capture electronic and paper documents and store them in a central repository to help increase productivity and reduce overheads. 3 Switch to blade servers Change your traditional rack mounted servers to blade servers. A blade server houses multiple, thin, modular electronic circuit boards, known as server blades. Each blade is a server in its own right, often dedicated to a single application. As an example, a set of 16 traditional rack mounted servers would have 32 power supplies in total and at least 48 fans. A system with 16 blade servers only uses six power supplies and 10 fans. This reduces the power costs alone by 36% per server and reduces the cooling required by up to 60% - good for business AND the environment. 4 Print both sides Make sure your printer has a duplex unit to enable double sided printing. You can save 50% of your paper costs if you print on both sides of the paper. 5 Use environmentally friendly printer inks and toners To help reduce costs AND help the environment, use printer inks which are more environmentally friendly. There are a range of inks and toners available manufactured from recycled materials. Alternatively, buying high capacity ink cartridges will reduce the number you need to purchase and reduce your cost per copy.

Recycle and disposal services XMA offers a recycling service of your old IT equipment, whether it needs to be securely disposed of, recycled for re-use or traded-in to get cash back against a new purchase.
