A setup/breakdown fee of $30 per every half-hour per person will be applied as needed. This fee is due at the time of the request and covers the arrangement and dismantling of equipment such as tables, chairs, sound systems, bleachers, computers, etc.

For security considerations, on-site security may be necessary for certain events. The cost will be invoiced to the vendor at a rate of $35.00 per hour.

A Site Manager fee of $25 per hour is applicable for the supervision of facilities during the event.

Event staff, including parking attendants, maintenance personnel, electrical staff, kitchen employees, custodial staff, etc., will be billed post-event when their services are utilized.

Additional personnel, such as scoreboard operators, cashiers, ticket takers, security personnel, site managers, EMS, etc , will be charged at the appropriate compensation rate if required

Please be aware that city/township regulations may mandate permits, and it is the responsibility of the organization/persons renting the facility to obtain them

Note that any charges are subject to overtime rates as necessary, and FICA and retirement rates may change

INSURANCE REQUIREMENTS

A Certificate of Insurance must be submitted 72 hours prior to the scheduled event Failure to provide the certificate will result in event cancellation (see Section B (2)(d))

For Class A and Class B organizations, no additional insurance coverage is required, as they are covered by the Academy's insurance policies

For Class C organizations, Moravian Academy must be listed as an additional insured on the organization's policy, with a minimum coverage of $1,000,000 per occurrence and $2,000,000 aggregate. Class C groups not affiliated with an organized group must bear the cost of an insurance rider attached to the Academy's existing policy.

For Class D, Class E, and Class F organizations, Moravian Academy must be listed as an additional insured on the organization's policy, with a minimum coverage of $1,000,000 per occurrence and $2,000,000 aggregate.
