ACCOUNTING PROPOSAL Business Name Dear; client Thank you for allowing us to quote for your accounting needs. Here at Aldous & Saunders, we understand just how much work you’ve put into your business which is why we are determined to make your accounting processes simple to use and easy to understand. Combine this with our business support services and you will understand why we don’t compete on price, we compete on results.


THE SERVICES We will provide the following Accounting & Business Support Services:

MONTHLY BOOKKEEPING Our aim is to make the bookkeeping function of your business as simple as possible. By allowing us to maintain your sales and purchase ledgers we can highlight any arrears of concern quickly and keep an eye on the financial health of your business. We will also conduct a bank reconciliation to ensure that all income and expenses are captured so you can have peace of mind knowing that your business bookkeeping will be fully compliant with HMRC strict rules.

YEAR-END FINANCIAL ACCOUNTS Once all the checks and balances have been completed on your business accounts we will prepare your financial accounts and apply all the necessary tax saving options available to us. We will arrange a convenient time for us all to meet up so we can explain to you in full how your accounts have been prepared and offer any proactive advice on any areas of the business finances that could be improved. Once agreed we will file your business accounts and any relevant business tax returns with HMRC.

RECEIPT BANK Receipt Bank helps small to medium-sized businesses, sole traders, and individuals save valuable hours by processing information from receipts and invoices quickly, accurately, and efficiently. Use the App on either iPhone and Android to send receipts and invoices while you are out and about. Simply take a photo of your receipt and submit for processing! You will also have a unique email address to forward on any invoices received via email.


SOFTWARE We will supply you with <chosen> as your cloud accounting software. The main features include: • Automatic Invoicing, you can set up invoices to be created automatically at any given interval and even have them automatically sent to your customers. • Automatic Reminders, the system notifies you by email if an invoice becomes overdue. It even gives you effective, prewritten reminder letters to send to the customer. • Quotes & Estimates, easily create quotes or estimates, then convert straight to invoice with the click of a button. • Bank Feeds, this useful feature links your online banking accounts to your KashFlow accounts, allowing you to automatically update your transactions within KashFlow for real-time information. Don’t get caught out by processing payments! • Faster, hassle-free payments, there are several apps you can use with KashFlow to make taking instant payments and direct debits much easier. WorldPay, GoCardless and PayPal all integrate with KashFlow so you can accept instant payments or Direct Debits. • Direct Link to HMRC, With KashFlow your VAT returns and EC Sales lists can all be filed directly to HMRC, all from within KashFlow so you never miss a deadline. These are just a few of the main features of KashFlow, we have been using the software since 2011 and have seen KashFlow grow to become one of the market leaders in Cloud Accounting.


CLOUD SET UP Moving the accounts function of your business to the cloud means we will need to transfer (where possible) all the information you currently have stored on your desk top package, to your new online accounting system. Once this is completed we will check all the nominal codes and balances to ensure they have been imported correctly and make any adjustments where necessary. If you have chosen to use Receipt Bank or 1Tap to process your business purchase receipts, we will link these to your chosen accounting package and update the nominal codes to match your accounting software. You will be given a standard one hour *training session for receipt bank and three hours training on your chosen accounting package. The aim of these training sessions is to show you all the features benefits and time saving advantages these technologies offer which will result in you having a good understanding of your new accounting system and ensure the smooth transaction from desk top to online accounting. *Training will be at our main office in Mulbarton unless otherwise stated.

VAT PROCESSING We will oversee the processing of your business VAT and apply our in-depth knowledge & experience to ensure your VAT returns are filed correctly. If you complete your own bookkeeping we will audit the accounts for any possible errors that may affect the amount of VAT owed or reclaimed, then email you a copy of your return to check and agree prior to online filing. Should you receive any queries from HMRC, we will liaise with you prior to contacting them on your behalf.

PAYROLL We will set up your business payroll and run either monthly or weekly payroll reports for your business, all you will need to do is let us know the hours and rate of pay for each employee or sub-contractor and we will do the rest. If you require director’s payroll, we will simply email you a payslip each month for your records. Additional work also includes, Annual online filing including P45s for employees leaving, calculating statutory sick, maternity and paternity pay, Implementing PAYE tax code changes, RTI online filing of summaries (P35 & P60s) If you are a building contractor then we will run CIS payroll and forward details of payments to HMRC.


BUSINESS SUPPORT MEETINGS

PERSONAL TAX RETURNS

We believe in offering business support as standard therefore we will sit down with you (once) a year to offer business planning advice. This will take place at our offices in Mulbarton where we have ample parking space to accommodate you and your team.

When we have completed and agreed your financial accounts, we will use the information to prepare your personal self-assessment tax return. A copy of this will either be given to you when we meet at our Mulbarton office or emailed to you so you can view and agree prior to us filing online with HMRC.

YEAR-END MEETING Once we have completed work on your bookkeeping & year-end accounts we will invite you to our offices in Mulbarton where we will discuss these in more detail in preparation for filing with HMRC & Companies House.


TAX REVIEW We attend regular CPD (Continuing Professional Development) events and training courses each year to ensure our knowledge is up to date and relevant with current tax legislation. This means your business will benefit from a tax review each year prior to the end of your financial/ accounting year end which will have a positive impact on tax savings.

BUSINESS SUPPORT The role of the modern accountant is changing as so are the expectations our clients have of us. We work a little different to other accountancy practices because we believe that business support should come as standard which is why we will always ensure that someone is on hand to assist you in your hour of need! There are various ways in which we can be contacted, be it in person, by phone, by email text or skype, we are here to support you and your business.

RELEASE LETTER Part of the process of switching over to a new accountant inevitably means informing your current advisor that you are moving away from them. With your permission, we will compose a release letter and forward this either by post or by email. We have on occasion released clients that have been with their advisors for many years therefore out of courtesy we like give new clients time to make that call and advise their accountant of their decision should they want too. When the letter is sent, it will detail all the necessary financial we require them to forward over to us to ensure the migration is as smooth as possible.

START-UP BUSINESS ADVICE As a start-up company, ourselves we feel uniquely qualified to advise you on the pitfalls you may encounter when setting off on your new journey. Not only have we built up a network of trusted advisors ready to lend a hand, we also have the necessary knowledge to make sure you have all the correct documentation completed and logged with HMRC.


NEW COMPANY FORMATION Once you have decided on your new company name we will make the necessary arrangements to get your new company registered at companies’ house. The next step will be to talk to you about your responsibilities as a new company director and the rules and regulations you will need to know and understand. Once that is done, we will register the new company for business taxes with HMRC and arrange any other new taxes as and when they are needed. All you will need to do is apply for a new limited company bank account using the information we supply. This service comes as a one-off charge of £149.00 plus VAT.

SOCIAL MEDIA We recognise that social media plays its part in today’s marketing mix therefore we have made Aldous and Sunders social proof by having a strong presence on all the major social media platforms. This means we are very proactive in promoting and referring our clients as and when the opportunity presents itself. On top of that we have a closed Facebook group called ‘friends of Aldous and Saunders’ where we share information and our clients promote their services via social networking. With your permission, we will add your details to this group as well as actively promote your products/services to all our contacts over social media as and when we can.
