From the Editor - The importance of Facebook marketing
M
any companies both large and small are now engaged in Facebook, using it to stay in touch with customers and reach out to potential new ones. It is an excellent way of generating exposure for your company with no (or very little) cost involved, and it’s conversational, real-time nature makes it ideal for busy business owners for whom 'mobile marketing' - marketing on the move - is the only real option. Of course, you may argue that not having a presence on Facebook is low down on your list of concerns. However, bear in mind that many of your customers are on it even if you are not. Research on Internet habits suggests that around 90% of the entire online population aged 13 to 54 now use the internet to engage in social media, which means it’s a massive arena for doing business and one that is simply too big to ignore. The NCCA understands the importance of social media marketing and, from our launch in 2011, our Facebook pages have grown considerably. We now have nearly 1,200 friends on our industryfacing page, close to 900 'Like's' on our consumerfacing page, and are achieving an ever-increasing number of people reached with our posts. If you haven't already connected with us on Facebook, then please come and join us. We have two separate distinct Facebook profiles: 1) INDUSTRY FACING - Our industry-facing page can be found at: www.facebook.com/nicky.law.315 and includes
helpful information for anyone in the flooring and soft furnishing industry. The Carpet Cleaners Carnival 2016 - Have you booked yet?
T
he Carpet Cleaners Carnival is coming to Wicksteed Park, Kettering, Northants on Saturday 10th September 2016. Have you booked this in your diary yet? If not, why not? What is the Carnival? Well, it is a celebration of what is good in our industry and provides the opportunity for you to network with your peers and discover what is new on the market. The event is aimed at everyone who is involved in the cleaning of carpets, soft furnishings, hard floors etc... and it’s FREE of charge! This applies whether you are an NCCA member or nonmember, are new to the industry or have been involved in it for many years. Suppliers and manufacturers will be showcasing machinery, solutions and associated accessories in the exhibition hall, where you can get a full lowdown of what is available to the dedicated professional cleaning operator. Member Referral Report Since publishing a referral statistics report in the last issue of Newslink there have been 72 recommendations for full members provided by the NCCA. Member identification cards NCCA member identification cards enable representatives to introduce themselves to clients. These cards are FREE to NCCA members and their technicians and should be renewed annually. If you would like to order an ID card you must supply a photograph to the NCCA office, with a forward facing head-and-shoulders shot (we can crop out the background if necessary), either by post or electronically. You must clearly indicate the name/s to be displayed on each card requested.
The NCCA logo and the name NATIONAL CARPET CLEANERS ASSOCIATION are officially registered trademarks. We need your help to ensure that only genuine members of the Association use the coveted name and logo and to safeguard our good name from use by unscrupulous individuals or companies. If you become aware of an individual or company using our name and/or logo, and you have reason to believe that they are not members of the NCCA, please send us any evidence you can, together with any other information that might help us when we take a particular case to Trading Standards. We accept as evidence the appearance of our name or logo on websites or any printed material. In the case of official publications we would need to know the date and name of the journal/directory in which misuse occurred. It is in everyone's interest to help us stamp out the illegal use of our name and logo, so please be vigilant. We assure you that, with the right evidence, we will press Trading Standards to prosecute offenders. One trader has already been successfully prosecuted for making a false statement by means of a leaflet bearing the NCCA logo. His County Council Trading Standards brought the prosecution and the company was fined and ordered to pay costs towards the prosecution. The company was further ordered to pay compensation to an aggrieved customer.

An exit strategy

ticking clock cannot be beaten and time will eventually catch up with all of us. Then the time to retire will arrive. In the last month or so, this has been brought home to me in two ways. One positive and one negative. First the negative. A colleague not too far from me sadly died very suddenly. He appeared to be healthy, certainly younger than myself, not overweight, physically active and didn't abuse his body. In the small hours of a Sunday night/Monday morning he was posting on one of our industry's internet forums. At 08.30am we received a message that he died suddenly and inexplicably during the night. I offered to help his widow in trying to dispose of his business assets. It was a part time 'lifestyle business'. As a complete package it was not marketable, so first we sold the equipment. Not too difficult, but second-hand machines do not generate much cash. Trying to sell the goodwill though, has been fraught with problems. First, there was the database. At least he had the foresight to compile a database, one of the most valuable assets our type of business can have. Unfortunately, it was very basic and rather than having each customer as a single entry with lots of invoices over the

years, every invoice was made as a new database entry, meaning that many customers had multiple listings. Finally there was the phone number, a vitally important asset to any business. Unfortunately, this was a private number and was not made available as part of the package. The business valuation was, therefore, less than half of what it could have been. Now a more positive example. I have decided to retire. Well not quite, I intend to semi-retire and relocate to Cornwall where I will continue with the training side of my business and perhaps clean the occasional carpet and suite. Fortunately for me I began to plan my exit strategy many years ago. I purchased a professional quality specialist database software

package for just a few hundred pounds. This software allows the user to create quotations and invoices and market directly to customers by post, email or phone. You can keep track of which marketing programmes are more successful, plus so many more features than you can shake a stick at. I also took the step of introducing a brand name as I had always traded under my own name. Finally, I made my telephone number available to be sold with the business. My business sold very quickly for what I would consider to be a fair price. I also have another party interested should this sale fall through. It is reassuring for me to know that the seeds I began to sow about ten years ago have now blossomed and borne fruit. I also realise that I should have started sooner. Looking at your own circumstances, if you don't have a database you are unlikely to have a business to sell. This is important even if you won't be planning your retirement any time soon. You could have an accident or illness and become too frail to work, and if you are a very small business or sole-trader you may need to sell up and realise as much capital as possible. Or perhaps a great opportunity will arise which means that your career will move away in a different direction. A database to sell may help you to do this. And, as in the example of my colleague above, should you die you will be able to leave a little extra financial security for your loved ones. Don't think like a tradesman, act like a businessman.

he NCCA was invited, by Derek West, to attend the 2016 TACCA day on the 21st May at Crewe Alexander football club. It's a well-supported industry event with a focus on training. And, with over two hundred cleaners registered to attend, it was obvious that we should have a presence to support the event and promote the NCCA. A few people were surprised to see the NCCA at the event but, on explaining that TACCA and the NCCA are not rivals (in that we share a common goal of raising standards), everyone seemed happy to see us there. The two organisations have different roles to play in the industry and can help each other to achieve this common goal in different ways. With a wide array of organisations attending, providing education on a huge range of subjects, we decided to try to address an issue we see regularly in both technical questions and complaints - pre-clean surveys being either incomplete or missed completely. It is surprising how often we are asked for technical help and the cleaner doesn't know basic details like the type of fibre they are trying to clean! I prepared example survey forms for both carpet and upholstery pre-clean surveys for people to take away, and talked about the importance of a thorough pre-clean inspection, what should be included, why it should be recorded in writing and the benefits for both your business and your clients. One point that many people I spoke to
didn't realise is that their treatment risk insurance may not be valid if they haven't prepared a written pre-clean inspection. Don’t forget, this is your proof of due diligence to minimise the risk of any damage during cleaning. Some insurers also insist that this is signed by the client. I won't go into further details as this subject was covered very comprehensively in a fairly recent (Feb issue) article in Newslink, written by Paul Pearce. However, I will take this opportunity to remind you that we do have pads of duplicate survey forms, which can be purchased from the NCCA office, to help you with comprehensive and effective surveys. TrustMark membership within the Carpet and Upholstery Cleaners category is ONLY available to NCCA members. So, put simply, that's 6,214 times NCCA members' company details were searched last month by consumers looking for a carpet and upholstery cleaner on the TrustMark website.

NCCA Libray To avoid costly disasters, a helpful aid to your everyday cleaning is a customer advice slip. You should ask your client to read through this before you've even got your equipment out of the van. Ask the customer if they understand the importance of the advice provided, or if they need any further clarification, and leave the advice slip with them for their reference. Things to include on the slip would be: ŸTo use caution when walking from a damp carpet to a hard slippery surface. The reasons for using protector tabs, and Ÿ furniture blocks. ŸA warning not to place seating cushions directly against radiators to dry, due to heat setting marks, particularly in pile velour fabrics. ŸInstruction not to place seating cushions back on the suite until fully dry. ŸInformation on how to stand seating cushions in order to air and dry either side of the cushions simultaneously. ŸAdvice on how to facilitate speedy drying times. ŸA useful spotting guide on the reverse side, as an incentive to keep the information and, ultimately, your details. ŸA caution to keep off freshly cleaned carpets until fully dry (wherever possible), particularly with outdoor shoes, to prevent tracking in soiling.

Out and about... (part two)

ast month I wrote about one of my trips to consideration. However, it is important to bear a local furniture store, specifically some in mind that the fabric may have been coloured unusual floor coverings I saw. Well... with one of the infamous pH sensitive dyes we during the same trip I also wandered amongst the quite often see… so make sure you check this! items of furniture within the store to take a sneak preview at what may soon be entering the cleaning cycle (as they say… 'forewarned is forearmed'!). a) Do you attempt to clean the fabric? b) Do you walk away? There is almost certainly going to be a change in the fabric's appearance if wet-cleaned. So, if you decide to go ahead with a clean, it is really important that you make the customer aware of the possibility of Polyester & Viscose the change in Rayon fabric (flatweave) appearance... BEFORE THE CLEAN TAKES PLACE! All this can (and should) be done at the survey stage. In a previous article I mentioned fabrics with a combination of Polyester and Viscose fibres. 100% Linen fabric This is something I came across yet again on my travels. In the picture (above, top) you can see the Polyester fibres in their flatweave form in pale gold. The Viscose Rayon element of the fabric (this is the bit that will change in appearance when wet) is in a pile form in red, lighter red and orange. Fortunately, in many cases this can be visually picked up during the pre-clean survey, showing as pile distortion in the main wear areas. It's a case of a very careful inspection and qualification with the customer.
Something else I saw whilst perusing the store was a chair (see pic, bottom left) covered in a 100% Linen fabric - a cellulose fibre that may be prone to browning if cleaned incorrectly, plus it's yet another fibre that may be dyed by the manufacturer using an acid sensitive dye. are several issues for you to think about here. I also took a photograph of two cushions (see pics directly above), just the sort of scatter cushions that we all love to clean. Thankfully these two are Polyester-rich... BUT OH SO FIDDLY! Cleaning upholstery fabrics is such fun isn't it? Finally, just a word of warning. I haven't come across for a few years now, although it can (and does) happen quite often. Imagine this... a customer asks you to clean the frame of their three piece suite, informing you that they will be 'putting the cushion covers in the wash'. GREAT! I am sure you all know what is
the issue with the customer again, he finally admitted he was perhaps 'being picky' and accepted the explanation. As the matter had been resolved satisfactorily I didn't want to upset the technician any further by questioning whether the qualification prior to the clean had been carried out with the customer, OR if the difference had actually been picked up and noted. Needless to say, however, an awful lot of problems can be avoided with a pre-clean survey... so make sure you do this EVERY TIME!

coming. Well, in this instance the customer did indeed put the cushion covers in the wash‌ several times in fact! The cleaner did his bit (using the correct methods and chemicals) and then received a complaint that the fabric on the frame still looked dirty. He then returned to clean again to pacify the customer‌ it was at this point that I was contacted. As you will all no doubt have gathered, the cleaning chemicals used by the customer (over several cleans) had bleached the fabric on the cushions... the fabric on the frame was the original colour. As a carpet cleaner it is important that you ensure you hold adequate insurance (in fact some insurances are a condition of NCCA membership). Check with your broker that you are covered for: ! Public Liability - this covers you in the event that you cause an accident, or if a member of the public (i.e., your customer or members of their family) trip over a lead and injure themselves. ! Employer's Liability - if you employ staff you MUST have this cover. ! All Treatments Risk - this covers you for any chemicals you use (providing the manufacturer's instructions have been followed). It provides cover for the item you are working on. Make sure that you have this cover, it is extremely important. The client may blame you for an unrectifiable problem, which may appear as the result of a clean, even if it is not your fault.

W
riting regular articles for a magazine that is targeted at a very specific audience is a significant challenge for even the most skilled in the relevant discipline. Coming up with material that engages the reader when your skillset is something completely different is not only difficult but occasionally controversial. Today I want you to think outside the world of carpet cleaning because there have never been better opportunities, or indeed a greater necessity, to consider those opportunities. So why the necessity? Well, I believe that the domination that carpet has enjoyed in the UK flooring market for many years is over. I don't know what the figures are for natural stone, LVT, laminate, resin, polished concrete or any other type of flooring, but I do know that 10,000 square metres of wood go down EVERY DAY and that my colleagues in those other areas are hardly struggling. I also know that every carpet cleaner I talk to is saying they need to diversify due to increased competition and low ball pricing. The thing about the soft floor coverings market is that it is an established and reasonably well educated market. In the carpet cleaning sector there is no innovation at the moment, no one legitimately saying “look at me, my system does it quicker, better, drier, healthier�. The clients know what is out there, have seen and read all the

American inspired marketing material, and are no longer impressed by it. What does work, as we know, is the database marketing so brilliantly developed, employed and lectured on by one of the leading lights in the NCCA (take a bow Mr Simmons). The problem is, however, that you need to build your database before you can market to it. Please do not get me wrong, what Allan and others teach is absolutely spot on and everyone should start (at day one of their business) to build their database, but you may be looking at years rather than months before it will play a significant role in your business marketing. The UK natural stone flooring industry has done a brilliant job of marketing itself in terms of maintenance. Just like all other floor coverings,
the salesmen in the shiny showrooms sell the dream and it is the Mikes, Kevins and Keiths of this world (no need for surnames, you know who they are) who come up with reliable and workable methods and equipment to keep these floors looking their best and educate, not just contractors, but the general public as well. The wooden floor industry, however, is still very immature, except the very top end, and even then I have seen some shocking work done by supposedly 'top quality' companies. As more pre-finished wooden flooring is laid, there is an increasing number of customers who don't know what to do when it needs refurbishing; they have never seen a proper flooring contractor… and that salesman certainly doesn't want to get his suit dirty! So, anyway, imagine being able to start your company with enough equipment to get you entry to, not just the carpet cleaning industry, but the stone and wood refurbishment industries as well. Imagine being able to compete with the best in all those areas without needing a massive van and an even more massive bank loan. Imagine being able to sell yourself as a total floor restoration business, imagine how valuable that database you build will be. If only there was a machine that, having been tested by those who 'know', has been adopted by those who 'know', and is making money for those who 'know'. That's a pipe dream isn't it? After all, the machine to do all that hasn't been invented has it… what an opportunity though if it did exist.

Learning to restore, repair and re-colour leather Ray Austin (Ray and Jackie Austin, Shropshire)

and some of the other people were from the aviation and furniture restoration industries. One person had even come over from Indonesia! On the course we learned about the different types of the leather, the tanning process, how to use a microscope, what to use to clean different types of leather, how to mix colours, removing grease from head areas and repairing minor scuffs, scratches, holes and cuts. So... was the course worth it? Most definitely YES! We learned lots of new things, were very well looked after and were 'fed and watered' throughout the three days. We also got to see the beautiful county of Yorkshire.

en years ago we did a leather cleaning course (IICRC) with Andy Alcock and Steve Poulos down at Hydramaster. Up until that point we had never cleaned leather before, but the course gave us the confidence to then offer this service. However, we had always wanted to go to the next stage - restoring, repairing and re-colouring leather rather than just cleaning it. So, more recently, I booked my wife, daughter and I onto the three-day leather restoration course at LTT with Judy Bass. There were eight of us on the course in total. Four of us were from the carpet cleaning industry

Managing safety: Avoiding fines or protecting the workforce? Laura O'Brien (Eversheds LLP)

s previous articles have discussed, the new Sentencing Guideline (“Guideline�) for Health and Safety offences (among others) came into force in February of this year and seeks to impose much higher sanctions on companies and individuals in breach of health and safety legislation. When determining where an offender sits on the punishment scale, mitigating factors contained within the Guideline will be more significant than ever before; potentially reducing any punishment. Mitigating features for organisations include having a good health and safety record, ensuring effective procedures are in place, and demonstrating a high level of co-operation with an investigator, beyond that normally expected. Given the value in each mitigating feature, we suggest it is now the time for businesses to look at policies and training before they are subject to

prosecution; good health and safety management and governance starts well before something goes wrong. This article will look briefly at some of the actions you can take before it gets to the critical golden hour, investigation and aftermath of an accident. Documentation Under the scrutiny of an investigation, many policies and procedures that companies have in place are found to be out of date and/or no longer fit for purpose given the changing techniques, processes and equipment used in day-to-day operations. Simple things such
as changing the company name on a document can often be missed. All documents used by the business should be effectively communicated, enforced, and no longer than needed. Risk assessments should be conducted with knowledge of the task that is being assessed. Speaking to the workforce at an early stage will help to create a wellinformed risk assessment. All risk assessments should be suitable and sufficient and precautions should be reasonable and seek to reduce the risk involved. Proper communication of risk assessments is vital; simply handing over a bunch of papers is not sufficient. It is hoped that emergency procedures will never need to be implemented, however all employees need to know what to do in the event of an emergency. In the most testing of circumstances, employees can often become confused and make mistakes. A review and dry-run of your emergency procedure and crisis management plan will help highlight any gaps and ensure all your people know what to do in the case of emergency. Simple issues, such as having a manager's mobile number, can often make a huge difference to an organisation's response in the 'golden hour'.
What can I do now? 타Compare your policies and procedures to
industry standard - make sure you are meeting these standards and have considered any guidance. Look at other ways you can improve practices which may be specific to your company. 타Check that all the policies and procedures in place work 'on the ground'. A well drafted policy that has no practical use is worthless. 타Check that all PPE is maintained and your workforce have the right tools. Check whether any PPE needs upgrading due to wear and tear and ensure that all of the correct checks and inspections of PPE have taken place. Ensure you keep all paperwork showing inspections and maintenance. 타Ensure you are working with contractors effectively - they may be at particular risk if they are unaware of your own procedures, rules, hazards and risks. and are only as good as the people working under them. Many people have the impression that health and safety is a 'paper pushing' exercise and so a change in culture and mind-set is required. and all supervisors are following health and safety procedure and are leading from the top. Visible safety leadership is crucial. Conclusion The fines being imposed under the new Guideline are higher than ever and everyone involved in this industry should do all they can to mitigate risks at the earliest opportunity. Proactive, ongoing engagement with health and safety is key to ensuring a safe working environment. There is now no better time to review procedures and update training to make sure you never find yourselves on the wrong end of the law.
