Working Plan of Network Commission for the period Agora Cagliari-Agora Oviedo Dear Network, The Network Commission team proposed and decided to deal with the following topics this term (Agora Cagliari - Agora Oviedo): 1) Non-Disclosure Agreements for Subcommissioners Subcommissioners are also part of the Network Commission Team. NetCom will continue working on creating a Non-Disclosure Agreement for Subcommissioners that is similar to the Non-Disclosure Agreements Network Commissioners sign at the beginning of their term. 2) Common Topics for Network Meetings To continually ensure a high quality of Network Meetings, NetCom strives to establish some sessions that are beneficial to all antennae. By addressing current needs of antennae throughout AEGEE’s network, common topics of Network Meetings are beneficial to share the same information with AEGEE members all over Europe. 3) Finish Board Toolkit In order to support local boards to know the tasks of different board positions and implement them, as well as offer assistance to members struggling with their board term, NetCom aims to create a Board Toolkit which will address these problems and prevent valuable knowledge from being lost between board terms. Members of the NetCom team already started to work on a Board Toolkit last term. NetCom plans to finish the Board Toolkit and share it with the Network. 4) Promote Network Commission Projects Building upon the guidelines and descriptions of NetCom Projects that were established during the last NetCom term, we plan to use this knowledge base and promote exchanges, the Twin Antenna project, as well as the Mentorship system. New tools should be created to help antennae collaborate with each other, exchange their best practices and create more connections within the Network. 5) Increase Visibility and Transparency of Network Commission Improve NetCom’s PR strategy via social media and the Members’ Portal to make NetCom’s work more transparent for the Network. Examples would be to move information to the Members’ Portal and update NetCom’s website in the Members’ Portal, as well as finding an alternative for the NetCom telegram. Additionally, NetCom aims to make Activity Reports more transparent and interesting for the network. NetCom strives to find a more appealing

platform for presenting NetCommies’ Activity Reports than the current mailing list (NetcomL). 6) Clarify the rights of Contacts and support Comité Directeur in Developing the Contacts Toolkit NetCom aims to make the role of Contacts more clear and finish creating a toolkit together with the Comité Directeur. This toolkit should contain relevant information for Contacts when first becoming part of AEGEE. Further, NetCom plans to cooperate with the Comité Directeur to ensure that the Contact is clear what AEGEE is and about its role within our network. More work can also be done to analyze the environment in which a new Contact is to be founded, so that the Contact can be supported to the best extent possible. 7) Change the Process of Accepting a Contact Place greater emphasis on examining the environment and getting to know possible founders before accepting a Contact to ensure greater longevity. 8) Proposal for Contacts Signing Convention d’Adhesion NetCom aims to establish a proposal for Agora Oviedo in order for Contacts to be able to already sign the Convention d’Adhesion once the Contact fulfills all criteria to become a Contact Antenna. 9) Propose to Change Antenna Criteria Recognizing that not all board terms last for a period of one year, NetCom proposes to adjust the submission of the Activity Report and Activity Plan. To make these submissions more coherentwith reality, the timing of board elections as well as the beginning of the actual board term should receive greater attention regarding the deadlines of when the Activity Report and Activity Plan have to be submitted. 10) Support Comité Directeur on Local Training Course Initiative Help Comité Directeur implement the new Local Training Course initiative as stated in AEGEE’s HR strategy. This initiative includes Level One and Level Two Local Training Courses. Further, NetCom will consider to include the organisation of Local Training Courses as a new antenna criteria. 11) AEGEE’s 30 Year Anniversary Promote AEGEE’s 30 year anniversary among antennae and also encourage project teams as well as working groups to cooperate with antennae in organizing events for AEGEE’s anniversary.

Work on the plans I was no able to completely finish in the past 6 month of my term: o Organise monthly skype meetings for all locals On Members portal we can find a lot of toolkits which can help locals with their everyday life. I want to initiate monthly discussions on topics introduced in toolkits their practical application. o Reviving Presidents list and creating Boards list To increase collaboration between my locals, and to facilitate exchange of best practises, I want to revive the existing Presidents mailing list. Furthermore, I want to create a list for all Board members so the various in each Board can exchange their experience and ideas as well.

I think it will be really useful to organize a NWM before AGORA Oviedo because it will be also a preparation and recruitment for locals to get ready for AGORA very well.We will have chance to make the follow up of EPM Burgos
Activate more members in the network to European level bodies/projects
It is possible to inform local boards about all possibilities to join European level,mailing lists or their official facebook pages/profiles or groups are the best way to spread the information. I believe the improvement of network is mostly based on how much active members locals have on European level,so it gives the possibility to locals itself to promote European bodies.It also takes the workload of boards in this topic
Improvement of locals communication I created a fb group that all board members of my locals are in.We use this facebook group for any activities such as announcing events,sharing ideas,informing each other,cooperation offers and etc.We plan to have a great communication among all locals so they can support each other when they know their needs and expectations.

Support the cooperation/partnership between locals in my network As I have Mağusa and Nicosia together in my network,I see it as a great opportunity to bridge both sides by the AEGEE discipline,work and culture.Plus one of my subcoms,Hulusi Kilim,who also made a presentation about Mağusa Initiative in AGORA Patra,there can be an event or etc. It is a great possibility to unite and break the borders.We haven’t done any activity regarding this topic however I think if we can strengthen AEGEE-Nicosia,we can do something basically. I have some locals which are closer to each other,some locals need KT and support from powerful locals.As long as they make a cooperation,it will help to strengthen the whole network with sharing. Support the locals to organize RTC As we all are aware of the situation,some locals don’t have the capacity or capability to organize LTC in their local.RTCs will give the possibility for these locals to learn from strong locals who have capability to organize LTC easily. LTCs are the most important organizations to recruit new members in my opinion,RTCs are for the whole network so it will result the network to have more than just recruiting new members.It is one of the most important event for my locals because board members are not even well-trained or don’t have enough AEGEE knowledge. Improve the contribution of the locals at the Action Agenda and Strategic Plan I plan to forward members in the network to AA Coordination Committee and also forward them to EPM.It will also help me to have members from network that are informed about the updates and current Action Agenda,I plan to use them in NWMs to share their knowledge with the rest of Network. EPMs have a very important in the future of AEGEE.I believe that as much as members from the network have a louder voice in EPMs will have a great effect for the future of network I work in.It will be my duty to promote EPMs specifically. Suzan,currently the SUCT member and also appointed ACT member for our network will inform my locals about AA and Strategic Plan,so they can follow in case they need assistance from another topics. Communication with SubCom Team: Regular meetings (physical or online) meetings with SubCommies to discuss about current situation of locals. Increase awareness and participation of members in European Projects, Working Groups, Committees and Commissions: Inform about the purpose and activities of Working Groups, Project Teams and other AEGEE bodies. Stress out the importance of cooperating with Working Groups and Projects Motivate members to contribute by becoming active members of Working Groups, Projects, Committees etc. Promote implementation of Action Agenda and Strategic Plan by locals in cooperation with Action Agenda Committee (ACT). Promote training of new members and better Knowledge Transfer for the boards: Organize an RTC for the Greek locals. Encourage locals to organize and attend training courses. Stress out the importance of organizing an LTC at least once per year for each local. Make sure that the boards are informed about their tasks, have a proper task distribution and help them with the Activity Plan. Information Sharing: Collect all Materials (PR, HR, workshops from LTCs etc.) and create a Database in Google Drive shared with the local boards. Encourage the locals to share their experience on specific topics and write guidelines and tutorials based on these. Create a Calendar with all events in the area to avoid conflicts of dates. Have a monthly Newsletter. Promote “Twin Antennae” Project and “Mentorship System” within my locals. Support locals to apply for Erasmus+, to find fundraising and to cooperate with other NGOs Establish new locals in the area and help people who already approach me to create new locals. Dear Network, In my upcoming term I would like to achieve the following goals: 1. Have at least 3 Skype meetings with all the locals together These Skype meetings will be general meetings about a certain topic. The first one will be about plans for 2015, the second one as a preparation for the EPM, and a third one as a preparation for the Agora. Ideally there will be some more to talk about the NWM, RTC, European level and other things that the locals might face. These meetings are not only for board members, but for all members. 2. Have Skype meetings per local at least twice There will be at least two Skype meetings per local initiated by me, and there can be more upon request. These meetings aim to answer questions that a local might have, share doubts, or simply to get to know each other, stay updated and have more of a personal connection. 3. Involve locals in AEGEE’s European level I will inform locals on the European level bodies. I will make a section about this in the monthly newsletter (8), and also share information that the European level bodies want me to. 4. Focus on individual problems locals might have Together with the subcommissioners I will look into the problems a local might have and help them with it. These can be practical problems (such as the fulfilment of the antennae criteria), but also more abstract things like tackling Euroscepticism. 5. Help new contacts Most probably soon there will be some (hopefully at least three) contacts in my Netcom area. I would like to help them as best as possible, especially after I got to know them in person during my NetCom trip.

6. Investigate the options for new contacts I will keep my ears and eyes open for possibilities to establish new locals (e.g. Bergen, Canterbury, Derby, Glasglow, Dublin), and I will create a file where people who move to cities in the Baltics, Scandinavia, or the U.K. can leave their contact details. 7. Promote trainings I will encourage locals to organise and attend trainings, and stress the importance of them. Besides this I will promote RTCs and LTCs and explain the locals clearly how to get support and/or Academy trainers for that. I will send out an open call for a RTC for all the Nordic Stars, and will keep them very involved in the preparation of the programme. 8. Research the involvement of the locals in the national youth councils I will follow up on the research done by former Network Commissioner Karolina Mazetyte about the youth councils there are in the countries of the locals and discover if it is possible for the locals to get involved in that. Furthermore, I will check if there are any who already have contacts or involvement in the national youth councils. 9. Create a monthly newsletter Together with my subcommies I will create a monthly newsletter. Each month, one local will introduce themselves and the agenda for events on European level will be included. Furthermore, locals get the opportunity to promote their events through this newsletter. Besides this, the European level bodies will have the opportunity to promote themselves through this. These entries will also be posted on the yet existing blog, so there is a constant flow, but once a month a compilation will be sent to all the locals. 10. Organise a Network Meeting I will organise a Network Meeting and send out the open call for it soon. I will ask the locals for input on the agenda. ● Improve the follow up of the antennae and make our support more efficient Encourage the locals to develop their potential by setting up together objectives based on a SWOT analysis and their Activity plan by end of January 2015. Actively use the Monthly Report: keep the MR of each antenna in separated documents to which the local will have access. Have a careful read at the MR in order to be able to give feedback, actively follow their evolution and provide them help when needed. Be proactive towards the antennae: be present in their daily work, ask them how things are going frequently, do Skype meetings, a visit if possible. ● Improve knowledge transfer and knowledge management Encourage Spanish speaking locals, French speaking locals and Portuguese speaking locals to organise RTCs that involve Board meetings on them, so best practises can be shared and common strategies defined. Also help them to develop useful material for these events, to develop the program for the trainings, to find trainers and support them in the followup of the trainings.
(Particular attention should be given to Portuguese and some French antennae, Sevilla and Tenerife, which are the weaker locals in our area right now. We will motivate them to get more active in the local level and encourage them to organise local and even regional events to try to make more members and motivate the ones that they already have. At least one RTC for French antennae will be organised and we will support AEGEEParis with their 30th Anniversary event in March). Keep on spreading the use of the shared document folder to have all the material, files and data available for everyone in our area and for the whole Network if needed. Keep encouraging locals to cooperate with each other and not just for TSUs or RTCs but for keep on growing with the help of other’s experiences. Encourage the locals to include helpers from other antennae in their events (specially those who come from weak locals, so they can learn how other antennae work and perhaps implement it in their own local). Develop a successful Mentorship System for new, developing or weak locals (and give to these locals special help so they can fulfill the Antennae Criteria) by asking some experienced member from a close antenna or even the proper antenna to help the local through administrative issues, conflict resolution and other things that they might need. ● Promote trainings
Spring NWM: Keeping on redefining the concept of NWM and involving antennae in content definition. More bidirectional content that leads to debate, not just workshops that just involve learning and not sharing. Support RTCs, as it has already been stated in previous bullets. Support organisation of EPM and Agora and the involvement of all the area in these events, since both of them will take place here. Encourage locals to become partners of the different programs included in Erasmus +, as hosting or sending organisation. Inform the members about training opportunities within AEGEE as well as trainings organized by AEGEE partners: we will check the training opportunities and inform the antennae using subealanave mailing list, La Nave Facebook group and adding them to the monthly AeGEeNDA (newsletter that summarizes all the events the members can apply for, available in French, Spanish and Portuguese). Encourage the antennae to promote their upcoming events and make them visible in the Network by writing articles for The AEGEEan, creating promotional videos... And when the event is over, be aware of the importance of impact measurement: evaluating and writing reports about it. Make sure the events of the region are coordinated by using a common calendar.
● Give more visibility and possibilities to AEGEE in our area
Support the establishment of La Federación as main tool for developing a common Fundraising strategy at least for Spanish locals, and develop other strategies for French and Portuguese locals. Develop a solid Human Resources strategy in each antenna based on their needs and surroundings and try to put them in common in Spring NWM, so promotion and recruiting of members become easier for everyone. Keep on working in increasing the PR strategies and resources.
● Encourage antennae to contribute to the Action Agenda and Strategic Plan
Encourage the locals to participate actively in the elaboration of next Action Agenda and to use the Guidelines that ACT has developed to help them to understand and implement it.
● Encourage the locals to motivate their members to get to know the European bodies and cooperate with them

Organize workshops about European bodies in NWMs, RTCs and LTCs Use the Network meeting as a forum between the local and the European level Help the antennae with weak European dimension to develop strategies to encourage their members to participate in European events by using the experience of the antennae who are sending a lot of participants
● Prepare actively for Agora Oviedo
Make sure that the boards prepare their delegates to Agora and clear all doubts for visitors: organise at least one board meeting with them. Use La Nave Facebook group in order to discuss the proposals and candidatures. Organise a Skype meeting if needed.
● Help the antennae to improve the quality of their events
Strengthen the cooperation with the E.Q.U.A.C. thanks to the presence of Inana Namet in both teams. Try the new toolkit for event organization the E.Q.U.A.C. is developing in our area before it’s implemented in the whole Network.
● Tripulación team building
Organise at least one Tripulación meeting so we can spend a weekend together defining our work plans and priorities and also working on team building.

Strengthen the cooperation between the locals and Youth Councils.

Dear Network, In my upcoming term, I would like to work on my following Goals: Continuing the improvement of communication with the locals The communication in my area since this summer has started to develop, and become regular again after long years of struggle in this area. I would like to keep up this directive with the communication between my antennae, and even increasing it by having regular planned Skype meetings with the locals. Also, I would like to keep the closed Facebook group that has been created for the Boards, and increase the activity there for quicker reach and better sharing of events, collaboration ideas, and support requests for the antennae. Choosing a strong team of Subcommissioners, helping the locals For keeping up the good work that has been stabilised, and giving quality improvements for locals, I would like to have a team of Subcommissioners to help them more effectively and usefully. The Open Call has been issued, and the selection process is planned to end until Netcom Meeting Brussels. Also, I would like to help out the locals as much as possible with their needs, and support those who need it. Participation and follow-up after NWM Budapest and organizing a Spring Network Meeting
I took an active role in NWM Budapest along with my predecessor, so in the followup process of the Network Meeting. locals. I want to create a Network Meeting that is according to their needs and fulfils their expectations. Having a NetCom trip in the area I find it important to have a personal connection between the locals and their Network Commissioner, so I would like to have a NetCom trip amongst my antennae for the next year. I plan to have more than one trip, as so far from the feedbacks, the locals are available at different periods of the year. Generally, I plan to visit them sometime between the end of January and March, but I am willing to make changes in the dates according to my locals’ needs. Strengthening the cooperation in the region This region has been fragmented in the past few years, so I would like to emphasize this part during my term. By promoting the Twin local idea and implementing the Mentorship system (pairing locals) in the area, I would like to strengthen the cooperation between the antennae. This is a long term-plan, so I would like to introduce it step-by step, and continue it after the period of Agora Oviedo.
