For decades, United Ways across the country have been running Workplace Campaigns. Through the years, we have learned what works and what doesn’t. We know how to make it easy for companies, coordinators, and employees. We understand that being an Employee Campaign Manager can seem overwhelming at first. With a little support, however, most Employee Campaign Managers, even those who were initially concerned about running a campaign, have gone on to easily meet and often exceed their goals. To that end, we put together this guide, filled with best practices, timelines, and practical advice to assist you. Visit http://bit.ly/OCUWtoolkit for more tips and tools, including our 2011/12 Campaign Brochure, sample emails, thank-you letters, and success stories.

Letter from Workplace Campaign Chairman Restore HOPE with Your Actions. LIVE UNITED. Dear Employee Campaign Manager, Thank you for taking on such a critical and important role in our community. You are a voice for the more than 229,000* households in our community that can’t meet their most basic needs—OUR neighbors, OUR friends, OUR coworkers. We live in a beautiful community known for great prosperity, but there is an Orange County that many of us have never seen. It’s the Orange County where our coworkers, neighbors, and friends struggle to put food on the table, have a home to call their own, or find the means to take care of basic medical concerns. It’s the Orange County where one in six residents are uninsured; where 890,000 people are at risk of hunger every single month; where 35,000 people are homeless on any given day. What’s more, the economic environment has changed the face of poverty, placing many—people like you and me—in a position they never expected: needing a hand UP so they can get back on a path to selfsufficiency. This is the Orange County that we’re all working to strengthen by supporting the Community Impact Fund of Orange County United Way. TOGETHER, we are restoring hope with our actions and creating lasting, positive change in OUR community. Because of your support and commitment to LIVING UNITED, Orange County United Way can continue to provide hope, help, and a pathway to a better future for OUR neighbors in need. Lives are being improved, and it’s all because of the work you do. As this year’s LIVE UNITED Campaign Chair, I am proud to lead the workplace movement to change lives and make a difference in Orange County. By GIVING what you can, ADVOCATING by championing our cause, and VOLUNTEERING to share your time and talent, we can improve even more lives. Let’s outdo ourselves for our neighbors in need and help a student graduate from high school and go to college, offer a single mother the job training needed to support her family and gain financial independence, or provide a senior with a good meal and access to critical medication. Let’s invest in change and help people help themselves by giving them access to the Building Blocks for a self-sufficient life: Education, Income, and Health. TOGETHER, we can create an Orange County where every neighborhood from Santa Ana to San Clemente thrives and every person has access to a successful and self-sufficient future. Thank you for restoring hope with your actions and joining our movement to improve lives. Thank you for LIVING UNITED. With gratitude, Jerry Mattes Chairman Orange County United Way LIVE UNITED Campaign President/West Region, UPS

Together we are changing a life.

Together we are strengthening OUR community. Across Orange County, more than 229,000* households in our community can’t meet their most basic needs. These are OUR neighbors. OUR coworkers. OUR friends. These families are forced to choose between paying bills, paying rent, or putting food on the table. These are OUR youth who are striving for a better future, OUR families who are trying to gain financial independence. We believe this is unacceptable. So we’re changing things.

How We Meet the Need

We invest in Orange County children, families, and individuals by mobilizing our community to meet their most basic human needs—food, shelter, and medical care—while creating pathways to self-sufficient futures through education and training. In short, we help people help themselves. To do this, we focus on the Building Blocks for a self-sufficient life: Education—helping children and youth reach their potential: Readiness to succeed in school Academic achievement Productive and engaged youth

The Staggering Facts Orange County’s four-year dropout rate rose from 9.5% to 14.3% in the past year alone.1 More than 318,000 of OUR neighbors, coworkers, and friends live below the federal poverty level in OUR community.2 One in six Orange County residents are uninsured.3 There are 890,000 people at risk of hunger every month in OUR community.4

Income—promoting financial stability and independence: Develop job skills Increase income Build savings Gain and sustain assets

There are 35,000 homeless people in OUR community.5

Health—supporting healthy lives: Essential food and proper nutrition Safe shelter and secure housing Basic health care How You Can Help: LIVE UNITED Give: Donate to Orange County United Way’s Community Impact Fund. Advocate: Champion OUR cause. Volunteer: Share your time and talent.

To make these numbers take on even greater meaning, attach the faces of your friends, neighbors, children, coworkers— people who look like you—to these numbers. Staggering, aren’t they? We believe these figures are unacceptable, and we need you to help us turn things around by giving to Orange County United Way’s Community Impact Fund. An Innovative Approach Families who are struggling to make ends meet face multiple issues. Unfortunately, there is no single solution. Enabling families to stand on their own requires bringing the best ideas together to combat the root causes rather than the symptoms. Our approach is simple: Increase Access to Services Our region is home to some of the most innovative programs. Unfortunately, accessing that help is not always easy. In addition, just accessing one service or program alone may help a family or individual survive, but it is not enough to ensure long-term financial success. Link Programs Orange County United Way brings together the best programs and services to provide struggling individuals and families with solutions, addressing their multiple needs through our Community Impact Fund. Empower Families Struggling Orange County individuals and families are working hard to build better lives for themselves and their children. They are not looking for a hand out. Orange County United Way partner agencies support them in their quest, working with each individual or family to build a unique roadmap to financial stability and independence. WHO WE FUND In 2011, Orange County United Way was proud to award more than $4.5 million to our Community Impact Partners. Representing 97 programs that excel in 25 standards of accountability, these agencies are on the forefront of health and human care services in Orange County and are making the greatest impact on people’s lives.

SELECTION PROCESS Before funds are distributed, our Community Impact Partners go through a rigorous six-month selection process to ensure their programs are showing positive impact on people’s lives. Led by a group of volunteer community experts and Orange County United Way staff, the Community Impact Competitive Grant Process allows Orange County United Way to create the best return on investment for contributions entrusted to our Community Impact Fund. Once agencies are selected, we provide training and leadership to build long-term partnerships designed to help maximize their programs to their fullest potential.

Solutions That Work 2-1-1

2-1-1 connects people in need to thousands of services across Orange County such as child care, housing, career training, and health care. Last year, 2-1-1 answered more than 75,000 calls for help, of which 47% were for basic needs such as food and housing. Learn more at www.211oc.org.

SparkPoint OC

Coming January 2012, SparkPoint OC will offer a one-stop location for a full range of services including personalized financial coaching, as well as programs that help families and individuals move up the career ladder, build assets, and manage their credit.

EITC Program

Last year, United Way’s 150 free tax days assisted more than 7,215 Orange County residents to claim more than $3.2 million in earned income tax credit refunds and $6.4 million in federal refunds, putting those dollars into the hands of hard-working low- and moderate-income families and individuals.

Bank On Orange County

In the last year, we’ve opened 2,870 bank accounts through Bank On Orange County, a joint initiative among United Way, the governor’s office, financial institutions, and community-based organizations. Connecting these families to the mainstream financial systems ensures they are less likely to fall victim to check-cashing fees and predatory lending, as well as more likely to build savings and assets, which leads to a more financially stable future.

Destination Graduation

In September 2010, Orange County United Way launched Destination Graduation in 10 Orange County schools. Destination Graduation is designed to help 100% of at-risk Orange County students graduate from high school and continue to a four-year college with a clear career path.

A complete list of our partner agencies can be found on Orange County United Way’s website at www.unitedwayoc.org.

Fund-Raising Best Practices Involve Your CEO or Senior Manager Ask your CEO or executive team to provide consistent and visible support for the campaign.

Emails, Intranet videos, or voicemails from your CEO or executive team help set the tone for the campaign. Invite them to speak at major campaign events such as the kickoff, Leadership Giving events, and your closing thank-you event. Sample emails, letters, and talking points are available at http://bit.ly/OCUWtoolkit.

Encourage Your Company to Make a Financial Commitment By “walking the talk,” your company can demonstrate its commitment to OUR community. A corporate gift to Orange County United Way is an excellent way to make a large impact in OUR community and help the 229,000 households that are struggling to make ends meet. Inspire your employees by establishing a program that matches employee giving.

Build a Strong, Diverse Campaign Team The more hands, the better, not only to generate excitement but also to spark the most innovative ideas. Form a campaign team with representatives from throughout your organization (by department, location, or other structure). Train your team. The role of the campaign team includes answering questions, educating coworkers, and planning events. We’re here to help. Your United Way representative can assist with training.

Set Clear Goals, Track, and Report Results The best campaigns have measurable goals to focus the efforts of the campaign team. Look at last year’s results, then set new goals based on areas where you can make the greatest improvement, such as increased participation (number of employees giving), average gift, and number of Leadership contributors (gifts of $1,000 or more).

http://bit.ly/OCUWtoolkit | 8

Fund-Raising Best Practices Things to Look at When Analyzing Your Campaign Analyze your campaign using the following criteria, keeping in mind that yearend recognition will focus on dollars directed to Orange County United Way’s Community Impact Fund. Calculate what percentage of employee and corporate gifts are invested in Orange County United Way’s Community Impact Fund. Compare the percentage change in number of employees with the percentage change in number of givers. Compare the percentage change in number of employees with the percentage change in total employee dollars. How does the average gift compare with the employee per capita? Analyze the number of Leadership Givers and Leadership Giving dollars for the past three campaigns. What % of total employee dollars is made up of Leadership Giving dollars? What percentage of total givers are Leadership Givers? How are your Leadership Giving results impacting your average gift and per capita? Analyze the number of Tocqueville Givers and Tocqueville Giving dollars for the past three campaigns. What percentage of total employee dollars is made up of Tocqueville Giving dollars? What percentage of total givers are Tocqueville Givers? How are your Tocqueville Giving results impacting your average gift and per capita? If you could increase the number of givers to ________ while keeping the average gift the same, you would raise $ ________ in new dollars. If you could increase the average gift to $ ________ while keeping the participation percentage the same, you would raise $ ________ in new dollars.

Calculating Formulas 1. Percent of Employee Participation =

Number of Givers Number of Employees

Note: Employee participation represents the amount of individual involvement in the campaign. Total Dollars Invested in Community Impact Work 2. Percent Contributed to United Way’s Community Impact Work = Total Dollars Raised

3. Employee Average Gift =

Total Employee Dollars Number of Givers

Note: Employee average gift represents the average amount given by all contributors to your campaign.

4. Corporate Average Gift =

Total Corporate Dollars Number of Givers

5. Employee per Capita =

Total Employee Dollars Number of Employees

6. Corporate per Capita =

Total Corporate Dollars Number of Employees

7. Percent Change Between Two Numbers =

New Number - Old Number Old Number

Note: Percent change tells you what percentage your numbers have increased or decreased— usually from one year to the next.

Making the Ask Fund-raising can seem challenging, but keep in mind that most people want to give back to their communities. And the primary reason they don’t give is that they were never asked. As an Employee Campaign Manager, you have the privilege of providing your coworkers the opportunity to make a difference in an easy way. To make your job easier, we have provided you with a sample presentation template that you can use in groups as well as one-on-one conversations.

Sample Presentation Outline

At campaign presentations and in conversations, the goal is to thank, inspire, and engage your audience. We recommend your presentations and events follow a similar structure:

Describe How They Can Make a Difference

By working together, we can help families such as (Name from story above).
