About Generations For Peace Generations For Peace is a leading global non-profit peace-building organisation with its headquarters in Amman, Jordan. They are dedicated to sustainable conflict transformation at the grassroots in communities, by promoting youth leadership, community empowerment, active tolerance, and responsible citizenship. They are a volunteer movement, empowering, mentoring, and supporting volunteers to be changemakers to create a better future in their own communities. Since 2007, Generations For Peace have trained and mentored more than 19,373 volunteer leaders of youth in 51 countries in the Middle East, Africa, Asia, Europe, and North America. Their ongoing programs address local issues of conflict and violence, and have touched the lives of more than 1,385,264 children, youth and adults. They use sport as an entry point to engage with youth, and their carefully-facilitated sport-based games provide a vehicle for integrated education and behaviour change. Generations For Peace is the only peace-through-sport organisation officially recognised by the International Olympic Committee. In addition to our sport-based approaches, we have also developed arts, advocacy, dialogue, and empowerment activities to support conflict transformation with children, youth, and adults in different contexts. The organization is committed to robust measurement and evaluation of their programmes to support continual learning and innovation, to identify and promote good practices, and to demonstrate impact and sustainability. The Generations For Peace Institute leads on undertaking programmatic research, independently or collaboratively with leading academic institutions, such as the University of Oxford. The Institute also conducts collaborative applied research projects to help advance the broader peacebuilding field and allocates various research grants and scholarships. The Institute’s in-depth research serves as an evidence-base to assist in crafting and maintaining high quality tailor-made programming; a tool to gain support from local stakeholders, donors, or academics; and a knowledge-base to inform their educational and training materials as well as strengthen the capacity of the staff, volunteers, and local partners.

Internal: CEO, Fundraising Department colleagues, Communications Department (on communications content); Programmes Department and Institute (on data and budgets for programmes and research); Accounting Manager (on reporting for donor funds) External: GFP Delegates and Pioneers, donors and partner organisations, and stakeholders.

Purpose of the Position Reporting to the Development and Partnerships Director (DPD), the role of the Grant Proposal Specialist is to lead on grant proposal writing, supporting the DPD in the design and implementation of GFP’s fundraising strategy with an emphasis on proposal and report development, review and coordination. The Grant Proposal Specialist assists in managing GFP’s proposal development process; prepares high-quality and effective fundraising materials, including but not limited to grant, contract and partner proposals, fundraising-specific documents, and grant reports to governmental donors, non-governmental philanthropic donors, and commercial partners; and reviews proposals and reports prepared by other colleagues. S/he, in collaboration with the DPD, also identifies, researches and engages prospective donors and partners through
prepositioning, introducing them to GFP and building a relationship for initial and continued support, serving as the Fundraising Department point of contact on select donor/partner relationships. The Grant Proposal Specialist will apply best practices and the highest standards of accuracy, and coordinate with the Fundraising, Programmes, Institutional Learning, Support Services, Finance, and Communications Departments, the Institute, and GFP Delegates and Pioneers, to deliver carefully-tailored, timely proposals and reports with high quality text, data, and references, to secure new and increased funding for Generations For Peace programmes, research and capacity development.

Responsibilities Working with the CEO, Development and Partnership Director, Fundraising Department colleagues and proposal leads from the Programmes, Institutional Learning, Finance and Communications Departments and GFP Institute, Delegates and Pioneers. Proposals and Reports • Managing GFP’s proposal development process, coordinating and facilitating go/no-go decision-making processes for grant and contract opportunities, tracking the status of ongoing GFP proposals, ensuring deadlines are met and that proposed programmes align with GFP and donor priorities • Developing proposal plans, timelines, and templates in compliance with specific donor requirements, and coordinating and facilitating pre-award proposal meetings, workshops, surveys and debriefs (i.e. proposal kick-off meetings, programme design meetings, after action surveys and review meetings), to effectively coordinate between departments and ensure timely submission of quality proposals • Researching background materials (including country context analyses, country strategies, previous proposals, donor strategies, reports, and research studies), and gathering input of Programmes Department and GFP Delegates and Pioneers to produce relevant, informed, and locally responsive proposals and reports • Developing and using in-depth knowledge of GFP programmes, including values, approach, and impact, to describe persuasively to donors, partners, and stakeholders • Liaising with the Programmes Department and Institute, and other colleagues, to coordinate proposal inputs which include activity timelines, theories of change, budgets, communications plans, log frames, and other supporting documents • Preparing and submitting strategically-tailored proposals and reports for donors and partners, applying best practice and the highest standards of accuracy, taking personal responsibility for the quality of GFP proposals and reports to donors and partners • Reviewing proposals and reports prepared by other colleagues, ensuring they comply with donor priorities and guidelines and persuasively describe GFP’s actions • Ensuring effective handover of successful proposals to the Grants Management Team, and supporting them in the grant kick-off process • Supervising the Grant Proposal Coordinators, interns and other staff as directed, including leading regular one-on-one check-in meetings; setting priorities, deadlines, plans; tracking progress, addressing problems
Donor and Partner Development • Researching prospective donors and partners and identifying new prospects and funding opportunities • Scheduling and participating in donor and partner meetings and obtaining feedback from donors and partners to allow Generations For Peace to respond to their needs, including prepositioning and donor check-in processes • Serving as a point of contact from the Fundraising Department on donor/partner relationships, developing rapport and expertise in those relationships, and monitoring donor communication (both GFP communication with donors/partners and external communication released by donors/partners) • Supporting fundraising-related capacity development of select Delegates, Pioneers, local partners and staff through training and mentoring, liaising closely with the Programmes and Institutional Learning Departments. Fundraising Knowledge Management • Supporting the development and maintenance of grant and reporting systems and processes, including developing and utilising databases, trackers, monitoring sheets, checklists, templates, tools, COPs, process flows, manuals and other documents • Improving, tracking and reporting on Fundraising Department metrics and performance, including but not limited to top-level metrics, KPIs and post-proposal development surveys • Utilising the server, OneDrive, Teamwork.com, Salesforce, Microsoft Dynamics and other systems to improve and innovate Fundraising Department fundraising and knowledge management practices • Participating in intra- and inter-departmental meetings to ensure collaboration and coordination between and among the Fundraising Department and other colleagues; including but not limited to weekly calls with DPD, bi-weekly Fundraising meetings, coordination calls with other departments, Facetime with Programmes, all-staff meetings and presentations, etc.

Education, Qualifications, Competences, Skills Required Essential • Finds great joy, satisfaction and contentment in writing and reviewing proposals • Bachelor’s Degree minimum, in a relevant discipline with a specialty in Proposal Writing, Donor and Partner Development and/or Fundraising Knowledge Management • At least five years’ professional experience in proposal-writing, non-profit fundraising and donor engagement • Specific experience and track-record in securing governmental donor funds: grant proposal writing and reporting, including for USAID, US Department of State, EU, DFID, Norwegian Government, etc. • Specific experience and track-record in securing non-governmental donor funds from foundations and philanthropic donors: grant proposal writing and reporting, including for USbased foundations • Experience managing and coordinating proposal inputs from various colleagues, and overseeing multiple, simultaneous grant-writing processes in a non-profit • Experience drafting high quality communications in different formats • Excellent spoken and written English, and in particular top quality written English communications • Excellent attention to detail and time management skills, ability to handle multiple competing deadlines and priorities
• Excellent computer skills (documents/spreadsheets/databases/presentations/multi-media/ calendars/email) • Cultural sensitivity and understanding of different interpretations of communications approaches in different global, regional, and local contexts • Interest in global current affairs, conflict resolution and peacebuilding, and international development • Proven ability to fit into a young, diverse, dynamic team as a team player, leader, mentor, and capacity-builder • Ability to work nights and weekends when on a proposal deadline or to liaise with colleagues in other time zones • Experience managing and mentoring colleagues Preferred • Experience and track-record in securing commercial partner support in cash and value-in-kind • Experience in an international peacebuilding organisation • Proficiency in Arabic is useful but not required
