Upcoming Events Chapter & Annual Meeting March 1st - Hogeschool Utrecht Findings Failed Governmental Projects - Committee presents report on failures of government ICT projects On Wednesday October 13th, 2014, the Temporary Committee on Government ICT Projects presented its final report on failures of government ICT projects. These failures have led to an unnecessary waste of taxpayers’ money. The Committee examined a number of projects, primarily in an attempt to find a common factor or pattern of mistakes from which lessons can be learned to prevent such failures being repeated in the future. The problem as a whole is intractable and will never be brought fully under control. Nevertheless, the committee feels that a few robust organizational measures – provided they are implemented consistently and coherently – will be sufficient to prevent a repeat of a large proportion of the problems identified. The Committee’s recommendations are closely interrelated and should be viewed as a total package of measures for the Cabinet to adopt. We will have a look at how that hearing process took place and what the recommendations are. In addition we will take a look at the most important lessons learned. As such we invited Prof. Dr. Hans Mulder to share the input he provided to the Committee. Mr. Mulder is one of the experts that provided input to the committee. He will share findings from the Standish Group who evaluated 50,000 projects, on the estimation of Cost and the relation between Size and Complexity vs. Risk. Our second esteemed guest speaker is Mr. Dion Kotteman, who is C-level IT & Strategy advisor and former CIO for the Government (Rijks-CIO). He will share with us what his challenges were, how he looks back at the review process and the recommendations. Oof course, we will also take a moment to look at the current state of affairs. Chapter Meeting March 23rd - Valid Eindhoven Note that this meeting is also in March: due to the Spring vacations our February meeting was postponed to March 1st! Mindfulness and Business Today’s (Project) leaders face a range of fast-paced, dynamic leadership challenges that center around the ability to make sound, ethical decisions in the face of ever-increasing stress and instability. Feelings of uncertainty can undermine decisions, leading to costly mistakes that impact individuals, organizations, and potentially entire industries. Business/Project leaders need the tools to manage these situations from the inside out. Self-awareness, decision-making, innovation, compassion, courage, and resilience in the workforce are rapidly becoming essential - not just optional - competencies for the survival and sustainability of successful, ethical organizations. Recognizing this need, an increasing number of blue chip and Fortune 500 companies are offering meditation, mindfulness and mind training to their employees and integrating these principles into their daily work environments. Companies such as Google, General Mills, Goldman Sachs, Apple, Medtronic, Genetech, McKinsey, Deutsche Bank, Intel, Proctor & Gamble and Comcast among others. Therefore, PMI Netherlands Chapter is pleased to build a short introduction to the world of Mindfulness! We invited Nelleke Smetsers, who is a renowned practitioner in the field of Mindfulness and Health. Having over 35+ years in working with people in intimate settings, she is recognized for her ability to put people at ease and enabling them to achieve their goals. In addition we invited Anouk Brack, MSc. who is an international expert in embodying integral leadership. She will talk about how the way we sit and stand influences the way we think and speak. She will offer us tips and tricks so we are able to easily change our state of mind for the better to handle ourselves in ‘pressure’ situations for example. The practice of Leadership Embodiment has been developed to deal with challenging situations more skillfully. The framework of Leadership Embodiment explains what happens to our mind and body under pressure as discovered from the latest neuroscience research and it offers accessible, practical techniques to change our state of being from stress to flow, from irritated to clear, from disconnected "heads on sticks" to inspiring human beings that people want to cooperate with.

Disrupt or be Disrupted? by Cees Pijs – Chair Summit Program Committee
According to Agent of Change: The Future of Technology Disruption in Business, a white paper produced by Economic Intelligence Unit and based on a global survey of 567 executives, few industries will remain unchanged by technology disruption. Project Management has become a robust discipline with many competent practitioners. But despite the professionalism of Project Managers and the best efforts of project team members, many projects still fail. Even when managers deliver projects on time and on budget, they may still not meet the needs of their customers. So much about projects is uncertain, a problem compounded by today’s need for more adaptability than traditional models allow 1. In Disruption in Project Management, Raj Kaushik states that in the wake of technology disruption and crowdfunding, the role of Project Managers will have to change. By 2025, we will see more or less flat organizations, with hardly anyone working as a traditional manager with the main responsibilities of scoping, scheduling, resource handling, and reporting. The project manager needs to take on the role of a project entrepreneur, where one needs to change hats frequently. So, if all kinds of disruptions in every possible branch are to be expected, we might be running late already in preparing ourselves. What will Project Management look like in the era of disruption? What practices will then be embraced as ‘good’, ‘better’ or even ‘best?’ One of your current practices? Lessons you learnt and worthy to spread among the community of Project Managers? New Board Member We are glad that we have found a volunteer to take over the role of Director Membership and Volunteers. Her name is Josephine Shi and you can meet her at our Annual Meeting on March 1st. You can read a bit of her biography here: “Originally from China, I came to the Netherlands to study. I gained my Master’s Degree in Business Administration from Erasmus University Rotterdam. I was brought to the Project Management world as a trainee in General Electric during my study. Upon completing my study, I worked as a Project Manager for various companies in the UK, USA, Germany and the Netherlands. Currently I am working as Project Manager for Tata. I am an energetic, entrepreneurial and results-driven type of person who likes to engage and inspire others. Being attracted to the mission, vision and activities of the PMI Netherlands Chapter, I decided to take on the opportunity to become the Director of Membership and Volunteers shortly after I joined the Chapter. I would like to partner with each of you to ensure that we can better cater to the needs of all our members. I would also like to encourage our members who wish to develop themselves and/or support the Chapter to participate in the volunteer work. I look forward to get acquainted with each of you so please come and during the Annual Meeting! From the desk of the Director Events Calendar 2016 Special Events in 2016 In 2016 we will again try to improve the content, topic, speakers and type of events (although hard to do if you consider that not one event in 2016 had a satisfaction score lower than 7.5). Besides the fact that we will bring the March 1st Chapter meeting in a different setting: the moderated hearing of two speakers at once, we are also working on organizing a two day event in Limburg…! Additionally, in April we are aiming to get you all the valuable information on what you need to know about how Project Management tooling will change the life of the Project Manager: you! Chapter Meeting April 26th - Project Tooling unleashes the future of Project Management The future of Project Management was a hot topic in 2015 and will be in 2016. What will the future bring and what does it mean for the profession of Project Management? We all see the profession changing… yes, we do see a shift to agile projects. Yes, we do see more self-steering teams (no Project Manager needed?). And yes, we understand that projects entail much more collaboration with partners, suppliers, consultants than before due to smaller more agile specialized units and companies (a complete ecosystem by itself). This requires different governance, different management style perhaps, but what it also requires is the right tools to enable team-work, collaboration, transparency over so many different parties involved and an easy way to keep abreast of status, priorities and cost by means of dashboards and reports. That’s why PMI Netherlands Chapter is proud to help you take a peek into the future by presenting visionary possible scenarios of this future. Senior consultants will update us about what they see is coming upon us. We will bring you an intermediate update of the PMI NL BIG10 working group who are investigating the required skills and profile of the Project Manager of 2020. Chapter Meeting May 20th - 21st two-day Euregio event in Limburg We are currently working hard to establish a special two-day event in Limburg. The idea is to plan this on Friday afternoon from 15:00 - 20:00hrs, and to have an exclusive optional program on Saturday from 9:00 - 12:00hrs. You should arrange for a hotel yourself (if you stay), but the idea is that people can bring their spouse/friend and enjoy a weekend in Limburg. Why Limburg? Because it’s a beautiful area and we have a fair amount of members there and do not host many events in this region. Also important, we want to invite our Belgium and German Chapter colleagues as well. It will be a small EUREGIO event and great for networking and meeting new people. Why two days? Because that makes it worthwhile inviting your significant other to join you and have a great and romantic weekend in Limburg afterwards! What’s the agenda? Well, we are still working on it, but one of the topics we are considering is Turnaround management. Introduction Development of a family of ISO standards for Project, Programme and Portfolio Management (PPPM) is done with worldwide participation of more than 100 subject-matter experts from some 40 countries. The overall portfolio of work is managed by the international ISO Technical Committee TC/258 and the actual documents are prepared and compiled by Study and Working Groups. In the Netherlands, members of the NEN standards committee 381236, in which some 10 companies take part, are participating in the actual development of the standards, while the Local Interest Work Group ISO for projects reviews these documents from the NL perspective and helps promotes them. The LIWG was established in 2009 as an initiative from PMI Netherlands Chapter and IPMA Nederland. The group consists of some 10-20 professionals, interested in the ISO standards for PPPM. Update January-February 2016 The following 3 new working groups all had all their virtual kick-off meetings in January 2016: o Work group 6: Work Breakdown Structures o Work group 7: Earned Value Management (EVM) in Project and Programme Management o Work group 8: Projects and Programmes Management competencies Project plans have been agreed to develop the standards in two years primarily via members’ work and meeting virtually. The first action will be to do comparative analyses of lists of reference documents, like Corporate or National standards. These findings will then determine the content for the overarching new ISO standards. The ISO for projects interest group had a meeting, where they welcomed new members and discussed the status of the various ISO standards in development. On March 3rd a second ballot for ISO/DIS 21505 “Project, Programme and Portfolio Management - Guidance on Governance” will be opened for 3 months. IIL Europe In what world is the use of a PM methodology a more important measure of PMO effectiveness than customer satisfaction? By LeRoy Ward

In one of the many PMO surveys that are conducted each year, I remember one survey that asked a series of questions regarding measuring PMO effectiveness. Here’s a summary of the results: 65% of the respondents said the PMO did measure its own effectiveness, 23% said “no” and, 12% answered “I don’t know” If a person doesn’t know if the PMO is measuring effectiveness it probably isn’t, so I would say 35% said ‘no.’ This defies all logic. Why wouldn’t a PMO manager want to know how effective his or her PMO is? Of those 65% that do measure the effectiveness of the PMO, the most popular criteria for measuring effectiveness was “Projects delivered on time and budget,” (78%) and the least popular criteria was “PM training rates” (25%). What I found most interesting, and disappointing, is that more PMOs rated their effectiveness based on the use of their PM methodology (53%) than customer satisfaction (43%). Stop and think about that for a minute. Should PM methodology use trump customer satisfaction? Not now, not ever. As business professionals and consumers we are inundated with customer satisfaction surveys on a regular and frequent basis. We receive them from hotels, car dealerships, hospitals, and businesses of all kinds. In fact, we're asked for our opinion almost everywhere. Check this out. This is what I saw when exiting the Men's Room at Singapore's Changi Airport.

Evidently, the operations folks at Changi are more concerned about my perception of their service than 35% of the PMO’s in that particular survey. Why don't certain PMO managers measure their own effectiveness? I've come up with a few possible reasons. Is it because they: Struggle with the right criteria to use? (my advice: use any of the criteria that are used in these various surveys Don't know how to put together a survey? (my advice: hire a 16 year old who knows SurveyMonkey) Don't have enough time to do it? (my advice: cut your lunch break short, it doesn't take much time) In fact, there's no legitimate excuse for a PMO not measuring its effectiveness. The survey can be short and to the point. Here's an example of a customer satisfaction survey I came across at Heathrow airport this past year.
How simple. It's as quick as a Rorschach Test. Then I came up with the following idea. What if a kiosk such as this was placed outside the PMO Manager's office (or cube)? Hey, you've got to start somewhere! If this is a little far-fetched, then at least these PMOs should use the "ultimate question" method espoused by the loyalty guru Fred Reichheld. What's the "ultimate question" in this case? "Would you recommend your PMO to your colleagues?" Mr. Reichheld says this is the only question you ever need to ask. The question of value and the PMO dominates the discussion today: in print, on the web, at conferences, and in the many presentations I've attended. PMOs are struggling to demonstrate value, and many believe to remain a viable asset they need to become more "strategic." They're right; they need to demonstrate value and the one way to do that is to canvass their customers on a regular and frequent basis to gauge their level of satisfaction with the services provided. It is an absolute mistake not to measure your customers’ perceptions of your services or products. Here's the takeaway: this survey shows that many PMOs are too inward-focused, stuck in the tactical mud of process and standards, when they should be focused outward on the very folks for whom they were created to support.

AMI Consultancy A project derails. A project manager’s time to shine! As Project Managers we like structure, good planning, and clear instructions. What we really enjoy is turning a project into a success – no matter what. But let’s be real, every project can turn into a mess. No matter how good we plan, how well we steer, how great our team may be, it can always go wrong. Secretly, we do love the thrill of this, don’t we? I mean, if everything would be predictable what would be the challenge? The challenge usually lies in the unpredictability of projects. Factors that we simply cannot include in our planning or that we could not foresee despite spending hours on doom and gloom what-if scenarios. An investor suddenly backs down, a stakeholder changes course, the pricey material we bought with the best of intentions does not do what it is supposed to do. The list of factors that can put our project in danger is long, and that excludes the tension between people that always seems to loom around large scale projects. If a project seems to get stuck or even derails, we have the tendency to do what is only human: find the culprit. Who is responsible for the mess we are in? This is also the point in time where stakeholders start looking for the person in charge. Everybody turns around and looks at one person in particular: the Project Manager! If they do not immediately play the blame game, then they will surely fire off a lot of questions. How to proceed? How will we get out of this? How do we get this project back on track? If things go well, we Project Managers are praised if we are lucky. But if things go wrong, we are definitely in the spotlight. How do we judge moments like these? Did we already fail or do we have a great chance to stand up to the task and demonstrate what we are capable of? Numerous people have asked us why our masterclass for experienced Project Managers focuses on ‘project recovery.’ The conversation usually tends to start with “Why do I need to do a masterclass on Project Recovery? I am already an experienced Project Manager.” This is the dilemma that I was trying to explain. If a project goes wrong, we tend to think almost automatically, that it is due to the Project Manager. However, there are so many factors that can derail a project and test the skills of the Project Manager. This is exactly that is the point of our masterclass: What do you do when you are tested?
