The illusive dream job has finally landed on your front door! Welcome to Polka Dots Party Girls. Now that you have decided to take this exciting step, it’s time to read up! We suggest getting cozy with a cup of tea, a glass of wine, or whatever beverage accompanies your good reads and get ready to learn about the world of Polka Dots.

How it All Star ted Polka Dots, Inc. was organized in June of 2004 by two friends, Kelly Patterson and Heather Lux. The storefront opened in Fort Mill, SC the following September and the website launched one year later. In early 2007, Polka Dots began hosting private shopping parties within the store and in our customer’s homes. The parties quickly gained a strong following. Women passionate about socializing, shopping and giving unique, personalized gifts were suddenly lining up to host and attend Polka Dots Parties! We soon realized the demand would require more woman-power, much more woman-power, so we boxed up our best sellers, enlisted the support of our favorite vendors, dolled up a new website and came searching for you!

Our Miss ion Family first. We believe that when the family comes first, the work product that follows is superior. At Polka Dots, we aim to give women a new option - a professional career that is flexible and financially rewarding and even, dare we say… fun! Women are the backbone of our company. Polka Dots is owned by women, staffed by women and serves a customer-base that is largely comprised of women. Our products are coveted by women and many are hand crafted by women.

Giving Back Our Charity of Choice – Pediatric Cancer Everyone should have a cause - something that they support, believe in and volunteer for. At Polka Dots, our charity of choice is Pediatric Cancer. We have joined forces with two outstanding organizations that are helping to raise funds for pediatric cancer research and treatment: Cookies for Kids’ Cancer and Alex’s Lemonade Stand. In becoming a Polka Dots Party Girl, you too have been enlisted in the fight against pediatric cancer. We will make you aware of ways that you can become involved throughout the year to promote your business and support these organizations as they continue to fight the good fight. We also encourage you to use your Polka Dots Parties to support your own favorite charity. Host your own Fundraising Party and we’ll donate 5% of your sales to the charity of your choice! (See Fundraising)

Going Green At Polka Dots, we strive to do our part to reduce, reuse and recycle. One of the ways that we have reduced our consumption of materials is by using web-based catalogs, e-invitations and emailing our training materials to you. We encourage you to follow our lead by using e-invitations, social media and email to promote your new business venture and announce your parties and communicate with your customers.

You have some reading to do! Work it, Girl! And by it we mean your networks, of course. Announce to your friends, family and acquaintances that you’re a Polka Dots Party Girl! Send an email to your contact list stating your new job and be sure to include the website and your rep code. Or you might consider penning a personal letter to your contacts and enclosing a business card. Distribute flyers in your community or organizations. Consider joining the local Chamber of Commerce, leads or networking group. If you’re not already a member, join a social networking website such as Facebook or Twitter. Book Clubs, Garden Clubs, PTO, Mommy Groups, Play Groups, the possibilities are endless so make a list and let’s get started!

Arts & Crafts Shows, Festivals, & Community Events These events are usually low cost and will allow you to set up your samples and take orders at the event as well as distribute information about hosting a Polka Dots Party. Do some research and find out what’s happening in your town and surrounding areas.

Bridal Shows Bridal shows are a little more expensive, but they expose you to brides that will need attendant gifts and personal stationery. You can also position the Polka Dots Party as a Bridal Shower with a Monogrammed Gifts theme! Let your brides register for gifts ahead of time, then show those items at the shower and let everyone shower the bride and themselves with gifts!

Neighborhoods & Sub-Divisions Coordinate with local neighborhood activities directors to set up a one-night-only Monogramming Party at their information or community center. These communities often have a means of distributing information through a newsletter to their residents to help you spread the word.

Realtors Know a realtor that’s affiliated with a team? Consider setting up at their next meeting to position your gifts as new home-buyer gifts! This is a great way to get regular, repeat sales.

Schools & Colleges Check with your local schools to see what events they have that you can exhibit at, or if they would allow you to set up in the Teacher’s Lounge for a day and Polka Dots will donate 5% back to the PTO! (See Fundraising) Local college sororities meet on a regular basis and need to log philanthropy time. Host a Monogramming Party in their home and we’ll donate 5% of the sales to the charity of their choice. This also allows them to count the event towards their philanthropy hours.

Fundraising As it is likely that you may already have your own charity of choice, we encourage you to support whatever organization is near and dear to you. Visit the Party Tools CD and complete the Charitable Hostess form. In lieu of the Hostess Incentive, you can donate 5% of the party sales to the organization of your choice! This is also a great way to encourage schools, churches and other fundraising groups to host a party benefiting their organization.

What’s your Party Style? There are three types of Polka Dots Parties; the Trunk Show, the Open House and the eParty. Discuss the party styles with your hostess to see which she prefers.

Trunk Show The traditional Polka Dots Party, the trunk show allows you to highlight each product individually making for the greatest impact. This party format results in the greatest sales per customer and post-party repeat sales. As the consultant, you are able to offer gift ideas for each item along with testimonials on item quality, practicality and use.

Open House An Open House is ideal when the guest list is larger than 40. With this style, you can set up your samples in groupings. Station yourself at the entry to greet guests and hand out order forms and catalogs. Place product pricing and other information within your displays. Float between your stations to answer questions and assist customers with suggestions and order-taking.

The Gifting Gala Go formal! Set up an open house in your own home, display your samples with exceptional panache and pick the charity of your choice to benefit from 5% of the sales.

An eParty is a virtual party that allows a hostess to invite her contacts to shop online for a designated period. Guests will be able to shop for a designated period and all sales received during these dates that are tagged with the eParty code will be paid to you at your regular commission rate. At the end of the eParty, the party hostess will receive a gift certificate in the amount of 10% of their total sales.

Regardless of your party style, every party is assigned a unique eParty Code. This code is used to tag all orders to the proper hostess and to you for commissions. Use this to invite the hostesses non-local friends & family to support her party online. Be sure to fill out your eParty Code on the back side of your business cards and hand-out to each party guest. This allows them to share the online catalog with a friend that could not attend, or make additional purchases. It’s a great sales booster!

Determining Your ePar ty Code Determining your eParty code is simple: It’s your rep code followed by an underscore (_)and the hostesses’ last name (ALL CAPS). For example, if your rep code is JK123 and your hostesses name is Jane Doe, then her party code would be JK123_DOE. This is the code that you will enter at check out for each of the orders taken at the party. This is also what you will instruct any online shoppers. (More about the check out process later…)

In anticipation of Valentine’s Day or Mother’s Day, host a Men’s Day Wednesday and set up shop in your office, at school or join forces with a local coffee shop.

Girls Nigh t In

Polka Dots Prom Invite girls to dress up in an old prom or bridesmaid’s dress and don’t forget to spike the punch!

A Polka Dotted Par-Tea Serve up tea and crumpets while you discuss the timeless etiquette of fine stationery and gifting.

Before the Party Hostess Kits After you have a Hostess lined up, you will need to deliver the Hostess Kit to her. The Hostess Kit includes more in-depth information about the Hostess Incentives, Party Styles, instructions for using pingg e-invitations and Party Tips.

The Gues t List The most ideal turn-out is 15 - 20 guests. A guest list of 30 – 40 should result in a group of this size. Work with your hostess to help her come up with a list of 30 – 40 contacts.

Invitations Use a printed invitation or an email invitation through online services such as Evite or Pingg to announce the party and track RSVP’s. This tool is ideal to save time and cost. Invitations should be sent out 3 – 4 weeks prior to the event to ensure maximum attendance. A note about using pingg or another e-invitation system: The hostess must have email addresses for the entire guest list. If emails are not available for all, consider using a combination of printed invitations and e-invitations.

eParty Invita tions Set up your eParty invitation just as you would for your other parties, but rather than designating a location, direct your guests to the website www.polkadotsstationery.com and be sure to explain the importance of using the eParty code at check-out.

Regis ter your Party Once you have a party date confirmed, register your party by going to www.polkadotsparties.com/register. Registering your party ensures we activate your eParty code.

Determine Sales Tax You will need to confirm the appropriate sales tax amount that is to be charged at your party. This percentage is based on the zip code of each customer’s billing address. Be sure to make a note of the sales tax percentages for the zip codes in your area.

Check-In with Hostess One week to 3 days prior to the party, check-in with your hostess to let her know you’re looking forward to the party determine a final head count and firm up your arrival time.

Creating Sales Tools Multiply Your Albums Consider pringing out additional copies of the Product Albums to pass around at the party. Or you can also laminate pages of the album so that guests can look at style and personalization options in a single page format. Or go digital – polka dots’s website looks great via an iPad!

Label Your Samples Tag your samples with a small cheat sheet including the price, lead time, personalization options and a couple of gift-giving ideas for the item.

Keep Plenty of Order Forms Handy Keep a folder in your binder with extra order forms.

Setting Up Your Party Arrive at your location at least 30 minutes prior to the party start time. Be sure to set up a small check out area for yourself with your calculator, stapler, order forms and your business cards.

Setting Up for a Trunk Show Put your guest order forms, pens, etc. at the seating areas. Organize your samples in the same order as your product index cards. Display any samples that you do not intend to highlight during your trunk show.

Setting Up for an Open House Place your order forms, pens, clipboards, etc. at the entry point and pass them our as guests arrive. Set up your samples and displays and be sure to include your product index cards with each sample.

Take Note! Shopping Lists. They’re not just for the grocery store… We like to start off by asking our guests to make a list of gifts that they need to purchase in the next 4 – 6 months. This practice is extra fun when you hand out some super-cute note paper (from Polka Dots, of course) for everyone to jot down their list. Why not make it a contest? As guest arrive get them started on their lists and assign them a color-coded paperclip (or whatever). For each person that they have to buy for, one of their colored paper clips goes into a bag. At the end of the show, draw one paper clip from the bag and the winner gets a door prize! Spark • • • • • • • • • • • • •

their memory by posing these questions: Any weddings coming up? Bridal Showers? Any babies getting ready to make their debut? Baby Showers? What about Mother’s Day/Father’s Day Who do you know anyone that’s graduating this year? Any teachers that will need end-of-theschool-year thank-you gifts? What parties are you attending that you’ll need to bring a hostess gift for? Are you staying with any friends/family that will also need a host/hostess gift? Birthdays? Kids, girlfriends, sisters, moms, bosses, co-workers… Anniversaries? Easter gifts? And please, let’s not forget… OURSELVES!


At the Party Mix & Mingle Be sure to introduce yourself as guests are arriving. If you’re hosting a Trunk Show, allow about 20 – 30 minutes of mingling then begin to collect everyone and get started. If you’re hosting an Open House, float around your stations after the majority of the guests have arrived and be available for questions or suggestions.

Trunk Show Presentation Outline You should design your presentation and make it your own. There are always several points that you should try to hit on to maximize your success.

Host A Party / Become a Consul ta nt Be sure to mention the hostess incentive and introduce the idea of becoming a Polka Dots Consultant. This comes most naturally as you open by thanking your hostess and introducing yourself. Mention why you joined Polka Dots and what the job has allowed you to afford in terms of time with family, earnings, free products, etc. If you have a Hostess Gift, now is the time to present it.

History Give a brief history about the company… Most are interested to know who they are spending their money with, but if you drag on for too long, it’s a little like sitting through someone’s vacation videos.

The Order Form Make sure everyone has an order form and pen and let them know to fill out the contact information at the top. When they decide to order an item, they simply take down the item number. To personalize it, they will need to select lettering style, color and other features. These options will be displayed in the catalog.

Hostess Incentive Thank your hostess and be sure to review the hostess incentive for the group. This way, everyone will know what their order means to the hostess, and it may also spark some interest in the guests to host a party of their own!

Break into Song Once you’ve covered the paperwork and other business– it’s time to start singing the praises of your products! Introduce items in the same order that they appear in the album.

Games or Door Prizes Ask your hostess which she prefers. These are great ways to keep the party rolling.

Wrap It Up Begin your closing by taking questions and thanking everyone for attending. Then, open it up to order taking.

Ahhhh…. Paperwork Taking Orders This section describes each part of the order form that should be completed by the party guests in order for you to correctly enter your orders online.

Customer Contact Information Be sure each customer has completed the contact information. All fields are necessary in order to complete their order and follow up on any order questions. Name, Address, Email, Phone, Party Date & Hostesses Name and a valid email addresses is REQUIRED as all customers will receive a copy of their party order via email.

Item Number Each item in the catalog is identified by an item number. This item number should be entered on the customer’s order form. It is also the item number that you will use when searching for products on our website to enter your customer’s orders. Some stationery items will require that you combine an item code (such as Spea_FN) with the style name (Chocolate Dots). You will need to search for the item using the Search Box on the Polka Dots Stationery website to arrive at the item number.

Item Name The name of the product and the style or design name

Font(s) Enter the font names or number. The options for fonts are different for each product line. Please refer to your catalog and product manual for options.

Color Enter the ink color (for printed products) or thread color (for monogrammed products) here. Please note – some items will incur an additional fee to use two ink colors. These items will be marked accordingly on your product info sheets and in the catalogs.

Size This is where you would indicate the sizing of the personalization. XS, S, M, L, XL.

Quantity Enter the quantity here. For stationery items that come packaged in sets of 25 or 50, indicate as follows: “1 set of 25” or “1 set of 50” or “1 pkg of 24”, etc.

Price Enter the product’s price here. For items that come packaged in sets, enter the price for the set.

Additional Fees Enter proof fees, two-color fees, or other additional costs here.

Product Personalization Enter the monogram, name or other personalization for the product here.

Special Instructions Make any notes to yourself here for when you are entering the order online. Or your customers may use this space to mark special requests regarding their personalization.

Subtotal Total up all of the items. Be sure to include additional fees such as two-color fees, proof fees or other add-ons.

Sales Tax Multiply your subtotal by the county sales tax percentage and enter this amount here. For example, if the sales tax for your party is 7.125%, then take the order subtotal and multiply by .07125 to calculate the amount of sales tax that is to be charged.

Shipping & Handling Determine the shipping and handling rate based on the subtotal of the order. Do not include tax when calculating the shipping. Up to $40.00 $9.95 $40.01 - 80.00 $12.95 $80.01 – 150.00 $15.95 $151.01 - $220.00 $18.95 $221.01+ $21.95

Wrapping Up As you check out each customer, be sure to thank them for their order and give them a business card or information on hosting a party.

Be sure to have the Hostess complete an order form with her products and personalization selections. You can give the hostess a general idea about her hostess incentives earned at the close of her party. Do this by adding up all of the sub-totals from each order. DO NOT include shipping and handling fees or tax. Multiply the combined sub-totals by 0.10 to arrive at the estimated credit amount. Submitting Orders You will enter all of your party sales through the Polka Dots website: www.polkadotsstationery.com. You will want to add our website to your favorites or bookmarks or even make it your home page!

Fill A Cart Enter each customer’s order individually. Search by category or item number to locate the first item on the customer’s order. Remember that some items will require that you search by the item description (Chocolate Dots) and then locate the proper item (Notecards) and add them to the basket. Once you locate the item, personalize it to the customer’s specifications. On the View Cart page, select “Continue Shopping.” Repeat until all of the items ordered by that customer are in the shopping cart. Review each item and its personalization for accuracy. Be sure the pricing matches up to that on the order form. If everything looks good - Proceed to Check Out.

Check Out The first time you visit the website you will be prompted to set up an account. Be sure to do this and enter your billing and shipping information. Use your login and password for each order you submit. A. IF CUSTOMER PAID BY CHECK A. 1 Leave your billing information in the Bill To fields but fill out the customers information for Ship To so it will drop ship directly to them. Click Continue. A. 2 Shipping Method – Select the correct shipping rate based on your customers order subtotal. Please note – Expedited shipping options, such as 3-Day and Overnight are not available for Polka Dots Party sales. DO NOT select either of these options. A. 3 Credit Card Type – Enter your credit card type here. Visa or MasterCard Click Continue. A. 4 Enter eParty Code – Enter the eParty code assigned to this event. If there is no hostess, enter your rep code. This ensures that your order is tagged for your hostess’s credit and your commission. A. 5 Credit Card Information – Enter the name, number and expiration date of your credit card. You will also need to enter the 3-digit code on the back of your card. A.6 DOUBLE CHECK EACH ITEM. Once you click continue – it’s submitted! If everything looks correct, click Continue & you’re done! B. IF CUSTOMER PAID BY CREDIT CARD B. 1 Replace the billing information with your customer’s contact information. You must do this in order for their credit card to be processed. Also enter their shipping address for Ship To. B. 2 Shipping Method – Select the correct shipping rate based on your customers order subtotal. Please note – Expedited shipping options, such as 3-Day and Overnight are not available for Polka Dots Party sales. DO NOT select either of these options. Hostesses Order After the party closes, we will process the hostesses order internally, computer her discount and create an ecoupon code. Take the hostesses’ order and enter it online using the e-coupon code to deduct her credit from the order. The remaining balance can be placed on her credit card. Any credit not used will be This discount code will only be good for 1 week from the date of email to you! Remind your hostess of the expiration date. If you hostess wants to take advantage of the hostess of the month special, there will be a special product created on the website site specifically for that item. Just add it to her basket! You and your hostess will receive a copy of her order receipt via email.

Codes, Codes and More Codes There are a few different codes that we use here at Polka Dots. Most of them relate to processing orders online. On the polkadotsstationery.com check out screen, you are always prompted to enter an eParty Code. This code has no monetary value. It serves as a tracking tool for us to know which sales to credit to which Polka Dots Consultant/Rep and which Party Hostess. So far, we’ve talked about the eParty Code, but here is a breakdown of some other important codes that you will want to make a note of:

Your Rep Code Your rep code is assigned to you once you activate as a Polka Dots Party Girl. This is the code you will use when you place orders that are not the result of a hosted party. For example if you receive individual orders from co-workers or friends, you will tag these orders with your Rep Code to ensure that you receive credit for these sales. You can host your own Open Houses, eParties or take individual orders using your Rep Code as the eParty Code. You are prompted to enter this code at Check Out. When networking or advertising, be sure to use your Rep Code whenever you direct people to the website. You should also put this code on the back of your business cards that you pass out.

eParty Code An eParty Code is assigned each time you register a hosted party. The eParty Code will help us track orders generated by that event. Determining your eParty code is simple: It’s your rep code followed by an underscore (_)and the hostesses’ first initial and last name (ALL CAPS). For example, if your rep code is JK123 and your hostesses name is Jane Doe, then her party code would be JK_JDOE. This is the code that you will enter at check out for each of the orders taken at her party. This is also what you will instruct any web shoppers for her party to use to ensure she gets credit for the sale.

Discount Code Occasionally, we will make you aware of discounted samples, or general Polka Dots Party Girl Discount sales. These email alerts will contain an associated discount code to be entered at checkout. Discounted items are not subject to commissions, bonuses or other incentives.

Delivery Order Receiving All of your party orders will ship directly to your party guests 1 – 3 weeks after the party closing date.

Organizing your Paperwork After submitting your party orders, be sure to print out a copy of each order confirmation email and keep it with the corresponding customers party order form. Your customer will also receive a confirmation of their order via email. Refer to this paperwork when troubleshooting any products with errors or damages that are reported to you from your customer. Polka Dots Order Processing may also contact you with any questions on your customers order so you will want to keep this information handy. Keep this paperwork on hand for no more than 60 days after the party’s closing date. After 60 days you should shred all party order forms as they may contain payment information.

Hostess Thank You Send your hostess a thank you note expressing your gratitude for hosting a party – you will want to contact her to host her party again next year!

Follow Up You may want to follow up with your party guests to ensure that they were pleased with their items. This is also an opportunity to check-in on any guests that had expressed an interest in hosting a party of their own. You may also receive orders during follow-up. Have your order forms ready when making these calls!

Reflect Make a few mental notes about this event. What worked well? What will you do differently next time? Live and learn!

Customer Ser vice To sum up our Customer Service Policy here at Polka Dots, we pretty much do whatever is necessary to make certain our customers are not only happy, but thrilled with the products we provide and the interaction that they have with everyone who represents Polka Dots. We take pride in our company and we will do whatever is in our power to turn an unsatisfied customer into our biggest fan. So as a Polka Dots Party Girl, you can rest assured that you have a company behind you with a strong tradition of customer service. If you ever find that a customer is not satisfied with their order, we empower you to gather information on the situation and contact us with a recommended solution. We’ll review the situation with you, determine where the error was and outline the steps to resolution. In many cases, the customer may contact Polka Dots directly if they are unsatisfied. You will be contacted with the details of these circumstances and you may be asked to become involved in the resolution.

Pa y D a y Checks are mailed out on the 15th of each month. Your compensation is determined by your total sales for the month. This includes your party sales, eParty sales and any individual orders that were tagged with your rep code.

Quarterly, Polka Dots will offer Discount Days for $1250+ 23% Discount Days eligible Consultants. This is a great time to stock up on samples for your parties and your gifting needs! To be eligible for the discount you must have completed 3 qualified parties the previous quarter. A qualified party is a party with a minimum sale of $250 each.

Oops! Re Orders If you placed an order incorrectly, Polka Dots will reorder the corrected item for the customer. You will be charged the wholesale cost and shipping and this amount will be deducted from your next paycheck. Please be sure to double check your orders and go over everything with your customers as they are placing their orders with you to reduce errors in order-taking. If the error was due to Polka Dots processing of the order, we will get it corrected at our cost.
