Welcome Happy new financial year and welcome to the all-in-one “Destination Port Stephens Membership & Marketing Prospectus”. The board and I invite you to take a fresh look at the new membership structure and new opportunities, created specifically in response to member feedback and the goals of our Destination Management Plan as we look to a prosperous future. They say before you look forward, you should look back. In doing so it became evident that there is one common thread, one truth we all share… the reason we are here, in this place, doing what we do. We all love Port Stephens. Every now and then we need to remind ourselves why we chose to live in this little piece of paradise… it’s the same things that attract over two million visitors* each year. The natural beauty, the diversity of experiences, the vibrant community… what’s not to love? Together we need to continue to develop this unique brand and develop distinctive experiences to make Port Stephens the ‘must do’ destination - 365 days a year! The Destination Port Stephens Board has worked long and hard to build a totally new membership model. The new, low-cost membership solution will mean every business can be, and should be, a member of Destination Port Stephens reaping the benefits of the group’s efforts. After all without tourism, where would we be? By bundling marketing opportunities to suit different budgets and businesses you’re sure to find some excellent co-op marketing opportunities to suit, whether you just want to dip your toe in the water - or dive right in! A reminder though, the bigger the take-up of the marketing activities - the greater the success. Individual commitment to a group effort is what makes a team work, an organisation work. Destination Port Stephens Membership Destination Port Stephens (DPS) would not exist without you... its members. We are a non-profit, incorporated body supported by Port Stephens Council (PSC), owned by members and autonomously managed by a board of nine industry representatives. We conduct activities on behalf of our members; for the betterment of the region as a destination; to stimulate the local economy and ultimately provide the lifestyle benefits we have grown to love. Funding for DPS marketing activities is sourced primarily from the annual investment from PSC and other strategic partners plus hard won grants but ultimately, it is up to us - the members - to support the organisation that, in the main, is responsible for the success of the visitor economy that is the life blood of our region. By restructuring the membership model we now have a flat membership fee of $100 per annum that everyone can afford! So now you can pick and choose from the smorgasbord of co-operative marketing opportunities to suit your business and your budget.

We are supported by Port Stephens Council, Destination NSW and Tourism Australia. We are active supporters of The Legendary Pacific Coast, we work closely with Visitor Economy Hunter and the North Coast Destination Network and partner with surrounding destinations for relevant programs including Newcastle Tourism, Hunter Wine Tourism Association, Central Coast Tourism and Lake Macquarie Tourism. 7. Domestic Marketing Domestic Marketing Overview ...expecting visitors? In the 2013 calendar year, Port Stephens hosted a total of 2,210,000 domestic visitor nights with each of these people spending an average of $140 per person (source: NVS 2013). Domestic visitation is a huge economic driver for Port Stephens and without doubt, the central focus of the organisation. The development of innovative marketing strategies and aggressive tactical campaigns both increases the awareness of the destination and provides you with leverage for the marketing of your own business.

Familiarisation Programs ...first impressions. Each year, DPS hosts many media and industry familiarisation tours or ‘famils’ to both promote the area and to encourage the retail and wholesale travel industry to include Port Stephens in

their programs. Famils are a great opportunity for members to showcase their product directly to key influencers within the industry, whether it be journalists, travel agents or industry personnel. It is of vital importance that you invest your time and efforts into famils as history shows on a daily basis that those members who do, will see the rewards down the track. Cost: There is no direct cost to members, however, you will need to indicate to us that you are interested in hosting famils, generally at your cost. DPS also offers training for members wanting to update their famil hosting skills and ensure they are taking advantage of the extensive opportunities offered by famils to Port Stephens.

Public Relations ...read all about it. DPS works continually to generate positive PR for and about Port Stephens across a range of media platforms. For the 2012/13 year, over 60 media releases were generated with media coverage valued at an estimated $845,000. Besides press releases that DPS distributes on behalf of the region and the local industry, members have the opportunity to submit their own press releases along with digital images. Love Nature Campaign ...something to spout about. Port Stephens is home to some of the most unique nature-based experiences in NSW; from our dolphins and whales, Tomaree and Myall Lakes National Parks, the Worimi Conservation Lands, our dunes, beaches and waterways, the Tilligerry Koala Habitat, Fly Point underwater gardens… the list goes on and on. The Destination Port Stephens consumer website generated an average of 95,000 unique visitors per month during the 2013/14 year. These are people searching for information on accommodation, tours, restaurants, transport and events specifically related to Port Stephens. Destination Port Stephens continues to invest significantly in both search engine optimisation and improvements and updates wherever possible and we have a determined focus to ensure BookEasy booking engine becomes the number one site for Port Stephens accommodation, tours, activities and attraction bookings.

Destination Port Stephens will be launching a blog as part of the www.portstephens.org.au consumer site. This blog will be used to provide up-to-date, relevant content that will be cross promoted via the website and through social media channels. A blog is not used for direct advertising as such, but more as way to start conversations and share information on the destination. Web Hot Deals ...’cause some like it hot! If you’re looking for a way to promote a really great deal, or you have excess inventory that you would like to move, the web hot deals can work for you. The home page of www.portstephens.org.au will have a link to special, one-off deals that you can be part of. The hot deals will be promoted via the web, social media, PR and where possible, print advertising. Port Stephens Visitors Guide & Flipbook ...you’d be flippin’ mad to miss it. The Port Stephens Visitor Guide is the number one piece of promotional material used by Destination Port Stephens. The magazine is a full colour,
high quality publication, produced annually. The publication provides a range of information on things to see and do in Port Stephens, the history of the area, interesting bits of information plus advertising and listings for member businesses. Advertisers will also have their ad, listing and an active link direct to their website included in a high quality, digital flipbook that will be distributed via the consumer website, social media and online marketing campaigns. The flipbook works like an online magazine where you can flip through the booklet, is suitable for tablets, smartphones and PC and can be updated with enriched content such as video.

The Port Stephens Map ...find yourself. Destination Port Stephens will again produce an updated copy of the Port Stephens Map. This year, the map will be supported by a Food and Wine Trail Guide and a Nature Trail Guide. Together these maps and guides will provide a valuable resource for visitors to the area and offer members excellent targeted exposure. The smaller maps/guides will also contain suggested itineraries and product advertising and correspond directly to colour coded trails on the map. The maps and associated guides will be printed in full colour and distributed locally. Digital versions of the maps will also be distributed via the website and social media allowing visitors to download the map in a flip book format for use on tablets and smartphones. The Port Stephens Map is the only map handed out at the front counter of the Visitor Information Centre. Cost for participation: Advertising starts from only $825

Visitors Centre Advertising Opportunities ...centre of attention. The Port Stephens Council Visitor Information Centre (VIC) is a very valuable resource for all DPS members with an average of 10,000 visitors to the centre per month and an average of 3,500 phone calls per month! DPS members are encouraged to regularly update the team at the VIC with any new products or information on your business. They are always keen to find out new information for visitors to Port Stephens. As part of the DPS - PSC strategic partnership, members of DPS have access to a range of marketing opportunities in the Nelson Bay VIC including: Monthly VIC Display : Every month, one business has the opportunity to display or promote your product within the VIC. A specific display area is allocated and members can use this for posters, brochures or even a sample of your product. This might be a table setting and menu from your restaurant, a mock up of a room from your hotel or resort‌ the options are endless. With an average of 10,000 people entering the VIC per month, this is an opportunity not to be missed. In-Centre Advertising: The VIC has a choice of advertising options for members from digital screens to poster displays. Brochure Display : DPS members can display one brochure on the brochure racks at the VIC for no charge. BookEasy Training: BookEasy is the online reservation system linked to the DPS consumer website www.portstephens.org.au. The booking engine is managed by the team at the VIC who can provide training for all levels of operation. The booking engine is a hugely important tool for any operator in Port Stephens with an average of 95,000 unique visitors to the site per month so make sure you take advantage of the large numbers of visitors on the website and get your listing up-to-date and get your product online, ready to sell.

Consumer Shows ...time to show off. DPS has been a regular attendee at the consumer holiday and travel shows for many years. Despite consumer dependence on the web, DPS believes strongly that these consumer shows are still a very valuable tool for getting the message out there. The Sydney Caravan and Camping show will see an average of 80,000 visitors over 9 days. Most visitors are not actually buying a caravan or necessarily planning on camping, but many do go on holidays and short breaks. Another important benefit of consumer shows is the chance for face-to-face communication with potential visitors. The digital age brings huge benefits for our industry, however, the importance of a one-on-one conversation cannot be underestimated. Consumer shows are one of the most effective ways of delivering your message direct to people with a genuine interest in your product. DPS will produce show specific flyers which will outline special offers for participating members relevant to the particular show. For example, when in Adelaide, our flyers will promote travel via the Golden Highway or Newcastle Airport with long stay packages. When in Sydney or Newcastle, the focus will be on short breaks. The Port Stephens stand will distribute the flyers and, where possible, we encourage participating members to come along and sell their product and unique experience.

International Marketing International Marketing Overview ...the world is our oyster International visitors come to Port Stephens from an incredible number of countries, from New Zealand to the Americas, Europe, India, China and indeed virtually all Asian countries. Their visits range from day trips to longer stays in all forms of accommodation and they behave exactly like domestic visitors in terms of their spending. Some come as part of a group, some book through a travel agent but travel independently whilst others book directly after learning about Port Stephens from agents and other marketing sources – all add increased visitation during off season and mid-week periods and add a range of diversity to the destination which would not exist otherwise. Whilst not as big as domestic visitation, international tourism is extremely important for Port Stephens. International visitors tend to come outside peak season, providing stability to the industry. International visitors are the lifeblood of a number of Port Stephens attractions and activities who would struggle to survive without them, ultimately effecting the range of products and experiences for all visitors to the destination. Destination Port Stephens, along with its members, have facilitated the development of international tourism over many years and have been successful. As with anything, we need ongoing investment in this market segment. We need to nurture new business and keep our brand in the face of existing customers to ensure international visitation to Port Stephens continues to grow sustainably for the long term.

International Priority Markets and Strategy As part of our Destination Management Plan, the Destination Port Stephens International Strategy aims to attract independent travellers to the destination, generally small groups, families or incentive travellers from key priority markets being South East Asia, China, India and New Zealand. The behaviour of these independent travellers is very similar to domestic visitors; they stay in a range of accommodation styles, they explore the destination, eat out at restaurants and cafes, spend in shops and boutiques and often book some or all of their activities once they are at the destination. DPS has also begun making in-roads into the European and Americas markets again, with a focus on low season, mid week stays and, through strong partnerships with surrounding destinations and organisations such as the Australian Tourism Export Council, will continue to see growth across all international markets.

International Partnerships and Projects Destination Port Stephens works co-operatively with a number of regional tourism destinations to increase the profile of Port Stephens in the relevant international markets. Key projects for 2014/15 include: n

Destination Port Stephens continues to work as part of the Sydney Surrounds program in partnership with Central

Coast, Hunter Valley and Newcastle which will see a full series of themed touring routes which include both self-drive and public transport options. n

Newcastle Airport has received funding from the RVEF program to develop the Cairns – Newcastle Route.

This provides a significant opportunity for Port Stephens to become a packaged inclusion for international itineraries instead of an add on day trip or overnight stay out of Sydney. Port Stephens will continue to work with Newcastle Airport through Visitor Economy Hunter to ensure the best possible benefits for the destination. n

With an increase in international business arrivals and 17.3% of the NSW 25 million domestic overnight visitors travelling for the purpose of ‘business’* it is realistic for the Australian Business Events industry to aim for $16 billion per year from overnight business events delegates by 2020**. DPS continues to harness the potential of this important market that offers high yielding returns, generally midweek and most often in low or shoulder seasons.

M.I.C.E. branding ...setting the trap As part of our initial foray into the business events market it was important to establish a strong brand for Port Stephens M.I.C.E., setting us apart from the usual suspects and communicating our unique proposition. Lets face it - where else can delegates see historic fighter planes, pat a koala, slide down a sand dune, gallop along the beach, parasail across a bay, take a yoga class, enjoy fresh lobster on a yacht, watch dolphins dive, bushwalk to a spectacular lookout, taste beer and fresh macadamias and get up close and personal with an albino whale. Sure, that bridge in Sydney is pretty impressive, Melbourne trams are quaint, and seals at Seaworld are adorable but just take a look at our sparkling bay that’s twice the size of Sydney harbour, or the largest sand dunes in the southern hemisphere and we have some pretty amazing untrained seals you can observe in their natural habitat. We really do have “beauty rich and rare” that no other destination can compare with. The new brand positioning “Unconventional Port Stephens” was created with this in mind. A convention in Port Stephens is anything but conventional! (P.S. you’ll love it!)

“Altogether Perfect” In association with Visitor Economy Hunter, M.I.C.E. Port Stephens and our regional partners we have been successful in securing NSW Government funding from the Regional Visitor Economy Fund (RVEF). The RVEF is managed and administered by the NSW Government’s tourism and major events agency, Destination NSW, and aims to support the growth and development of the regional visitor economy. This funding is specifically for the “Altogether Perfect” co-op campaign. The new marketing campaign, positions the Greater Hunter region as “Altogether Perfect” for business tourism and aims to attract major conferences and meetings to the region, in order to increase mid-week occupancy and visitation. The campaign, valued at $270,000 is a collaboration between Destination NSW, regional partners Destination Port Stephens, Newcastle Convention Bureau and Hunter Valley Wine and Tourism Association. This campaign will allow for cross promotion between the different markets and areas through a number of different sales and marketing activities that are outlined in this prospectus. All M.I.C.E. Port Stephens partners will receive benefits from this collaborative campaign.

Port Stephens M.I.C.E. has used industry famils to showcase your products, facilities, capabilities and unique drawcards. It is vital that M.I.C.E. buyers and key M.I.C.E. media are given the opportunity to experience Port Stephens first hand. We need to change their traditional thinking and put Port Stephens firmly at the top of their business events shopping list! What better way to do that than by showing them exactly what you have to offer. We have hosted several successful familiarisations for these key players over the past 18 months, leaving delegates both surprised and impressed with our ‘out of the box’ thinking and unconventional offerings. In turn they will assist us in attracting and influencing decision makers to host meetings, conferences, incentives and large scale events in Port Stephens. It is important for DPS members to embrace this market, get on board with famils, go above and beyond to impress our delegates and create an irresistible product that they will happily promote on your behalf. Our Professional Conference Organisers (PCOs) and Executive Assistants (EAs) and other key M.I.C.E. industry players then become our best sales team. A joint regional famil incorporating the Hunter Valley, Newcastle and Port Stephens, is due to take place in October 2014 over 3 days. We are currently working with our destination partners; Hunter Valley Wine and Tourism Association and Newcastle Convention Bureau to organise this event which will include activities in Port Stephens. We are looking at hosting a group of approximately 20 people and the famil will be themed around what our combined areas have to offer.

Public Relations ...good news The benefits of a good PR campaign cannot be overstated. Destination Port Stephens offers M.I.C.E. participants the opportunity to put forward press releases and editorial that will appeal to the M.I.C.E. market. Whether it’s a close encounter with Migaloo, a new water jet pack experience or an award winning performance - any story can become free publicity for your business and our region when sent in the right format to the right M.I.C.E. industry contacts. Spice, CIM and Executive PA are all well respected industry magazines that reach the decision makers. Our professional PR company will continue to update these publications with any news, images or items of interest supplied by members. In some cases these media releases will be followed up by the publications requesting famils to experience the product first hand. This is the perfect opportunity to highlight your business and Port Stephens.

Trade Shows ...let’s show off! Trade shows are a wonderful way to showcase our M.I.C.E. products and services to those who are in a position to buy. Some of the tradeshows we have selected will allow for member representation, whilst others will allow Destination Port Stephens to present on behalf of members. Destination Port Stephens has scheduled a range of shows for the 2014/15 year; some of which we will attend in our own right and others we will partner with Hunter Valley Wine and Tourism Association and Newcastle Convention Bureau to secure co-operative rates and share the resources. The outcome for all of these shows is lead generation; clients have business enquiries available and we need to be ready to confirm the business! Not only do these trade shows offer excellent opportunities to create brand awareness for “Unconventional Port Stephens” and put us firmly on the “business events” shopping list but, they also generate firm leads of motivated buyers ready to look and book as well as providing good contacts and networking.

Website and Lead Generation ...click and easy The soon to be updated Destination Port Stephens Tourism website www.portstephens.org.au features a M.I.C.E. page whereby visitors can glean information, download the eBook and complete an enquiry form. This form is then forwarded on to specific operators for them to respond to the client with a tailor-made proposal. The enquiries will still be sent out to individual properties but the co-ordination and follow up will be taken up by Destination Port Stephens in an effort to ensure the highest sales conversion. The new website will provide generic information such as access, weather, venue capacities and also provides a number of suggested itineraries and M.I.C.E. related product updates. Your M.I.C.E. buy-in will allow you to provide information on your facilities as well as being able to promote conference specials and seasonal offers throughout the year.

eBook and eNewsletter ...for business eVents! M.I.C.E. participants will have their products and services displayed in our eBook which will be promoted on the Destination Port Stephens (M.I.C.E.) website and can be offered as support collateral for all members’ proposals, conference bids and to be used as main form of sales collateral for tradeshows and the like. The eNewsletter provides an opportunity for regular and relevant information to be distributed to industry and trade. The eNewsletter will be distributed every 3 months. Destination Port Stephens will send these eNewsletters out on behalf of M.I.C.E. members however, individual businesses are encouraged to also send out to their individual databases of M.I.C.E. contacts as well.
