Many organisations do not realise they already own the right to use SharePoint as certain Microsoft server licences include SharePoint Foundation. Intranet Choosing our custom built intranet platform helps you avoid the cost and intense involvement required to create your intranet from scratch. Our custom built intranet platform provides an effective way to share information across your organisation and social features that aim to promote interaction between employees. It also aims to streamline several business processes - holiday requests, recording sickness, change request processes - via the use of electronic forms (available as add-ons to the standard intranet product). To maintain the consistency of your brand message, we can change the logos, colour scheme, header, etc. This guarantees our platform takes on the look and feel of a bespoke product that engages and informs your employees in equal measure.

1 Telephone List This gives users the ability to search for other users within the company, returning photographs of the users, their names, telephone numbers etc.

2 Staff Handbook This link opens a read-only PDF version of your organisations staff handbook to ensure all employees have all the necessary information available to them. You can limit who can change or update this file.

3 Staff Holidays Everyone in your organisation can easily check which staff are on holiday at any point in time.

4 External Links The company links section to the left side is fully customisable to meet the needs of your organisation. It can provide users quick and easy access to items you decide are the most important and/or frequently used. ‘Job vacancies’ and ‘Company website’ are just a couple of examples

5 Categories The categories section to the left of the page allows users to filter the Company News Blog to view the type of article they want. For example you can filter to just view all of the charity stories or company event stories etc.

6 Company News Blog All staff can keep up to date with company and social news through the blog which runs down the centre of the intranet. Users are empowered to create posts and share stories for others to read using the blog tools buttons to the left.

7 Scroller Above the Blog there is a scrolling RSS-style feed. This can easily be customised to display a selection of other pieces of important information, including; absence, company news, holidays, message of the day etc.

8 Weather Feed This can be customised to display the weather conditions local to your organisation.

9 Forms (Optional extra) Easy access to a wide range of forms makes many processes much simpler such as leave requests, sickness self certification, expense forms and overtime notifications.

HR Module Customise your intranet further by choosing to add-on any number of forms. Some of the most popular forms are:

Staff Sickness Form Our custom-built staff sickness form enables you to track an employee’s absence from the moment they report sick through to the completion of the self certification form when they return to work. Once the form has been filled in with the relevant details, including reason given for sickness or absence and expected return date, the process is fully automated, only requiring intervention from the employee’s manger to specify whether the individual has returned to work or not.

Self Certification Form The self certification form is automatically sent to any individual that has experienced a period of absence, requesting further details, registering the days away from work and their return date. Without being intrusive, enough information can be requested to give a more complete picture of the reasons for an individual’s absence and shows you are interested in the welfare of all your employees. The form is returned to the individual responsible for HR matters within your organisation, who can update staff records and maintain a watching brief for any behaviour patterns that give cause for concern.

This ‘bolt-on’ product saves you time and money creating a fully bespoke product, but can still be tailored to reflect the colours and branding of your organisation, for a truly unique feel.


Leave Request Form For organisations of every size, keeping track of requests for leave whilst keeping track of the remaining entitlement has always been a time consuming issue. Now thanks to our tailored bolt-on leave request form product, users can simply fill in the details and reason for their request, like holidays, unpaid, compassionate, exam etc., via an intuitive electronic form. The form not only submits the request to the relevant manager, but subtracts the leave period from the individual’s remaining entitlement and provides a live update of the number of days they still have following this request. The users can add additional notes to help managers and HR teams gain a better insight into an employee’s motivation, allowing flexibility in the decision process. We can tailor the submission process if more than one approval is required, otherwise once the user’s manager has approved their leave, an email confirmation is sent to the user and the leave period is entered onto the main organisation holiday calendar. This allows managers to plan for the leave and ensure no vital roles are compromised by clashing leave periods. This bolt-on product, is designed to help you build engagement with your workforce without the cost of a completely bespoke solution. However, we are still able to tailor the look of the product, with your organisation’s logos and colour scheme to reflect the corporate feel of your internal communications – it’s quick and simple, so don’t leave it any longer.

Knowledge Base

To help everyone within your organisation work more efficiently, they must be able to find all the necessary information quickly and easily. Finding it is one thing, but being able to keep it and share it easily with those that need it, when they need it is quite another and that is why we developed Knowledge Base. Our knowledge base provides an easy to use way of sharing, retaining and exposing information within the organisation. The very simple but effective search function allows users to search for articles that have been created by anybody within the organisation and the useful refinement panel helps return much more accurate and useful information.

Although less expensive and faster to implement than a system built from scratch, we can still customise the appearance of Knowledge Base to match the branding needs of your organisation. Changing logos, headers and colour schemes allows us to shape our product to reflect your organisation, creating a seamless integration with your systems and strengthening engagement with your employees.


Extranet

In the past, the boardroom was an essential part of any project and the backbone of strategic business planning. With whole teams in one location it was easy to utilise the big wall space, filled with post-it notes, reviewed and refined constantly by enthusiastic people full of energy. It has been hard to replicate that sense of collaborative innovation when teams are more dispersed or you need people from outside your organisation to get involved, but thanks to our Extranet product, you can now get everyone pulling in the same direction, with the same information. The Extranet is a cloud-based secure file sharing platform that is hosted in the UK. It allows users within your organisation to share files internally

and externally, whilst maintaining a full audit trail, with the ability to revoke any individual’s access to the document at any time. You can allow external users access to the system, using a simple username and password provided by the portal administrator, ensuring all access requests are managed in-house, for additional security and peace of mind. We can customise the portal to ensure it reflects the corporate branding of your organisation, with colour changes and logos included to tailor our ‘out-of-the-box’ product and give it a bespoke feel – but importantly, without the additional cost associated with a bespoke product.

Training Portal

With more organisations appreciating the recruitment and retention benefits of a skilled, engaged workforce, the ability to provide the right training, at the right time, is of growing importance. Allowing individuals to recognise where they may need additional support and choose training sessions relevant to them and their role is key to building efficiency and productivity. To help larger organisations manage their internal training programmes, we have developed the training portal. The portal allows users to view and read about the training courses available to them, before letting them book themselves onto the most appropriate courses. The training portal features a live list of both the available and upcoming courses, together with a calendar showing all courses. The portal also offers various tips and helpful advice for users, which can be changed and updated by administrators. For organisations offering lots of training, a search function allows users to look for specific courses or course material.

Once a user has made a booking, the fully automated process requests approval from the user’s line manager and adds the user to the list of those booked on to the particular course. The course will also be booked into the user’s individual bookings calendar, where they can keep track of all their training sessions. We can also change the portal’s colour scheme, headers and logos, to match those of your organisation, to further enhance your employees’ engagement with your brand.
