DEPOSITS AND POLICIES

A non-refundable and non-transferable deposit, which is applied to your invoice total, is required to reserve your event date. The amount of the deposit is equal to at least 25% of the food & beverage minimum expenditure. We will request a payment every 90 days, and the full food & beverage minimum expenditure must be received at least 90 days prior to your event 100% of the final estimated balance is due fourteen (14) days prior to the event date, along with a confirmed guest count The attendance figure you provide by that date will not be subject to reduction Personal checks cannot be accepted as final payment or if your event is within thirty (30) days

FOOD AND BEVERAGE MINIMUMS

All events are required to meet a minimum expenditure Minimums may vary due to date, time, or size of the event Room, food, and beverage minimums do not include service charge, state sales tax, ceremony fees, or rental items. The requirements are quoted prior to booking the event and are stated in the Private Event Confirmation Agreement For minimum requirements for an event under consideration, please contact the Private Event Department

EVENT DETAILS

All evening events have a maximum time limit of five (5) hours; daytime events have a maximum time limit of four (4) hours. If additional time is required, arrangements may be made with our Private Event Department prior to the event. Additional charges will apply. If you have your ceremony on site, we provide you with one (1) additional hour of consecutive rental All events must end no later than 1:00 am in the ballroom or 10 pm for an outside reception

We ask you to confirm the total number of guests that will be attending at least fourteen (14) days prior to the date of your event. The attendance figure you provide by that date will not be subject to reduction. A split entrée menu may be offered on served meals. All entrees will be charged at the higher priced item and require assigned menu choices on each place card

DAY OF THE EVENT

The private event office is to make sure the room is set according to your floor-plan You will be appointed a Banquet Captain who is in charge of all banquet serving staff and will ensure your Event Order is followed properly in regards to all food and beverage items listed. Your MC and Day of Coordinator (if you have one) are responsible for the timeline and flow of the event

OUTSIDE CATERING POLICIES

All food and beverage must be provided by the club unless otherwise arranged with our Private Event Department and with prior written consent is provided. We offer a variety of menu selections and packages designed to accommodate any event so please ask about our custom menus. No outside alcohol is allowed. If it is brought onto the premises, it will be confiscated

All outside catering must be brought in prepared and through a licensed caterer. Proof of insurance and current business license will be required Outside caterers do not have access to the Recreation Park kitchen under any circumstances Recreation Park will provide the following items for the guest tables: glassware, dinner plates, & silverware Six (6) chafing dishes and sternos are also provided along with buffet tables with house linens Additional chafing dishes can be rented for $25 per set-up. Outside caterer is responsible for providing all serving and display platters along with serving utensils

STORAGE

Please notify your vendors that Recreation Park Golf Course will not provide storage for any event items Therefore, all items must be removed at the conclusion of the event Recreation Park Golf Course will not be responsible for articles lost, stolen, or left unattended during or after the conclusion of your event.

VENDORS

Recreation Park 18 Golf Course reserves the right to require that all vendors to be licensed and insured Proof of insurance may be required if they are not on our suggested vendor list Vendors are guaranteed admittance to set up two (2) hour prior to the start of your event Decorations may not be affixed to the walls of the facility, and glitter, confetti, rice, & birdseed are NOT permitted. Vendor meals are available at $30++ per vendor.
