Tech Tips Handy shortcuts for Microsoft Office The Microsoft Office site has lots of helpful tips and shortcuts for easier use of their applications. Here are a few that you might find useful: 1. Instant font size By selecting your text and pressing Ctrl+Shift+> you can quickly increase your font size. To decrease the size press Ctrl+Shift+<. 2. Move paragraphs around You can move a paragraph around a document in four different directions by using Alt+Shift+[Arrow]. Simply use the left and right arrows to change the indentation level of a paragraph or bullet point. The up and down arrows, move the paragraph, up and down! 3. Clear formatting (From Word and PowerPoint) Isn’t it frustrating when you cut and paste text into a document that has different formatting? If you select this text and press Ctrl+Spacebar, it instantly removes any formatting. Simple!

Sustainable 60 Companies around the world are acknowledging the importance of sustainable business practices. In New Zealand, the Sustainable 60 Series is set to encourage local businesses on the path to sustainability. The Sustainable 60 Series is a joint initiative between the Fairfax Media Business Group and PricewaterhouseCoopers. Originally the brainchild of Julie Gill, General Manager of Fairfax Business Group, the Series has been developed to share and reward excellence in sustainable business practice within New Zealand. It’s one step towards getting local business in line with the rest of the world. Sustainable Business practice is more than just addressing environmental issues. It’s about considering and setting robust and future-focused plans for all aspects of business, as well as looking at how sustainability affects the bottom-line. “For businesses”, says Helen Williamson, the Marketing Manager at Fairfax Media Business Group, “Sustainability is about long term viability rather than short term survival. We want businesses to see that introducing sustainable business practices is an opportunity, rather than a cost.” Small and large businesses were encouraged to enter the Sustainability 60 Series, which will reward excellence and best sustainability practice in a variety of areas. Areas of

business that will be rewarded include company strategy and governance; the delivery of goods and services; and community involvement. There will be winners announced across five categories and companies can enter as many categories as they like. An Overall Exemplar award will be given to three different sized companies (small, medium and large). The overall winner of the Sustainability 60 Series will be chosen from these three winners. The series will highlight how companies have looked at the issue of sustainability and built in into their business model, brand practices and processes. It will also consider the challenges. Importantly, the Series is not concerned about how far down the track the company is in terms of sustainability, but what plans are in place, and what success a company has enjoyed. “This is a new process, so this series is about celebrating the journey to sustainability,” says Helen. New Zealand is somewhat behind the eight ball in terms of acknowledging sustainable business practice. There are countries around the world that have been promoting and rewarding sustainability for years. But now New Zealand has caught on and we’re beginning to see its importance. In fact, the Sustainable 60 awards have created plenty of buzz across the country. Helen Williamson says there has

Ricoh in Focus Prime Minister Key opens Ricoh Technology Centre Prime Minister, Hon. The Prime Minister addressed the crowd and spoke about how new technology is making business more efficient.

Going beyond hardware for greater customer value The fourth tier incorporates solutions for documents. These solutions help to integrate paper and electronic documents through document management systems and include information sharing, centralised data storage, retrieval and output. The fifth and last tier of solutions are comprehensive business solutions. These solutions help customers to achieve transformational improvements in their officebased work by increasing efficiency and reducing back-office workloads. PlaceMakers Information Technology Manager, Peter Macrae

PlaceMakers ‘hammer down’ printing costs Lower costs, reliability and easier printer fleet management – sound interesting? That’s what this household name achieved with help from Ricoh.

Challenge PlaceMakers Information Technology Manager, Peter Macrae, was unhappy with a large fleet of inefficient dot matrix printers at the store checkouts and trade desks, which were used to produce trade customer receipts with data from the company’s Enterprise Resource Management (ERP) system. PlaceMakers had already started planning for the deployment of a new ERP system, and both PlaceMakers and Ricoh’s competitors thought that the printer fleet could not be upgraded until the new ERP system was in place. Areas of concern with the existing printers included: • Cost – they were expensive to run due to the high cost of ribbons, and the need for pre-printed three-part forms. • Speed – they were slow by current standards, which increased customer waiting time at the checkout. • Service – often required waiting several days for repairs, thus requiring additional back-up machines in many locations. 6

• Dated - the dot matrix print quality was regarded as substandard for modern business. • Restrictive - pre-printed forms did not allow form content to be altered for promotions and other uses.

Solution The Ricoh account management team spent time with Peter and other internal stakeholders to understand the issues PlaceMakers faced. The outcome was a forms overlay print solution, teamed with Ricoh laser printers. Forms overlay printing enables the new laser printers to print correctly formatted receipts from the ERP system onto plain A4 paper.

Benefits Being able to print business-critical data on modern Ricoh plain paper printers has solved all of the problems PlaceMakers faced with the old system and also delivered several significant bonuses, as outlined below: Cost A significant cost reduction was achieved by eliminating pre-printed forms and their associated storage and distribution costs. Now, PlaceMakers can ‘print on demand’ onto plain A4 paper. The advanced technology of the Ricoh laser printers also means a lower cost to print each page.

Ricoh Topics Launching the C900 James Bond style More than 130 people gathered at Armstrong Prestige in Wellington to mark the launch of the Ricoh Pro™ C900. The evening had a James Bond theme and was attended by a host of glamorous women in sophisticated dresses, and men dressed in black-dinner suits. Even the Ricoh sales team turned out in their finery to celebrate the occasion.

The prowess of the C900 was on show for all to see. An exceptional product that has taken print-production to a whole new level, those in the print industry were given a great insight into its capabilities. A visual demonstration was held between the C900 and models from other manufacturers to show just how much paper the C900 can process in an 8-hour period. Like James Bond, the C900 left its four main competitors for dead. While the C900 took centre stage, attendees drank vodka martinis (shaken, not stirred) and enjoyed the theme songs from the major James Bond films and the films themselves also played in the background. The genuine Aston Martin was also a draw-card – as were the hostesses who also mixed with the crowd. The lovely ladies’ names and dresses were a nod to the girls from the James Bond Films – Cyan, Magenta, Yellow and Black. James Bond would have been proud.

With industry veterans commenting that it was one of the best launches they’d been to, it was a successful night for the C900 and an enjoyable and memorable occasion for everyone involved.

Dunedin students power up screens through pedal-power In June, Ricoh teams from around New Zealand held events to participate in the Ricoh Eco-Action day. The yearly event, which also coincides with the World Environment Day, saw the return of the Electro-Cycles, an eco-friendly cycle which when pedalled produces electricity to run electronic devices.

While the Wellington branch had two new models built to create enough juice to fire-up a Ricoh copier, last year’s model drew big crowds at the Dunedin Branch. The team in Dunedin had the bike running a flat screen TV. Many people came to have a go, including students from High Street School. The students, who were also participating in their own environmental project at the time, quickly learned how much energy it took to keep a modern appliance running. University students, the crew from Radio Network’s Classic Hits and other passers-by, also tested their legs and their lungs on the bikes. Two Ricoh digital cameras were given to the cyclists who produced the most energy.

ISMS certification provides customers peace of mind

All Ricoh New Zealand branches will become ISMS (Information Security Management System) certified within the next two years. Globally the Ricoh Group became ISMS certified in 2004, Ricoh’s New Zealand’s Head Office achieved ISMS ISO 27001 certification in August 2008, and is currently part way through re-certification for 2009. This certification provides peace of mind to Ricoh’s customers in knowing that the confidentiality, integrity and availability of their company’s key information is assured regardless of the situation. Procedures such as a Disaster Recovery Plan (DRP) are in place to ensure business continuity in the event of a major disruption, and regular internal and external audits exist to keep systems in check.

Prize inspires companies to rethink workflow Organisations across New Zealand were recently mailed an invitation to complete an innovative online survey. The survey would enable Ricoh to help each company identify the strengths and weaknesses of their individual document workflow processes, and what improvements could be made. The newly opened Ricoh Administration Centre, in conjunction with the Ricoh Customer Centre, are providing students the invaluable experience of working within a simulated, but real-world office environment.

From lecture theatre to office space Core business administration subjects were once taught in MIT’s lecture theatres. Now students are learning and doing office tasks and performing roles in a simulated environment. “According to Cathy Dwyer Key Lecturer at MIT, this handson approach is proving to be a very successful way of teaching. “Students quickly increase their skills, knowledge and confidence. It’s easy for students to understand, and apply the knowledge they’ve learned.”

Through the Ricoh Administration Centre and Ricoh Customer Centre, MIT aim to produce hundreds of confident, work-ready employees. More than 100 students graduate each year.

One to two days a week, students taking Level 2 Core Business Administration subjects, ‘work’ within the newly opened Ricoh Administration Centre. At the Ricoh Customer Centre, Level 3 and Level 4 students ‘work’ in small teams and provide management (the lecturer), with administrative support for marketing, sales, customer service and front line administration roles. Both Centres interact and liaise as if they were genuine business operations. Students at MIT work in the Ricoh business centre to develop essential operational and soft skills necessary in the workplace

Inspired by a real company The Administration Centre and Customer Centre, function in every way (apart from making profit) as a real business. Ricoh provides the corporate image, corporate framework and resources such as photocopiers, faxes and printers for the ‘business’. “It’s brilliant being able to have the support and resources of an organisation like Ricoh,” says Cathy Dwyer.” “We are able to base our teaching on a real organisation – and it has greatly enhanced, students’ learning.” Putting it all into practice Through the Ricoh Administration Centre and Ricoh Customer Centre, MIT aim to produce hundreds of confident, work-ready employees. More than 100 students graduate each year, with a portfolio of a variety of administrative tasks from the front desk to the back office that they can present to prospective employers. This kind of practical experience is sure to provide MIT students a head-start in the world of business.
