Invitation to attend On behalf of the Organising Committee, we have great pleasure in inviting you to participate in the RANZCP 2015 Congress. With the theme of Measurers + Thinkers, Psychiatry as Science and Art the 2015 Congress will focus on the excitement of advances in scientific understanding in the field balanced against the individual experiences of the human beings who are patients and partners in care. Those involved in mental health care, teaching and research will participate in a program that will feature keynote speakers from Australia, the United Kingdom, Ireland and the United States and over 1200 participants are expected to attend. Participants will also have the opportunity to network and make new connections through the varied social program, which will showcase some of Brisbane’s most iconic venues. As the premier must-attend event for those working in the field of psychiatry, the RANZCP 2015 Congress offers a prime opportunity for providers of products and services to establish new, strengthen and grow existing networks and relationships with the participants. Delegate profile With over 5000 members, the RANZCP is a collegiate network of medical practitioners working or training in the field of psychiatry. In Australia, approximately 85% of practising psychiatrists are current RANZCP members and in New Zealand, more than 50% of practising psychiatrists are current members. A Continuing Professional Development program ensures a high standard of professional practice in psychiatry is maintained and participation in the annual Congress is a key contributor to member’s ongoing education.

Support Opportunities Industry Sessions Industry sessions provide you with the opportunity to independently host breakfast or lunch sessions for participating delegates. Information regarding the Industry sessions will be made available on the website and delegates will have the opportunity to pre-book via the main registration process with any remaining available seats to be filled onsite. The industry sessions will be held at breakfast and lunch so as not to conflict with designated Congress program or functions.

The Organising Committee reserves the right to limit the number of industry sessions conducted by each Supporter.

There are a limited number of opportunities and priority will be given to confirmed Principal, Premium and Valued Supporters until Friday 28 November 2014. Following this time, any available sessions will be open to organisations who are confirmed exhibitors.

The Congress will provide the meeting room within the Brisbane Convention & Exhibition Centre and standard audio visual which includes; laptop, microphone, lectern, screen and data projector. Additional AV, all speaker costs together will all catering for the session is at the supporter’s cost. The industry sessions will be held in Meeting Room 1 & 2 or the Sky Room at the Brisbane Convention and Exhibition Centre. Both meeting rooms will be set to a maximum capacity of 150 participants each in cabaret style round tables of eight (8) with a small head table at the front of the room.

Exhibitor briefing notes, including the final floor plan and details regarding move-in and move-out arrangements, will be available on the Congress website early in 2015. The web link and password will be provided upon confirmation of your booking which contains all interim information.

Policy and Guidelines Code of Conduct Medicines Australia

Custom built stand design approval

Pharmaceutical companies must adhere to the current Medicines Australia Code of Conduct with relation to display and promotion of company or product names. All promotional design and print items will require approval by the Congress Organising Committee before the package is confirmed. The Royal Australian and New Zealand College of Psychiatrists reserve the right to approve all branding provided by supporters and exhibitors.

All custom built exhibition booth design plans must be pre-approved by the Congress Organising Committee and the venue. Exhibitors with custom built booths are required to submit a comprehensive design plan to the Congress Office no later than 2 March 2014 indicating the dimensions and features of the proposed booth for the Congress Organising Committee’s consideration and approval.

Where a complimentary full registration is included in the supporter package, you will be required to complete a registration form with the details of the attending delegate. The complimentary full registration includes full access to all scientific program sessions, satchel, daily catering, and tickets to the social functions. Additional full registrations can be purchased at the standard rate, please visit the website for further information.

Pricing

Exhibitor registration

All pricing listed is quoted in Australian dollars inclusive of GST. All inclusions in Congress printed materials are subject to strict printing deadlines.

Two (2) complimentary exhibitor registrations are included in each exhibition package (per 3m x 3m booth), similarly you will be required to complete a registration form with the details of the attending delegate. If extra exhibitor booth personnel are required, you will be able to purchase additional registrations at the special exhibitor rate of $350 per person. The exhibitor registration includes daily catering, but does not include access to scientific program sessions, satchel or social function tickets.

Engagement with the pharmaceutical industry Please note the RANZCP’s engagement with the pharmaceutical industry has been based on the position statement ‘RANZCP engagement with the pharmaceutical industry’. Further information on this policy can be found on the RANZCP website, www.ranzcp.org

Exhibitor protocol Each exhibitor must keep their display within the dimensions of their exhibition booth at all times during the Congress and refrain from amplified announcements or music from the exhibition display.

Registration The RANZCP 2015 Congress is an integrated event and all staff in attendance at your booth must be registered for Congress.

Related events Supporters and exhibitors should not arrange competing events against any of the College or Congress functions including pre and post Congress events and are required to provide RANZCP with information regarding proposed booth and social activities.

The RANZCP 2015 Exhibition floor plan is provided to assist with selecting your preferred site. The floor plan is subject to change and will be updated as required. Please note exhibition hours indicated are indicative only and will be confirmed when the program has been confirmed.

How to apply Online application Please visit the Congress website www.ranzcp2015.com and complete the online application form. All applications received will be acknowledged in writing together with a tax invoice complete with EFT payment details to facilitate payment.

Confirmation of participation To confirm your sponsorship package and/or exhibition space, 50% part payment is required upon booking or within 14 days of receipt of your tax invoice. Your booking will only be fully processed and secured upon receipt of this deposit at the Congress Organisers Office. The balance of payment is required by Friday 12 December 2014. Any booking made after Friday 12 December 2014 will require full payment upon booking or within 14 days of receipt of your tax invoice.

Cancellation policy All cancellations must be received in writing to the Congress Organisers Office. If you cancel a sponsorship or exhibition booth/s, unless that particular area of sponsorship or exhibition space is resold, the Congress Organiser reserves the right to retain monies received. Any booth or sponsorship package cancelled after Thursday 1 January 2015 will incur 100% forfeit. If the balance of payment is not received by the due date, the allocated sponsorship or exhibition booth space will be cancelled.
