With a wide range of films available, modern sun control films don’t have to make a building look dark or like a huge mirror anymore. DIAL A CFO CASE STUDY THE CFO IN ACTION - ENABLING BUSINESS GROWTH We were recently engaged to assist a household name importer/reseller who had developed an aspirational growth strategy. In doing so it recognised the need to significantly upgrade its business support function as the financial systems and in-house team were already under stress. Our brief was to review the back office function and put in place the appropriate structure, system and work processes that would enable the organisation to double in size expediently. Naturally our client wanted this done with minimum disruption to business for the least cost. At the outset, a comprehensive scope of work and timeline was agreed on that saw the key business owners updated weekly on progress towards achieving the objectives, the road blocks found that needed to be addressed, as well as solutions for the identified shortcomings. As is always the case, things were uncovered that needed to be resolved quickly and we were able to bring these to the table, re-prioritise objectives and agree resourcing required. Some of the issues encountered include: Understanding of cash flow Business systems and processes appropriate for a SME environment can leave businesses vulnerable during periods of rapid growth as the reliance on manual processes fails to keep up with the physical flow of goods as scale increases. This can lead to over stocking and poor debt collection. Highlighting the problem effectively to the right people enabled remedial action to be taken which freed up liquidity. Timely and relevant business information Management had become used to dealing in the detail and knowing the detail
when the business was smaller. They had little time or need for reviewing the overall trading picture hence reporting had not evolved to achieve this. Dial a CFO identified the essential information requirements and developed suitable operating reports for management to allow them to step back from the detail and ensure they could act proactively rather than reactively. Business process re-design Historically, the finance team were seen as inefficient, always behind and never able to give the right answer at the right time. A helicopter review of the document handling processes showed that most of the team were inefficient because the processes they operated were outgrown and outdated. By making relatively simple changes to work practices and implementing effective system controls, efficiencies resulted, which freed up time for the team to resolve the backlog of issues as well as giving them time to look at other ways of working smarter. Investment in financial systems While some issues were resolved with a minimum of expenditure, the Management team also recognised that a lack of investment in systems was becoming a handbrake for future business expansion. Modest investment was agreed on to speed up documentation processing by computerising the handling of supplier transactions. Investing in a more efficient financial reporting system as well as a budgeting and forecasting solution allowed a focus on “tomorrow” instead of yesterday to become common practice throughout the organisation.

In to the future While our client is exploring options regarding the appointment of a permanent CFO, our engagement has enabled them to drive forward a significant change management program thereby achieving competitive advantage. We anticipate being involved in the interview and selection process for this person and will mentor and transfer knowledge to the new appointee as part of our handover. Given that our Associates are not in full time permanent employment, our client gains comfort from knowing that we are available should the need arise down the track which invariably it does. K
For retail and home services, it is one of the few media available where you can prospect for customers in their homes, street or neighbourhood. The timing can be controlled, and the message is tangible. You would think because a hand delivered flyer has to be printed and goes through this process of distribution it would be expensive - in fact, flyers can be printed and delivered for much less than most online companies charge for an impression (not even a click!) on their website. The cost of delivering a flyer ranges from 4-6 cents per unit depending on your volume, and the printing depends entirely on what sized print run you have organised and what size and paper stock you use.
iwis seem to have a love/hate relationship with flyers and mailers. Often slandered as ‘junk mail’, we quickly forget this when we see something that we think is a great deal! Then we pack the kids in the car, and race down to the local Bed Bath & Beyond, Colour Plus or 2degrees to snatch that limited time offer! The enduring nature of this media would suggest that it holds a special place in our heart, even though we like to complain about it occasionally, not unlike members of your family for example! New Zealand consumers seem to fall into three main categories: ‘Junk Mail Junkies’, ‘Auditioners’, and ‘Haters’. The ‘Junk Mail Junkies’ view mailers as a mix of entertainment, window shopping and getting an idea on what deals are where and when. They tend to be female, but this may be because they task themselves with making the household as efficient as possible.
Letterbox distribution networks employ over 10,000 New Zealanders, and it is one of the few methods of part time employment that dissipates the revenue from this activity back out to the regions where the work was actually done. Many New Zealanders have delivered flyers in their youth and it teaches good work habits, focus and commitment.
The second category is the ‘Auditioner’. This is seen as the most practical, and is a balanced mix of both sexes. The mailer has a chance to be viewed, and the consumer asks themselves if it is relevant to them, if so it is retained. This is a rational approach, but at least the media and thus your message get a limited viewing.
Letterbox delivery as a medium has actually increased in use in the last few years, as retailers back off more gratuitous media and utilise an option that provides tangible retail results. For this reason the age old method of putting your message in someone’s letterbox continues to be a proven, viable method of communicating your business’ message.
The last category, the ‘Hater’, are usually fairly unhappy about the idea of being promoted to full stop. They tend to be older males, and are sometimes the ones that ring up talkback radio and complain about the state of things. Thankfully this is a much smaller group. The apocalyptic end for print media has been predicted, but let’s not confuse mailers and other forms of direct mail with newspapers. Letterbox delivery of retail and service messages tend to be deal and information based, fairly intrusive, and still gets results - it is tangible, portable and there is still only one letterbox, so it must be cleared.
