in a more formal setting. Company meetings, annual corporate events, seminars and conventions are big business in the Lowcountry. The same amenities that attract travelers from all

over the world are also major reasons that businesses choose the area as a place to gather employees, shareholders and clients. The natural beauty our area is

Planners, rental agencies, caterers, audio-visual experts and many others must be readily available to help plan and execute gatherings of hundreds of people that might span several days. The annual Charleston Event Planning Guide’s mission is to inform folks within the event industry and those who might consider the area for their next large gathering about trends, ideas, tips and resources available. The Charleston area has no shortage of experts in all aspects of event planning, and they are kept busy yearround coordinating the hundreds of events occurring in cities across the Lowcountry. A comprehensive listing of hotels, caterers, event planners and more can be found in the back of the issue. Those experts are also busy staying current on trends and technology that impact event attendance, especially as it applies to the changing demographics of the workplace.

Baby boomers became accustomed to events taking place in large convention centers, hotel meeting rooms or similar venues. As has been widely reported, boomers are being quickly replaced as the predominant workforce generation by millennials, who will comprise the majority of U.S. workers as early as 2020. A generation as comfortable with smartphone technology and wearable devices as boomers were with fax machines and typewriters is driving a move toward software applicationbased event engagement. GPS loca-

tion and real-time updates via phone apps are just some of the ways event managers can connect and engage event attendees at levels not possible just a few years ago. Millennial workers also seek smaller and more unique settings at conventions. Most events now schedule multiple “breakout” sessions on various subjects or themes to engage small groups in a nontraditional setting such as a rooftop restaurant, a renovated former industrial space or another less formal venue. While the basic concept of bring-

ing large groups with a common interest together hasn’t changed over the years, the planning and execution of corporate events is constantly evolving. What worked 15 or even 10 years ago isn’t enough — creative planning and cutting-edge technology are now essential parts of the equation for a successful event. ew and engaging technology has become commonplace at corporate events held in Charleston. No longer are attendees simply registering online and hoping that their paperwork will be waiting. Today, powerful information and marketing tools make sure they are not only registered, but that each participant remains informed, engaged,

and matched with the right people and experiences at the event. One example is the Build Exchange event that took place in midSeptember. The conference brought 75 qualified purchasing decision makers to the Belmond Hotel in downtown Charleston for three days. Attendees met face-to-face with product and service providers in prearranged meetings, based on the needs

of both purchasers and suppliers. There’s a twist: Just who would be present at these pre-arranged meetings was decided by new conference technology. Sophisticated software coordinates presenters at the event are being matched with clients using individual information and professional needs. “We use Converve software,” said Rob Ingraham, director of Ex-

change Events. He organizes Build Exchange conferences around over the country. “It’s the state-of-the-art technology used to match buyers and suppliers.” Converve software, using data from attendees, automatically sorts them into groups of participants with similar interests and needs. The platform can handle event design and branding, attendee reg-


Corporate Meetings & Conventions istration, attendee management, matchmaking and even networking. It markets software for trade fairs, conferences, job exchanges, startup events and industry summits. Attendees can browse the automatically generated participant and attendee list, or do an advanced search using keywords and free text fields to find exactly who they are seeking to contact at the event. They can “bookmark” speakers, exhibitors or individual sponsors, and even prioritize them for meeting scheduling. A messaging platform is built directly into the Converve system, allowing communication between attendees without the use of email. Other technologies are also emerging in Charleston. The team at Dig South, which hosts the annual Dig South Tech Summit event, has long used technology as well as social media to reach attendees. This year, the organization has launched an online membership platform in order to engage the thousands of attendees long after the event,

Kevin Snow, owner of Events by Snow in Columbia, uses a variety of technologies, including production mapping and cold spark fountains, to name a few, that can easily and dramatically transform a hotel conference room into an exotic location. Snow, who taught high school theater and public speaking for several years, started his business in 2011. “I started a DJ/karaoke weekend business, but over the course of the years it has taken off — it is all I do now,” Snow said. “I focus primarily on weddings, but I also do a variety

of events for all age demographics — everything from elementary schools to corporate events to nursing homes.” Technology has led to creative innovations in every aspect of event planning and execution, he said. For example, photo booths now can incorporate green screen technology, which can give virtually unlimited options for photo backgrounds. Even delivery options are much more diverse. “You can set it up so certain people — the bride and groom, for example — receive all the pictures by email or social media, whatever they want,” he said. “They can literally have all their wedding pictures before they ever leave the reception.” Still, for those who want a classic, elegant location for their wedding, Snow also has a premier wedding venue, Twelve Oaks Estate. The property, located in Lexington, S.C., offers 100 acres of property, a grand antebellumstyle home, large pastures, stables and a private 5,000-square-foot airplane hangar.

General Tips • Always strive to have a least one full rehearsal with all elements — it’s not a full rehearsal unless you run videos, have speakers, talent, etc. present. It’s your moment to shine — take the time to practice. • Use a reputable production company — would you trust your important event to an unknown or lowest bidder? You only have one shot to get it right — it’s live. • If you have multiple vendors — coordinate their load-ins/ outs — nothing is worse than having vendors fighting over the loading dock or elevators. • When budgeting, always allow for unexpected extra costs. Things happen — the elevator is stuck, your talent is late for rehearsal, etc. There are many things that can increase your costs beyond your control. Planning Checklist BEFORE THE EVENT o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you stay on track. o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties. o Prepare a preliminary agenda and guest list to help set the criteria for the venue. o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly. Send meeting requirements to selected sites with requests for o written proposals.

Hot tip: Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative. o Conduct site visits as required. This is important when you’re using the facility for the first time. o Negotiate hotel rates and blocks. If you use hotel meeting rooms for the event, you could get a significant discount on sleeping rooms. o Determine preliminary food and beverage requirements and negotiate menus and prices. o Add any deadlines and other requirements to the timetable.

Hot tip: Plant the seeds of social media early by promoting a hashtag before the event to generate buzz.

60 TO 90 DAYS BEFORE THE EVENT o Form committees as required. Organizations that have regular events should consider forming standing committees that meet regularly. o Develop a promotional strategy. o Do some public relations for the event. Calendar notices, press releases and interviews may all be appropriate. o For nonprofit or charity events, line up sponsors. o If you are charging admission to the event, establish

registration fee structures and policies, and be sure to include clear cancellation policies. o Invite and confirm key speakers. This includes people within your organization. o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment. o Review, update and confirm final event budget. o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations. o Select and order speaker gifts and awards. o Order special decorations for the event. o Prepare and order signs. This is another opportunity to build your brand. o Arrange for travel and housing of all staff and VIPs.

THE DAY OF THE EVENT o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration. o Confirm and monitor pickup of all rental equipment and supplies.

Hot tip: Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”

IMMEDIATELY AFTERWARD o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment. o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs. o Write and mail thank-you letters. o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving.

Hot tip: Address any problems that need to be handled after the event is over. Take notes for future events if there are things that need to be done differently.

Emergencies I f you plan events, one thing you know is that something will go wrong. More likely, multiple things. Good event planners have back-ups to their back-up plans. Weather is always a wild card, even for indoor events. People have to get there and walk to the door, often dressed to the nines. “You mitigate the risk by being ready,” said Ben Toy of On Purpose Adventures on James Island. An allpurpose event planner, his company specializes in adventure-based events. They planned a 90-person teambuilding event outdoors when the ice storm of 2014 hit. Because the Southeastern Wildlife Exposition was underway, they couldn’t find an unused hotel ballroom. High school basketball had every local gym tied up. The team scrambled to move the event to the loading docks of Striped Pig Distillery in Charleston. Protected from the wind, rain and ice, the event

magine looking out the window of a conference room during a corporate event and seeing a lion sunning on a rock or baseball players warming up for a game. It’s possible with the unique corporate event venues in Charleston and elsewhere.

Business Events & Fundraisers In Charleston, the Riley Park Club within the Joseph P. Riley Jr. Park has been a popular corporate event location. The ballpark is home to the minor league Charleston Riverdogs baseball team and sits along the banks of the Ashley River. “It’s a unique venue and has a great viewable marsh on one side of the ballpark,” said Graham Ervin, director of sales for the Cedar Room, Mercantile and Mash and the Riley Park Club. “It’s great for groups that want something different that’s definitely not in a hotel.” The Riley Park Club hosts events for 20-75 people on a regular basis, including a lot of group breakfasts, corporate events with guest speakers, midday luncheons and all-day meetings, Ervin said. Besides the beautiful view, there’s another perk to holding and event at The Riley Park Club — free all-day parking for attendees. “Complimentary parking in downtown Charleston is a big plus for people driving from an office or from out-oftown, especially for a lunch meeting,” Ervin said. “They can park and not worry about the garage being full.” Columbia’s Riverbanks Zoo offers meeting spaces that are much more than three walls and some windows. “It’s not your typical meeting space, but in all honestly, it’s an ice breaker,” said Morgan Schau, Director of Private Event Sales with Riverbanks Zoo & Gardens. “It keeps people active and interacting with one another and they aren’t just sitting in the same room drifting off.” The zoo has been offering corporate event rooms for more than five years, and lucky attendees are able to peek at exotic animals like meerkats from the indoor lodge space. The price of the room includes zoo admission for everyone, so attendees can roam the grounds during a break or after the meeting is over. “It’s great for when there’s a teambuilding segment. Sometimes people have had meeting breaks and walk around the zoo with their co-workers,” Schau said. There are two corporate event spaces available: an indoor lodge and a large room in the botanical gardens. Both rooms include tables, linens and a catered lunch along with WiFi access. There’s also a sound system for an

A/V hookup, and half-day and fullday rental options are available. “We get a lot of great feedback,” Schau said. Columbia’s Vista district that runs along the banks of the Congaree River offers a variety of interesting event spaces. A kayak launch provides access to the river for kayakers, canoers and paddle boarders, and the Vista Greenway offers a scenic bike trail as well. Two popular Vista venues — located pretty much side by side — are the S.C. State Museum, which is housed in the historic Columbia Mills building on Gervais Street, and its next-door neighbor, EdVenture Children’s Museum. Both museums offer a variety of options in venue spaces for rent, from meeting rooms to the entire building. Both allow outside catering and alcohol, although in the case of EdVenture, alcohol cannot be served during hours the museum is open to the public. One of EdVenture’s most popular spaces is its spacious outdoor Congaree Terrace, which can host around 1,500 people and features views of the Gervais Street Bridge and the Congaree River. The S.C. State Museum offers additional amenities to event guests, including a planetarium, observatory, and 4D movie theater. A few blocks away, in downtown Columbia’s up-and-coming BullStreet district, are two interesting and unique venues, Central Energy and Segra Park. Central Energy, a historic building offering some 8,000 square feet of event space, is named for its original purpose: it once supplied all power that ran the campus of the former state mental hospital located at Bull Street.

Today, the hospital property and the surrounding area is undergoing a major revitalization effort. The Central Energy building, which underwent significant renovation, opened to the public in January 2019. It currently serves as the home of a local church on Sundays and is available for events six days a week. Segra Park, built in 2016, is the baseball stadium complex that is the home to the Columbia Fireflies, a minor league baseball team affiliated with the New York Mets. The facility offers a wide variety of venues, spaces and amenities — including WiFi, in-house catering, large screen televisions and batting cages — for almost any occasion.

Ervin said that people planning events in Charleston are already on the hunt for unique spaces. “Charleston, in general, has unique spaces; people are coming here hosting conferences and they are already looking for something unique, something other than a ballroom or a hotel, something with more character,” Ervin said. “Charleston is great for that.”

hen you’re dressing for an event in Charleston, there are two things to consider: what’s proper for the work or social occasion, and what fits the weather. One consideration may certainly affect the other, because much of the year is warm, and summer heat and humidity in the Lowcountry can get oppressive. Lightweight fabrics should be ready in your closet all year, because it’s not unusual to have an 80-degree day in February or November. The last thing you want is to arrive dripping with perspiration at an important company event. So, stay with us here for some ideas that will help keep you cool and collected. Remember that dressing for warm temperatures does not mean dressing more casually or wearing a skimpy outfit. You still need to look professional at business events. Here are some tips for work and business meetings. Women • Think layers. You can wear a sleeveless blouse or dress, but add a jacket or dressy cardigan. The top layer can come in handy if the air conditioning is turned down,

as it often is when men are wearing suits. Neutral colors in lighter fabrics are a good choice for skirts, slacks and jackets. Add a blouse in an accent color. You can change the look by changing the blouse and accessories. White, tan, taupe, pale gray or navy are good color selections for warm weather business attire. Dresses should be lightweight fabric but conservatively cut for business meetings. Make sure the fabric is wrinkle-resistant. If you have questions about what to wear, follow the lead of female supervisors in your company. Keep a goes-with-anything jacket, a string of faux pearls or beads and a scarf in your office or car. With these, you can dress up any outfit if need be. Wear heels in a neutral color, or dressy sandals – but no flip-flops. If your toes are going to show, make sure your nails are manicured.

To brighten up neutrals, add a silk tie in a bold color. But don’t go too splashy. Look for a linen blend suit. Pure linen can be cool, but it wrinkles easily. For a business casual event, it’s good to wear a jacket, though it can be a blazer and need not be part of a suit. If you get there and find most guests aren’t wearing jackets, you can always remove yours. Wear dress shoes and – sorry, this is important – socks.

Here are some DON’TS for warm weather business occasions: • For men: No short-sleeve dress shirts – and never wear them with a tie. • For women: No plunging necklines, spaghetti straps or strapless Men tops. • Fit your dress to the culture of your company. If you’re attending • Don’t wear loud prints or dress •

And one more thing: Like most Southern climates, Charleston’s weather can change at any moment. Be prepared for a sudden shower, stiff breeze or drop in temperature. hether it’s a formal sit-down dinner, a conference lunch or simply catching a bite at a networking event, there’s an appropriate food option that can complement any event. Jessica Smithson, the catering sales manager/wedding specialist at the Charleston Place Hotel, has spotted several trends. She said many food providers are opting for different food offerings according to the needs of the event, while making the meal an important event unto itself, whether it’s breakfast, lunch, or dinner. “Dinner menus vary, but group events with fun and creative food stations are definitely becoming more and more popular,” Smithson said. “For corporate meetings, people love all-day break packages, which begin with continental breakfasts and transition to include all-day beverage service and usually an afternoon snack break.” Lunch buffets are a popular option, as they offer a wide variety from which guests can choose, Smithson said. “Especially popular is a deli buffet where guests can choose a salad or two, make their own sandwich and enjoy a nice dessert,” she said. For events that include networking, passed appetizers are the best

option, so people don’t have to go to a food service area while connecting with others. “Small, non-greasy bites that are easy to eat while having a beverage in one hand are best,” Smithson said. “Reception stations are (also) conducive to network-style events where the companies may want the guests to continue interacting with each other.” A seated dinner is ideal for more formal events where everyone needs to pay attention to a planned presentation or awards ceremony. If you want to break up the seating format, offer dessert in a buffet style so people can mingle after their meal. Be sure to note that some in the audience may have food allergies that will need to be addressed when planning for a seated meal. With a buffet station, they can just skip the dishes that would be a problem for them. Jillian Thompson, conference services manager at Wild Dunes, said that for outdoor events, buffet and reception-style stations work best. “You don’t want to have planned, seated meals for anything outside because you don’t have a kitchen outside,” she said. For events that include an activity, such as a golf tournament or an outing for employees, boxed lunches are an excellent choice to keep people moving.

Local flare It’s easy to incorporate Charleston Lowcountry cuisine into the food menu for an event. The most famous of the Charleston dishes, shrimp and grits, is a mainstay on most event menus. “People always want shrimp and grits,” Thompson said. At the Charleston Place Hotel, the two most popular “Southern” dishes are shrimp and grits and Carolina crab cakes, Smithson said. She said a popular new favorite is their gourmet lobster mac-and-cheese, usually served at a station. More easy Southern dishes include short ribs and a variety of fresh, local vegetables. Just remember to think about the time of year for what’s the freshest option for fruits and vegetables. Stay within a budget Sit-down meals generally cost more because you are paying for the additional labor costs for the event’s service staff, said Steve Baller, an event planner with Event Charleston. M

illennials are shaking up the American corporate workplace with unique needs and demands. That shake-up is extending to corporate events as well, according to local event planners. Today’s younger employees aren’t motivated or even impressed by stale corporate events held in a hotel ballroom. What do millennials want when it comes to big corporate gatherings? Certainly not sitting down along with several hundred other employees in a cavernous room listening to a guest speaker high on a platform. Listening and taking notes is not what this generation considers engaging or motivating. In big corporate events today, it’s all about “breaking out into smaller

groups for more one-on-one attention and interaction,” says Caroline Cook, owner, lead designer and planner for Birdie and Boe events based in Charleston. This arrangement is similar to how this younger population thrives in the workplace. Cook handles corporate events for clients nationwide and has seen a trend for more engaging sessions. “A lot of conferences are trying to change up the formula for the overall flow,” Cook said. “Everything has changed in the meeting world; it’s not the same old, same old. People are trying to break out of the big ballroom.” That usually includes smaller break-out groups for attendees rather than large presentations. “There are lots more workshops

and breakouts,” Cook said. “There are hardly any general sessions anymore; instead, there’s a full day of breakouts with more one-on-one education, and a lot more shared education between smaller groups.” This new way of hosting corporate events also applies to the physical stage presentation. Driven by a younger audience, “more clients are requesting more comfortable, less formal stages, with couches for more in-depth discussion between panelists rather than a row of chairs,” Cook said. “It’s not just a drape and an LCD and screen — we’ve been having more requests for a whole stage set where it’s more of a comfortable living-room feel,” Cook said. Lindsay Merhege, an event planner with Fox Events LLC in Charles-

ton, said not to forget creative lighting to capture this audience. “A great atmosphere really changes the event. Good lighting makes the space young and fun,” Merhege said. Beyond the actual event, Cook said many event planners are allowing attendees time to explore the city after the event is over. “It’s allowing more time to experience a city rather than keep them completely in a space the whole time. That formula has changed, and there are a lot of trends with cities hosting conferences having additional activities for participants to get out into the cities.” Healthier meals Some trends popular with millennials benefit everyone at an event. That’s the case for meals, where


Lifestyle younger attendees are driving healthier options, especially for breakfast. “Health is a big thing for millennials, and nobody wants the standard continental breakfast with pastries,” Cook said. “They want protein, like an omelet station with egg whites, as an option.” Catering companies are paying attention to these healthier requests and even work in locally sourced food products as well as sustainable items. “There are a lot of yogurt parfaits, and oatmeal is coming back around,” Cook said. “I’ve seen events offer smoothies and hard-boiled eggs.” Also, with this population, presentation counts. It’s important to have a visually appetizing display of the food, while making dining a fun experience. “There’s no more parade of chafing dishes,” Cook said. “They are looking for new and interesting flavor combinations.” Merhege said Fox Events likes to include chef-attended or “action” stations at corporate events — like the

While the millennial and younger attendees in corporate events appear to be fussy about their needs, Cook said the overall desire is to have a more connected, thoughtful event. Local products, healthier meals and smaller workshops lend themselves to an atmosphere where everyone works together and can make a more meaningful impact that lasts long after the event is over. “Everybody talks about who they’ve worked with in these types of conferences. Event planners report that everybody is trying to help everybody; these are very much experiences about learning with and from one another,” Cook said.
