Family Cookie Guide

We’ve got this! Dear Girl Scout families, 2020 will be remembered as a year like no other. Braving isolation and uncertainty, our Girl Scouts have rallied their resources to support first responders, essential workers, and friends and families in need. Throughout, safety for girls and volunteers has remained our top priority.

Liza and Carol

When our girls join forces as cookie entrepreneurs, they are unstoppable! Each of us has a role to play to help them succeed. As we approach this unique cookie season with grace and patience, we have an opportunity to set strong examples for our girls. Amid changing circumstances, our hardworking staff is compiling and sharing program information as quickly as possible. Pivoting when required, together we will provide a fun, rewarding, and safe cookie program for all, where: • Girls learn five essential life and business skills (goal setting, decision making, money management, people skills, and business ethics) and grow in confidence and leadership. • Proceeds fuel Girl Scout adventures and community service. One hundred percent of cookie proceeds stay here to fund local service projects, STEM (science, technology, engineering, and math) programs and badge work, camp, outdoor exploration, and so much more. • We bring smiles and a bit of normalcy to our community. Life becomes a little brighter, and our community appreciates that Girl Scouts is continuing, and the cookie program was not cancelled. • Safety continues to be our first priority and families participate at a level they’re comfortable with. Use this guide to start planning for an historical cookie season, and keep it handy for referral throughout cookie season. Together, we are Girl Scout strong. We’ve got this!

Girl Scout Cookies

An incredible opportunity for girls to do extraordinary things A girl finds sisterhood and connection during our Girl Scout Cookie Program. She may start insecure and quiet, but through the relationships she builds with other girls, her family, her troop, and her customers, she develops confidence. She leans on her herd for support to gallop and jump the highest hurdles. Together, We’ve Got This! Girls unleash their inner G.I.R.L. (Go-getter, Innovator, Risk-taker, Leader)™ when they participate in the world’s largest entrepreneurial program. They also learn essential life skills that prepare them for the future. All dollars earned stay local to help power new and unique experiences for girls: a trip they’ll never forget, a service project that will change their communities forever, or building a lifetime of memories at camp.

Girl Scouts is fun for the whole family! Tailor your cookie experience

We understand how busy you are! Determine the ideal participation level for your family by selecting from the many options for girls, and/or talk with the troop leader or cookie manager. Just wanted to participate online with Digital Cookie? That’s OK!

Support your Girl Scout

Encourage goal-setting. Guide your Girl Scout to set practical goals about what she hopes to learn and earn. • Ask about her troop’s goal, and help her set a personal goal • Encourage her to share her goal with customers. They want to help her succeed! Support her participation. Be by her side as she develops the confidence to ask people for their support. • Help her practice a marketing pitch • Accompany her while she talks with customers and delivers cookies • Help her network with family and friends. (Let her do the actual “ask” so she can learn that important business skill.) Volunteer. Help the troop by chaperoning at cookie booths, picking up cookies, and sorting rewards. Adults 18 years of age and older can sign up in a variety of volunteer roles to help support their girls and experience Girl Scouts through their eyes. Whether helping out at meetings, joining girls on field trips, guiding girls’ Individually Registered Member (IRM) journeys, or even become a troop leader, volunteers inspire today’s girls to become tomorrow’s leaders. “At a grocery store booth, Gwendolyn helped several senior citizen customers get and put away carts. One man, who had originally said no because he had already bought cookies, was so impressed by her that he bought four packages. We used cookie money to help fund service projects at the Ronald McDonald House and an assisted living home, this year, we want to do a sleepover at the zoo or SeaWorld.” —Ashley R, mother of Gwendolyn, Daisy Troop 4157 FAMILY COOKIE GUIDE | 2021

Celebrating 20 years of Operation Thin Mint

SM

From Girl Scout Troops to Military Troops

GOA 200 L: dona,000 tions a notecnd ards!

Through our councilwide service project, Operation Thin MintSM (OTM), customers send a taste of home to U.S. service men and women. Since 2002, generous San Diego and Imperial Valley residents have contributed over 3.25 million packages of cookies and countless handwritten notes to grateful troops and veterans in the U.S. Army, Navy, Air Force, Marines, Coast Guard, and National Guard. To celebrate our 20th anniversary this year, our goal is to send 200,000 packages! Donations are tax-deductible. .

Notes to show we care Ask girls and customers to write encouraging messages for cookie recipients. To send one note with each package, we’ll need about 100 per Girl Scout troop! Download and print blank OTM cards from our website.

How OTM works

I want to extend my most heartfelt thanks, there aren’t really any words to express how much this small gesture meant to me. Thank you so much for remembering those of us who are away from our families. – A1C Joseph C. of the US Air Force

★ Girls... o Ask all potential cookie customers to donate to OTM. o Collect the money, give the customer an OTM receipt (if customer desires), and record contributions on the transaction log or the “Cookie Packages Donated” column of the order card. o Download paper receipts from our website, or send electronic ones by entering each customer’s email address and donation amount at sdgirlscouts.org/2021otmreceipt. Use this QR code for quick access! ★ Troop cookie managers collect OTM money and record donations. ★ Girl Scouts San Diego purchases OTM cookies and ships them directly to military installations and veterans. All monetary donations during the cookie program (not exchanged for cookies) must be designated for OTM.

Free! OTM Sendoff Family Festival

(pending county health guidelines) Friday, April 9 • USS Midway Museum

Invite your cookie customers to join Girl Scouts and their families as we celebrate the Operation Thin Mint’s 20th anniversary! This exciting event will feature music, family-friendly activities, and opportunities for photos and to thank service members

Girls earn OTM rewards Girls in troops that opt out of rewards are not eligible to earn the OTM tubular bandana or T-shirt. They are eligible to earn the patch. OTM package credits are cumulative and also count toward regular girl rewards and troop proceeds! 8

How the cookies crumble

Service to girls (program activities, volunteer training, camps, financial assistance) Cost of cookies, program materials and events

100% of cookie proceeds stay in San Diego and Imperial counties to benefit local Girl Scouts! The Girl Scout Cookie Program provides the financial assistance that keeps Girl Scouting available and affordable to all girls. It is also the largest source of funding for volunteer training, our facilities, and core leadership experiences. Girls who participate in the cookie program enrich experiences for their Girl Scout sisters of today and tomorrow. They earn rewards for themselves and money for troop adventures, activities, and community service projects, and for councilwide Girl Scout programs.

Entrepreneurs with Empathy: Caring for Our Community!

B

Wh Bla

In 2020, 481 generous San Diego and Imperial Girl Scouts declined items offered as alternatives for reward events cancelled due to COVID-19. Instead, they elected to donate face masks, meals, and animal services to Sharp HealthCare Foundation, Jacobs & Cushman San Diego Food Bank, and the San Diego Humane Society. The response by girls and recipients alike was overwhelmingly positive, so Entrepreneurs with Empathy returns this year. Options begin with the 650+ package level. Girls receive a thank you certificate and patch from us, and recognition from the recipient organization.

Basics

Digital Cookie is the customizable order-taking website for Girl Scout Cookies. Girls personalize their individual pages with their goals and share their pages with friends and family. Customers can either pay for shipping or have the Girl Scouts they purchase from deliver their orders. After setting up their profiles from their webpages, girls can use the Digital Cookie mobile app to check their goal progress, access safety and selling tips, place new orders for customers, and share their site URLs via email.

New this year!

• Girls earn additional rewards for using Digital Cookie. • Caregivers now have the ability to turn off the girl delivery option. • Girls can indicate if they are out of a particular variety. • Faster transactions! The Digital Cookie mobile app now features OCR scanning technology. It can be used for credit card payments easily during booths, door-to-door, or other in-person activities on a smartphone.

Online safety

Before engaging in any online activities, caregivers should discuss and review the GSUSA Internet Safety Pledge and online/email marketing guidelines from GSUSA. • Girls under the age of 13 may use the emails in Digital Cookie to market to friends, family, and customers. They are also permitted to use social media sites and email as long as they use the accounts of a caregiver. • Girls 13 and older are permitted to use their own online accounts with adult supervision. • If your Girl Scout sales link is posted on a public-facing site, be aware the link is now search- able by anyone and could potentially appear anywhere on the internet. • Girls and their caregivers must follow through on accepted girl delivery orders and caregivers must supervise all communications and product delivery logistics with any customers girls don’t personally know; girls should never deliver product alone. • Program links may not be shared with any news 10

FAMILY COOKIE GUIDE | 2021

outlet (this includes online and traditional news media, such as radio, television, or magazines). Should any online marketing activities be identified in violation of above guidelines, Girl Scouts San Diego reserves the right to request removal of posts.

Customized webpage

Digital Cookie provides a sleek, well-designed, and informative storefront to engage customers and by adding their own twist girls learn eCommerce skills to market their cookies more effectively.

Digital Cookie rewards

Girls in troops that opt out of rewards are not eligible to earn the cable protector or the phone light; however, they are eligible to earn the patch. Digital Cookie packages are cumulative and also count toward regular girl rewards and troop proceeds! (page 15) • Digital Cookie patch 12+ Digital Cookie emails • Glow-in-the-Dark Cable Protector 50+ shipped or donated packages • Phone Light 75+ shipped or donated packages

Girls: Here’s How to Participate in Digital Cookie Email your site to family and friends

Once on the Digital Cookie dashboard, click the “Customers” tab to add or import customer contacts, bring up information about customer orders, and send marketing emails. Send “open for business” emails within the first day or two when Digital Cookie opens Monday, Jan. 11. This will give potential customers time to place an order and to follow up if they have any questions. Send “There’s still

time to order cookies” emails later in the season.

Let family and friends know to expect an email through Digital Cookie to welcome them to your personalized site. (Some people don’t check their emails often or have strong email spam filters.) Communicating with customers through different methods at different times leads to more cookie orders. Send emails to 12 different people to earn the Digital Cookie patch!

Share your personal website link

Email potential customers a link to your personal Digital Cookie website, or post the link to social media. Find your link on the Digital Cookie homepage as “[Your name] cookie site URL.” Use digital marketing to expand your network and grow your people skills. Use these strategies when you create a marketing video or post: • Create a sense of urgency. Girl Scout Cookie season only comes around just once a year! Countdowns to the last date to order are great motivators. Use language that encourages potential customers to order from you right now. • Make an impression. Use clear, eye-catching photos of the cookie varieties, yourself in your Girl Scout uniform, or something tied to your goal. • Highlight special features or products. Share the most-ordered cookies in your lineup. Let customers know about gluten-free Toffee-tastic® and that Thin Mints® are made with vegan ingredients, for example.

• • • • •

Use a clear and prominent call to action. Share your goal and exactly what your customer can do to help you achieve it. Research! Check out websites and social media for your favorite brands. How do they create a relationship with their customers on Facebook or Instagram? What can you do to safely build a relationship with your online customers? Use marketing to inspire, educate, entertain, and entice your prospective customers. Share how you’ll use your cookie proceeds, let people know about the skills you’re learning, and have fun while you’re at it! Get creative in your communications—consider writing a poem or recording a video to educate and convince potential customers to order cookies from you. Show off customer testimonials. Collect and highlight enthusiastic testimonials from your customers through social media. This shows potential customers that ordering cookies from you is a great investment. Make sure to ask if you can share their words! Say thank you! Impress customers with a custom thank-you message via email or social media. As your customer base expands beyond friends and family, find ways to maintain personalization while following Girl Scouts’ Safety Activity Checkpoints for Computer and Internet Use.

Direct shipping

When customers order their cookies to be shipped directly from the warehouse to their home or work, girls get credit without handling delivery. This is a great option for outof-town family, those who work odd schedules, or anyone willing to pay a little extra for shipping. Fun fact: customers who order shipped cookies on Monday, Jan. 11 will likely have them before Sunday, Jan. 24, when they will be available to the public!

Girl delivery

Provide excellent customer service, since happy customers order again and spread the news to other potential customers! See the safety section on page 23 for tips and tricks on how to keep girls, caregivers, and customers safe during girl delivery.

Order card

Girls may take orders for packages they will deliver later. Cookie pro tip: Always keep order cards in your purse, car, cookie wagon, etc. Running out of cookies or not being able to carry enough packages for all potential customers is never a problem for girls if they bring an order card along. Girls may leave an order card in a visible spot at their caregiver’s workplace, accompanied by a note from them outlining their goal and plans for the proceeds. Even if an adult helps make the connection, it is the girl’s responsibility to fill all orders, oversee their delivery, and thank her customers!

BE SAFE • BE SAFE • BE SAFE • BE SAFE • BE SAFE • BE

COVID-19 and Safety The health and safety of our Girl Scout families is our top priority. Please refer to the recommendations of our county, state, and other governmental institutions when making choices regarding safety. Visit our website often for cookie program updates.

Always

• Wear a mask over your nose and mouth. • Maintain social distance of six feet or more • Place signs reminding girls and customers to maintain distances, and remind them verbally. • Before, after, and during use, disinfect all high-touch surfaces (tables, handles, displays, wagons, money boxes) and any other shared equipment. Avoid using cloth or other table covers that are hard to clean at the site. • Follow sanitation and hand-washing requirements, including washing hands frequently with soap and water for at least 20 seconds.

Marketing, taking, and filling orders • • • • •

Do not provide samples. Know your cookie varieties well, and be ready to share that information with your customers from an appropriate social distance. Have a poster that shows all varieties, or print a photo of one variety per individual page. Carefully confirm orders before touching packages to minimize handling. Only a caretaker should touch the card if taking orders at his/her own workplace. Encourage customers to use Digital Cookie, our touchless ordering and payment option (see page 10).

Collecting money

• Establish a designated pay zone for customers. • Minimize handling cash, credit cards, and mobile devices, whenever possible. • When exchanging payment: o Avoid hand-to-hand contact. o Ask customers to place cash or cards on the table or a tray, rather than handing them to you. o When providing change to customers, place money or cards directly on the table or a tray. o Clean hands after touching anything that has been handled by customers. o Do not touch your face, eyes, nose, or mouth afterwards. • Clean and disinfect frequently touched hard surfaces (pens, tables, etc.) between customers.

Packaging orders • • •

Ask customers to wait away from the table, doorway, or cookie packaging station while you fill their order. If possible, keep inventory and packaging in a separate area of the home, booth, or cookie house party. Minimize the handling of products: Keep packages in the case until purchase is definite, and don’t combine cases.

Important Things to Know about the Cookie Program Official in-person start date: Sunday, Jan. 24, 2021, 9 a.m. Marketing in person and collecting money prior to this date is not permitted. Please model good behavior, assume good intent, and follow the Girl Scout Law: be honest and fair, friendly and helpful, considerate and caring, respectful of others, and a sister to every Girl Scout.

Participation

All girls must be registered Girl Scouts for the 2020-21 membership year, with a 2021 Product Program Participation Agreement submitted online.

Safety first!

Girls should: • Have adult supervision at booths (at least one registered and background-checked volunteer), standabouts, and when going door-to-door. • End the above activities by 8 p.m. • Never enter a customer’s house. • Protect their privacy; by providing an adult’s contact information. • Respect authority and abide by all requests from residents, security, or law enforcement personel (including instructions to stop marketing cookies and/or heed “no soliciting” signs).

Southern California Council Border Treaty

While girls may offer cookies to friends and family that reside within our neighboring councils’ boundaries, they may not market outside San Diego and Imperial counties. Please help us maintain our partnerships with our neighboring councils. Girls and families may not go doorto-door, hold a standabout, or a booth in Riverside, Los Angeles, or Orange counties.

Local restrictions

Cookie marketing is not permitted in the following areas: • City of Coronado (except for residential areas and approved booth locations) • Farmers markets that are not designated as booth sites • Military bases, including Camp Pendleton (regardless of caregiver access) Please help us avoid complaints from business owners and community leaders by marketing only in approved locations. Note: these guidelines are subject to change; girls should ask their troop cookie managers to relay any new restrictions that might arise during the season.

Money Matters Caregivers:

You have the right to: • Determine how many cookies you will accept responsibility for. While cookies may not be returned to Girl Scouts San Diego, your troop might accept returns if they can be used at cookie booths or for another girl’s inventory. Ask your TCM for details. • Participate at a level that is comfortable for you and your Girl Scout, regardless of the council recommendation or troop goal. Note: Troop proceeds belong to the troop, not individual girls, and while there is no pre-payment for cookies, troops may require payments owed before giving additional cookies. You are responsible for: • Every cookie package picked up and signed for (by completing a receipt with your TCM). • All customer payments collected, until turned in to the TCM and receive receipt for money turned in. • Signing and retaining a receipt for each exchange of money/product between you and the TCM. • Following through on girl delivery purchases accepted through Digital Cookie and coordinating with TCM if additional inventory is needed. You should: • Safeguard all money collected immediately and do not send money to school with girls. • Not accept payment from a customer using personal credit card readers or any third-party apps like Venmo, Paypal, or Zelle. • Not deposit any funds into personal bank accounts (this includes using personal credit card readers); cookie funds deposited in personal accounts can be viewed as taxable income by the IRS. COVID-19 consideration: Each troop has its own policies for money and package drop-offs, pick-ups, and exchanges. Connect with your troop cookie manger to see if families can make troop bank deposits directly, or if they’ve chosen to give caregivers access to pick up cookies at cupboards (access must be given by troop cookie manager only).
