“MY PERSONAL MOTTO: FOCUS AND HAVE FUN!” Interview with Vina Sarna, Head of Training & Development in Kuala Lumpur

At the age of only 29, our colleague Vina knows what it means to aim high. After she had originally studied Airport Management and started her career in sales, the cheerful young professional from Malaysia soon discovered her real passion: training and coaching. Ever since then she has worked her way up and is now Head of Training & Development at SELLBYTEL Kuala Lumpur. In this latest interview she tells us all about her time with us.
And what would you say contributed most to your progress? It’s a variety of things, but mostly the support I receive from my team and the management. They just make me want to strive for greater goals and grow together.
Vina, first of all, please tell us some more about your career with us. Sure. I joined SELLBYTEL APAC in November 2011 as a Sales Coach / Soft Skills Trainer for our client, a leading software and hardware producer. I spent 2 ½ years in this role training over 200 people across the APAC region. This included induction, ongoing training, brown bag sessions and quality monitoring. In February 2014 I began to work at the Project Management Office (PMO) and shortly after in January 2015 I became Head of Training & Development for Sellbytel APAC. And what is your current role exactly about?
Have you encountered any challenges as well? If so, how do you tackle them? Absolutely. I can say that I take every challenge as it comes and I face it with the right attitude. That means I have fun and focus on performing at the same time. That’s all it really takes! So what would you tell others who aspire a similar career with SELLYBTEL?
I have to say my role is pretty broad. I am responsible for all Training & Quality matters for the APAC clients. This includes new hire training, career development, coaching / mentoring and management training.
Never hesitate to ask questions and strive to learn new things every day.
That’s quite something … Any favorite tasks?
I have always tried to separate my work from my private life. So outside the office I totally concentrate on my family and dogs. It’s really important to me to have this balance!
I feel like the Training Department is like an ambassador for the SELLBYTEL Group. We are the first ones new employees meet, so creating a good impression is very important and interesting as well. I also thoroughly enjoy making the training process a valuable experience for all employees.

Part #2
In our series "The SELLBYTEL Group Application Coach", this time we give you some useful tips on how to come up with the perfect application.
Cover letter, photograph, CV, certificates: things that should not be missing in your application portfolio! Cover letter
A good cover letter can make all the difference. If you get it wrong, you could instantly land on the “declined” pile. The perfect cover letter should answer the following questions: • Why are you applying with this particular company? • Why are you applying for this specific position? • What qualifies you for this position? • Why should the company give the job to you? • How can you prove your previous experience and success with specific examples? • Which other information might be important to the decision maker (salary requirements, end of studies, earliest entry date)? Focus on those points most relevant to the respective position! Remember: keep it short and sweet!
But remember, check in advance whether an image is actually desired or mandatory in your region / country. Tell the photographer how you want to appear on your photo (e.g. tough, creative, open-minded). A good photographer will be able to visually portray this. Secondly, choose the image best transferring your personality and the one you can actually identify yourself with. Thirdly, ask your friends, family or fellow students about your effect: am I authentic on the image? Is the picture suitable for the desired industry? Finally, always remember: personality is key!

A professional photograph is crucial, as it gives the reader a first impression of your personality.
The core of your application – your CV should be a short summary of your most important

stations (qualifications, experience, knowledge and skills). Very important: say WHAT you are and emphasize relevant experiences / skills (not necessarily WHERE you gained them!). An attractive profile page prior to your classic CV is a great way to leave a positive impression right away. Content of your CV
• Headline: Applicant name or “CV” • Application photo (if applicable) • Personal data (name, address, telephone, E-mail) data about parents / siblings is irrelevant! • Education (school, apprenticeship and studies) • Work experience (internships and jobs) • Knowledge & skills (IT, languages) • Hobbies / engagement (3-4 suffice!) • If applicable: list of own publications • If applicable: awards • If applicable: references
Of course the different points can be arranged according to your individual circumstances. It is, for instance, advisable for applicants with relevant experience to place the section on “work experience” before the one on “education”. One last tip: remember that the requirements regarding content / format of your application can vary across nations. For example, application photos are unusual in the Anglo-American region. THE POWER OF WORD-OF-MOUTH Make each moment original and be talked about
The truth is, there are some things that are just simply more interesting and worth talking about than others. Many readers might believe the latest cell phone is much more interesting to talk about than a weed whacker. Sure, but that is only because you might be part of the targeted crowd that is more receptive, at this point in your life, to the latest cell phones. Millions of dollars worth of weed whackers are sold each year, because despite the fact of a cell phone appealing more to you at the moment, a product that is such a necessity for everyone with a garden, such as a weed whacker, is much more suitable for a word-of-mouth campaign. It is a product that is needed by a selected consumer crowd, that likely trusts recommendations and spends time socializing and speaking about gardening. As word-of-mouth 18
campaigns are also usually focused on long-term goals, this is a product that will likely thrive from this marketing tool. Trust and the relationship
Marketing has many mediums – word-ofmouth is the most personal and at the same time possibly the most powerful one, as it requires trust to the same degree that it requires a product or service worth talking about. It is also aimed at a very targeted and selected crowd. This makes it so extremely effective, as thousands of people are not randomly included and targeted through costly campaigns, when only a few are even potential clients for the service or product. Resources are not invested to focus on potential customers, that are not even interested or affected by what you have to offer. As an example: you would not tell the entire office in a mass mailing, that you absolutely cannot recommend
product X . It is, however, more likely, that you will tell your closest circle of friends, whom you know definitely has your requirements for that product, that you cannot recommend it at all. This information only goes to a crowd you selected based on your knowledge of their needs and interests and whom you know value your opinion. This also works vice versa. You are looking for a really good temp staffing solution? Then you are likely to ask a few sources you can trust with this particular topic. These are not necessarily friends or family, but maybe someone at work, who you know is very knowledgeable on the subject. Their opinion and recommendation will likely influence your choice.
Word-of-mouth marketing doesn't equal social media alone
Social media has grown tremendously during the past decade. Collecting followers and likes has become a new marketing goal for many companies. Customers’ opinions and recommendations are freely shared with everybody and products are praised or criticized publicly. While this can lead to a huge increase in sales quickly, it is important to remember – word-of-mouth is more than just social media. The review you share on amazon about a book you have read, or the complaint you post on your Facebook page about a car brand that has given you nothing but trouble, is not aimed at a certain crowd or represents detailed knowledge or interest on a subject. It is just a general opinion, targeted at a very broad crowd, who will most likely read it and move on. The aggregate of people recommending or disliking a product can absolutely have influence on a consumers’ choice, but it is not considered word-of-mouth. Recommending a certain car brand to your boss, who you know is looking for a new car, and sharing all the relevant details about the car and the amazing service you received, is word-of-mouth. Telling your family member about an inspiring book you have read about the benefits of yoga and encouraging them to give it a try, which they will in turn share with their book club, is also word-of-mouth. All this information is shared with people who you know are interested in the subject. For example, you will not share the car information with your mother, who does not even

Relationships between a company or product and the customers, which are the base for word-of-mouth, develop over time. As stated in the short example above, the information is targeted toward a crowd who trusts you and is interested in your opinion and choices. Engaging with your customers takes time. Word-of-mouth is not something meant to be put in effect for a campaign that will run for two weeks and should create a huge buzz within this period. Other channels are much more useful and effective in creating short term campaigns and get customers excited for a short period of time. You can implement the best print, paid ad on social media, or TV campaign. But if you don't get people talking about you and supply them with something worth talking about, your marketing campaign won’t be nearly as successful as you desire.

have a license and has never driven a car in her life, even though she is your mother and in your closest circle. You will only share information that is unique to the person or situation including detailed knowledge and involving a human touch. Here it can become tricky, and if you engage
that they offer, that they just do immensely well. It gets people talking about them. Certain budget hotel chains are a good example. They usually don’t have an aggressive online approach but they just do the job well that they are set out to do. If you travel much, and are looking for the same quality of care for a certain price that you can trust everywhere you go, you are likely to recommend the same brand or chain to anyone who asks you, and to a few who don’t ask as well.

While word-of-mouth can be highly effective and beneficial for most companies, start-ups as well as established large corporations alike, there are still very few areas where word-ofmouth campaigns might be a bit controversial. Small B2B customers and freelancers could find themselves in a request-for-service trap. Contrary to common belief, while small companies, freelancers and self-employed mostly depend on pretty much every customer or contract, word-of-mouth could lead to customers requesting services or buying products that do not fit their profile at all. A freelancer that builds amazing websites for a variety of small art galleries and cultural events is likely only interested in customers to benefit his portfolio as well. Wordof-mouth can lead to recommendations spreading through friends, associates or even a strategically misplaced ad. It could now be difficult to reject a request from a very popular or large client to build their very generic online presence. Rejecting the contract would probably lead to negative word-ofmouth. This could now lead to a situation, where a freelancer would find himself in a position to execute a job that does not fit the portfolio. //hg

While word-of-mouth is traditionally a personal interaction marketing tool, many people now use social media to share their point of view and talk about products or services. This can be beneficial or extremely damaging. So it is important to carve out a perfect strategy before engaging. If you decide to include social media into your word-of-mouth strategy, it could be helpful to focus on the media outlet important for you. Are you selling a service mainly relevant for 50+ year olds? Then Instagram may not be your perfect outlet. Focus on specialized groups on Facebook. Maybe you can reach your target crowd best by speaking at a conference or engaging with like-minded people at a convention or social gatherings. There are many companies that are not very active on social media and their campaigns are not highly visible online, but they have a product or service 20

It is important to monitor and moderate the conversation. Never lose touch with your customers as this gives you incredibly fast feedback to adapt your product or strategy immediately.
Word-of-mouth is lots of fun to implement and one of the most effective ways to reach a very defined and targeted crowd, huge or small, but there are still a few rules that apply: Create something worth talking about Make sure your product or service is so outstanding that people will actually want to talk about it. Do something exceptional to set you apart Open your store half an hour earlier to accommodate your customers better or offer a free espresso while they shop. Do something different to be someone different. Consider research and define your targeted audience Before you set out to convince the world of what your product or service can do, define who you want to impress so your actions will reach and amaze the right audience.
Freebies Offer something free. Free shipping, free samples, a free trial. Receiving free content for a while from a provider creates great word-of-mouth. Gyms that offer a free week long membership give friends of members who recommended them an opportunity to try them as well. Honesty is key Did something go wrong? Was a customer not satisfied? Did you have product problems or delivery issues? Be honest about it. It creates trust.

Using word-of-mouth can be extremely rewarding and beneficial. Being able to properly place an exclusive product or service with the perfect audience and reap the benefits can be motivating and encouraging as you connect with customers on a more personal level. Here are a few benefits: Reach Make your customer connection work for you and encourage customers to share a message or E-mail (or coupon offer with their friends). Trust Being trusted by your customer to provide them with the product they need just at the right time can strengthen a brand. Relationships Customer service is the core of your wordof-mouth. Rethink why a customer buys from you, how you can bond with them and make that work for you. This is also your free source of market research.
Honesty Create content that benefits the customer and that you want to share (maybe they can share or learn something from it). Integrity Don’t ask customers to endorse something they don’t fully believe in or support. Identity Be open about who you are, what your company represents and what your company’s beliefs are.
The conversation about your product or service will happen, regardless if you join it or not. So don’t decide to sit back and just watch the opportunities pass by, join the discussion and be the moderator!
Rumor has it: does one person recommending the company matter? Most likely not. There is still the idea of the influential, which might have some base in very specialized products or services, but the average person prefers normal recommendations. And depending on the product, sometimes it is the aggregate of “normal people” suggesting or talking about a product or service that ultimately counts.

OFF TO A GREAT CAREER START Traineeship at the SELLBYTEL Group
The SELLBYTEL Group is very dedicated to the development of young talents and the next future executives. In October 2016, we proved this once again with the launch of our exciting new Management Trainee format. Here we’d like to show you what the program is about and what else we have planned based on its success. We also reveal what our present Trainees have experienced so far.
What does the trainee program exactly look like?
We basically look for tomorrow’s prospective executives. In order to create the best basis for that, we offer an international and interdisciplinary 18 months long trainee program – including a permanent contract from the start. This is complemented by regular on the job training as well as personal support by a mentor. And the best thing is: the trainees are totally free to focus on key areas, depending on their interests and skills. What are the trainees’ day to day tasks?
The trainees work on current projects to help develop our strategic business. They support 24
the areas International Project and Account Management, Sales, Finance and Controlling in the operational day to day business. Additionally, they work closely with our top management. They also get valuable insights into our international service portfolio by spending a few months at one of our international locations. So candidates should be good networkers and willing to collaborate closely with internal expert teams as well as international locations. What else do our trainees need to bring?
Interested candidates should already have completed their university degree in business (or similar) and maybe even have collected some practical work experience next to their studies
– preferably abroad. Strong commitment, goal orientation and a true hands-on mentality paired with a confident appearance are also decisive. Plus, we look for strong communication and presentation skills in both German and English. Our new operations trainee program
Thanks to the vast success of our existing management trainee program, we extend this by introducing a new operations focused program. It is planned to start in May 2017. What is the new program all about?
The program’s duration will be 12 months, of which candidates will spend 3 months in a sales, service or support program and then move on to the next. The traineeship also includes a stay at one of our international locations and very importantly, an unlimited contract from the start. The trainees will be fully integrated into the operational day-to-day business of the different programs, and closely collaborate with the respective Operations Managers. The scheme is further characterized by a personal mentor, an independent working environment and regular on-the-job training. Candidate requirements are fairly similar to the management traineeship: a college degree is preferred - alternatively a commercial apprenticeship or a background in operations - and previous international experience. Mandatories are a passion for operations, affinity for numbers, and fluency in English.

At the beginning of October three young college graduates made their way to Nuremberg to join the SELLBYTEL Group. With our management trainee program Gina, Jasmin and Julian – recently Lukas followed – laid the foundation for a promising professional future. They talk to us about their experiences, expectations, goals and SELLBYTEL’s special spirit. You’ve been with us for a few months now … How have you spent your time?
Gina: The last few months were very exciting and challenging. We change departments every three months, so we are now in our second department – apart from Lukas. I was already in Account Management and recently joined the Biddesk.
Gina, 22, from Hanover. Business with SportManagement. Studied in England, New Zealand and Argentina.
Jasmin: I have been in Controlling since recently. Before that I worked at the Biddesk, where I mostly worked on RFPs and prepared presentations. Julian: I was in Controlling already, mostly Project Controlling. I found the management of one of our projects at our hub in Prague particularly interesting and challenging. Since January I have been in Account Management.

Lukas: I started here in the beginning of January and I am currently in the Operations Department. I was fully integrated from the start and immediately became an integral member of the team.
That sounds very exciting ‌ What do you most enjoy about your work so far?
Gina: I find it very exciting to collaborate with colleagues from all over the world. The motivated team here in Nuremberg greatly supports me as well. Jasmin: I enjoy getting to know and understand our different clients, their varying cultures, products/services as well as their philosophies and individual needs more throughout time.

Graphic Recording Are you still writing or already painting instead?
Are you aware of the fact that just 20 % of the content of your presentation finds its way into the audience’s long-term memory and resides there permanently? Information that is communicated entirely verbally, only accounts for about 20 % of the stored information. The remaining 80 % might already be forgotten the next day.
SELLBYTEL is always on the lookout for new trends and tools to make presentations and meetings even more impressive, memorable and efficient. So, we have been using and teaching the latest trend of ”Graphic Recording“ in our departments as well. By using Graphic Recording you can capture atmospheres and emotions better, which can't be displayed by simple notes and meeting minutes. But what exactly is Graphic Recording?
You can also call it Visual Recording, Visual Facilitation or Graphic Facilitation. It has first been used as a descriptive tool as early as the 70´s in the U.S. Visualizing means putting the spoken word into a clear image language through drawings. This protocol can then be used simultaneously alongside speeches, discussions and presentations. The person recording will watch, listen and note the course as well as the results of the process step by step. Key facts will be picked out and highlighted graphically. Graphic recording puts single aspects of complex views or topics into a better visual connection, which can make the 28
results much easier to comprehend by a larger audience. The participation of the audience and their reflexion of the visualization is essential for the result of graphic recording. The graphic recorder includes the emotions, comments and vibe into the graphic work. This interaction reflects the results of the group work in the best way possible. The visualisation is completed immediately after the presentation and includes a graphic summary of the key notes about the event.

Truth or not won't matter, your perception of it will!
It can be extremely demoralizing and demotivating if a person's perception of events is questioned. Not the event in itself, but rather the way in which the person perceived it. Remarks like "really?", "are you sure?" or a "no way!" often automatically pop up in a conversation. Words like "exciting" or "moving" are much better and supportive for a person telling their story of events. "If I were you ..."
Everybody, all the time, every single person ...
What a paradox assumption. In a healthy state of mind you are you and cannot be anybody else. To conclude certain situations with sentences like: "If I were you..." , automatically creates resistance in the other person. It can be much more beneficial to use words like : "from my point of view ..." or "I am trying to put myself in your situation".
Generalizing assumptions can destabilize conversation quickly. Saying "you are always late" can be thrown out easily with a "no, I was on time three times last week." This makes the "always late" untrue. Much better descriptions could be: "you are often not on time. That is not acceptable". Keep checking my column and find more tips on good communication!

Why fitness is made in your kitchen
Now that you have walked all those stairs and incorporated one or two fitness tips from our last HUB issue into your life, let´s focus on another important part: your nutrition.
The weekly trip to the grocery store can be the make or break of your success to stay on track and contribute to a healthy life at the office, so let´s give this one a bit of extra effort. Here are some tips to stay on track and avoid the munchies. • Time your meals. Waiting for your body to tell you that you are hungry means that you will likely eat the nearest food in sight. • Eat 5-6 small meals throughout the day. Keep portions small. Chances are you are already doing that, so you will just have to swap out your ingredients. Replace the chocolate bar with a banana and the afternoon latte with an orange. A balanced meal should contain carbs, proteins 36
and healthy fats. A snack should be a small banana or a small hand full of mixed nuts. • Drink drink drink. Water that is. The human body is made up of mostly water. Staying properly hydrated will reduce hunger and also uncomfortable side effects like headaches or problems with focus. • Switch your food up every 6-8 weeks. There is nothing wrong with eating oatmeal for breakfast each day if you enjoy it. But if you are trying to lose weight, consider replacing your staple foods like rice as your carb, or chicken as your protein every few weeks in order to prevent a weight loss plateau. Food-prep and making your own meals goes hand in hand with smart nutritious choices and will keep you satisfied and entertained throughout the week. In this edition we would like to introduce
the breakfast bowl and some options you have to make your own starter meal of the day and enjoy it at home, or on your morning break. Regardless if you favor a savory breakfast or if you wake up with a sweet tooth, here are our suggestions for a healthy start.
Sweet sample bowls:
You can easily prep those for 3 days in advance and store them in the fridge. All you need is a glass storage container or mason jar (of course any airtight container works, we just prefer glass) and motivation to get creative with your ingredients. Just remember to start with the carb (or the most dense) ingredient at the bottom. For example, you can place a layer of oatmeal at the bottom, top it off with yoghurt and layer (frozen) fruit on top. Now grab a spoon and enjoy.
But also keep in mind that muscles burn fat. So if your goal is to lose body fat, the most effective way to achieve this is by adding muscles to your frame. While strength training is the most recommended way to achieve this, nutrition is said to be 80 % of this formula.
