Which is one of the most important ways through which your business communicates with the entire world? It is the Business Email. The business email communications should be such that it creates a clear impression in the mind of the other person that yours is a credible and professional organization and working with you would be a bed of roses. This is one of the prime reasons for putting so much stress on the email etiquette training for the business professionals. In Below slides are some of the basics of email etiquette which each one of us must know and make it a business practice:
ď ąPortray a professional behavior First things first! Using a company’s email and email address is a thing many don’t know. Please note that acts such as sending personal mails, jokes, chain letters and other non business related communications via company email is a sheer act of unprofessionalism. Such activities are monitored by the company and may bring you in the bad books of the company.
ď ąSubject field Subject field is one of the most important fields of the business email. It is crucial because whether your email would be read by the prospective clients and business partners depends totally on the subject line of the Email. Subject lines should be short and should clearly tell the reader what is the topic of the email. Writing subject in all caps or small case is totally unprofessional.
ď ąFormality is a must The most important business email etiquette that should be known to one and all is to keep the business email’s tone totally formal leaving no room for abbreviations. Always make sure to type the business emails in black text and use standard fonts. The sentences should be written in full without making any assumption that the reader would read between the lines.
ď ąFormatting Formatting is a big No! Formatting to the extent of making certain words bold is acceptable, but making use of non business fonts or using different glittery colors in the email can make the email recipient feel reluctant to even eye your email. Also, formatting increases the chances of the email being considered as a spam.
ď ąFields such as To, From, Bcc, Cc Each of these fields has a different role which many of us do not know. To: Here the email address of the person from whom the action is expected is entered. From: Here your full name or company email address would appear. Make sure it is the full name and not just the first name. Bcc: It is used for emailing a group who do not each other CC: It is used people who know each other.
