The information in this manual has been prepared to assist you with the planning of your exhibition booth and provides you with all the necessary information for your participation at the 19th Steadfast Convention. To ensure your requirements are met, please carefully read the information in this kit. VENUE EXHIBITOR SERVICES Exhibitors are able to order food and beverage, additional internet services, rigging and cleaning services through the ICC. Services can be ordered through the ICC website and offers all relevant information and guidelines. http://www.iccsydney.com.au/plan-anevent/event-toolkit HIGH VISIBILITY SAFE TY CLOTHING It is a requirement of the International Convention Centre for all persons working within the venue during the bump in and bump out of the exhibition to wear a high visibility safety vest or high visibility clothing. The ICC will have vending machines containing PPE available for purchase should you not have access to safety equipment such as high visibility vests, gloves and glasses. Suitable footwear must also be worn – not open toed shoes, thongs, sandals etc. Any person under the age of 15 years is prohibited from accessing the exhibition area and loading docks during move in and move out periods IMPORTANT NOTE: Exhibitors must provide their staff and contractors with high visibility vests these should be packed with the contractor and staff NOT included with exhibition booth items. Exhibitors and contractors will not be permitted entry into the venue prior to the exhibition opening unless high visibility clothing is worn

VENUE INDUCTION International Convention Centre is committed to providing a safe working environment and strive for best practice in Occupational Health, Safety and Environmental management. All event contractors are required to complete an online site induction prior to completing any works at ICC. To complete the induction process, please go to ICC Sydney website http://www.iccsydney.com.au/plan-an-event/event-toolkit Note: the induction is not required for exhibitors who are setting up a stand with basic materials (e.g. brochures, merchandise). RIGGING For safety reasons all rigging of overhead banners and signage will be completed by the ICC and must be pre-arranged with the Centre prior to the build of the exhibition. For further details please refer to the ICC website. VEHICLE DISPLAYS Should you have a vehicle as part of your display, All Occasions Group will provide you with a specific move in and move out time. You must adhere to these times as they are set to ensure vehicles are accessing a safe and open space with the MarketPlace. For any vehicle to be a part of the exhibition, All Occasion Group and the ICC must be notified of its planned delivery/arrival no later than fourteen days prior to the move in. Please consult the ICC website for further information and relevant permits. DELIVERIES AND LOADING DOCK DETAILS Please refer to the ICC website for detailed information in regards to deliveries. Please use the exhibitor delivery label provided on page (INSERT PAGE NUMBER) All event-related items must be delivered by courier or freight forwarder to the loading docks. ICC, Agility and All Occasions Group will not sign possession for goods from couriers on behalf of exhibitors. To avoid issues with the delivery of your goods, always ensure that a representative is onsite to take possession of these goods. All deliveries must be delivered to the ICC loading dock and must be scheduled with the loading dock supervisor. Deliveries arriving without a booking or prior to the allocated movein period will not be accepted. Your unique log in and password will be emailed directly to you. CUSTOM DESIGN BOOTH / RAW SPACE All exhibitors using booths not of standard construction (custom builds, at your own cost) must contact sheila.woodhart@aomevents.com to have the stand approved no later than 17 February 2017. The venue must approve all designs. Please advise the conference organiser if you do not require the provided shell scheme booth (i.e. you have arranged a custom stand, or require raw space only) no later than 17 February 2017. Access to the exhibition hall for custom booth builders for pack down will be from Tuesday 4 April 2016 between 1930 – 2355 and Wednesday 5 April between 0700 – 1200. All custom stands must be dismantled strictly by 1200.

BOOTH SET UP AND PACK DOWN Exhibitors are required to set up exhibition booths from Saturday 1 April between 1200 - 1700. Exhibitors must keep their booth fully manned and operational, and are not to commence removal of items until after the exhibition closes and is clear of delegates. Exhibitors are required to dismantle their displays on Tuesday 4 April 2016 1730. Exponet will be removing furniture and dismantling shell scheme stands from Tuesday 4 April 2016 1830. TEST AND TAG SERVICE ExpoNet will provide a Test and Tag service during exhibitor move in at the exhibitor’s expense. Please contact the ExpoNet team on 02 9645 7070 or esd@exponet.com.au or during bump in see the staff at the ExpoNet services desk to book. BOOTH COURTESIES No advertising material, such as banners are allowed outside the designated booth area. Excessive noise that inconveniences other exhibitors or the conference will not be allowed. No obstruction of any form in the aisles and walkways. While companies are encouraged to pursue novel methods of attracting people to their booth, practices disadvantaging other companies or detracting from the exhibition will be discouraged.
FREIGHT FORW ARDING, TRANSPORT AND LOGISTICS Agility Fairs and Events is the official freight forwarder and onsite logistics provider for the 2017 Steadfast Convention. Agility specialises in exhibition freight forwarding - both domestic and international. Agility can ensure that your product, display & merchandise are in the right place, at the right time, providing a complete transport, materials handling & storage service. Agility provides a complete service including monitoring of freight from your door step right through to your exhibition booth to make sure your goods are handled in a professional manner and all formalities/deadlines are met. If you are using Agility, your goods will automatically be delivered to your exhibition booth. Agility Fairs & Events offers the following services:
All local, interstate and international transport services including delivery onto each exhibitors' stand at the venue. Storage of early consignments, packing materials during the exhibition and storage after the exhibition For international exhibitors, a comprehensive international freight forwarding service tailored to each particular exhibitor’s requirements.
Prior to the convention, Agility will make contact to discuss and determine your individual freight and logistics requirements. Page | 7
The ICC is a brand new venue with strict bump in / out parameters. Deliveries will not be accepted at the venue earlier. For these reasons, we highly recommend using Agility as their service is door-to-stand and they work weekends and outside normal business hours. Please refer to the insert “Benefits of using Agility” which outlines the services provided and will assist you in making an informed decision. ONSITE M ATERIALS HANDLING Exhibitors or their stand-builders requiring a forklift during move in or move out, must pre-book these services in advance with Agility. To avoid disappointment, you must complete the MATERIALS HANDLING FORM (included in this manual) and return it to Agility by the date shown on the Form. Agility will be operating a forklift service during bump in and bump out to assist exhibitors requiring forklifts, pallet jacks and flatbed trolleys. These are provided free of charge by Steadfast as a service to exhibitors. Please see the Agility staff at the loading dock for assistance. STORAGE There will be no on-site storage facilities for packing materials and boxes. It is recommended that exhibitors consider their storage needs (of packing crates and freight forwarding materials) for the duration of the exhibition. Exhibitors may not leave boxes and packing material in the exhibition display area during the show. Agility can arrange off-site storage at a cost of $49.50 per m3 or part thereof. Exhibitors or their stand-builders requiring offsite storage during the show, must pre-book these services in advance with Agility. Charges apply. Please do not just assume that Agility will be onsite. To avoid disappointment, you must complete the MATERIALS HANDLING FORM (included in this manual) and return it to Agility by the date shown on the Form. Please note:
If you are using your own transport company, Agility cannot sign for delivery of goods on your behalf. Please ensure you make specific arrangements with your transport provider and/or ensure you have a representative onsite at the time of delivery.

DELEGATE INFORMATION REGISTRATION All registrations will be processed using our online registration portals: Steadfast Exhibitor Group Registration This link will allow you to register both complimentary and paid delegates, additional social function tickets and paid accommodation. ACCOMMODATION Please book your accommodation early to avoid disappointment. Bookings can be made during the registration process. For a list of hotels, please refer to the conference website www.steadfastconvention17.com.au. TRAVEL All Occasions Group is pleased to offer the services of our in house travel management company, All Occasions Travel for flight bookings please email travel@aomevents.com with your departure point and desired arrival and departure dates and times. Please enter ‘Steadfast 2017’ in the subject header. SECURITY Please be aware of the following:

SPONSOR AND EXHIBITOR ACTIVITES SPONSOR & EXHIBITOR AW ARDS AND PRIZE PRE SENTATION If you would like to participate in the 2017 Sponsor and Exhibitor Awards and Prize presentation during the Convention closing session on Tuesday 4 April please complete the included Prize Information Form and return to sheila.woodhart@aomevents.com by 17 March 2017. During the Convention you will be supplied with a Prize Winner Form to be completed with the winner’s details. Please be aware that you are responsible for your prize at all times, including supply, contacting the winner and delivery of the prize. The prize should not be given to any member of All Occasions Group or the Organising Committee nor will they be liable for any loss or damage incurred. EXTERNAL CONTRACTORS All external contractors visiting a stand to offer additional services eg. Masseuse, external coffee barista, artist or celebrity will also have to be registered. There is no charge for this registration however the convention organisers will need to be notified and a guest pass collected from the information desk. LIABILITY AND INSURANCE In the event of industrial disruptions or natural disasters, Steadfast Group Limited, the Organising Committee, and All Occasions Group cannot accept responsibility for any financial or other losses incurred by the attendees. Steadfast Group Limited, the Organising Committee and the All Occasions Group take no responsibility for injury or damage to persons or property occurring during the conference. All insurance, including medical cover, or expenses incurred in the event of the cancellation of the conference is the individual delegate’s responsibility. Attendees are encouraged to choose a travel insurance policy that includes loss of fees/deposits through cancellation of your participation in the conference, or through the cancellation of the conference itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The organisers will take no responsibility for any participant failing to insure. The Exhibitor is responsible for all personal injury, damage to property or other losses, liabilities or claims arising in connection with the Exhibitor’s participation at the Conference. The Exhibitor will indemnify the Organisers in respect of any losses, liabilities or claims in respect thereof. The Exhibitor agrees to participate at its own risk and to take out adequate insurance in respect of all such losses, liabilities and claims. All Occasions Group and the Conference Committee will take all reasonable precautions, to ensure the building is secure. The ICC shall not be responsible for any loss, damage or injury that may occur to the exhibitor or their property from any cause whatsoever during an event. Exhibitors shall indemnify the venue from all liability (damage, incident or accident) which might ensue from any cause resulting or connected with an event. It is recommended that each exhibitor secure insurance at their own expense.
PRIVACY POLICY In accordance with the requirements of the Australian Privacy Act 2000, the All Occasions Group (encompassing All Occasions Management and All Occasions Travel) complies with such legislation which is designed to protect the rights of the individual to privacy of their information. All information collected with respect to your participation in this conference will only be used for the purposes of planning, conduct of the event or communication regarding future events. These details may be made available to parties directly related to the conference including but not limited to the All Occasions Group, venues, accommodation and travel providers (for the purposes of room / travel bookings and conference options), key sponsors (subject to strict conditions), exhibition build company and other related parties as deemed necessary. It is proposed to produce a ‘Delegate List’ of attendees at the conference and to include the individual’s details in such a list. By completing a registration form, you acknowledge that the details supplied by you may be used for the above purposes. It is your responsibility to ensure that all information provided to the All Occasions Group is accurate and kept up to date. Ensure that all staff have purchased or have access to high visibility vests for the onsite bump in. Check that all electrical equipment being used on your stand has been tagged and tested. If not, arrange for a qualified electrician to provide safety tagging and testing. 1 WEEK PRIOR TO CONVENTION Hold a briefing with your staff to ensure they are familiar with the venue layout and expectations while on site. Check that all staff have their high visibility vests and comfortable closed in shoes for the onsite bump in and bump out. Check that all material you wish to take onsite has either been arranged to be couriered/freighted or your staff will be bringing the items with them.

LOADING DOCKS ICC Sydney’s dock facilities have been designed in accordance with Australian Standard AS 2890.2, with all loading/unloading facilities able to operate simultaneously. Each building has its own vehicle and public access points. ICC Sydney loading docks are accessible via Darling Drive and controlled by a manned checkpoint.

In fact, exhibitions are our only business! We work as a team with the expo organizer, the venue and other service providers, to offer you a seamless service through collaborative efforts. As the official logistics contractor, we have the ability to secure early delivery into the venue, to ensure your goods arrive as early as possible giving you more time to set up your stand. You don’t need to be there to accept delivery. Our Site Manager and team will be on-site to accept delivery of your goods, unload, disburse and deliver your freight to your stand in readiness for your arrival. We understand that post shows, there are flights to catch, clients to meet or you are just tired and wish to retreat for the day. Once move out arrangements are confirmed with us, you are free to leave the exhibition.
If using your own transport company: You need to be present at time of delivery to sign for your goods. Transport companies generally will not release the goods unless an authorized representative signs as proof of delivery. This may alter your travel plans if you were not planning to be at the event until later and may also result in additional costs such as travel and accommodation. It may also delay the delivery of your freight to the stand. For liability reasons, Agility staff cannot sign on your behalf. If your truck is delayed in the queue at the loading dock, it is likely that you will be charged waiting fees (demurrage). This may add significantly to your overall transport costs. Common carriers only handle door to door transport. You will be responsible for packing your freight, shrink-wrapping and securing your goods, affixing labels, completing consignment notes and making all necessary transport arrangements – don’t get caught out if your transport company doesn’t operate at night or weekends.
