intro

T

he RSA Design Award 2013/14 Tomorrows Workplace brief called for individuals or small groups to explore the subject of a future workplace design and contextualise this design within a business/career development plan.

In responding to this brief we are interested in how things connect together digitally and how they can be improved and modified to create a new or improved experience. All to often the concept for a new technology is far better imagined than the reality of using it.Analysing our own experience with new technology, lead us to attempt to design and visualise better solutions, creating new hybrid concepts which better cater for the user. In using a broad set of different tools I’m able to better analyse and describe concepts in different media, dependant on the context. A greater understanding of technologies benefits and how it can be better harnessed to understand and describe the world will be essential in the coming decades. As information about ourselves and our world become more accessible to the individual, how might that change our perception and participation in society? The way information is distributed and consumed needs to continually evolve to keep pace with technology, at the moment it often fails to do this, leading to confusion and a disconnect. The Xuni design for a new virtual workplace service concept attempted to answer some of these challenges, with the RSA brief providing the starting point for developing the origins of a potential startup business plan that might develop out of this design.

TOMORROW’S WORKPLACE

Brief Develop a vision and business case for the future workplace that addresses the challenges of changing work patterns. Challenge and scope This brief asks you to think about the future of work and the future of the workplace – whether an office, a retail environment, a bank, a school, a factory or any other environment. We are interested in envisioning and conceptualising the future of the workplace, where social changes are as important as technological developments in shaping the future of work. Think about how people develop and react to their environment and their condition when they are ‘at work’. We are open to radically new design concepts and ask you to envisage a future workforce and how and where they will work without focusing on the technological limitations and details of today. Your response should be built on strong human-centred research and insights rather than assumptions – and across a range of users. Develop, design and communicate a vision that will inspire and delight, whilst also paying attention to the commercial realities of implementation. For the purposes of illustration only, the following would all be viable responses: — a service design solution that helps people address work-life balance or facilitates collaboration — a behaviour change strategy that supports and fosters acceptance of alternative ways of working — an architectural or interior design solution that supports a change in the way people work or a new way of using or allocating workspace

… and many others are possible. You may choose to respond to this brief in any number of ways and the jury will view and judge work by the following categories, aiming to award one winner per category. The categories are as follow: Spatial solutions This category will encompass all solutions that are primarily spatial in nature, including architectural, interior design, landscape or environmental design and furniture proposals.

The judging panel may decide on more than one winner in each section and will allocate the award/s accordingly. Royal Bank of Scotland will also consider a possible placement for the winning student/s and may support the winning student/s to have their project developed. This will be decided at Royal Bank of Scotland’s discretion. In addition, the judging panel may award commendations.

Product and industrial design solutions Product and industrial design proposals will be viewed and judged together; these include new electrical appliances. Please specify on the front of each presentation board (PDF) which category your submission falls under. If you are unsure how to best categorise your submission, please contact us.

TOMORROW’S WORKPLACE Brief devised in collaboration with Russ Camplin, Design Manager, Property Portfolio Strategy and Tim Yendell, Head of The Choice Programme, Design and Moves at The Royal Bank of Scotland Group plc.

Strategic proposals (including service design, behaviour change campaigns and technology proposals) This category will encompass submissions that are strategic in nature and may include a number of design ideas within the overarching proposal, aimed at developing a framework for social innovation. Large-scale technology proposals and communication campaigns (eg graphic design) are included in this category.

the project origins

T

hroughout January of 2014 I had been considering the impending MA module brief, understanding that there may be an opportunity to combine my practical, technical experience in developing 2D and 3D computer graphic visualisation with a concept design and business plan derived from the RSA Student Design Awards 'Tomorrows Workplace' brief. The difficulty with the overall concept was the timespan allowed if I were to attempt an actual competition entry with deadline less than 6 weeks from the term start date of 23rd January. I also felt that additional help would be needed in helping to develop a clean communication style from a diverse range of opinions, which is the point where I decided to approach two other MA students, asking for their help in delivering the project. Memunah, Milka (Wujia), and I had all worked well together, within a larger group, in the first term on an induction project called 'Drawing Huddersfield'. Memunah has extensive experience in delivering a clean, minimal graphic design style which would be beneficial in clearly communicating our design concept to the audience. She also has a natural interest in new technology applications. Milkas individual work surrounds the role of technology within the context of Promotion and Advertising and would be of great benefit in exploring the role of technology in the workplace both in a historical and futuristic context. With the team meeting for the first time on 10th Februray 2014 we set out a working document with which to quickly develop our respective research and ideas over a 4 week project timeline.

Hello both of you, I'm considering putting together a small group for the Creativity in Context module this term. Specifically I'd like to tackle the RSA brief linked below. The RSA competition closes in early March - before our normal deadline - so we would have to put it together quite quickly. Would either of you be interested in helping? Ideally I'd need help with Graphic Design and Market Research…. http:// tinyurl.com/prz2qes http://tinyurl.com/prz2qes sda.thersa.org

Feb 7 You named the conversation: RSA Brief - Group Project. Milka Min 2/7, 11:25am Hi Stephen, I'd like to do with the RSA brief as the group project, and also willing to work with u and memunah. Stephen Hibbert 2/7, 11:31am Great Milka! Please take a look at the RSA brief in detail, we may be taking on too much in a short space of time (the RSA deadline is approximately 4.5 weeks time…). We will then have to meet to discuss in more detail before committing to the project formally. Memunah Hussain 2/7, 11:36am Hello Stephen! I definitely want to work with you guys! It'd be hard working but fun! Please can you tell me know about arrrage a meeting & group work time because i'll need to book BSL Interpreter and note taker Stephen Hibbert 2/7, 11:48am Great Memunah! Would it be possible for us to arrange a meeting on Monday? We may change our minds after discussing in person so it would be good to meet up as soon as possible. Memunah Hussain 2/7, 11:48am Yeah that's fine with me, what time though? & where? At master room? Stephen Hibbert 2/7, 11:53am Just looking at booking a Library room now, already many rooms booked. Is 10am on Monday okay for you both? Milka Min 2/7, 11:53am Ok, we could meet on Monday and I could spend this weekend to take a look at the RSA brief and I will bring the idea on Monday discussion:) Stephen Hibbert 2/7, 11:54am That would be great Milka. Memunah Hussain

fig. 3: Meeting Documents

Stephen Hibbert 2/7, 11:59am I already have some ideas relating to new technology I've been researching. Please take a quick look at some recent posts on my blog… http://tinyurl.com/q6z24um

working as a team

this is stephens ma blog thisisstephensmablog.tumblr.com castAR: the most versatile AR & VR system Oct 28 Meta: permalink Tags:#castAR#oculus rift#vr #research#kickstarter#tma1143#Anneke#MA#future workplace Stephen Hibbert 2/7, 12:01pm Okay Group Library Room booked 10am until 12 Floor 2, Room 2/11. We probably on't need the full 2 hours but thought it best to be sure... Obviously these blog ideas might change after discussion on Monday Memunah Hussain

C

2/7, 12:04pm

rucial to the whole project process would be regular structured contact meetings, allowing all of us to appraise each others progress and plan our work for the following week. These meetings took place over 1 or 2 hours in a dedicated meeting space with the provision of an Interpreter and note taker present to enable faster communication and documentation between Memunah, Milka and myself.

Interesting ideas, we will have discuss on Monday, I'll bring rough ideas too Milka Min 2/7, 12:04pm That really good because I'm doing the new technology project at the moment, it will be very helpful and I'm interested in this area:) now I'm going to have a look.

After these meetings I published a summary working document for us all to refer to and comment on, through a dedicated private facebook group.

Thank u Stephen to put us together! I'll try my best. Stephen Hibbert 2/7, 12:10pm

This structure allowed us all to allocate our own time to the project, whilst fitting it around our other individual project commitments. As our project would be delivered digitally, our practical collaberation could be largely conducted remotely from each other. With regular online submission, open communication and critical feedback providing our primary method of iteration in the early stages. Only during the final phase of development, within the final week before competition entry submission, did we come together in the same workspace for 'live' feedback and support.

Ha, thanks for accepting Milka! I have been considering this for a while. I am also considering asking one more person, maybe Cecilia or Hannah as they seem to have good ideas in their previous projects and are good at presenting, but I haven't worked with them before so I'm unsure, what do you both think? Be honest, I don't mind if you would rather just work in a group of 3. Memunah Hussain 2/7, 12:19pm Actually lucky thing is I'm obsessing with technology and gadgets! I'll love to discuss over new technology I'll let you know when Pam reply. Memunah Hussain 2/7, 12:25pm My honest is that's best if we three just work together because we know what's our strength, weak and skills. What if they don't agree with "new technology" idea? We never know. Its best to work with two people but it's up to you both as I don't mind at all. I just show you my honest comment. Milka Min 2/7, 12:27pm

I think one more person will be good, but I also consider Cecilia might will be interested in Fashion area? Not sure if they would like to work in relate to the new tech. So I'd prefer Stephen Hibbert | Memunah Hussain | Milka Min to work with only us. We've worked before and will take this project efficiently.

Stephen Hibbert 2/7, 12:29pm Okay, you both make good points Stephen Hibbert 2/10, 9:59am

setting out the big idea

Just grabbing coffee. Will be 5 mins Milka Min 2/10, 10:00am Ok:) Memunah Hussain 2/10, 10:09am Okay 2/14, 1:23pm Memunah Hussain Hi, wondering if it's still on Monday at 10-12pm? Because Van want to know if it's definitely on Stephen Hibbert

F

2/14, 3:16pm

rom my initial concept we each started to look at our respective areas of focus. Memunah had already demonstrated a clear understanding of the clean style she might employ in communicating our idea, with Milka looking into the history of the workplace and its changes through innovation in technology.

Hi Memunah, Yes its still on we have the same room in the library from 10am until 11:30. Memunah Hussain 2/14, 4:25pm Brilliant, see you then

I set about attempting fill out the details of the concept in an attempt to initiate a process of discovery and refinement of how the concept might work practically, and also how the concept might be developed into a business proposal.

2/14, 6:47pm

In addition the RSA brief required competitors to take into account the potential business case for any submission, taking into account cost of implementation and scalability. I started to look at building these factors into the overall concept, extending the pure design concept into a more real world cased proposition.

2/14, 8:17pm

I've booked Mandy to come because she need to know everything about this brief as she was in New York on our first meeting Stephen Hibbert Okay, great! February 17 Stephen Hibbert 2/17, 9:23am Going to be a little bit late as my son is ill. Be there at 10:15. Memunah Hussain 2/17, 9:24am Don't worry.. just take your time.. hope he get better soon Milka Min 2/17, 9:25am Ok, no problem. Hope he get better February 18 Memunah Hussain 2/18, 5:49pm You have no idea what's going on today because some students messaged me if I can join their group project but I told them that "Erm sorry, I am taken!" They went like Oh no, that's fine then.. Oopies lol!! Milka Min 2/18, 6:13pm

I've posted some video on my tumblr, It would be good to have a look, if these can give some ideas for you | Memunah Hussain | Milka Min Stephen Hibbert

Memunah Hussain Yeah I will definitely check it out and I've filled my posts so going to release it as public tonight Will send you guys a link tonight

creating a clear style

Stephen Hibbert 2/18, 6:40pm Will check it out later Milka Min 2/18, 6:48pm Ok:) do we have works to submit tomorrow session, a business plan? Stephen Hibbert 2/18, 6:59pm Don't think so. Aren't we going on a small trip to see the presentation space? Karens email just asks us to look at what we might want to present. Milka Min 2/18, 7:02pm Oh yes I see:)

Our initial phase of design centred on communicting a clear, simple communication of the virtual interface concept. By reducing the visual detail within the illustrations, and purposely limiting the colour palette, we hoped to provide a suitably minimal style.

Memunah Hussain

My three dimensional visualisation work took a number of forms over the course of the project, gradually being refined and simplified in an attempt to reflect Memunahs simple two dimensional drafts. By editing Memunahs actual Adobe Illustrator path files within Cinema4D, I came to create accurate 3D object versions of each device.

Stephen Hibbert

By using 3D assets I was able to retain greater control over how I could communicate its wearable device concept. By manipulating the three dimensional mannequin and environments we could then accentuate or focus in on any details necessary. This would not have been easily achievable using a conventional 2D system, as each image would have had to be re-drawn each time a change was made. I then set about visualising the interface itself, first attempting to create a realistic glass based theme, which I then re-shaded within Cinema4D to match the overall aesthetic.

2/18, 7:28pm Dont we suppose to meet in sane room in west building or meet in town tomorrow? February 21 2/21, 5:02pm Hi you two, I've been unwell for the past 24 hours, so I haven't been doing any work. Memunah, the draft template is nearly done, I'll upload it this evening for you to have a look at over the weekend. Milka, I've got a few more items of information after discussing our project with my tutor yesterday. I'll try to update the work document and let you know when it's ready. Hope you both have a good weekend! Memunah Hussain 2/21, 5:07pm Hi, get well soon and take rest.. Brilliant, I will have a look because I've scheduled this weekend will be focus on my tasks for RSA future workplace so that's all good Milka Min 2/21, 5:14pm Thanks Stephen, have a relaxed weekend and hope u can get better soon. I'll check our folder and carry on my part this weekend. February 23 Milka Min 2/23, 7:10pm Hi Stephen, R u feeling better? Do we still have meeting on Monday? If it is I'm going to book the library room. Stephen Hibbert 2/23, 8:07pm Hi Milka, yes I'm feeling much better thank you. I have already booked the library room. It is the same as last week - floor 2 Room 2/03. Memunah Hussain 2/23, 8:09pm   Stephen Hibbert | Memunah Hussain | Milka Min

sharing our thoughts

February 26 Stephen Hibbert 2/26, 3:03pm Hi Everyone, room booking has changed for Monday as our usual room had already been booked. The new room is on floor 6 of the library - Floor 6, Area 6/03b. It is open plan with no door but looks like it will be fine for us. Memunah Hussain 2/26, 3:04pm Thanks I will pass the message to Mandy Milka Min 2/26, 3:04pm great! see you all there on Monday:)

T

hroughout the development process, we constantly asked each other for feedback on our progress, with weekly submissions to the group facebook page (opposite). This allowed us to support each others progress in near realtime, with all of us connected to the internet and able to interact using personal laptops and smartphones at all times of the day. This allowed us to remain both flexible in our work time and also productive in our idea generation and feedback in between the weekly meetings.

February 27 Stephen Hibbert 2/27, 11:18am Hi Folks, I'm currently working on some text elements based on some of Milka and my own research. Memunah, please take a look at the updated illustrator file. To be honest, not much has changed since yesterday. I will try to continue more today. If you could start to work on the Proposal A3 page, I will look at the Benefits and Scalability A3 Pages. Is this okay? Milka, I will review your text later today and upload my own text for you to look at. Milka Min 2/27, 11:20am Ok:) Memunah Hussain 2/27, 11:23am Hey, that's fine.. I will come to master room soon to check it out March 3 Memunah Hussain 3/3, 9:24am Hi is it same floor we will meet up at 10am? Stephen Hibbert 3/3, 9:26am No floor 6 this week. Memunah Hussain 3/3, 9:28am Thanks I will text Mandy then Milka Min 3/3, 9:30am Oh no~ So where we have the meeting this morning? Master suits? Memunah Hussain 3/3, 9:39am It's 6 floor in library

arious avenues of research were explored throughout the module process. Initially we reviewed some tof the suggested links provided by the RSA as part of the Student Design Awards Briefs. These links gave us some insight into general information and professional opinion within the design industry, and our primary focus became gathering information and data that could be used to re-inforce our insights into the future workplace. In conjunction with Milka, I set out to gather information on various different factors that might affect society in and around the 2030's. This would allow us to consider our concepts viability and any potential benefits or pitfalls.

3/3, 9:50am

In considering these factors it became apparent that our concept would be able to answer many different challenges we hadn't initially envisaged, such as the potential environmental benefits that might be created as a result of a decrease in unnecessary business related travel.

3/3, 4:50pm

Two of the main reports we came to use as inspiration and reference for the project were 'Which? Consumer Insight: Consumers in 2030' (2013) and a report published by Groupe Steria SCA entitled 'The Future Report' (2012).

Its okay. Area 3/b March 3 Milka Min 3/3, 4:18pm Hi Memunah, I've put the document of diagram content in the dropbox under my folder. You can have a look, you could play with the information to design the diagram. If anything unclear I will come to help you and give you my design idea. In terms of Insight Content, Stephen may could have a look, if any mistakes. Stephen Hibbert I will look at it this evening March 3 Stephen Hibbert 3/3, 8:52pm Hi to you both, I have booked a group study room for next Monday from 9.30-11.30. I'm not sure we will need it, but thought it best to book just in case. Do you think we need to book the same group study room on Monday afternoon as well? Milka Min 3/3, 9:03pm Yes, we can. So next Monday we will work full day in group? Stephen Hibbert 3/3, 9:08pm Potentially, yes. Could you book the floor 2 room 3 from 2:30 until 4:30? I cannot as I have already booked the same room in the morning. Milka Min 3/3, 9:09pm Ok, sure:) Memunah Hussain 3/3, 10:48pm   Stephen Hibbert | Memunah Hussain | Milka Min Memunah Hussain

hroughout this project we discussed other aspects of the concepts potential implications if made real.

As it stands, the concept builds on other devices functionality - combining them in order to simulate an office environment for the worker to immerse themselves in, the design concept is a service tool rather than a hardware tool. Issues such as environmental waste in the manufacture of modern technology, with the average laptop containing an 'environmental backpack' of over one tonne of waste, a greater consideration would need to be made if the project were to develop into hardware development and manufacture. An interesting potential model for a 'greener' device can be seen in the recent retail release (2014) of the 'Fairphone'. Also of note are the implications of using a smart device which uses various sensing devices to capture data about its location and environment. In recent years more and more attention has been given to our digital privacy and how we might best retain or right to privacy online. The difficulties surrounding this subject are many and varied, with no unified solution currently available. Progress is beginning to be made though with initiatives such as 'Indie Phone' created by Aral Balkan, attempting to return ownership of user information back to the original owner, rather than defaulting ownership to the various service providers.

Oh, that's great, I will finish the draft today and bring it to you tomorrow that you can have a look and give some feedback. Stephen Hibbert 3/7, 1:51pm Stephen Hibbert Great, I'll be in from around 10am. Milka Min 3/7, 1:52pm Milka Min Ok. I'll meet you there. March 7 3/7, 9:32pm Stephen Hibbert Good evening ladies, just found a brilliant report which pretty much illustrates what we are trying to show, but in more detail! for the diagrams that is...... Memunah Hussain 3/7, 9:34pm Hello! Oh finally! I like it and that's very detail and more understanding Stephen Hibbert 3/7, 9:35pm Yes, this should hopefully make tomorrow easier. I'm just trying to print a copy for us to use. Memunah Hussain 3/7, 9:37pm Tomorrow is going to be a longest day for me, I am still doing draft sketch of layout.. Will show you tomorrow cos I dont want to distract you as we need a good sleep before tomorrow. Hope so! It should able to solve the problem we were having today Milka Min 3/7, 9:38pm The diagram cached my eyes in the first place when nice.

Stages of development

Test Phase - up to end of year 1 Initial funding would be used to research practical implications of integrating realtime interactive system overlay (the ‘User Interface’), this would require reasonable upfront investment in development hardware. Hardware and Software tools already exist in the market, but research and development would need to be carried out provide real-world testing and feedback of interactive platform. Current indications show this could take between 6-12 months, dependant on system stability and user feedback.! Utilising our subsidised University Enterprise scheme, initial costs related to premises and setup would be considerably reduced. For reference please check: http://www.3mbic.com!

!

Mid-term Phase - 1 to 3 years Over the medium term our business service goals would included:! •Identifying a workplace's future needs and work with companies and industry wide bodies to provide devices tailored to these needs. Guaranteeing our clients the right solution. . ! •Beginning to test and provide medium and large-sized companies with enterprise-wide collaborative planning solutions. ! •Providing consulting services, helping companies recognise opportunities for using these devices to streamline their business processes. ! •Provide complete training for the use of solutions purchased from us along with aftermarket service and support.!

! Financials

!

Initially various avenues for funding would be explored in conjunction with Personal Investment.!

INITIAL Key Capital Investment: DEVELOPMENT Tools Hardware (Laptop, Printer, etc)

£3000

Software Development Kit! (Unity Pro, Adobe CC, Cinema4D)

£2000

Sub-Total £5000

!

Ideally Research Grants would provide some support in the test phase in order to fully explore the projects longer term viability. As the test phase continues Market based Venture Capital funding alongside Business Development grants and loans would be investigated, with the hope that a diverse mix of investment channels might give the greater chance of successful development.!

!

Capital Investment would be used to develop product offering, as well as the supporting educational material. Further investment would be channeled towards Professional services and consultancy on Marketing, PR, Legal and Financial Services prior to full launch.!

!

The rate of return would be dictated in part by market adoption rates of technology. This might mitigate the costs of hardware procurement and allow greater market penetration if hardware costs can be reduced.!

he business plan came to be co-developed by Milka and myself. Throughout the project development process Milka had looked at various marketing reports on future workplace design, but we needed to branch out into a business case for the concept.

3/9, 11:14am

Using a basic template provided by the Royal Bank of Scotland, Milka attempted to compose some information which would validate our Business Case using research based facts as a basis.

3/9, 11:25am

I came in during the later stages of this development, dissecting the information she had gathered, whilst adding my own research gathered in the earlier stages of diagram development showing our insights. This part of the project helped us to truly envisage a real product coming out of this design process. By recognising the material cost of the project, along with all the associated support costs and funding that might be needed, the project itself became much more realistic in its potential realisation.

Hey guys.. I will give you update today about diagrams.. yesterday evening I had to visit my grandma as she's dying, it was in last minute so that's why it's not finish yet.. Will get it done today Stephen Hibbert No worries, just looking at business plan myself. Memunah Hussain 3/9, 11:27am Thank you! March 10 Stephen Hibbert 3/10, 8:51am Morning you two. rom the outset it was difficult at first to understand how best to approach the competition, taking into account the requirements of developing my understanding of the relationship between the commercial and creative process.

Prior to this module I had centred my individual practice on producing data visualisation within an immersive environment. However as the MA course has progressed, the pursuit of the RSA Design Competition and my own Academic focus gradually shifted toward a real world application of the devices and services I had already gathered some experience of. By designing a prototype of the actual interface (as part of my Individual module) , and also attempting to decipher how such a design might be developed commercially (in this group project), each process began to better inform and educate the other.

" Mashaa'Allah it looks fab! Really nicely done... Very neat and clean also the concept is completely understanding." Stephen Hibbert 3/17, 10:20am Thats fine, we won't be very long here anyway. Just posted a new document to Facebook which is the 'Big Idea' Document added to Karen and Gill's template. ----------------Stephen Hibbert 4/4, 7:26pm Hi both of you, just sent you an email..... Memunah Hussain 4/4, 7:34pm Hi! Did you? I will check right now OH MY GOD!!!!!!!!

This has now come to the point at which it will actually form the basis for my Final Major Project as I attempt to develop the actual prototyoe interface within a realtime virtual environment and then conduct user centred testing to better understand the concepts implications. If successful, this may then continue into a new business startup in order to research and market the concept further.

That's fantastic news!!!!!

The first phase of the business plan begins.

I'm so so so excited!!!!!

The future is Xuni.

Well done to you and Milka!!!!! I'm in shocked!!!!! Milka Min 4/4, 7:40pm Oh my godddddd!!!!! Well done everyone! Wanna cry! Memunah Hussain 4/4, 7:42pm Omg omg I knowwwwwww... That's so exciting! That's first time ever!! Milka Min 4/4, 7:47pm Yes!!!! Memunah Hussain 4/4, 7:48pm Seriously, you both are brilliant ever I worked with for this project! I am so proud of you both!!
