Case Study Accountants
Railex give a good account of themselves Beechams LLP is a progressive accountancy practice in London established 50 years ago – and one might say typical of the small/medium sized firms which are the foundation of the UK economy. The expertise offered includes Business Process Outsourcing, Strategic and Remuneration Planning and Tax Consultancy, as well as Audit, Accounting and Payroll services. The practice recently moved from Bedford Row to a smart new location in Fleet Street, and this was the catalyst for a tailored storage solution from Railex Systems. Originally, the filing of clients’ records was split between a series of narrow cabinets on a tracked floor in the basement and traditonal units in the main office three floors above. As might be expected this resulted in time consuming visits to the archives below and a nonintegrated interface with current documents. The remedy from the specialists Railex is a mobile system located unobstrusively in the middle of the new open-plan office, complemented by static free standing Railex Essex cabinets housing current projects and situated adjacent to executives’ desks. The mobile unit comprises 17 bays which open out or close up at the easy turn of wheels, mounted into rails for smooth, safe operation – and it is all lockable as required. This high density area contains both archive and recent material as well as the likes of ledgers and stationery within a combination of shelf filing or Railex suspended designs such as the new Visage polypropylene concept which combines easy identity and access with guaranteed longer usage. The latter system is also utilised within the 14 conventional cabinets. All of the Railex systems are carefully designed to meet the stringent requirements of health and safety and sound absorption. Overall, the storage system is now a fully involved ongoing facet of the office activity, aesthetically enhanced by the fact that it is all faced in light oak to match the furniture and tasteful ambience of the area. Everyone at Beechams is delighted with the result. “ It all works better than we anticipated and is far more efficient and user friendly than our previous arrangement. The improved convenience is a big factor. No more cold, lengthy trips to the basement, and we can now accommodate correspondence and business material all together, and for as long as we need to from both legal and commercial standpoints”.

The Heart of Storage As the leading charity in its field in the UK, the British Heart Foundation is always looking to maximise efficiency and floor space and the recent move from rather restricted, listed buildings with cellular offices in Central London to recently refurbished location within the famous art deco Greater London House presented the ideal opportunity to assess the filing and storage situation. Amongst many new initiatives there were two that would impact on their new working environment. A staff survey especially revealed that people wanted a light and airy interior – and assessing the existing “tired and messy” grey tambour cabinets revealed that they contained no less than 1.5 linear kilometres of contents . . which stimulated a departmental “binit to winit” competition resulting in a 20% disposal of contents. The BHF Facilities team then surveyed the market and turned to storage specialist Railex Systems, who carefully appraised and planned the product choice based on the layout of the open plan office and the needs of the various departments. Two distinctly different but integrated ranges from Railex tastefully met every option. There are over 100 elegant, low-rise white DesignLine cabinets at heights of 1000mm high in the 3 drawer option and 2 metre high drawer / door combination variations. In turn,where wall space permits, there are 6 high density Rollastore mobile systems on relocatable bases – and the lockable mobile bays simply open or close at the light turn of a wheel. This system is especially ideal for example for the Legal Department where confidential files have to be particularly secure at all times.Versatility of the internal configuration and contents of both types of storage are ideal for all concerned – whether Legal as above - or the likes of the Grants, Events, Finance and Prevention and Care Departments. Head of Facilities Keith Hepple is very pleased with the end result “ Railex were very professional and helpful, not only in terms of storage selection but also meeting tight budgets and deadlines. Superior Space Saving Space costs money and of course the greater the floor area the more time staff take to go about their duties. The filing of patients records is a key issue in this respect – especially with the concept of “ Paper Lite”storage - and a tangible solution is now available in the form of the Railex Made To Measure ( MTM ) system. A notable example can be seen at the big and busy Burnham Health Centre in Buckinghamshire, which operates – as it were – with 12 doctors plus medical and admin support staff. The hard copy records of some 17600 patients were originally stored horizontally on somewhat makeshift steel racking,and this not only took up a lot of room but was also neither secure nor user-friendly. Practice Manager Roger Herbert turned to specialists Railex Systems who advised that the unique MTM design would be the ideal answer, tailored to the Centre’s exact needs – and indeed it is. The MTM design in this case consists of two movable double and a fixed single row of cabinets plus a moveable single row across three bays of cabinets fitted into a tracked plinth laid on the floor, and without interfering with the structure of the building. Each cabinet contains seven levels of storage – and each bay moves on the turn of a wheel, either to access records or be closed up when not in use. The system is lockable for safety and security, and achieves a space saving of over 50% against the previous equipment. For Mr Herbert this translates into multiple quality benefits. “ Overall I am delighted with the Railex system. It is an excellent combination, it looks impressive and we have had no complaints or problems at all. It is very neat and reasurring, and the valuable space we have saved has helped us to modernise the premises and create extra office space, whilst also allowing for future expansion. The specialist boxes supplied for the records also reduce misfiling and make for easier access and time saving. It is certainly the best solution to the problem we had”.

Roll Out the Record Solutions No other filing and storage manufacturer can match the fact that this year Railex Systems celebrates a centenary of providing quality, specialist solutions – with an excellent example being the recent installation of their famous Rollastore mobile designs at two linked Essex medical centres. The Church View surgery in Rayleigh previously utilised an assortment of open wooden shelves, which didn’t stimulate clean, safe contents or easy access to the 8000 patient records. Enter the Railex Rollastore, which is a pre-set concept of light grey storage bays running along tracks laid into a plinth on the floor. The bays open or close as desired at the light turn of ergonomic hand wheels, and the whole unit can be locked as required. The strong, rigid steel construction offers stability and intrinsic safety features, whilst also offering simple identification and retreival of the “ Lloyd George” wallets in their standard trays. Practice Manager Angela Manning is full of praise for the new interior layout “ We considered all of the options on the market, but most seemed only to be a variation on what we already had. A visit to the Railex showroom in London solved the problem. The clever design only takes up half the space of the previous system , and it’s neat and easy to operate and move. The staff now have much more room and light to work with, and it all looks reasurring to patients and visitors alike. Another notable benefit is that as these premises are leasehold, then when we come to move the Rollastore will be comparitively easy to dismantle and relocate elsewhere. Equally, at our Hockley location, being a modern building with a smart interior we have also installed a Railex Rollastore system there to suit its surroundings, and as with Rayleigh there is capacity for considerably more contents – almost the same again – as well as all manner of other items as necessary. All in all, it has been a great idea”.

A4 Achievement The Didcot Health Centre in Oxfordshire is literally a shining example of the new, multi-faceted primary care facility which totally serves the local community – combining as it does some 55 personnel with an increasing patient base of 16000 people. It is the largest centre within this rapidly expanding town, and as such it was crucial to clarify the storage of A4 format hard copy patients records in partnership with the renowned British manufacturer Railex Systems. Practice Manager Dr Jackie Mercer took advantage of a move to new premises as the ideal opportunity to do away with their series of heavy and awkward traditional carousel units and shelving and invest in the unique, space saving Rollastore mobile system perfected by Railex. Unlike most mobile designs, by virtue of a separate floor plinth Rollastore doesn’t involve any building work or impact on the structure and therefore is easily installed – and if necessary easily moved at any time. The high density storage cabinets simply glide along tracks in the plinth and are opened or closed up and locked via the turn of user-friendly wheels located at the front panels of the bays. By virtue of its pre-determined configuration, Railex Rollastore is simple to price and plan and whilst of robust steel construction it eliminates physical strain and is always safe and kind to staff. Dr Mercer had numerous crucial considerations when choosing the new system “ We approached every major manufacturer on the market, and it was vital to balance cost with an effective storage style and weight criteria bearing in mind that the system would be located on the first floor. The Railex experience and product portfolio proved to be decisive. The new mobile system takes up much less space than before and it is easy to access as well as being tidy and secure within a digital locking area. Although we have been a paperlight Practice for nearly 20 years, it is paramount that we maintain this type of record for the purposes of our attached midwives, for reports for solicitors and insurance companies and for when patients deregister, whilst also allowing for future expansion. This is certainly a case of the way forward”.

The Patient Design for Records The great advantage of dealing with Railex Systems - the niche manufacturer of filing and storage solutions - is that they can deal with absolutely any variation of requirements, especially when Practices move to new premises and new outlooks. This was recently very much the situation with the Hatfield Health Centre near Doncaster, which moved across just the road into a multi-faceted primary care facility including a pharmacy . . And then became the Hatfield Medical Practice. This gave Practice Manager Sue Bryson the ideal opportunity to appraise the existing impractical records system which had been in a small, cramped room and she turned to Railex for their noted free consultancy service. The end result has been the installation of 16 of the new generation of highly elegant and effective DesignLine cabinets which house some 12500 patient records in “Lloyd George” wallets within the smart white cabinets and with comfortable space for expansion. This is a carefully developed user friendly concept which not only looks modern and neat but also incorporates numerous unique features including Autolock mechanisms for safe opening of one draw at a time; single skin drawer fronts with easy gliding for sound absorption and a quieter workplace; and keys which flatten on impact and are common to all of the locks. Each DesignLine cabinet is 1739mm high x 1000mm wide and 450mm deep and contains six 9” deep drawers on telescopic runners, plus five internal steel dividers. Above each top drawer is a thoughtful 12” deep Flipper Drawer with independent locking to house either extra wallets or any miscellaneous items. The top drawer is only 1400mm off the ground to meet Health & Safety issues and avoid the need for kick stools and steps. For Sue Bryson the impact on the internal environment is very tangible “the new cabinets create an attractive, compact layout and are now located in their own dedicated room. They have proved to be easily and comfortably accessible, much liked by the responsible staff, and they blend nicely in to their new home as it were. The records are kept safe and in good condition, and we are very proud of our new look and totally effective system”.

Resourceful Railex If ever there is a department which benefits from the famous Railex mobile filing and storage design concept then it has to be Human Resources – as notably shown by their installation at King’s College Hospital in Camberwell, South London – one of the largest and busiest teaching hospitals in the city. King’s College offers a unique profile, offering strong local services and specialist skills to a catchment area of over 700,000 people within the London boroughs of Lambeth and Southwark, and as such has an administrative staff of some 6,000 people whose personnel records of course need to be properly and safely stored. Having reached saturation point with a disparate mixture of lateral and four-drawer filing cabinets within a dedicated room, Kelly Herbert of HR sought advice from the appropriate colleagues and the Railex name came in to the frame. Following an attentive consultancy procedure and creating a focused set of plans, it was agreed to install a Railex Rollastore system consisting of 17 cabinet units across 8 bays 1000mm wide by 355mm deep and 2045mm high. The unique construction features extra strong steel uprights which are simply opened or closed and locked by virtue of neat hand wheel operation. Each bay can accommodate 6 levels of Railex pockets – which consist of the innovative lateral polypropylene design featuring a translucent and durable format with cut-away sections for easy access and smooth user friendly edging. The material is tear resistant and 100 % recyclable, and each pocket accommodates an individual file and is fitted with a magnifying index tab which can be linked to its neighbours. Kelly Herbert is delighted with the whole project and successful result. “The Railex people certainly knew what they were about, and the complete installation took only two days. The new system offers many benefits, especially as it is obviously a sensitive area in terms of the contents of the records. The files are easily identifiable within the pockets, whilst being kept secure and in good condition. The configuration also incorporates plenty of spare room for expansion, and if necessary because the mobile system is mounted on a plinth it doesn’t interfere with the structure of the building, and it would be easy to relocate should we ever wish to”.

Five Star Railex The essence of every major hotel is the front of house. This, if you like, is the showground – the stage – the first point of contact with the audience. It is a high profile scene and culture devoted to presenting the right image all day and every day – and the famous Mandarin Oriental in Knightsbridge, London is literally a shining example. Everything is geared to offering the highest quality accommodation and service to every customer. Behind all the glamour though – in the frantic “nerve centre” as it were - is where good housekeeping comes to the fore, and the Mandarin has turned to storage experts Railex Systems for specialist expertise. With space more and more difficult to find, bedrooms equal income so nothing can be taken from there. It’s a case of optimising what is available. Railex identified the three key areas as beverages, food and linen and their innovative Mobile storage solution has created a new, enhanced good housekeeping ethos. Perfect Professional Support When you are the office manager of one of the largest professional support services companies in the UK – as in the case of Sue Moult at consulting and business services group,Mouchel – then a single source for your diverse filing and storage solutions is a very tangible asset. And to set the scene, Mouchel – formerly Mouchel Parkman – specialises in the management of road networks, public buildings, rail infrastructure, homes, schools and utilities, on behalf of central and local government, public-sector agencies and businesses. As the company has grown and spread across different locations, Sue has continually turned to the specialist UK manufacturer Railex Systems for her needs whether determined by contents, space or size. At the office in Deansgate, Manchester for example, the unique Doublestore concept features a central filing core of double density which rotates 180 degrees at a gentle push to either access the documents or when not needed the reverse flush cabinet wall blends smoothly into the surroundings and with a very narrow footprint of just 1.67 square metres. Each unit is the equivalent of five standard four-drawer cabinets. Trust Railex As can be imagined, the Deeds of all of the properties owned by The National Trust require the very best of safe and secure storage, and this situation has recently been expertly resolved by specialist British manufacturer Railex Systems at the Trust’s magnificent new Central Office in Swindon. There are some 3500 of these precious and often delicate documents – some of them even dating back to Tudor times – and originally they were stored in equally “dated” four drawer cabinets at the previous main office in London and at regional locations. The Railex solution is based on their famous Mobile design, consisting of the old cabinets being mounted on to a tracked horizontal base laid into the floor, enabling the bays to be opened or closed up at the easy turn of hand wheels at the outer end of each section. The system can be locked for total security, and safety features ensure complete user friendliness. As more capacity was also necessary, Railex cleverly integrated a group of their vertical, fire-resistant cabinets into the Mobile design – offering better protection whilst saving considerable floor space compared to the four drawer units. In turn, the same Railex Mobile concept has been utilised within the Human Resources department – albeit in a more modern and elegant design compared to the necessarily heavy duty version in the Deed Store. The HR version again features cabinets gliding easily along tracks and importantly lockable for sensitive reasons, whilst in this instance the cabinets are of the suspended filing variety and accommodate 4000 sets of personal records. All easily accessible and saving considerable time – and both types of Railex cabinets across the two systems can, if desired, be configured for any kind of contents. Of note, and befitting the largest conservation chairty of its kind in the world, The National Trust awardwinning premises combine superb working conditions with environmental benefits. The low –rise building incorporates day-lighting, natural ventilation, timber from the Trust’s woodlands and undyed wool carpet from their own sheep. The overall impact of the Railex input is summed up by Facilities Manager Liz Adams “ it is a very practical solution and the merger of the different types of cabinets has worked really well. What is also notable about the new Railex fire resistant units, for example, is that they give us a third more capacity and greater interior flexibility in the same footprint as the older style drawer cabinets. Record of Style It’s not often that a storage system can be described as enhancing the aesthetics of its environment and staff morale, but that is certainly the case with the innovative Railex Rollastore system recently installed at the Nuffield House Health Centre in Harlow. Having recently completed a major refurbishment – including the staff being temporarily housed in portacabins – the decision was taken by the Partners to replace the numerous, ageing five-drawer cabinets with the new Rollastore design, which essentially combines fixed, and mobile units which run along tracks within a special plinth laid on to the floor. Installation was very simple, and there is no effect on the structure of the building. The rows of archived patient records are simply opened out at the easy turn of a wheel, and closed up when not required. Minimal space for maximum storage - in this case almost 11500 individual sets of “ Lloyd George” wallets within fibreboard trays – and pull out shelves allow for staff to comfortably refer to any information. The Rollastore design also features safety locks and double skin uprights to allow the contents of adjacent bays to be independently adjusted. The building itself is of a distinctive, modern design with a bright, open interior and the new Railex system blends neatly into a corner of the Reception office. As Elaine Murr, Practice Manager observes “it is a very well presented, safe, secure system which gives us easy access whilst not taking up too much room. We really couldn’t have retained the original cabinets in terms of user –friendliness or image, which the Railex design certainly gives us, and whenever necessary it can be relocated to any part of the Health Centre. The new facility complements our computer based day to day records in the ideal manner. All of the staff are very impressed, as are colleagues from other health centres. All in all, an excellent investment”.

Norway Pines for Railex It is always a refreshing situation when a notable British manufacturer such as Railex Systems gains a major export order – especially to a high standard country like Norway – and this has recently been the case for the innovative and elegant DesignLine range of filing and storage cabinets. Through their local dealer, Railex were introduced to two of the largest law firms in Oslo, namely Selmer and Hjort, who for different reasons – respectively new premises and refurbishing the existing interior – chose DesignLine for the combination of the modern tasteful design in special RAL 9010 Pure White, the versatility of contents and the strong and safe construction. With such discerning clients, it was a tangible credit to Railex that their products were selected and not least because by all accounts there was nothing to compare in Europe with the specification. By way of specific background, The tasteful Selmer premises for example overlook the harbour, and they were especially impressed with the shallow footprint and clean lines of DesignLine and the fact that they were easily blended in to both open plan and cellular offices even to the extent of nestling them around pillars. The cabinets are all fitted with three drawers and are of the same dimensions – 977mm high x 800mm wide x 450mm deep, and can accommodate suspended and shelf-based filing systems. The Railex export team attended and advised at every stage of the project, through product guidance and selection , space planning and installation.

Practice Makes Perfect As health centres become larger and more diverse in their services, equally the need for enhanced storage systems becomes more paramount, as can be found with the Poplar Grove Health Practice in Aylesbury.

The very effective solution for this thriving practice was delivered – in every sense - by Railex Systems, the longest established British manufacturer of specialist medical records management. In fact, this is as much a case of storage progress as just another installation. The 12000 patient records and related documents were originally stored on 13 open Railex Rotary carousels which whilst clever in their day, took up a lot of precious space and needed all round access. It has to be said that this system also did not provide long term protection for the documents in question. Business Manager Gareth Collings maintained his link with Railex and saw his answer in the form of the innovative Mobile Storage System. In simple terms. this consists of bays of vertical cabinet units mounted on a tracked plinth, which enables the bays to be opened or closed up as required, at the light turn of a wheel. The internal configuration can be varied as required, and it is a truly user-friendly and safety minded concept. For Mr Collings, the impact has been dramatic and very effective. “ The new design has made an enormous difference to both the way the space works, and the extra room released for office staff. In turn the contents are much easier to access, whilst also being more secure – with the simple locking device - and fire resistant. It has greatly improved the working environment and looks much more modern and professional. With seven Partners and two Registrars, plus support medical staff, the practice is set to grow significantly and the mobile concept in fact allows for expansion up to 15000 patients. I would say that we have now saved at least 50% of the original space taken up by the carousels. It really has been a very successful venture”.

Boxing Clever Shepshed School near Loughborough is the latest education facility to reap the unique benefits of the Rollastore mobile storage design from Railex Systems – and as is so often the case they have created their own “ customised “ version which is a revelation in itself. As a core aspect of the Design Department, the new system is literally the hub of the bright, open plan area devoted to the creative skills of the 550 children, all of whom have their own personal cardboard box within which to store their projects and materials – safely and securely. The famous Rollastore feature of a tracked floor within the base plinth allows for the bays to be opened and closed at ease by virtue of hand operated wheels – thus allowing for easy access to high density storage whilst being equally convenient for saving considerable space and allowing for uninterrupted flow of children and staff. By way of further internal innovation under the guidance of Design Subject Leader Tim Kirby, the end panels of the bays have been equipped as truly inspired tool racks, so that they are literally to hand and any missing items are instantly noticed and tracked as appropriate. Mr Kirby also perceives other key advantages of the Railex technology “ I can’t imagine trying to achieve the same effect with the traditional, limited options of static cabinets or having items mixed up and mislaid on open shelving. At a glance we can see where everything is, and the flexibility of the system means that whatever stage the children are at – whether for example wood or metalwork, electronics or textiles – then the storage can deal with it. And of particular note is the pride element. Whenever parents visit then the children instinctively bring attention to the installation and they are inspired to look after it, and it is a real joy to see them pour in at lunchtime, for example, and go to their boxes so as to do a bit more work or seek advice. I am seriously impressed and excited by this investment”.

Best of Britain The famous BRIT School in Croydon is the latest education establishment which has turned to Railex Systems for a mobile storage system – rapidly becoming the design of choice for the teaching sector – and reflecting the Railex pedigree as the longest established British manufacturer in its field. In this particular instance, it is the Science department who now benefit from this unique concept – from the Railex Rollastore range – and featuring single and double storage units which glide along a track set in to a floor plinth, and simply open out or close and lock together as desired. The beauty of what appears to be a heavy duty and permanent fixture is that in fact the floor and track system is relocatable and not fixed to the floor, It incorporates a total of 10 bays each containing a facility for 7 storage levels. Finished in a tasteful Oyster White, the Rollastore specification includes keyed unit locks as well as aisle safety locks, anti –tilt safety throughout and solid backs to all bays. The overall system occupies a length of just 5.3 metres by 0.9 of a metre deep. Within this system are housed all of the varied items which constitute a busy science environment – including microscopes, balances, testing equipment and spare motors. All of which creates a self-contained, organised faculty within the school – named to reflect the British Record Industry Trust (BRIT) which underwrites Britain’s only free performing arts and technology school. This is an exciting combination of National Curriculum and specialist arts strands – including dance, music, theatre and design - creating bright and talented awardwinning youngsters with an enviable record of education and flair. Head of Science John Laidlaw is very pleased with the new Railex installation “ we previously had a mixture of racks and cabinets which made it difficult to see and locate items. Dealer Offers Double Benefits Walters of Peterborough is a prime example of the new generation of progressive, multi-million pound office dealers which offers a specialist interiors division for major projects, and is far removed from the traditional concept of “copier paper and staplers”. The company was founded 40 years ago, and offers a wide portfolio of quality products matched to a caring “ everything to someone” approach. Walters has developed a reputation for reliability and meeting deadlines, and a notable leading customers is the well established accountancy practice of Bulley Davey, with offices across East Anglia. Their move to a new business park outside Peterborough stimulated assessment of existing storage systems and the disposal of shelving and cumbersome four drawer cabinets. This was combined with the need to present a modern image and meet current needs for safe and multi-faceted configurations. Peter Billinghay of Walters had seen the new Railex Doublestore concept at an exhibition, and knowing the Railex pedigree as the longest established British storage manufacturer he was confident to recommend this unique design as the optimum solution for his customer. For Julian Higgins at Bulley Davey it was truly a case of not believing it until he had seen it “ it really is a dramatic step for storage, especially as regards the fact that a single unit is the equivalent of five of the old traditional four drawer cabinets. This has saved enormous space, whilst being easier for access and much more versatile in terms of contents. The neat, silver finish looks great in situ and everybody is very comfortable with the Doublestore design. The rotation from the contents section to the flush exterior adds a major dimension to the interior environment.”. Literally for the record, each Railex Doublestore occupies just 1.67 square metres of space, and the inner hub rotates 180 degrees as necessary. Any type and permutation of contents is possible, each unit is 2348mm high by 788mm deep and there are nearly 20 standard colours available.

School for Storage At a glance the Mobile storage concept from Railex Systems may seem too large and commercial in style for the education sector, but a recent installation at Woodbridge School in Suffolk illustrates the total flexibility of this unique design. This is one of the leading independent schools in the UK, with a roll call of some 950 pupils, and located within a beautiful countryside setting.The study of music is one of the many highly successful core activities, as confirmed recently by six violinists performing in San Francisco with the National Youth Strings Academy and a stirring production of Les Miserables . The crucial and safe storage of music documents had previously taken the form of open racks – but the creation of a dedicated music hall in what was previously the theatre gave Assistant Bursar Stephen Crane the opportunity to create an office and specialist storage area in formerly the lighting control room on the first floor. And for the record, the theatre now has an inspiring and smart state-of-the-art new home. The project was managed by the noted East Anglian building firm R G Carter, and after joint careful planning with Railex, the latter tailored a neat Mobile system into the shape of the area. Essentially this consists of two static end units and a central double-sided unit which moves along tracks laid on to the floor, giving a total of eight storage bays and over 67 linear metres of capacity. The central unit can then be moved and opened or closed at the light touch of a wheel. The light oak fascia completes the elegant, restrained nature of the system. For Mr Crane, the overall result offers many benefits “it all tucks nicely away in the corner of the room, and everything is easy to get at whilst also keeping all of the contents clean and in good condition. What is particularly useful is that the shelves are easily adapted for different settings, which gives us complete variation for the different shapes and sizes of the music, plus any other type of contents such as folders and boxes. It is a very clever and effective piece of engineering�.
