Database of tenant involvement April 2009 – March 2010 Introduction to the report The database of tenant involvement was set up in August 2008 to register how tenants and leaseholders want to get involved with how their housing services are run. After the annual report in March 2009 the tenant participation team sat with tenants to review how we could improve tenant involvement. The tenant participation strategy for 2009 -2012 was written surrounding tenant involvement at Tamworth borough council. Tenants were actively involved in writing the strategy and are known as the ‘Tenant Involvement Group’ to oversee the implementation of the action plans going forward. What did we learn from last year and what has been implemented. 1. It was previously recognised that customer data had not been recorded effectively and a ‘Registration form for the housing sounding Board’ was written and produced with input from tenants. 2. Data was collected more effectively and covered equality and diversity information where possible. 3. The tenant Participation team became more actively involved with the following; • Wish Upon a Star events and local estate walkabouts. • Community events i.e. EON Winter warmer packs for the elderly. • Partnership working with other organisations – Waterloo Housing and the CVS to promote our services to tenants. 4. In October 2009 a recruitment week was held to encourage more tenant involvement. Tenants were active in assisting the tenant participation team throughout this week long event and submitted their ideas to improve tenant involvement. 5. In September 2009 a range of information leaflets were published to inform tenants on how they could get involved: • A guide to tenant involvement, conflict resolution in your role as a volunteer, equality and diversity in your role, claiming expenses, confidentiality in your role, code of conduct in your role as a volunteer, training in your role and the Wish Upon a Star initiative. 6. All new tenants receive a guide to tenant involvement leaflet and a copy of the Open House newsletter in their new tenancy induction pack. Summary of report findings • A total of 77 new tenants and leaseholders were entered onto the tenant’s database of involvement. • 36% of tenants said they were happy to be contacted via emails. • 84% of all tenants stated that they would like to get involved by completing surveys and attending fun days and local events. • 44% of respondents are available on a morning and afternoon.

92% of respondents are interested in repairs & improvements and 84% in anti-social behaviour. 94% of respondents stated that they are White –British, 73% female and 35% are between the ages of 60 – 74 years of age.

Summary of recommendations for improvement 1. To continue to gather equality and diversity information where possible. 2. Become more involved in community events and estate walkabouts to promote tenant involvement. 3. Recruitment drives to encourage more tenant involvement at least annually. 4. Send out an introduction letter to all new tenants to invite them to become involved in housing services and having their say in a way in which is suitable to them. 5. Implement a questionnaire surrounding tenant involvement services. 6. To implement tenant inspectors to review properties ready for allocations. 7. To set up service area working groups with tenants i.e. repairs and maintenance. 8. To report more on performance indicators across all housing services in the Open House newsletter. 9. Tenant involvement group to work on action plans put forward in the tenant participation strategy.
