Conference Seating While the ultimate goal for the attendees at most conferences is education, organizers have realized that the connections being made and opportunity for networking conversations to take place is almost as important, if not equally as. ILEA Live celebrates 30th anniversary Conference makes its first appearance in Alberta By Meghann Tanner

or the second time in 30 years ILEA live came to Canada, making its first appearance in Alberta. From August 10-12, over 400 guests gathered in Calgary to learn, connect, and network at the 30th Annual ILEA Live Conference. The conference is run by members for members, and for the first time ever was chaired by a Canadian – Anne Finzer from CEO Events. The event is geared towards connecting event professionals from all over the world to collaborate their experience in an educational setting where they can learn, network, and be inspired together. The committee focused on showcasing as many vendors and businesses as they could throughout the three days. The Calgary Zoo hopped on board and hosted the Sponsor Reception, which was followed by the opening event “An ILEA Stampede”, which was hosted by the Calgary Stampede and BMO Centre. From there, workshops took place in the Hyatt Hotel, The Palace Theatre and the Marriott Hotel. The Esprit Awards Gala was held on Friday night at the Telus Convention Centre, celebrating industry leaders who continue to drive innovation and creativity. The conference closed at the National Music Centre with a tribute to Canadian musicians. Attending ILEA Live in Calgary was a great experience for a few reasons! First of all the international draw of Calgary as a destination brought diverse attendees to the conference. This delivered good networking opportunities and global perspectives from a variety of world class speakers. Canadian and especially Calgarian hospitality is second to none. The local event industry professionals did a great job and produced engaging events surrounding the conference. Finally, and by far not the leastthe beautiful Canadian Rockies offered a unique opportunity to explore Banff, Lake Louise and the surrounding areas. » Reinventing the gala format through audience relationship By Jessica Tkachuk

T

he Centennial Planetarium is practically vibrating. Steve Martin - acclaimed actor, Grammy-award winning musician, renowned comedian and prolific art collector - is in the building. Guests huddle in excited groups, phones at the ready; staff hurriedly make their way across the signature hot pink carpet, muttering into headsets; and in the middle of it all, Derek MacDonald quietly, with an almost impenetrable aura of collectedness, walks. The owner of the award-winning event agency, Boom Goes the Drum, has every reason to abandon his outer shell of cool. This evening marks the return of LOOK, the annual major fundraiser for Contemporary Calgary, and an event that has helped put his company on the map as one of Canada’s top strategic event planning agencies. The LOOK series has successfully bucked the all too familiar “rubber chicken dinner” gala format, and has been hailed as one of the country’s hottest parties, winning numerous awards, and repeatedly selling out days in

advance. The stakes are high for his client, and this year there is added hype with Steve Martin’s role as a guest speaker, and host of ‘The Social’, Lainey Lui (also known by her moniker, Lainey Gossip) as master of ceremonies. So how is it that, despite the hurried pace surrounding him, MacDonald seems unfazed as he makes his way up the Planetarium’s winding ramp to Steve Martin’s dressing room? After all, these days it takes more than star power to create a successful fundraising gala; challenging economic times require event producers to create meaningful connections with their guests. MacDonald believes the key to fundraising and gala success lies somewhere in these connections. “At a fundraiser, you’re asking something from your guests; maybe to support a foundation or lend their voice to a cause. Either way, to do that well you need to establish an event experience that creates a relationship which supports that ask.” He also points out that this guest relationship should

begin long before your guests ever walk into your venue doors, “If your first point of contact with your audience is at registration,” he posits as we ascend the ramp, “You’re missing something.” The process of establishing that audience relationship for LOOK began more than 10 months prior to the party itself, with a much smaller audience: the LOOK committee. “The Contemporary Calgary story was relatively new and unknown, and we couldn’t possibly reach everyone by simply telling it ourselves. Rather than pump budget into amplifying one biased voice, we enlisted a group of voices and empowered them to tell it for us,” explains Derek. “If you want to know who’s responsible for this crowd, it’s those people.” The volunteer committee for LOOK consisted of more than 75 people that MacDonald speaks of as though they are superheroes – a group of people varied in demographics and attachments to the cause, but connected by a singular, visionary goal: to establish a significant destination in Calgary for public and

modern art, and impact Calgary’s status as a city of choice globally. Wrangling their energy became the work of one full-time staff member of Boom Goes the Drum. According to Derek, it required a dedication to clarity: clarity of story, value, ask, and expectation. The approach wasn’t a ‘call to action’ or transaction, but rather an invitation to collaborate and contribute. Only when the committee’s enthusiasm was ignited and clear expectations delivered could they be activated to be ambassadors for Contemporary Calgary’s story, and attract their networks to want to be a part of it at LOOK. To support the committee’s efforts to introduce the Contemporary Calgary story and attract people to LOOK, Boom produced a private shopping night experience in support of the fundraiser, which took place at Holt Renfrew (the presenting sponsor) one month before the event. This pre-LOOK event gave invited Holts’ shoppers the chance to get to know and interact with Contemporary Calgary’s brand through visual art installed in the store, a curated fashion presentation, and some of Calgary’s best food and beverages, as well as a compelling invitation to shop: Holt Renfrew generously offered to donate 10% of sales that evening to Contemporary Calgary. “The plan,” MacDonald says, “was two-fold: get them in the door, and then get them in the door again.” Beyond shopping, this cross-promotional event involved a ticket

sales strategy: guests who purchased a LOOK ticket at Holt Renfrew that evening received 50% of their ticket purchase price back on a gift card to be spent that evening at Holts (and 10% of that purchase when back to Contemporary Calgary as well). The event resulted in one of Holt Renfrew’s most successful shopping nights to date (providing major ROI for a top sponsor), and tens of thousands of dollars in LOOK ticket sales. As we come off the ramp I stick close behind MacDonald, keeping one eye on the navy suit jacket in front of me while the other scans the bustling room. Calgary’s crème de la crème are out in full force: women in floorsweeping, heavily beaded gowns rustle past young twentysomething’s in brilliant, Warhol-ian jumpsuits; gentlemen in meticulously tailored suits lean against the cement, purple washed walls, occasionally adjusting neon pocket squares, or smoothing perfectly crisp collars. To the unacquainted eye, they are an overwhelming rush of bright, glittering, beautiful creatures; impossibly aloft, permanently out of reach. And

yet, the experience that has been created for them this night is not out of reach- in fact, far from it. MacDonald sees experience approachability as another integral key in guest relationship building. While elements of LOOK were certainly targeted to specific audiences, there is an experiential entry point for every ticket level. As we look out over the bustle going on around us, he gestures to caterers delicately placing plates of sumptuous lamb and salmon on black linen-clad tables while florists fidget with stunning, overflowing vases. “We have a multi-course, plated dinner experience with a private program and entertainment for our VIP ticket holders, which makes sense for that audience. We also have a ‘warehouse party’ filled with live art installations and the coolest, weirdest bands, which will make sense for a dif-

ferent audience, later in the evening.” He smiles out at the large room we’re standing in, watching it transform. “It doesn’t matter what ticket level you buy; if you’re coming to one of our fundraisers, there will be a meaningful experience we create specifically for you.” Suddenly, I realize we have stopped walking, and are face to face with a sign reading ‘Steve Martin’, firmly

admonishing further approach. MacDonald quickly points me in the direction of a nearby art installation before slipping inside the room, shutting it softly behind him. Laughter soon rumbles through the door. The rest of the evening is a bit of a blur. Steve Martin, Lainey Lui and Adam Gopnik (columnist for The New Yorker) charm the crowd by turn, and the event cumulates in the afore-mentioned neon ‘warehouse party’, where the art world’s ‘old guard’ dances with the new. Guests glow in the branded purple and pink lighting- it’s one of those parties where, just by being in attendance, everyone feels just a little more sexy, a little more

artist’s hand not shook, no volunteer unthanked. The committee members b-line for him and he shares knowing glances with each of them as if to say, “I know – it’s better than we could have imagined.” I catch up to him and congratulate him on the success. He thanks me, one hand absentmindedly rubbing his eyes. He

is clearly tired, but I can’t help but ask him one last question- with the evening coming to an end, does this mean this carefully maintained guest relationship is also done? Is this, for lack of a better term, the beginning of the end? He shrugs into a sleek black jacket, while turning my question over, eyes thoughtful. Finally, he says slowly, “If we’ve done our job, this is just the

special, and like they’re all in on some fantastic secret they’re just dying to spill. In the end, over three million dollars is raised to support Contemporary Calgary - a stunning feather to add to Boom’s cap. But celebrating will have to wait: as the house lights come up and the last few partygoers are ushered into cabs, I see MacDonald making the rounds, ensuring no guest is left without a ride home, no

Event planning 101

Building an event plan Critical to the planning of any event is an Event Management Plan. This document is your catch-all for everything you need to think of and organize for the event. For every planner, this document looks different, but the end goal is the same: a

document that outlines all the important details for the event, while capturing who is responsible for what and when it needs to be completed by. Here is a sample of one Event Management Plan that you can use to manipulate to make it work for you.

Event Formation Event Name

Is the name unique, memorable, clear, and descriptive?

Event Date & Times

Are there any other events at the same time that will be competing with yours? Is it around a holiday, or long weekend?

Venue

Does the venue have parking? Is there handicap accessibility, if required? Is public transportation available? Is there a hotel connected/nearby? Do they have in-house catering?

Event Coordinator/Contact Person

The person who is the main contact point

Event Purpose

Why are you holding this event? What is the objective of the event?

Target Audience

Who are your targeted attendees? Knowing this will help plan the messaging and marketing.

Risk Assessment

What are possible risks and what can be done to help minimize them? i.e., not enough tickets sold, bad weather impacting attendance, sponsorship withdrawls

Early Event Planning Budget

Where is funding coming from? What is the breakeven point? Estimated registration? Sponsorship goals? Create budget projections

Proposed Program

Event theme? What will the format look like? Who are the potential speakers/entertainment if needed?

Registration Management

How will registration be tracked? How will payment be done? Who is the owner of the registration? What is the maximum attendance?

Advertising/ Marketing/ Invitations

How will people be informed of the event? Do invitations need to be sent out? Are there dignitaries/guests of honour who need to be invited?

Signage/Print Materials

What needs to be completed for marketing? For the day of the event? What is supplied by the vendor (washrooms, emergency exit, etc.) Make sure all match your branding

Program/ Running Sheets

How will the timing for the event look? Are the speakers/entertainment aware? Do the caterers know when to serve? Opening/Closing/Housekeep comments for the MC?

Building a better event sponsorship program Six steps to help you overcome challenges By Brent Taylor

I

t is getting difficult for event managers to secure event sponsorships. It is an increasing struggle to keep sponsors engaged in providing much-needed financial and in-kind supports. Something needs to change. It is time to bury the old idea of developing one-size-fits-all programs that beautifully outline our event’s Platinum, Gold and Silver sponsorship levels. These packages are still being heavily relied upon to secure revenue to help sustain our events. There is a better way. During a panel session of sponsorship buyers at the Western Sponsorship Congress, a marketing executive for a Fortune 500 company indicated that he doesn’t even consider engaging in these

types of programs. The other buyers on the panel were quick to agree and indicated they all place these sponsorship packages in the trash where they belong. So what is the problem with these programs? For one, these programs tend to be very event-centric without taking into consideration the specific needs of the potential sponsor. A one-size-fits-all sponsorship program cannot be effective in delivering value to a sponsor in today’s economy where every marketing dollar is being scrutinized. We have to understand that sponsorship is a business transaction and must generate a positive return on the sponsor’s investment. If it doesn’t, then it will be viewed less as marketing, and more as a donation or philanthropy.

The key is to make our sponsorship programs sponsor-centric and to give greater consideration to their marketing and investment needs. When we open a dialogue with potential sponsors we will quickly understand that they are looking for longterm relationships and are ready to invest in the right opportunities. Our job is to identify the right sponsors for our event, customize the right program that meets their goals and objectives, and help prove the value in their investment. How do we do that? The sponsorship industry has developed into a structured industry with a defined methodology for managing sponsorship programs. As event managers, there is so much we can learn from sponsorship professionals who build programs on a daily basis. The following are the 6 steps they follow to develop and implement a sponsorship program:

1) Inventory and Valuation

Every event has physical and non-physical assets or benefits that sponsorship buyers have an interest in. We need to catalogue these assets and individually determine their market value. We need to do some research to gain an understanding of what value to apply to each asset.

2) Prospecting

We need to research and build a database of potential sponsors. When we understand our attendee demographics, we can determine what type of companies will have an interest in gaining exposure to them. Qualified sponsors will also have business goals and objectives that align with our event.

3) Discovery

We need to take time to meet with prospects and begin building relationships. Our goal should not be to educate them about our event, but to learn about their business goals and objectives, the opportunities they are looking for, and the outcomes they expect from their sponsorship marketing investments.

4) Custom Proposals

We need to utilize our inventory list and what we learned from discovery to develop a customized proposal for each potential sponsor. Our proposal should

focus on the sponsor outlining the benefits being afforded to them. It builds a business case describing how their investment supports their business goals and objectives.

5) Activation

Once a company has invested in our event they receive the agreed upon benefits which may include the right to conduct additional marketing activities to further leverage their sponsorship. We must work with our sponsors to ensure they take full advantage of the rights and benefits afforded in their contract.

6) F ulfillment Management We need to ensure that the benefits promised to our sponsors are fulfilled. Not only do we have to work to deliver on our promises, we also need to provide our sponsors with a post-event fulfillment report. This report outlines what benefits were committed to and describes how each was achieved.

Event décor Q&A with Shannon Collins, owner of Chair Flair By Meghann Tanner Shannon Collins is the owner of Chair Flair – Linen Rentals and Event Décor, which was the winner of the 2017 Calgary Event Awards category of Best Supplier, Event Décor. Chair Flair is a linen rental company, specializing in wedding and corporate events. Shannon has been in business for about twelve years and does roughly 500 events a year, ranging from small events for 50 people to large events for 2,500 people.

Tell us what is currently trending in décor, and what we can expect to see in 2018. People are starting to play more with texture, so we are seeing more flower walls, more crystals, and more embroidered and textured tablecloths. Still going strong is anything with a rustic elegant type of feel, so blushes and champagnes are still a real trend-setter this year. We’re also starting to see some great colour pops of regal colours like hunter green, navy, and marsala – colours we haven’t seen in a few years that are really beautiful accent colours. These regals are most effective when combined with a base of champagne or gold. I think these trends will be strong for another year for sure… I think you’ll see different variations of it like champage with hunter green. DIY Décor is becoming more popular, particularly with the help of online platforms like Pinterest. What are the advantages of hiring a professional to handle the décor? Definitely the fact that you don’t realize how long things take to set up if you’re not trained to do it. People severely underestimate the amount of work that it costs them the week of their wedding, especially the day of. You don’t necessarily know how long you have access to your venue or how long you have for setup – it can take hours to set up décor for a professional company, never mind if you’re not used to it. It’s also a little bit of a liability – you don’t want your friends and family who have been drinking climbing up on ladders taking down décor at 1 am… that’s not safe for anyone. This is something that everyone should take a bit more seriously because if someone were to fall, that could be a liability. Another huge advantage is consistency in

décor – you can’t get mad at Grandma or your Aunt if they don’t put something out the way that you want it, whereas if you’re hiring a professional, you’re hiring someone you trust and someone who is accountable.

Make sure that those little touches that bring out their personality and character are elements in their décor.

What questions would you recommend asking before hiring a décor company, both for planners and individuals? I would ask how long they’ve been in business, and follow them on Instagram and Facebook. Make sure to check out what venues recommend them – testimonials from venues and clients go a long way. Make sure that you do your due diligence – look at the reviews online and see what people have said about them. It won’t be 100% positive because stuff happens, but you want to know that you’re hiring a company who will do the services that you hired them for, and if anything comes up will handle it in a professional manner. Also make sure the linens and their products are cared for properly… having linen that is dry cleaned or professionally laundered is really important. You want to make sure you’re not bringing in linen that has been laundered in someone’s basement, or not laundered at all. Those are just quality things – typically you get what you pay for. Décor is one of the items that costs can sneak up on – it can nickel and dime you right out of your budget. What do you recommend to keep costs low? I would say that you want to focus on the key elements that are important to you. Things like backdrops or head table décor are what are going to be in your pictures, so I would recommend putting a little bit of money into those things. Does it really matter if you have guest favours? No, not really. Nobody is going to come into your wedding and comment that they didn’t get one, or that the centerpiece wasn’t $100. They’re not going to remember those things. Focus on the key pieces and make sure that those are done really well. I also tell all my clients that their weddings should be a reflection of them, so be creative and make sure that those little touches that bring out their personality and character are elements in their décor. If they like to travel, find a way

to bring that into the décor. For example, they could have a guest favour that is a luggage tag, or a passport as part of their invitation. Those are the things that people will remember in the long run. Themes make this easier to incorporate into corporate events. How big of a role does Social Media play in your business? It is very important. It’s almost surprising to me how many clients follow me on Instagram. This is the best way for me to reach all of my clients if I have products or something new and exciting that I want to share. I always put it up on social media. Facebook, keeping websites up-to-date, making sure that people can see the transformations of spaces is all very important. We are all visual, and it is really difficult for people to see everything in scale, so when you’re able to show them pictures of the space that you’ve been able to transform, it makes it more relatable.

For someone who is new in the industry and thinking about becoming a décor specialist, what tips would you offer to them? I think it is just a matter of working alongside a reputable company and learning the secrets of the trade. The success of my company is largely because of the people that I network with. I make sure that I don’t overcommit myself and I really respect the different vendors in my community. I am not a planner, I am a decorator… I can’t be good at everything. I think one of the downfalls we see in this industry is people trying to do too much. It is very challenging to do everything well, so you need to decide what you will focus on and work towards it. Relying on and aligning with people that do the things that are outside of your area of expertise well is critical. Focus on what you have a passion for... If you a have a passion for planning, then plan. If you have a passion for doing décor, then do décor. But really focus on it and study it

and make sure that you are keeping up with what is new and upcoming. Rely on the people in our industry for the other areas – we have an amazing industry and people love working together. We’re stronger when we work together. n

Gaming & liquor licenses 101 Q&A with the AGLC (Alberta Gaming and Liquor Commission) By Meghann Tanner What exactly does the AGLC do? What is the purpose for the organization being around? The AGLC regulates liquor & gaming products and activities provided to all Albertans. We are committed to providing choices Albertans can trust. Why is it important for events to have gaming/ liquor licences in place? What are the consequences of not having one? All gambling is illegal unless specifically exempted through legislation in the Criminal Code of Canada. Under federal and provincial legislation, the Alberta Gaming and Liquor Commission (AGLC) is authorized to issue gaming licences to eligible charitable and religious organizations to conduct gaming activities if the proceeds derived from these activities are used for charitable or religious purposes. Failure to have a gaming licence for a gambling event could result in criminal charges.

Gaming What is the criteria for needing a gaming licence? If it is a small event doing a 50/50 that may only make a few hundred dollars, is it still necessary? The three elements that determine whether a raffle licence is required are money, chance, and prize. Any time you charge someone for an opportunity to win a prize, and you award that prize, regardless of the value (donated or not), that is considered a gambling event. If those three things are taking place, it is a lottery scheme under the Criminal Code of Canada, and a gaming licence is required. It does not matter how small the raffle is or to whom the tickets are being sold. Are there any types of raffles that are exempt? No What if your organization is not a licensed nonprofit... does that mean you cannot hold any type of licence? The group must qualify as charitable in accordance

with AGLC charitable gaming policy in order to be eligible to receive a gaming licence. Groups do not need to be formally incorporated as a non-profit to qualify for a small raffle licence. However, to be eligible the applicant group must have a broad based volunteer membership which represents the community at large; Alberta resident volunteer members who establish, maintain control of and deliver the group’s programs; and have an executive that is democratically chosen from its volunteer base. Can an organization that is a licensed non-profit apply for one on your behalf? An eligible non-profit group cannot operate a gaming event with the intent of giving all of the funds earned to another group that is not eligible for a gaming licence. Is there a cost with getting a licence? For a raffle licence with a total ticket value of $10,000 or less, the AGLC does not charge a licence fee; however, Alberta registry agents will charge a non-refundable fee for service. This service fee is not regulated by the AGLC and may vary among registry agents. There is a no-charge option to obtaining a raffle licence online through the AGLC website.

Liquor What is the criteria for needing a liquor licence? A liquor licence is required when alcohol consumption is taking place outside of your private residence. If you are holding an event on private property, are you still required to have one? The AGLC does not licence private residences. No sale of alcohol is allowed in a private residence. If you are holding an event at a licensed premise, are you still required to get a licence as the event host? If the licensed premise is providing the alcohol, then you are not required to obtain any other liquor licence. MEETINGSALBERTA.COM

If you are charging admission to your event, do you need a Class B liquor licence, or can you do a special event licence? It is still be considered a special event licence, rather than a Class B licence. However, there are several different types of private and public special event liquor licences. Are there other restrictions that come with getting a liquor license (ie. Security, ProServe, etc.)? An event that is open to the public requires one supervisor for every 50 patrons plus one supervisor for every entrance and exit. ProServe and ProTect are only required for the Public Resale Commercial event liquor licences.

What’s the difference between a Special Event and Class B License? 36

How to hold a successful charity auction Q&A with Danny Hooper, Celebrity Benefit Auctioneer By Meghann Tanner When it comes to charity auctions, you are a very well known name. Tell us about your background. It began back in 1987 when I was invited by my Uncle Wes Spencer to help him with a Ducks Unlimited auction. Back at that time I was a country music entertainer, and Uncle Wes wanted me to come and provide some entertainment for the night. And after watching him do that auction for Ducks Unlimited I got the bug and I decided that I would pursue that as part of my career. Fundraising charity auctions are the only type of auctions I have done. Why did you choose charity auctions? I just decided to specialize – I recognized there was a real niche there within the auction industry. There are many different specialties within the medical or legal profession, and back then nobody was specializing full time in fundraising auctions, so I decided to pursue that niche.

Your business Danny Hooper Productions is more than just a charity fundraising auctioneer business. Tell us what else you do. The three links of my business are 1) the fundraising auction business, 2) corporate emceeing, and 3) speaking - primarily personal development training and speaking. I am a certified trainer for Jack Canfield (the co-author of the Chicken Soup for the Soul series). He wrote a book called The Success Principles and I was certified last year to become one of the trainers in the success principles. You have a book called Easy Money: How to Generate Record Profit At Your Next Fundraising Auction. Tell us what we can find in the book. I put this together primarily to help non-profit organizations, most of which are made up of volunteers who often don’t know what they don’t know. It was becoming very evident to me that a lot of opportunities were being missed at these charity events where kind-hearted volunteers were pouring their heart and soul (and all of their time, energy and financial resources) into organizing these events and they often weren’t as well planned

as they could be. There were often lots of opportunities, and lots of money, left on the table. Well not left on the table, but walking out the door at the end of these events. I found that very frustrating so I wrote a book and gathered up all the knowledge I had learned over the last 30 years in the industry into this book. So it’s been a great resource for my clients, and other non-profits.

You know what items don’t work anymore? Whatever worked last year.

In your experience working at the charity auctions, what makes a successful event? I call it the three E’s. The first E is it needs to entertain, the second is it needs to engage, and thirdly it needs to extract. The number one reason that people choose to buy a ticket to a fundraising event is not to raise money for the charity, as we may think. The National Auctioneers Association did a survey a few years ago and found that 93% of the respondents said that the number one reason they buy a ticket to attend a fundraising event is to have fun. So you really have to provide the entertainment for your event. I think that is one of the reasons we have done well in this space, with my background as an entertainer, I am always bringing a lot of comedy and humour to the event. The second one is engagement… you need to get people’s attention and hold it through the night. We’ve all been to those events where the crowd is out of control, nobody is listening to the emcee or auctioneer... the table chatter just drowns everything out. When the room gets out of control like that, you definitely are not going to achieve the results. And finally, you have to extract the money. A lot of events have both live and silent auctions. What are some “hooks” that you have seen that have raised the bar? One of the first things that comes to mind is the growing popularity of electronic bidding. There are a number of companies out there that provide these tablets that they place at everybody’s tables. They use these most successfully for the silent auctions. People are able to bid on the silent auction right from the comfort of their chairs, which is great because at many of these gala events they have nice meals and people don’t have to MEETINGSALBERTA.COM

be jumping up and down. That is also a distraction from the live auction… the last thing you want to have happening is having people jumping up to go and check on the silent auction. You want their attention on the live auction because that is where most of the big money is made. The second thing is cash appeals (fund-a-need, fund-an-item, fund-a-cause) and this is simply where we’re addressing the audience and saying “folks, a lot of you are probably feeling like you already have enough stuff and you’re not interested in participating in the live or silent auction. Nonetheless the very fact that you are here tonight says that you want to support the cause, so right now we are going to have a very simple cash appeal to raise some money for [specific cause]. Would anybody raise their hand and donate $1,000 (or $500 or $100).” The most successful one I ever conducted was for Sorrentinos Garlic Stomp in support of Compassion House a few years ago. They were trying to raise $250,000 to retire the mortgage on the renovation of Compassion House, so I turned to the audience (just on a whim – this was not planned or scripted) and said “folks, we have over 600 people here tonight. I know that we have 25 of the most successful business people in Edmonton here tonight, and I am going to ask if 25 of you would consider pledging $10,000 a piece so we can retire this mortgage.” Well in the next 90 seconds, 35 hands went up. We raised $350,000 in 90 seconds. Cash appeals can be very very successful if handled properly. Would you say experiences sell better than items in auctions? Generally speaking, yes. People are interested in unique experiences. I had an event a while ago where one of the trips was an opportunity to fly to St. John’s, Nfld and spend the day on the boat with a lobster fisherman and it sold for huge money. I had another event in Vancouver and it was a flop. There were 100 extremely wealthy people in this private home for this auction and each of the 8 items included Learjet trips to famous golf courses and I couldn’t give them away. It was horrible. In the aftermath, when we debriefed to figure out what went wrong, the light came on that all of these wealthy people already owned private jets, they already had fancy houses on golf

courses, so there wasn’t a lot of attraction to the packages that were being offered. What would have worked better for that crowd was a 10 day trip on a donkey up a mountain in Tibet… that kind of an experience would have been a huge home run with that kind of a crowd. So you have to be careful that you match your experiences to the crowd that you have in your room at your event. That’s where we work closely with our clients now – we have really stepped up our game in the last couple of years. With the downturn of the economy, we have started working a lot closer with our clients in terms of coaching them and consulting them to make sure they have the event set up properly, that they have the right items for the crowd, that they have the right people in attendance for the event. What are some of the most unique auction items you have seen? I did an auction for the NFL in California back in March and a gentleman donated his brand new Gulf Stream jet to take 10 people to any football game they wanted to

see. The donor said the winner could pick the hotel, pick the restaurant, and that sold for $75,000. Then we doubled up on it and made $150,000 on that one item. Another cool item I saw was at an auction for the David Foster Foundation in Toronto and the featured entertainer was Andre Bochelli. He donated 2 seats on his private jet to fly to Florence, Italy to stay with he and his wife in their home for 4 nights. That brought huge money. Three nights later I was in a church in North Edmonton trying to get $36 for 8 rings of garlic sausage! What items don’t work at auctions anymore? You know what items don’t work anymore? Whatever worked last year. The point I am trying to underscore there is that very often non-profit organizations get in a rut and they repeat the same things over and over. I’ve often said that Edmonton doesn’t need another autographed Taylor Hall jersey in an auction. We see it quite often where they get the same 8-10 items and are trying to sell it to the same audience as last year. You

need to change it up… What you are always trying to do is raise the bar and make it a better event than it was last year. People don’t want to spend $100 on a ticket and come and find it is just a repeat of last years’ event. There is no excuse for not finding great items. In my book, I list 400 items in the back that are all things I have sold. I put them in there to stimulate people’s thinking and imaginations. It’s amazing when a committee sits around a table and starts going through the list and starts pooling resources. For example, if they want to auction off tickets to the Superbowl – chances are someone in that room knows someone who knows someone who can get tickets to the Superbowl. It’s the six degrees of separation. There are also consignment companies out there who offer all kinds of amazing packages. I did an auction for the Catholic Church up in St. Albert a few years ago, and they were celebrating a major anniversary and we went to one of the consignment companies out of California and arranged a trip to the Vatican that includes a tour of the private Vatican museum, which is many levels underground and not open to the public. These are the kinds of doors some of these consignment companies can unlock and you can get some unbelievable packages that you could never put together on your own. You are known for your Wild Card auctions – tell us about that The Wild Card auction is the simplest little idea in the world and that is probably why

it works so well. I came up with it years ago after hearing people at events say to me “you know I would have been happy to donate an item to the auction, but nobody asked”. And I heard that over and over so I came up with the simple idea to take a package of those neon coloured index cards, throw a couple down on each table and invite people at the event to write something down. I was doing an auction for STARS Air Rescue up in Cold Lake a few years ago and one of the Wild Card donations was the local doctor donated a painless vasectomy. And it sold for like $3,800, and then we doubled up on it. The crowd was in an uproar because it was so entertaining! To date, the Wild Card auction has generated, by our calculation, just over $1,000,000 for non-profit organizations. What are some tips you would give to people when they are looking to hire an auctioneer? I would say that a fundraising auctioneer is a specialist… fundraising auctioneering is a highly specialized sector within the auction industry. There are many types of auctioneers, each who have their specialties. You have your heavy equipment auctioneers, you’ve got your fine arts and antiques auctioneers, you have your livestock auctioneers. As with any specialty, I jokingly say in my book, if you need a root canal, are you going to go see a gynecologist? Probably not… even though they are both doctors, you want to go to a dentist. You want to go to someone who specializes in oral surgery. Here is the big difference – fundraising auctioneers have a different way of thinking. A cattle auctioneer thinks about one thing: how much money can I get for this heifer? An auto auctioneer thinks, how much money can I get for this classic car? An antique auctioneer thinks, how much can I get for this antique chair? A fundraising auctioneer, however, thinks, how much money is in this room and how can I collect as much of it as possible for my client? And to do that we have a broad spectrum of techniques, strategies, tools of the trade that we use. We have things like the wild card auctions, cash appeals, legacy auctions, triple chance raffles, super silent auctions, just to name a few. We have all of these techniques. When you ask a cattle auctioneer,

or a media personality to conduct any of those things, they don’t have a clue. So if you are relying on just the live auction, you are really missing an opportunity to capture a lot more money that is in that room. This is why it is really important that you find an auctioneer who has experience with fundraising auctions, is trained in the specialties of fundraising auctions, who has the ability to consult/coach your organization (you’re going to have a million questions between when you find your auctioneer and when you have your event night and it’s important to have someone who can answer those in plain language so everyone understands), and finally you are looking for someone with a proven track record. I feel very blessed that we are as busy as we are and I have many clients who I have served for over 20 years – organizations like the University Hospital Foundation, Shriners Club, a number of Rotary clubs. They wouldn’t hire you back year after year if you weren’t providing value, so people get hung up thinking of their auctioneer as a cost, but it isn’t. The auctioneer is the most important person in the room once the doors open and the evening gets underway. The evening needs to be focused on fundraising and nobody is better equipped to keep the focus on this than a certified fundraising auctioneer. And fortunately there are getting to be more and more specializing in this field – and that is a good thing. Any last suggestions for event planners when planning an event Yes, buy my book. It’s the best $24.99 you’ll spend. I used to be shy about saying that, but now, shameless self-promotion, call it what you want – the $25 is not going to make any difference in my world. It’s going to make a huge difference in the world of the people using it. I have people ask me why I would put all of my secrets and knowledge into a book for anyone to read and I just believe that this information needs to get out there, needs to be shared, and every day I go to bed knowing that there is a copy of that book circulating that is helping raise who knows how much money for who knows what organizations, and I feel good about that.
