A new year means a fresh crop of ideas to make the event industry even bigger, better, and more fun than last year! In this issue we feature Brent Taylor – Managing Partner at Timewise Event Management and the 2018 Event Professional of the Year (Canadian Event Industry Awards). We also get some insight from Caitlin McElhone, the Edmonton Event Awards 2018 Event Planner of the Year about how apps can be used by event planners. This issue we dig deeper into the City of Edmonton, showcasing some of the changes that have been happening and will be happening, and some of the people, places, and things that keep the event industry thriving in Festival City. There are so many options out there for online ticket selling platforms, but a Calgary-based company has developed one that is custom designed for fundraising events and non-profit groups. There are no fees to use GenerousTickets for the organization; instead the purchaser pays an administrative fee (2.9% on every transaction), and half of that goes to GenerousTickets and the other half to the nonprofit. If there is one thing all event professionals have in common, it is our obsessive use of lists. Google Keep is a free app that allows you to keep your checklist on you at all times! You can create multiple lists and colour code them to keep track of all of the events you have on the go. When completed, you get to check it off and watch with satisfaction as the item is crossed off your “to-do” list!

DTA2 Study The Decision To Attend Study for conventions and exhibitions, put on by the Experience Institute found that the three top reasons people attend meetings in person are: 92% for education, 78% for the destination, and 76% for networking opportunities. The main barriers are cost, time, destination, and approval. The majority responded that they register 2–6 months in advance, with only 10% registering less than a month in advance. Barney’s Pub in Leduc has a “Pour My Beer” wall featuring 12 Alberta craft beers. GO WEST

GO WEST 2018

O

n February 12 and 13, 380 event professionals gathered at the River Cree Resort and Casino in Edmonton for the First Annual GO WEST event. Produced by Timewise Event Management and powered by FMAV, it was an energy-filled two days that combined education, networking, and interactive experiences. The conference opened with a keynote address by David Merrell of AOO Events on 2018 Event Trends and Forecasts. He covered trends in event design, technology, and food and beverage. There were a total of 8 other speakers, covering everything from food and beverage trends, to intentional event design, to marketing, to branding (both professional and personal). The formal portion of the conference ended with a Tech Showcase, where 4 tech companies each had 5 minutes to showcase their products. The Experiential Hall then opened, where attendees got the opportunity to talk to vendors and see and experience their products first-hand. During this time, there were also mini-sessions such as “Art of Chocolate Making”, “Reduce, Reuse, Recycle, REWARD”, “Top 3 apps #eventprofs can’t live without”, and “Instagram” taking place in the hall. Everyone left the event with notebooks full of ideas, bags full of giveaways, and pockets full of business cards!

lanning an event in Edmonton has never had so many opportunities! Whether you are planning a conference, gala, corporate retreat, wedding, or a meeting, the resources are endless. Edmonton has seen dramatic growth in the last few years with the downtown revitalization project. The downtown core is now home to the new arena, Roger’s Place, and the area around it, which has been named Ice District. Opening this year is the new Royal Alberta Museum, which will be the largest museum in Western Canada. But downtown isn’t your only option if you’re looking for event space – the south side, west end, and greater Edmonton area all have plenty of options to ensure that you’ll find the perfect location for your event!

Getting Here By Plane: There are 59 destinations that fly non-stop to Edmonton. The International Airport is a 25-minute commute to the downtown core. There are plenty of options for transportation – whether it is by cab, a rental car, a shuttle bus, or Uber, there is something for everyone. By Train: For those coming from within Canada, Edmonton is still a Via Rail destination. With 24 other stations throughout the country, Via Rail is a great option for travellers looking to take in our vast landscape, stress free.

By Automobile: The Queen Elizabeth II (QEII) Highway starts at the US border and runs all the way north through Edmonton and up to Grande Prairie. A direct route into the city, the QEII is well-maintained, making it a pleasant commute regardless of where your event attendees are coming from. The historic Yellowhead Highway is also a direct route into the city and has lots of interesting stops along the way for those who have a bit more time! Once in the city, the Anthony Henday is a ring road that makes getting anywhere in the city a quick and painless journey.

Together at Last It’s been a topic in the Edmonton events industry for over 30 years. Edmonton’s two world-class convention centres, the Edmonton EXPO Centre and Shaw Conference Centre, have now come together under the management of the Edmonton Economic Development Corporation (EEDC). In alignment with the City of Edmonton, the Shaw Conference Centre is committed to building a social, environmental, economic, and financially sustainable society. The facility was the first convention centre in Canada to receive Green Key Level 5 certification, and it is one of only five venues in Canada to receive the prestigious ASTM International certification. With an average of seven sustainable conventions annually, the venue conducts comprehensive waste audits for clients. Their waste management and composting program diverts over 255,000 pounds of waste from the landfill, and they compost 205,000 pounds of food, which results in a 67% waste diversion rate. On-site guests will find an urban beehive, Indigenous Medicine Wheel Garden, and 60 species of plants that convert 4,000 pounds of CO2 annually.

The Edmonton EXPO Centre is easily accessible no matter which transportation option guests prefer. For transit or LRT users, it is located beside the Coliseum Transit Centre and the Coliseum LRT Station. For those who prefer a direct drive, there are thousands of parking stalls just steps away from the front doors. Event Professional of the Year Personable. Analytical. Introverted.

T

he best in the Canadian event industry this year? An introverted Albertan. Brent Taylor took home the coveted and prestigious Event Professional of the Year Award at the 2018 Canadian Event Industry Awards in March. “It’s recognition on a national level for my contributions to the industry,” says Taylor. “It’s reaffirming that, as a business, we’re heading in the right direction and doing the right thing.” For those familiar with Taylor and his work, this may not be a surprise. As a team, Brent Taylor and Arlene Schilke have worked diligently to revolutionize the industry. Schilke founded Timewise Event Management in 1999, with Taylor becoming a managing partner in 2004. “It’s neat working with your spouse,” says Taylor. “It’s something we share in common.” Now, Timewise is spearheading various initiatives in the region. Particularly, the Edmonton and Calgary Event Awards recognize the efforts, ingenuity, and leadership in Alberta events, while also providing space for professionals to bridge connections and build community. 24

This year was also the first for GO WEST, a two-day event consisting of a conference and tradeshow. “Canada has a lot of conferences out east,” explains Taylor. “But there’s really not much beyond small chapter events in the west.” GO WEST therefore seeks to make national and international speakers more accessible to western Canadians — especially young event professionals. The more knowledge available to the Albertan (and Canadian) industry, the more the industry can grow and flourish. Timewise is also launching the not-forprofit Event Professionals Foundation to help offset some of the necessary costs to attend national and international conferences. Such exposure and opportunity are invaluable. “You come back energized and wanting to strive to do more. You come back with new relationships with people from other parts of the world,” explains Taylor. Taylor himself is feeling that energy, as he was recently appointed to a threeyear term with the Meeting Professionals International (MPI)’s International Board of Directors—the largest association for event professionals in the world. And he is one

do it, the more you realize that the world isn’t going to fall apart.” Even now, Taylor considers himself an introvert. “Introverted/extroverted really comes from how you recharge, while shyness inhibits you,” he says. He’s seen a vast change in his inhibitions over the decades, and he credits his participation in organizations like MPI. “When I first started going to MPI events, it was hard trying to break into a clique of people that you don’t really know,” he admits. “But I volunteered on a committee and it just accelerated the relationships.” Subsequently, Taylor has chaired a committee, led two terms as

president of the MPI’s Greater Edmonton chapter, served on advisory boards, worked on international committees, earned his Certified Meeting Professional (CMP) certification—and is now serving as an international board member. He has learned—and continues to learn—a great deal. And although he has worked in the industry for 25 years, the Event Professional of the Year Award reflects Taylor’s contributions in 2017 alone. “I am always looking for ways to be better tomorrow than I am today,” he says. “I want to help the industry develop, and this motivates me to push even further.” n

Super shy and withdrawn—not very social,” he explains. “Twenty years ago, could I have done a cold call or shown up in a room full of people where I don’t know anybody? No… but the more you

Incorporating local festival fun into your destination conference In Edmonton, we celebrate festivals all year round. So it’s likely that, in any month, your delegates will be able to catch one while they’re in town. But what if your event dates don’t align with the festival that you want? Incorporating elements of festivals like storytelling, music, and cultural discoveries are all possible when you design your entertainment programming with help from a local festival producer. Plus, incorporating engaging entertainment is one of

the easiest ways to promote networking, information sharing, and create an exclusive experience for your attendees. “It is often easy to be lured by a choice of an artist that may be considered an international star, but what truly makes the experience unique to the visitor is when excellent local artists are invited to perform,” says Daniel Cournoyer, Executive Director of La Cité Francophone and The Flying Canoë Volant Festival. “What comes from elsewhere may seem exotic to local organizers, but remember that these artists can also be seen in any major centre of the world. What we all really crave are conferences that excite and inspire attendees from the moment they book flights, through to telling coworkers and friends about it afterwards. These kinds of conferences might be rare, but they don’t have to be. Conferences are massive undertakings. Planners are expected to balance the needs, goals, vision, and budget all while coming up with an inspirational and creative experience. Not to mention the “never before seen” concept that they’re hoping to pull off in a brand-new city! That’s why we’re here: to help you understand how to incorporate local festivals into your next Alberta event so that conferences of any shape and size can create an experience that is unforgettable. When conference planners choose a city for their event, they should consider what is unique about their location choice. Festivals or elements of local festivals are a truly unique opportunity to showcase what is special about a city and its people. Shelley Switzer, Artistic Producer of the Edmonton International Street Performers Festival, works yearround with planners by tapping into a network of entertainment professionals that are truly representative of Edmonton talent. “With the Street Performers Festival, we’ve been doing this for a long time — we’ve done it all. If the planner needs an act greeting people at the doors of the conference centre for a great first impression, or if their conference draws participants of diverse languages from around the world, they might require a non-verbal act. If they are a family event, we can offer family-friendly entertainment. We’ll work will planners to understand their entertainment goals and help create something that is completely unique.” Shelley works with an impressive assortment of local, regional, and international talent and has a history of helping to create design elements, heart-stopping entertainment, comedy, impersonations, acrobatics, and more that have taken conference entertainment to another level. The Flying Canoë Volant Festival has collaborated with the City of Edmonton’s Winter City Shake-up Conference on two occasions over the past four years. On both occasions they were able to adapt festival elements to a smaller format without losing the magic. The Flying Canoe Races were an opportunity where conference-goers could actually sign up a team and partake in the event and not simply watch the competition. This created an excitement for all the delegates as they watched their peers partake in something uniquely Edmonton.

The real festival fun starts when the temperature drops... below zero Festival City. Winter City. Why not both? As a meeting planner, it’s a big task to plan off-site and outside-of-the-box activities, especially during the coldest months of the year. Fortunately, in Edmonton, we have a history of hosting great winter city gatherings and invite conferences to join in on these festivities. This can be done by selecting event dates where a local festival falls in the pre and post shoulder dates or, if the conference capacity allows, as a simultaneous event. Seven major outdoor winter festivals brighten our dark months: Ice on Whyte, Flying Canoe Volant, Silver Skate, Luminaria, All Is Bright, Deep Freeze and the Canadian Birkebeiner Ski Festival. Our reputation as Canada’s festival city is upheld through every season with these outdoor events. It helps that winter design is everywhere: streets and public gathering places designed to capture sunlight and block the wind, walkways that are easy to navigate, and playful lighting illuminating our long winter nights make it easier and more enjoyable to stay outside, even when it’s cold. With more people outside on the streets, the city feels more alive, attractive, and appealing to visitors in the city. n

Helpful tips Rely on the Experts – Get in touch with the city’s DMO (Destination Marketing Organization), and work with them early on in the process. They can help check for city closures, put you in touch with a network of festival experts and practical marketing materials about the city. It’s all About Communication – Local festival producers can help provide show information and materials for preconference packages. They can help you get registrants excited for the event and plan festival visits into their itinerary. Letting them know what’s on in the city ensures that they don’t feel lost arriving in a city where many events are happening simultaneously. Don’t Underestimate Entertainment – Entertainment can often be perceived as risky, undervalued, and irrelevant to program planning. This is because most programs don’t align entertainment with the conference objectives. Festival producers, with a wealth of experience, can help navigate these options and make your event one attendees won’t soon forget.

Part 1 of 2: Guests, are you ready to commit or... “It’s complicated”? By Eryne Sarabin As we dive into the various event registration planforms that we have at our fingertips, it is important to note the difference between some popular terms that pop up when looking into different event registration programs. • freemium: This essentially means that some features are offered for free, while others are unlocked with a premium subscription. • open source: the original source code of the software is made freely available and can be modified. • free: the program or app is free to use, and there are no fees.

E-mail RSVPs and/or Fillable Electronic Forms: a tried-and-true method – the ‘ol e-mailing in your RSVP or filling out a PDF, fillable or not, and e-mailing that

into the event organizers. Whether you are asking guests to e-mail their response back to you, or you have created a registration form yourself or worked alongside a graphic designer, you need to be prepared for the administrative time that this process requires. It may, at first, seem like the easiest and less resource-heavy approach, but managing a constant stream of e-mails and compiling all information captured in a form can be extremely time consuming. This approach, though not one we would advise, is still a great ‘go to’ for smaller events or perhaps private events.

Cvent: offers many resources to assist with functionality, troubleshooting, conference promotions and marketing, travel logistics, payment collection, etc. A perfect option for large-scale events and specifically targeted at conference registrations. s event planners, we can appreciate those moments when we find ourselves registering for someone else’s event and the process is nothing short of painful! Determining the approach to how you’re going to tackle your event registration stems from the type of data you want to collect as much as how much time your guests will be happy investing in and navigating the registration process. I find it helpful to ask myself the following questions before leaping at one approach over others: How many guests do I anticipate will be attending the event, how will registration be run and managed on-site at the event, do you want your registration to be connected to an app that can be used by attendees on-site at the event, what kind of data do I want to collect, is registration free, and so on.

Something that I can see the value in and get on board with is the idea that, as per Eventmobi’s website, “Our integrated platform brings together technology tools that cover the entire event lifecycle.” Some event planners may be familiar with the platform, as it was most recently used at the GO WEST event. Event Smart: based on a freemium model, you can host and manage multiple events simultaneously under one account. This software allows you to add collaborators to any of the events so that multiple people can be working on any given event under different log-ins. Think of the type of event and the most complementary platform, cost, and ease of use for your guests. You want to make the registration process as painless as possible and answer all guests’ questions before they even knew they wanted to ask. Event registration needs to be a seamless, easy, and time efficient process. Make the most of your captive audience while you have them. Event registration wouldn’t be a complete process with identifying the opportunities, tech, and logistics of onsite guest registration and check-in. Using Apps for Your Event Q&A with Caitlin McElhone of CM Events By Meghann Tanner What do you look for when you’re considering using an app?

Why do you use apps for your event company? I learned early on that it was helpful to understand how to use basic event technology, especially at conferences, instead of having to rely on the AV tech all the time. So over the years I’ve become a bit obsessed with technology and what it’s capable of. When I started my own business, it was important (and crucial to the success of my business) that I became as efficient as possible, especially because I have two small children at home. I didn’t want to stop working, so my solution was to figure out how to incorporate apps and technology to make my business mobile and efficient on the go. Apps can be used for just about everything these days… How can event planners use apps to help with their business? My experience is if you can think of it, there is already an app out there that can help you with what you need. Apps are an incredible resource that can make your life easier and help save you time. They can not only help with all of the day-to-day stuff that can bog business owners down (like tracking mileage, hours, expenses and producing invoices) but also assist in keeping information on all your platforms the same and updated in real-time. I also use apps for critical paths and checklists so I can easily access information for clients on the go. Apps allow ease of sharing and storing documents with clients and suppliers, as well as manage social media for events. It doesn’t matter where you are, with apps you can run your business or coordinate events from anywhere.

The first one for me is ease of use. I have learned that there are many apps that all do the same thing — so just because one app worked well for someone else, doesn’t mean it will work well for me. I usually give a new app 10–20 minutes and if it isn’t easy to use right away, then I know it’s not the right one for me, and I move on to the next one. I also look for the ability for an app to be available across all my platforms — so if I download (and pay!) for it on my phone, I also want it to sync to the same app on my ipad and laptop and update in real-time. Another great tip someone once gave me is to ask yourself, what exactly is it that I need this app to do for me (or the event)? That can really help to narrow down the options when searching for one. I also make sure they have a website associated with them — I never download apps directly from the app store. I go online and do some research to make sure they have a platform for customer service and that an actual company (preferably from North America) is running it from behind the scenes. Do you worry about the app company going out of business suddenly and losing all of your event information, or do you back it up regularly? Both. It’s definitely a risk, but if you do your research and you’re using apps that are run by a credible company, the risk is much lower. Just like if you’re using an on-line registration company or other event software, there is always a risk of it changing hands or going out of business. It’s the same with apps. Its good practice to keep everything backed up regularly; whether it’s on the cloud or on your computer so you can mitigate against loosing everything in case something happens. In my experience, an app rarely just disappears (especially if you are using ones from credible companies), but it may get bought out by a different company, so the name might change or the layout might look different, but not that the app stops running or isn’t accessible anymore.

What are some of the challenges you can expect with using apps? How do you overcome them? There are a few challenges for sure. The biggest one being that change is hard. If you’ve been using traditional programs, like Word, or a type of software for a long time, it can be hard to make time to learn how to do something in a different way, even if it will be more efficient for you in the long-run. For me, one of the biggest challenges was finding it in my yearly business budget to make sure I had access to strong enough Wi-Fi and enough data to support the apps I was using day-today. I went from having 500mb of data on my phone per month (and a fairly cheap plan!) to 15gb per month to help support the amount of data all the apps required. Updates are also important — if you’re trying to run a bunch of new apps on old technology (e.g. first generation iPads) or don’t take the time to complete the software updates each week, then chances are they’re not going to run properly. To go mobile or to utilize apps to run your business or events, you do need to support the software with updated and current technology. Do you need buy in from the entire team to be able to effectively use apps, or is it something you can use for yourself? I have found that just because I use apps to make my work and business more efficient, doesn’t mean that I can expect my clients or committees to do the same. It’s hard as the third-party planner coming into an organization or planning committee and being so excited about new ways to make communication or document sharing more efficient, and often they are not willing to learn more technology than what they are already using. I always ask if we can try a new app, but technology is only as good as the lowest user on your team, so if I want to use an app to help better communication within the team, but one person isn’t comfortable using it, then we can’t use it. After all, you’re not going to e-mail that one person separately — that just makes the planning process more inefficient. Most apps are great though — I can have a critical path

or timeline done through an app and still e-mail a short to-do list or checklist to a committee member, which keeps that communication easy without anyone having to download or learn a new program and still keeps it streamlined and efficient for me. Are there any privacy concerns with putting all your clients/vendors information on apps?

Then I started to experiment with productivity apps (like check lists and cloud storage) and then, when I felt comfortable running my business off my phone I started experimenting with event based apps (like registration and survey’s). Now if there is something I need done, or tracked or shared for an event, I see if there is an app or online software that can assist in making it more efficient for me first. Technology is there to make your life easier, not more challenging, so if an app doesn’t help make things more efficient for you, then don’t fight with it, just try something else. I also think being consistent is important — give going digital a real chance. Pick one or two things that you want to try eliminating paper with, and give yourself a timeline to try to make it work for you. Change takes time, and it takes time for our minds to adapt to a new system as well.

Event Liability Insurance 101 Q&A with AMA Insurance By Meghann Tanner

Events Liability Insurance is a short-term liability insurance that can help protect you if you’re found legally responsible for any damages or injuries that occur during your event. It includes coverage for things like bodily injury and property damage liability, host liquor liability, medicalexpense coverage, and non-owned automobile coverage. Are there different types of liability insurance for events? (Events with liquor, without; events with sports, etc.) Yes, there are different coverages available for different types of events – public events, invitation only, booths and kiosks, etc. And whether or not liquor is being served is certainly a factor. You can even get hole-in-one insurance coverage for your golf tournaments.

When you’re looking for liability insurance, what questions should you be asking? Make sure to have as much info about the event as possible. You will need to know what type of event it is, where is it being held, how many people you expect to attend, whether it’s open to the public or a private event, the date, time and duration of the event, the type of activities your guests will be participating in, and whether or not food or liquor will be served. It’s also important to find out if the hall/venue you’re using wants to be listed as an additional name insured. Your venue agreement should outline what your specific insurance and liability responsibilities are.

Most event planners who own their own company already have insurance through their business, but if it is a volunteer group or board doing the event, how do they protect themselves? Event liability insurance is a good option for these types of organizations. It would be a shame for all of their good work to go toward paying a lawsuit, rather than going to the cause they’re working so hard to support. What mistakes do people usually make when they are getting insurance? One of the most common mistakes we see is the hosts not making sure they have a valid liquor licence prior to applying for insurance. When liquor is being served, the liquor licence must be provided at time of application. What is the average cost of insurance? That can vary depending on the type of event, the number of people attending, and the activities or what is being served at the event, but the cost is very reasonable. It’s a relatively low cost when you look at your other expenses to host an event and the peace of mind it provides.

Why is it worth the expense? Any time you invite people to an event, there’s a responsibility that comes with that. If someone is seriously injured or there is damage to the venue and you’re found responsible, that can be difficult to recover from. But if that’s compounded by having to pay millions, or even thousands, of dollars in damages, the financial impact on you or your organization could be devastating. n

Setting the Stage

Developing a Signature Cocktail

O

ffering a signature cocktail at your event is a great way to add a unique and customized experience without adding a lot to your already limited time and budget! Signature cocktails also give event attendees something to talk about, making them a great tool to help your guests connect. Here are a few ideas to get you started:

Match your theme

Keep it simple

Your cocktail should fit into the theme of your event. If your décor is based around a particular colour scheme, incorporate that into your drink. If there is a guest of honour at your event (i.e., a wedding) consider their interests and likes when developing the drink. Farm-to-table can also be applied to your drinks — source out local ingredients for the fruits, vegetables, and garnishes. And finally, as the finishing touch, make sure the name of your cocktail communicates your theme.

If your cocktail is elaborate and takes a long time to make, you’ll have a line at the bar all night and unhappy guests. Keep it simple so the bartenders can keep the line moving swiftly. If possible, batch your drinks in advance for optimum efficiency.

Choosing your liquor

Just as important as what is in your signature cocktail is the presentation of it. Make sure the glassware chosen, napkins, and garnishes all fit your theme and bring a visual ‘wow’ factor!

But I’m not a mixologist... A signature drink doesn’t have to be completely custom and unique. You can take a classic drink and make it your own by matching the presentation to your theme and giving it a name that is custom to your event.

Don’t forget! Not everyone at your event will want a drink — consider making a non-alcoholic version of the drink for minors and those who are not drinking. If you are serving liquor at an event in Alberta, you require a liquor license. Make sure you have all the Alberta Gaming & Liquor Commission requirements in place before you serve! n

Keep in mind the diversity of tastes that everyone in the room will have. Some liquors like Scotch or Sambuca have a stronger taste, which are not as universally liked. White spirits (vodka, gin, and rum) are a better choice for creating a drink that won’t have an overwhelming, alcohol-forward taste.
