| New Event Space On January 1, 2019, the Shaw Conference Centre in downtown Edmonton was renamed the Edmonton Convention Centre. The venue was originally called the Edmonton Convention Centre until 1997 when they made a naming rights agreement with Shaw Communications. The venue celebrated its 35th anniversary in 2018. “Leveraging the Edmonton brand was a natural fit for the Edmonton Convention Centre name,” said Richard Wong, GM, Edmonton Convention Centre. “Recognized by the International Association of Venue Managers (IAVM) as one of North America’s top five performing convention venues, our vision for the future is to showcase the Edmonton experience to the world.”

In May, Polar Park Brewing in Edmonton opened its new event space. With over 4000 square feet of indoor space and an additional 1000 square feet on a south-facing patio, the venue can accommodate more than 200 people.

In April, the Edmonton Convention Centre announced they were awarded with Level One recertification in the American Society for Testing & Materials Environmentally Sustainable Meetings Standards by ASTM International and iCompli, a division of BPA Worldwide. They are one of only five venues in Canada with this certification, which is only awarded to venues that meet the ASTM standards in environmentally sustainable meetings, trade shows, and conferences. Part of the experience of any conference or event that is away from home is getting to be in a different city. Cannabis & Events A whole industry has surfaced in the events world By Jody Paulson

t is probably safe to say everybody has heard of 420 — the day of the year considered by cannabis culture as an occasion for lighting up at sanctioned events around the world. Well, think bigger... way bigger. On October 17, 2018, recreational cannabis became legal across Canada, and now there are not only 420 events but also lift expos, hemp fests, and cannabis conferences. In fact, a whole industry has surfaced in the events world. The question is, how will this change our industry, what are the laws around consumption and sales, and what can we do to be prepared? First things first, let’s look at what we already know. Cannabis is legal in Alberta, but... • Only if you’re 18 or older • Only from licensed stores or online at alberta.cannabis.org • 30 grams is the most you can buy or carry at a time • You can’t smoke (or vape) in some public places—know your local laws • Only 4 plants can be grown per household • Driving high is illegal • It can’t be within reach of anyone in a vehicle • Edibles are not yet legal to sell • Kids can’t enter cannabis stores, even with an adult Source: alberta.ca/cannabis-legalization.aspx

So what does that mean for event planning? Well, for one thing, your plan won’t include edibles. That law likely won’t come into effect until Fall 2019. What you will need to know is if serving any form of cannabis will prevent you from serving alcohol (the two don’t

mix well). Currently, retail establishments that are licensed to dispense cannabis cannot sell alcohol, cigarettes, or prescription drugs, so expect some limitations when it comes to events. Will your next market include cannabis-education events, cannabis-user events, or is that a no-go for you? Another consideration is insurance. Will your current provider cover liability related to cannabis? ILEA Edmonton hosted an event in March 2018, Risky Business 2.0: Up in Smoke, an educational event designed to help prepare event professionals for the impending legalization. One of the expert panelists from an insurance and risk management provider strongly recommended increasing your liability coverage to at least $4 million. This is something to look into, especially if it’s a target business area you want to pursue. Looking ahead, what could legal consumption of cannabis at private or public events look like? Perhaps designated cannabis tents, where consumption by smoking, vaping, or edibles can be done similar to the festival-favourite beer tent. Work with your venues in advance of the event to become familiar with their policy and restrictions, and discuss this with your clients. A total ban on cannabis consumption could mean looking for a different venue. Make sure that you clearly communicate to those attending if all smoking is prohibited on-site. Add extra security if you do plan on providing an area for cannabis

consumption. Be aware of the signs of overdose and adverse reaction, and be prepared with an emergency plan so you can respond effectively. Limit your risk by investigating your legal liability before you venture into an event that includes cannabis—you are responsible to protect yourself and your client. Regardless of your personal feelings towards cannabis use, the reality is that it is legal, and clients will begin to include it in their events. It could even become a whole new specialty area. Be prepared before it happens. We often want our clients to think out of the box when it comes to event themes and concepts. Now is the time to do that. It is 2019, and recreational cannabis is legal in Canada, with the legalization of edibles on the horizon. Now is the time to reflect on whether or not you want to be a part of the change. n

Contracts Can Kill Your Events What is at risk, and what do event hosts need to know? By Heather Reid

isk is both the chance of encountering harm or loss and an assessment of the degree of exposure to loss or injury. Risk management (the identification, evaluation, and prioritization of risk) is a cornerstone of an event planner’s professional practice. In almost every component of the event planning journey, we encounter elements that speak to “risk”—including the acknowledgement of risk possibilities, the assessment of potential damages, the anticipation of known risks, the planning for mitigation, the backup plans A, B, and C… and so on, and so on. Risks associated with events are wide-ranging: natural disasters, emerging risks, terrorism, collateral damage, health and safety concerns, crime and fraud, reputation and public image damage. One of the most often overlooked elements of risk management is the 20

contract signed for the venue in which to host the live event! Venues’ rental contracts are carefully crafted by their legal counsel to shift the burden of financial and logistical risks to the event host. Venues have rental contracts that address risks and risk management as they pertain to the venue. Venues have rental contracts that protect their own financial and logistical interests to the maximum extent. So, what about the event host’s best interests and risks? Who is protecting event hosts? Regrettably, it is rare that event hosts engage with legal counsel to negotiate venue contracts in order to protect their best interests and manage risks. In fact, many event hosts take a “DIY” approach, which sadly leaves them unnecessarily exposed to reputation, financial, and logistical risks. For those event hosts who wisely invest in having event professionals plan and

execute their events—either as staff or as sub-contractors—there is an implied expectation that we will protect their best interests and manage risk. After all, we are hired to be the event’s advocate, we are hired to be savvy and articulate negotiators, and we are hired to be masterful at contracting. And yet, in my experience, the expertise that event professionals have specific to event contracts varies widely.

What Do Event Professionals Need to Know? Event professionals are expected to recognize what risks are addressed in a venue contract, what risks are not addressed, what the terminology and legal language in the contract means, the implications of the language, and how to negotiate the clauses to achieve a BALANCED contract. What is a balanced venue contract? Balance, by definition, means fair and in good proportion. A balanced venue contract, therefore, is one that addresses and protects the needs of both parties— the venue AND the event host.

The indemnification clause in a venue contract requires the indemnifying party (the party that has caused harm) to protect the indemnified party (the party that has had harm done to it) and pay for loss and damage incurred by the indemnified party. It’s a promise to pay and means there is an assignment of blame or fault.

Consideration 2: Seemingly simple words can actually be powerful legal terms, and the term impossible in the Termination clause is one of those. The term impossible refers to incidents that clearly and

Consideration 3: Terms such as sole and gross have specific legal meaning. Watching for and negotiating to remove these terms will broaden the opportunities to invoke indemnification and, thus, seek damages.

Termination and cancellation are not interchangeable terms in a venue contract! Termination refers to unforeseen situations that have been exerted on either the venue or the event host that make it unsafe or burdensome to execute the contract.

Termination In a venue contract, termination means either the venue or the event host can end the contract for reasons/events happening beyond their control and without liability (i.e., absence of monetary damages) to the other party. The concept of termination can also be referred to as “Acts of God,” “Excuse of Performance,” “Force Majeure,” or “Impossibility.” Consideration 1: Whether termination is worded in broad terms or a laundry list of specific scenarios, event hosts need to ensure that the risks that are specific to the event location, the scope of event logistics, and the audience demographics are itemized. It is the event host’s

undeniably impact the ability of either the venue or the event host to move forward with the hosting of the event. Impossible, therefore, indicates an objective decision. For event hosts, however, it is not sufficient to only address scenarios of impossibility. Event hosts require a balanced clause that addresses all levels of possibility: impossibility, impracticability, and frustration of purpose. Consideration 3: A balanced termination clause needs to allow an event host to claim termination in advance of the actual event dates. To this end, the clause should identify a window of time that termination can be invoked.

Consideration 1: Consulting with your event insurer is paramount before the contract is signed. Do you know for certain that your event insurance covers each of the “audiences” (i.e., employees, attendees, agents, subagents, etc.)

Indemnification applies to both venues and event hosts. It requires the party that has caused harm to protect and pay for losses and damages incurred by the party that has had harm done to it.

The cancellation clause in a venue contract is included to permit either party to withdraw from the contract— for reasons of their own or for reasons of breach of contract—all with the understanding that damages (typically monetary) are owed to the other party. Consideration 1: Typical venue contracts protect the venue’s interests “to the maximum,” should the event host wish to cancel the contract for their own reasons. Are you sure that your venue contract

addresses and adequately mitigates the risks and damages for the following contexts for cancellation: cancellation by the event host due to the breach of contract by the venue; cancellation by the venue due to the breach of contract by the event host; and cancellation by the venue for their own non-contractual reasons.

For an event host who needs to cancel the contract then, a balanced contract contains provisions for the venue to assist the event host in minimizing the damages owed (i.e., reselling meeting space, reselling guestrooms).

Attrition An attrition clause in a venue contract represents a commitment on behalf of the event host to meet a minimum standard of financial performance. Financial expectations in terms of guestroom revenue, food and beverage revenue, and meeting space revenue are typically carefully identified in the venue contract, along with criteria and monetary damages associated with not meeting these expectations. Consideration 1: While a planner may think it is a great option to not have an attrition clause or to be able to negotiate attrition out of the contract, unless there is very specific language in the contract acknowledging this, the event host may be wholly responsible for the entire room block. Do not leave your event unnecessarily exposed.

Consideration 2: Is the cancellation clause calculated from a position of profit replacement or from a position of anticipated revenue? Do you know the difference? Negotiating the costs of cancellation from a position of profit replacement minimizes unnecessary financial payouts by event hosts. Financial risks are of the highest importance to every business. Consideration 3: It is important to understand that one of the premises of law requires the party

Consideration 2: Unless specifically captured in the venue contract, an event host could be unnecessarily penalized for “underperformance” for reasons beyond the event host’s control. Be sure to have attrition and termination clauses cross-referenced. Consideration 3: Just like damages assessed for cancellation situations, attrition damages should be calculated as the profits anticipated to be generated from the full execution of the contract. It is a fundamental premise of law that a venue should not end up in a better financial position if the event host cancels or underperforms than it would have if the contract had been fully executed. Event hosts need to negotiate attrition damages carefully! Determining the clauses that contain risks for the event host is paramount to negotiating a balanced venue contract. Event hosts that deliberate these 12 considerations will be able to negotiate better clauses. That said, event hosts also need to acknowledge that these only scratch the surface of the full extent of considerations needed to create a fully balanced venue contract. n

Identify the VIPs Noting particular guests and groups can help personalize—and thus elevate—experiences. Although it ultimately depends on the event, what your client or you as an event planner consider a VIP guest can usually be boiled down to the following. 1. Internal VIPs (including, but not limited to, company CEOs, board members, sponsors, top clients, top sellers, and partners) 2. Guest speakers (invited specifically for their expertise) 3. C elebrities, royalty, government officials (usually have their own teams)

4. All other attendees (because isn’t everyone very important?)

Start Before the Event The royal treatment can start well before your VIPs arrive. The most effective way to personalize is to gather that information well ahead of time, such as food preferences, dietary concerns, and special requests. Would they appreciate a designated workspace? Will they have guests or family accompanying them? Any children? For guest speakers especially, prepare bios and share them with the hotel. “Let the hotel know who your guest speakers are,” says Mooney. “A lot of times, hotels want to go out of their way to recognize those people. It doesn’t even have to be a big name, but we can personalize the amenities sometimes.” Speakers are often travelling from out of town, sometimes internationally, invited specifically for their expertise. An easy way to make those guests feel exceptional is to do something special with their reservation. “A lot of the time, they’re booked into a regular room because the company usually looks at it like, ‘We already spent a lot of money to get them here.’ But at the end of the day, that person is still an influencer,” says Mooney. “Make sure they’re taken care of.” Think of what your VIPs have going on during the conference or event that is

different from everyone else. Those questions will help you in using the services available at the hotel and/or event venue.

Use Venue Amenities Whether you (or someone else) chose an event space with the amenities in mind, there are often amenities available—and what’s better is that they’re included in the price. Having amenity information in an easily accessible welcome package can be beneficial, including basic amenities like WiFi and recreation—and the concierge. If your event is taking place in a hotel or you are arranging accommodations for VIP guests, Mooney recommends touching base with the hotel concierge: “The concierge, at the end of the day, is an amenity of the hotel. It’s the difference between 3-star and 5-star. It can make all the difference in the world because you have an extra resource there that can solve a problem.” According to him, opening the relationship with the concierge not only frees up your time, but will also allow you to make a greater impact without needing to be everywhere at once. Think of the concierge as another resource if a guest requires or deserves special attention. It

eyond the destination, venue, and speaker topics, the service and attention guests receive can make or break an event. Whether you’re planning an event for 50 people or 500, you should want it to be memorable—in the best way possible. Here are some tips that every event planner can use to make their event stand out and make their guests feel special. “The equation always has to have great service,” says Don Mooney, President of Les Clefs d’Or Canada and the Guest Relations Manager & VIP Concierge at the Fairmont Banff Springs Hotel. With great service comes great responsibility, which is why it’s important to know what options you have to make your event exceptional.

allows event planners to have a moment to consider what more they could be doing. “As concierges, we have meetings every month. We meet with vendors. We get educated about the resources out there,” explains Mooney, who has helped arrange many unique last-minute requests, including getting presentation materials printed through the night, finding giant ice sculptures, and booking emergency dentist appointments.

Consider Outside the Event If a guest will have any free time during their stay, this is another opportunity to provide VIP service. It’s outside the scope of their normal expectations but can be a memorable and positive experience. Provide recommendations for dinner, tours, activities, sightseeing—all areas which are within the expertise of a concierge. “They’re an ambassador not just for the hotel, but for the area,” says Mooney. “By using the concierge, you get a competitive advantage because you’re

able to offer experiences outside the realm of a meeting planner, whether it’s special seats, dinner at the chef’s table, or a great reservation.” And if there isn’t a concierge available? You can still supply this information to your VIP guests. Be prepared with suggestions for dinner (or arrange a reservation for them) and a few ideas for what they can see and do in the area.

Find Other Small Touches Even with a small team and/or budget, you can still offer VIP service. Something as simple as ensuring that proper signage and event information are available can help put your guests at ease. Give the venue necessary information like schedules and dress codes so any staff member can answer questions confidently and accurately. Many events also include gift bags, which can be personalized to some extent. “If it’s something like a winter conference, go buy toques and mittens and give them to your guests. A branded flag is always great,” says Mooney. “Those

little things make the difference. And they’re mementos, too… Who doesn’t like some free swag, right?” It all comes down to great service. Find the big and small ways to make your event memorable and make your guests feel welcome, comfortable, and cared for. n

Navigating Food Intolerances Q&A with Shannon Boudreau of the Lazy Gourmet By Meghann Tanner Shannon is a partner at the Lazy Gourmet in Vancouver and has been in the catering industry for 12 years and in the food and beverage industry for 20. On average, she plans 150 events a year. In Vancouver you can often find her “attempting” to cook on CTV Morning Live, styling a photoshoot, or playing mixologist and developing award-winning cocktail recipes. When she isn’t working, she is either eating, drinking, travelling, or doing all three at once. Awareness of food intolerances has hit an all-time high, with gluten garnering the most attention. In addition, we are seeing an increase in restriction and/or elimination diets, including Paleo and Keto. How important is it to include a diverse menu at events? Obviously it’s a big issue for dinners, but for events that just offer appetizers or desserts, are you finding that most planners are diversifying their menus? No matter the menu, no matter the event, we now have to assume there will be a vegan, a vegetarian, a nut allergy, a dairy intolerance, a gluten allergy/ intolerance/preference, and a Keto diet in the room. How good does a vegan, nut-free, dairy-free, glutenfree Keto appetizer sound? YUM. It actually can be done and done well, with the help of a talented chef de cuisine. Most of the time, however, guests have one allergy or intolerance, and it’s easy to ensure that there’s something they will be happy eating at the event. On every appetizer and dessert menu we curate, we ensure there are gluten-free, dairy-free, nut-free, and vegan options. If you do your job well as a caterer, other guests won’t even be aware to the fact that these are dietary-friendly items. What are some ways that planners can incorporate foods that are friendlier for people with intolerances? Is it best to make all of the food the same or to do a secondary special menu for those with special dietary needs? Whenever this question comes up, I have flashbacks to my childhood and my mom packing me weird lunches making me stand out because of the meal I was eating (kids are mean!). I think guests want to

be looked after without having to be singled out or given “special treatment” as much as possible. For sit-down dinners our goal is to serve dietary guests dishes that mimic what the other guests are eating. This is an event-by-event scenario and depends on other contributing factors at the event. For events that don’t request dietary information as part of the RSVP, how do you plan a menu that gives everyone the complete event experience (i.e., you don’t have someone standing by the dessert buffet empty handed, watching everyone else rave about the food)?

If you do your job well as a caterer, other guests won’t even be aware to the fact that these are dietaryfriendly items.

Often events won’t have guests RSVP about dietary restrictions, so we have to be prepared! Typically, as long as there is one option on something like a dessert buffet for all the types of dietary guests, you are good. Also, guests that have a severe allergy or intolerance have likely been dealing with this their whole lives and will find a way to let the planner or caterer know about their needs, prior to the event. Is offering a gluten-free or other specialized menu a significant cost addition? Not necessarily. We don’t charge more for dietary restraints; they are already being punished for not being able to eat freely, why would we punish them more?! It is a complimentary service we offer that I believe is appreciated! Check with your caterer to see if this is offered by them as well. Gluten-free seems to be the largest food intolerance right now—are you seeing this in the catering industry, or are there other food restrictions catching up in importance? Truth is, sadly even I am attempting to live that gluten-free life at the moment. In Vancouver, plant-based (vegan) diets also have a large community, second to gluten-free. Luckily for us, no one seems to be anti-vegetable yet, so we can make crusts, breads, cheeses, etc. out of produce.

What’s trending for popular menu items that accommodate restrictions? Jackfruit is diverse and delicious and hasn’t over saturated the market yet. House-made nut cheeses are another great option. For gluten-free, check out Vancouver-based company Next Gen—their GF fried chicken is a favourite of mine, second only to Thomas Keller’s. Any final thoughts?

Negotiating Riders Q&A with Brennan McFaul of Trixstar and Arlene Schilke of Timewise Event Management By Meghann Tanner Brennan’s Bio: Born and raised in North Battleford, Saskatchewan, Brennan eventually came to Edmonton via Victoria, British Columbia, on a football scholarship at the University of Alberta where he graduated with a Bachelor of Arts in Recreation, Sport, and Tourism. Starting in the nightclub and restaurant industry and moving over to Trixstar in 2012, Brennan has developed countless strong relationships in the entertainment industry. From top touring acts and celebrity appearances to major speakers and world-class athletes, Brennan focuses on talent procurement for Trixstar’s wide array of clients. A pop-culture and music junkie, Brennan brings a wealth of knowledge to all his clients. Arlene’s Bio: Arlene Schilke is the owner of Timewise Event Management, an Edmonton-based firm that’s been managing and producing events for 20 years. They specialize in corporate events and conferences, including GO WEST, a renowned Canadian industry event. Arlene is finishing her second term as President of MPI, Greater Edmonton Chapter and currently sits on the International MPI Women’s Advisory Board. She resides in Edmonton with her husband Brent Taylor and their four children. Riders are something that all event planners have to work with when booking entertainment. What are riders, and what is their purpose? Brennan: Riders are developed to “succinctly” advance the details and needs of the artist, speaker, or guest and to communicate what they and you should expect when they arrive so they can properly present their performance/talk/ speech/set/keynote, etc. I put “succinctly” in quotes because it isn’t always straightforward for a purchaser/event planner when they confirm a guest and are then confronted with a document they don’t necessarily understand. A rider will contain information on hotels, ground transportation, flights, catering, dietary restrictions, production needs, security, payment, immigration, ticketing, and special requests, to name 36

just a few of the categories in the document. Riders are often designed for a certain type of performance, in a certain type of venue, and with a certain type of event. Thus, not every rider works for every event type. Some categories are easy to understand, and some can get confusing with language that runs on and on, most of it being not applicable. Getting as much info about your event to the artist’s team during negotiations will make the rider negotiating much easier during the advance stage.

The key is to negotiate in advance and get all details put into the rider.

Arlene: When a speaker agrees to speak at an event, they will have requirements and expectations that need to be met for them to travel and be on-site. Their rider may outline their expectations around travel, accommodation, event technology, dietary needs, presentation content, timelines, etc. It helps ensure clear communication between the speaker and the organizer. Riders are part of a contract. Are riders something that bigger artists/speakers have, or should it be expected with all levels of entertainers? Brennan: It should be expected with all levels, but the complexity will change of course. For a small event speaker, it could be as informal as an e-mail stating minimum production needs, hotels, flights, ground transportation, and final-payment information. For touring speakers or acts, it can be anywhere from 1 page to 100 pages. Arlene: A rider is a good idea for any speaker, no matter if they are an industry expert or a professional speaker. It will help the host better meet their needs for the events. Generally, when it comes up, it is usually professional speakers and entertainers that will have a rider available. This is usually because they have been in past situations where their needs were met inadequately. Depending on the venue where the event is being held, the backline rider can be one of the more challenging areas to meet. Is this negotiable,

and if so, what areas are usually the most flexible? Brennan: Having a trusted production company working with you on your event is crucial in this regard. Someone who has done production for hundreds, if not thousands, of events will have potentially not only worked with the act you have booked and knows what they actually need, but will also know what substitutes an act might accept just by looking at their rider. They can also help develop a production manifest that can be sent with the offer so that the artist knows what they are committing to ahead of time. Having someone on your team who speaks the same language as the artist’s production team can save you time, money, and headaches. Sometimes there are no exceptions because an artist is sponsored by a certain brand of equipment or the piece of equipment is integral to their performance, but for the most part, there is some room to negotiate/ substitute to keep things within budget. Many touring acts who have been around for awhile and have seen it all and done it all and played events of all shapes and sizes, they will understand the concept of budget and working with the purchaser/ event planner to make sure they have what they need to put on the show properly, while also considering your position.

Riders can get quite comprehensive, which can add budget stress to smaller events or non-profits. What areas of the rider are negotiable? Brennan: It can vary from rider to rider on what is negotiable. But as I mentioned, speaking the production manager’s or tour manager’s language and having a pre-existing relationship with the artist, their team, their agency, their manager etc., is key to finding the flexible spots of a rider and can help when you need an artist to cut some things because the budget is getting out of whack for whatever reason. This only comes with experience or hiring a company that has those relationships. Communicating as much as possible to the artist’s side during negotiations and the offering stage is key: “Here is our

The Experts hotel sponsor, we are not doing a 5-star, it’s a 4-star, we don’t have catering, there will be a $20 buyout per head for meals, here is the production manifest.” Those are all things that could be communicated during the negotiation phase. Arlene: From an event planner’s perspective, a great way to get a handle on unknown expenses is to negotiate a buyout to cover airfare, ground transportation, accommodations, etc. It makes for a smoother process and puts the arrangements back onto the speaker/entertainer. For example, rather than arranging for catering, which often involves dietary restrictions, build it into the buyout so that the artist goes out for dinner on their own. In our early (and naïve days), we booked a high-profile speaker and agreed to cover his airfare. He booked his (business-class!) flight two days before arriving. There was nothing we could do but eat the expense—we had not stipulated that he fly economy and book his travel three weeks in advance, when prices are reasonable. Very expensive lesson well learnt.

If you are agreeing on a buyout, it then becomes the responsibility of the speaker to make their own travel arrangements and to keep their expenses within the allotted amount. Don’t be afraid to negotiate—all you need to do is ask. Often a rider is written to encompass everything an artist could possibly want. If the artist wants to work with you, they’ll be willing to cut back in certain areas (stay in a suite instead of the penthouse, etc.). If they’re not as willing to drop some concessions, consider different ways to utilize them. A keynote speaker is often very willing to do a workshop in addition to the keynote for no extra charge. An artist might be willing to do a 30-second promo video to promote the event (or do a post on their social media platforms). The key is to negotiate in advance and get all details put into the rider. Never assume anything—ask questions upfront to avoid surprises later on. Some high-profile speakers travel with an assistant or handler. Always ask if the speaker has an assistant with them and if you are expected to cover the cost of the handler’s travel, accommodation, and expenses.

Do you have any suggestions for planners when they are going through the negotiation process? Brennan: Communicate as much as possible about your event and what is happening at it, including logistics. The larger and more popular the artist/ speaker/guest is, the less room there is for negotiation. The resources and budget needed for different types of acts should be considered and be realistic. A speaker is going to require much less resources and production than a band and crew coming in. Be realistic with the guest you are bringing in, and think with your head, not heart. Do the research on what they could realistically draw. Entertainment can be very subjective and personal. Just because you really love something doesn’t mean everyone else will pay to see it. Don’t be afraid to discuss things with a trusted colleague that you know deals with artists and riders often. Hiring a third-party company or consultant that specializes in the artist

and production side can be very beneficial. From research, strategy, offering, negotiating, contracting, advancing, and executing—money, time, and headaches can be saved. Arlene: Think about additional meet-andgreets, autograph signing, interviews... Add as much in at the beginning as you can—it’s easier to cancel certain aspects later than to add it in as an addendum and incur additional expense. If you’re working with a celebrity speaker, keep in mind they prefer doing only 30-minute sessions (and some will only do an interview-style session or fireside chat). These are not professional speakers, and they have a different rule book. For example, they may want to stay in a separate hotel from where the event is taking place. They do not like any downtime and will often fly in right before the event, with no dead air, and leave immediately following the event. Any final comments? Brennan: Artists are more and more leery about getting involved with brands or events that don’t have a history and

are new. Events have been cancelling since forever, but with the power of social media nowadays, we are hearing about it more and more, which makes artists cautious about mixing their brand with an unknown brand. They are trusting you will pay them on time and supply what they need to deliver their part, and you are trusting they will show up and fulfill the duties you have confirmed from them. You need to always see both sides in a negotiation and know when to walk away—because they will. Arlene: There’s an old story about brown M&M’s in the rider of a Van Halen contract (they stated that there must be a bowl of M&M’s in the green room with all the brown M&M’s removed). Rumors raged, and people speculated about why they would have such an outrageous request. There was a method behind the madness. The rider was put in place by the stage manager as a test… if there were brown M&M’s in the bowl, they knew the organizers had not read the rider, and a serious review of all details was needed. n
