One (1) Invoicing Clerk
• Liaise with customers (Receive and dispense packages, answer queries, and respond to complaints)
• Generate customer invoices for inbound dutiable items
• Assist with the clearing and checking of the manifest for DHL
• Process Customs Entries
• Facilitate the proper and efficient running of the office frontend
• Answer phone calls and emails
• Process packages-inbound & outbound
• Track packages
• Input data shipments
• Closeout the daily sales transactions

BUTTERFIELD GOLD
One (1) Receptionist/Account Clerk
We are looking for an experienced Receptionist with abilities that is variable for the proper function of the company
THE ACCOUNTS CLERK DUTIES
• Accept and issue receipts for Received on Account [ROA] payments for ALL companies
• Post ROA payments to Customer Accounts in respective QuickBooks [QB]; apply the payment to invoices as advised by customers;
• Post and reconcile daily reports.
• Post and reconcile daily reports
• Post ROA for Daily reports
• Post DHL Daily Billing Batch
• Split and reconcile invoices/reports
• Prepare end-of-day deposits for all payments received and Daily Reports reconciled.
• Prepare Night Bag Deposit, and record for Security to sign on collection
• Prepare vendor cheques for all companies as instructed by management.
• File cheque stubs for all companies
• Prepare forms for wire transfers and international drafts.
The Receptionist Duties
• The applicant will be answering incoming calls to be direct where appropriate.
• Greet, meet, and attend to customers or direct to staff where appropriate
• Manage Petty Cash; reconciliation to replenish float,
• Distribution of signed cheques for the group. Contact vendors/payees to collect or arrange to have it delivered, where appropriate
• Issue Purchase Orders & Receipt books to Inter Companies
• Arrange the printing of Purchase Orders & Invoice books locally
• Liaise with Office Manager and check night deposit bags in inventory Salary: Commensurate with qualifications and experience
One (1) Assistant to Human Resources/Accounts Clerk
• Process Imprest fortnightly payroll
• Prepare and submit monthly NHIB & NIB reports for Imprest payroll
• Complete and submit Work Permit Applications and renewals for nonmanagerial staff
• Follow up with Immigration on work permit applications & collect approvals/ cards
• Update non-managerial employee files and records
• send out a notice for work permit renewals monthly
• Assist staff with completing forms for work permits, work permit renewal, NIB/NHIP, etc.
• Prepare employment confirmation letters for banks and other institutions as requested by non-managerial staff for the manager’s signature
• File Imprest account cheque stubs
• When processing monthly payments, reconcile Imprest Payroll for NHIP and NIB accounts.
• Reconcile Imprest General Ledger Accounts.
• Reconcile Bank Statement for Island Pride Management Imprest payroll account
• Assist with preparation of new NHIP and NIB registrations
• Assist with preparation of payroll cheques by company and deposit to the respective Payroll bank account.
• Collect cheques for ALL companies from the bank
DUTIES: ACCOUNTS CLERK
• Recheck Payments/Received on Accounts for all Received on Account payments; Reconcile and Post Bank Deposits Daily.
• Prepare monthly Fuel statement for Fortis TCI Ltd., as at 25th monthly
• Prepare monthly statements for Gold Fuel Services Ltd.; verify copies of invoices to statement.
• Prepare monthly statements for Gold Brokerage & Courier Services Ltd.
• prepare monthly statements for all active accounts for gold fuel services and gold brokerage accounts via email
• accounts receivables for gold brokerage and gold fuel
DUTIES: OTHER
• Collect mail once weekly from Company Post Box 32
• Share support for Front Desk when designated staff is not at work
• Any other duties assigned by management for the efficient functioning of the Butterfield Gold Group of Companies.
