HINTS AND TIPS ON APPLYING FOR FUNDING
CHAPTER 1
CHAPTER 1: HINTS AND TIPS ON APPLYING FOR FUNDING Almost all community groups and committee members will at one time or another be involved in the process of raising funds in order to continue its work or to undertake a special project. Whatever your choice of fundraising, the basic rules remain the same, "be prepared". One of the most time consuming aspects of fundraising is the information gathering process. Whether your project is large or small you will always need the same basic information about your organisation, so it is wise to start a funding file or portfolio. Here are some examples of the kind of information you should gather for your portfolio. FUNDING PORTFOLIO History of the organisation: Why did your group start? Who was involved at the beginning - and since? Why did the group begin? What sorts of thing has the group achieved? What changes has the group experienced? Management What is the management structure? Names and contact addresses of management committee members/trustees How are decisions made? What powers does management have? Legal Status Copies of Certificate of Incorporation/ Trust Deed/ Umbrella Agreements Evidence of Charitable status with IRD Copies of Constitution/Rules
Financial information Copies of latest audited accounts Certificates of Income and Expenditure Business Plans Bank account details and number Treasurer's name and contact address GST registration number Details of sources of funding Yearly budgets Support Which groups do you work alongside to complement your work? Copies of letters of support Do you meet with any networks? Are there any other groups offering a similar service?
If you have any of the following it will add to the validity of your application. Community needs analysis Management Plan of the complete project Financial viability = Cash flow projection List of other users - commitment from all parties Social Audit Occupancy or Leasehold Agreement It is important that you keep a scrapbook of all the positive comments people make about your service and use them in funding applications. These comments show that the community values your service. Newspaper articles about your organisation or project.
COMMUNITY RESOURCES – FUNDING TOPICS Auckland North Community and Development publishes three resources that deal with funding. 1. A Guide To: Developing a Fundraising Strategy 2. HINTS AND TIPS ON APPLYING FOR FUNDING
CHAPTER 1
THE APPLICATION FORM Read the instructions carefully as there are usually certain criteria to follow. Check your eligibility. Funding organisations do change their criteria from time to time – often annually. Firstly the form will usually say what the agency won't fund – so don't waste their time (and yours) if your organisation doesn't qualify. Secondly, if it is requested that you use a black pen, then do so, it copies or scans better. Have you taken a photocopy of the form so that you have a rough copy on which to work? An untidy application, with parts crossed out and rewritten is not a good advertisement. Think carefully what you are asking for. Have you phrased your request clearly? Is your request convincing? You must demonstrate, as well as you can, why the funding should go to your organisation – what benefit it is going to provide. You must state clearly the type of service you offer, how it benefits the recipients, why it is different from the service some other organisation may supply. You should also have some concrete statistics to support your application -– don't be vague e.g. "60% of recipients”… If you have done your homework, you should be able to state the actual number of clients you have. Don't underestimate the value of comments from your clients and community support. These comments may be contained in letters of support, thank you notes or general comments (which you can ask for in writing). However, if a covering form says "don't supply extra material or letters of testimonial" then don't – it certainly won't help your application and may hinder it. Thirdly, when asked for financial information, don't say "refer to accompanying accounts". You do need to transcribe the figures from the accounts into the form. Busy people do not have time to scroll through screeds of paper trying to find the appropriate figures. Before you post the application, double check to see that you have supplied everything required. Remember – keep a copy of the completed application for your file! Lastly, post it to be received before the closing date! CHECK LIST: Before making the application make sure that the following has been checked:
The criteria of the funder
The closing date for the application
The reason for the application is clearly indicated (outcomes, research, objectives, procedures, evaluation)
Supporting documents are enclosed
When making the application, make sure that:
The funder knows who you are and what you do
All the questions are clearly answered The application is legible and tidy Contact people identified Referees are contacted prior to the application (and know what the application is for)
All requested documents are sent The correct number of copies are sent A covering letter is written A copy is retained for your organisation.

Variety provides vital support to Kiwi kids in all sorts of challenging circumstances. We meet their unmet health and education needs providing them with brighter futures. We work alongside schools and community agencies, tackling child deprivation so the Kiwi kids who urgently need our life-changing assistance are set up to reach their full potential in life. Variety funds a broad range of requirements – filling the gaps that the government and other organisations are unable to meet.
FUTURE KIWI KIDS Ensures brighter futures for children at home, school, and in the community through experiences in education, arts, music and sport. Future Kiwi Kids includes Variety individual and group scholarship programmes, the Future Kiwi Kids endowment fund and the Laptops for Learning programme which ensures that students from low-decile schools can access digital devices for e-learning. KIWI KID SPONSORSHIP Variety works closely with social services agencies, schools and healthcare practitioners to identify children most in need in our communities. We connect these children with a sponsor to help cover their unmet health and educational needs. The range of items funded is wide to ensure we are best meeting the child’s individual needs. Examples of items include essential clothing and bedding, school stationery, help with healthcare costs and extracurricular activities. CARING FOR KIDS Improving child health outcomes at home, in the community and in hospital and providing access to specialist healthcare services. Variety assists children with special medical needs, including those requiring assistance with prevention, ongoing treatment, or simply with easing the challenges of living with ongoing disabilities. In some cases children may be eligible for special fundraising appeal campaigns. KIDS ON THE MOVE Providing funding for mobility and other equipment that improves a child’s quality of life, physical well-being, peer involvement and confidence. Children who have physical restrictions are given access to specialised mobility equipment so they can join their families and friends for bike rides and participate fully in school activities. Variety all-ability playgrounds and Liberty Swings accommodate children in wheelchairs and let them play alongside their peers.
