Ensemble Video Training Handout

Ensemble Video is a video hosting solution for your self-created video and audio files. Ensemble is also available in Blackboard Learn, allowing you to directly embed your videos and audio into your Blackboard courses, after they have been uploaded to Ensemble.

Logging into Ensemble Video 1. In your Web browser, navigate to https://uafs.ensemblevideo.com. 2. Click the button that reads “Log in to Ensemble.”

3. Two columns will appear. In the Federation column, click UAFS.

4. In the Organization column, click https://swportalguardp1.uafs.edu.

5. Click the Select button.

6. If you are logged into any system that uses PortalGuard, you will immediately enter Ensemble Video.

If you are not logged into a system that uses PortalGuard, the PortalGuard login page will appear. Log in using your UAFS username and password.

Creating Playlists (optional) You will see your “Media Library” as the default location, when you log in. The first time you access Ensemble, you should create any “Playlists” destinations you will need. This will allow you to organize your media by course, by subject matter, etc. You will use Playlists to do this.

2. Click Add. 3. Type the name of the Playlist. a. Depending on how you are organizing your media content, you might create playlists for each course or for each learning module in a course, or for specific topics in a course. 4. Select the check box to Allow Download ONLY if you want students to download the files. 5. Click Save.

Repeat until you have the number of courses, learning modules, and /or topics you need for your video library.

Adding Videos to Ensemble Video To add a video to your media library, 1. Click the Media Library tab.

2. Click +Add.

3. Type as much information as you can about your media content. You can edit this information at any time. The more information you add, the easier it will be for you to search your content.

4. Under Enter Credits, type information for any persons credited for the video. 5. Click Add Credit to add a new person to the credits. You may add as many credits as necessary (or none at all). 6. When done, click Continue to progress to the next screen.

7. From the Workflow drop-down menu, select the type of upload you need: a. Click ABR HQ – HD & Live Action for videos of classroom presentations, live action video, or HD (High Definition) video. This will create three different MP4 versions of the video that will play based on the speed of the user’s connection. b. Click No Transcode – Camtasia for MP4 videos created in Camtasia or other screen capture software. This will upload one copy of the video in its current form. c. Click Audio Compress and Stream for audio files. This will create an MP3 file. (Not all users have this workflow enabled in their account. Contact Instructional Support if you need this option.)

8. Click Add files to select your media content. a. You can also drag and drop a media file from your computer files into the window. 9. After you have selected your media, then click Start Upload.

Upload time depends on the size of your video. You may want to work with your instructional designer (instructionalsupport@uafs.edu) to help you “chunk” your content into smaller segments. In general, we recommend that your videos are not longer than 12 – 15 minutes.

10. Once your video has been uploaded to Ensemble, depending on the workflow your screen may look different: a. For ABR HQ videos, your screen will show three different versions of the video file. i. Select the appropriate bandwidth title from the Bandwidth dropdown menus. These will allow your students to download the video at a speed that fits their network or device. 1. Select “High Bandwidth” for the highest speed. 2. Select “Regular Broadband” for the medium speed. 3. Select “Mobile” for the lowest speed.

b. For No Transcode and Audio files, you screen will show one version of the file. i. Select “Regular Broadband” from the Bandwidth drop-down menu.

11. To add more information (such as image, links, attachments, annotation, and manually enter media), click the Options drop-down menu.

Audio/Video shows the various bandwidth options for the video. Images sets the preview and thumbnail images for the video. Links allows you to add a Web link to the video page. Attachments are files that are added/associated with this media. Manually Enter Media lets you set a path to additional media associated with your file.

12. In addition to the Options, there are five tabs in the top, right-hand corner that let you edit or add to the video.

a. Annotate lets you add notes at different points in the video. b. Audio Description lets you add an audio description of visual content in the video. c. Caption allows you to add captions automatically for the video and edit the captions. You can also upload or enable other caption files. d. Thumbnails allow you to select representative still images from the video that will be displayed in links to the video. e. Trim allows you to select new start and end points, to shorten the video. 13.Click Continue to move to the Publish tab.

Publishing Videos 1. If you created playlists, you can add the video into one by selecting the playlist check box.

2. You may select a date and time range if you need to limit the video’s availability. a. Enter the dates and times. b. Select the appropriate Display check boxes.

3. Click Publish. 4. Your video is now published.

Adding Ensemble Videos to Blackboard Your published videos are now available for you to embed into your Blackboard Learn courses. Log into Blackboard and navigate to your desired course. You will then need to determine where you wish to embed your video. You have six ways to add media content to your Blackboard course. Option 1 - Adding Video(s) to Blackboard in Build Content/Mashups 1. Point to Build Content, and then click Ensemble Video.

If you are logged into Blackboard via PortalGuard, your Ensemble Video account should open automatically. If not, click login (this applies to the Adding Ensemble Video to Blackboard options 1 – 4 below). If you have not logged out of Ensemble or PortalGuard, your account should open.

a. If you have logged out for any reason, when you click login a small window will appear.

b. Click the UAFS SSO link.

c. The login options from the Ensemble Home Page appear. In the Federation list, click UAFS.

d. Scroll to the right and click https://swportalguardp1.uafs.edu from the Organization list.

e. Scroll back to the left and click Select. 2. Click the Choose option for the video you want to embed.

3. Click Media Embed Options.

4. Clear (uncheck) the check boxes.

5. Click Save. 6. Click Save again to embed the video.

Option 2 - Adding Playlist(s) to Blackboard in Build Content/Mashups 1. Point to Build Content, and then click Ensemble Video.

2. Click Choose Playlist. You will see a list of all the playlists that you created in Ensemble.

3. Click the Preview button (►) to preview your video(s) in the playlist. 4. Click the Choose button (+) for the playlist to select it.

5. Click Save to embed the playlist into Blackboard Every video available in that playlist, will now appear in Blackboard, as a list of links and thumbnails. As you upload new videos to your playlist, they will also be automatically updated in Blackboard. Be sure to Edit the name of the playlist to change it from “Ensemble.”

Options 3 and 4 - Adding video(s) or playlist to Blackboard in Content Editor Mashups The Content Editor is used to add and modify HTML in the course. It includes tools for formatting text, adding Web links, math symbols, tables and multimedia. You will use it when adding content to discussion forums, assignments, posting to group blogs or journals, and so on. You can also embed your Ensemble videos and playlists in content, using the Content Editor. The example below is from an assignment.

1. In Create Assignment, you will see the Content Editor below Instructions.

2. If you need to expand the toolbars, click the Show More button (three dots at the end of first row).

3. Click the Add Content button. 4. Click Ensemble Video.

5. Please refer to the steps in Options 1 and 2 to finish adding video(s) or playlist(s) in the Content Editor.

Option 5 - Linking To Your Video Directly from the Ensemble Web Site Even if you do not use the Blackboard Ensemble building block, you can still make Ensemble videos and audio available to your students. 1. Navigate to your Media Library in Ensemble Video.

2. To determine the link to your video in your media library click the Permalink icon.

You can copy the URL provided and paste the link into an email, a Web Link or other content in your Blackboard course, a faculty Web site, or wherever you would like to share your video. 3. You can also create a “custom permalink” for your video: a. Type the text you want to use to complete the link. b. If you create a custom permalink, use that link instead of the one Ensemble created.

4. Select the check box for Social Sharing, if you would like to allow others to share your video via sites like Facebook or Twitter. (Note: icons will not appear when the video is embeded in Blackboard). a. Click Additional Settings for other optiions, including a Download option. 5. If you created a custom permalink, click Create.

Option 6 - Linking To Your Video Playlist Directly from the Ensemble Web Site Even if you do not use the Blackboard Ensemble building block, you can still make your Ensemble video playlists available to your students. 1. Navigate to your Playlists in Ensemble Video. 2. To provide a link to a playlist, click the Permalink button for the playlist.

Deleting Videos from Ensemble In order to free up space in Ensemble, you may need to delete videos you are no longer using. To delete a video from your Media Library, 1. Click the Media Library tab. 2. Click Delete, for the video you want to remove.

3. Click Yes.

Playlists can be deleted in the same way, from the Playlists tab. Note: 1. Deleting playlists can also delete videos. 2. Making sure that corresponding links in Blackboard are removed or updated after deleting videos in Ensemble Video. 29

Sharing Content Between Libraries Use the Sharing feature in the Administration Tab to grant sharing permission to other Libraries. 1. Click the Administration tab, click Library, and then click Sharing. This will bring you to a form where you can enable other users in other libraries to share content with you.

2. Click Add. 3. Select a library from the list, and click Add to My Shares.

4. Use the Copy and/or Transfer checkboxes to designate the type(s) of Sharing permission you wish to enable. Copy: This is used to copy other users’ content to your library, if you want to edit the description, keywords, or other metadata of that media. Copying a media file to your library provides a complete copy of the media file, which can be altered or edited independently of the original. Transfer: This is used to move other users’ content to your library, without retaining a copy in their own Media Library. Any transferred video file(s) are moved directly to your Media Library.

5. IMPORTANT NOTES: • Copying a video to another library duplicates the video in the system, using additional storage space. Avoiding copying videos unless substantial changes are needed in the metadata or length. • Transfering videos moves the video from one library to another. This may break links to the video. Use caution when transferring videos. 31

Once another user (or department) has set up sharing with your library, you can share videos directly to that user’s library. 1. Click the Media Library tab, and click the Publish link for the video you want to share.

2. Click Shared Libraries, to expand that menu, and click the check box for the Library with which you want to share content.

4. Click Publish. 5. The shared user should be able to see the video in their Shared Library.

Using the Ensemble Auto-Captioning Service Step 1: Log into Ensemble Video at https://uafs.ensemblevideo.com/ Click the button that reads “Log in to Ensemble.”

Select the “Remember me” check box, so that you don’t have to use the drop-down selector again.

Step 2: In your Media Library click “Edit” for the video clip that you want to auto caption.

Step 3: Click the caption tab to access captioning options.

Step 4: Click “Submit for Auto-captioning.” The length of time it takes to process the video depends on the connection, level of server activity, and the size of the video file. The status will change from "New" to "Initialized" to "Processing" to finally "Processed". When you see a file with the extension .vtt, it means the captions are processed.

Step 5: After the file is processed, click the “Amara Caption Editor” tab, then click “Launch Amara Editor” to open the captions in the editor.

Step 6: Listen to the audio carefully, and type corrections in the second column. The editor will advise you on how much text and lines per caption to use. If there are any non-verbal sounds in the audio that are important to the presentation (music, noises, etc.) be sure to add them to the caption in square brackets.

Step 7: If needed, adjust the timing of each caption by dragging the start or end of the caption on the timeline. Make sure the start and end of each caption matches the audio.

Step 8: Once you have completely edited the file, click Publish to make the captions available for that video.
