INTRODUCTION

W

e are USE Events Pty Ltd, a local company based in Melbourne, Victoria, the sporting capital of the world. Our aim is to provide an annual world class event featuring all that is great about Australians and their sport. With your help, the Ultimate Sport Expo (USE) will debut in November 2015. USE will cater to sporting organisations and clubs, professionals, participants, spectators, suppliers and sponsors, as well as universities and training institutions. Seminars, outdoor and indoor displays, competitions, sales and the appearance of sporting celebrities and stars, all within the confines of one expo site, will create the ideal environment for your organisation to reach out to your target demographic. Our opening night will feature a ‘USE Gala’ dinner evening for our sponsors, sporting organisation, government officials, media and sports stars and other invited guests. USE is being held at ‘The Melbourne Showgrounds’ to fully utilise the indoor and outdoor facilities, close proximity to the city and airport, offering excellent parking and public transport options. Australia is known as a sporting nation and most households have interests in multiple sports, with children usually continuing their involvement with sports into their adult life. Our expo will include a strong emphasis on families, children and participants, the cornerstone of sporting organisations. The last day of the expo will be our ‘trade show’ day and will have a schedule of seminars, product and service demonstrations and information sessions. It is in conjunction with a Victorian building industries rostered day off (RDO weekend) and will cater to the 100,000+ tradesmen and women who work in this Victorian industry, giving your organisation even more ‘bang for its buck’. Equivalent sport expos have been held all over the world, including USA, Germany, Switzerland and even Taiwan! We think Australia is long overdue for its own world class sport expo and that’s why we’ve created our team of passionate professionals, who not only have experience in event management, but participate in sporting clubs and are sport fans as well! They know what spectators, participants and exhibitors want from a sporting expo and are here to make that excitement and ‘buzz’ happen. We don’t want to create any sport expo, we want to create the largest sport expo in the Southern hemisphere, with a cavalcade of sports stars, exhibitors and displays. This is a unique opportunity to join this new and exciting direction in sport promotion and showcasing. We hope to see you there!

Building the dream – This will be the first Ultimate Sport Expo (USE) and our intention is to make the event even bigger and better in progressing years. By becoming involved in the first year you have shown your willingness to support the sporting community and cementing your relationship with a new and exciting direction in sport promotion and showcasing.

Build brand awareness via association with USE and the 100 different sports expected.

Take advantage of like-minded sport enthusiasts and industry professionals by showcasing, both locally and internationally, your product, sport, hobby or education programme.

Advertising pre, during and after USE. We intend to utilise TV, radio and social media to promote USE and our participants. Media and sports stars will be important to this coverage.

Product and merchandise sales. With over 40,000 visitors and sporting participants/professionals, this is the perfect opportunity to generate new sales and form new business partnerships.

Q&A sessions, meet and greet, autograph signing and photo sessions will be held with sporting stars for the duration of USE.

Charity group involvement. We will be approaching two charity groups to create partnerships with. Both charities have associations with local and international sporting stars and close media ties.

On our opening Saturday night a ‘USE Gala’ will be held. Ticketing preference is given to our principal sponsor, with invitations sent out to our other major sponsors and exhibitors, sporting stars, media celebrities, sporting organisations and state officials. The gala will be an all-inclusive event with guest speakers, live entertainment and more. Tickets will be limited with an allocation of some tickets available to members of the sporting community. All stall holders will be listed on our website, USE mobile app and expo guide. All vendors receive a number of lanyards, dependent on stall size, for staff for duration of expo. Additional lanyards can be purchased at a later date from your USE organiser. All indoor areas will be carpeted (excludes Boulevard Pavillion). Limited parking is available for vendors and must be paid for on a day to day basis. Upto and including April 30th all stalls booked will receive 15% discount (excluding priciple sponsor discount). Within three working days of returning Exhibitor’s Contract and signed Exhibitor’s Terms and Conditions (via post, scanned document or fax) to USE Events Pty Ltd, vendor must deposit a 30% (of total invoice) non-refundable holding fee to secure site rental. You will be contacted if we do not receive your documents. If we do not receive your completed forms after a further 24 hours, the site will be rereleased to the public. Please ensure you have read the Exhibitor’s Terms and Conditions, before signing both forms including the Exhibitor’s contract and Exhibitor’s terms and conditions and then returning to USE Events Pty Ltd. Ensure you have clearly marked your main preference(s) for your stall positions. Should your preferred site(s) not be available, the USE organiser will choose an alternative site, with regard for your preferences. You will be notified of this change. Showcase your sport and get active participation from over 40,000 visitors to the expo by holding a display, coaching or ‘come & try’ sessions on one of our grassed outdoor spaces. Apply for one of the stall spaces in the ‘Town Square’ (200-900sqm) or ‘Royal Block’ area (one 800sqm space), before the cut off closes on 1st June 2015. Successful applicants will then be notified and full payment required within 10 working days to secure space. For existing USE Exhibitors, a non-refundable fee of $2,000 + GST. For non-Exhibitors the booking fee is $4,000 + GST. Listed on USE website, USE mobile app, social media, ‘expo guide’ and ‘PA’ announcements during USE. All outdoor spaces come with 3m x 3m white ‘Gazebo’. Exhibitor can apply in writing to organiser to have additional ‘gazebos’ on their area, but cannot exceed 27sqm total area. Upon request we can quote, a 3m x 3m custom made gazebo, with your organisation’s signage to further enhance your visibility, this will be yours to keep. Possible sports – auskick, milo cricket, little athletics, little kickers , beach volleyball, ultimate frisbee, zorb soccer, hobbyists etc.

Indoor Stage Times- $500 + GST per 20min duration • • • • • • •

For exhibitors of USE only. Can include product sales or displays, information sessions or guest speakers etc. Bookings for 20minute sessions: 10am-6.00pm daily (last session Monday at 4.30pm). Sport star appearance, Q & A and ‘signing’ sessions have priority on our larger stages. Let us know if you have a celebrity or sports star appearing and we will allocate longer times to suit (within USE operational requirements). A refundable deposit fee of $500 + GST is required, for stage times booked for sports celebrities. Promoted via USE website, USE mobile app, expo guide, social media and announcements. Choice of small (seating up to 100) and large stages (seating up to 400). Let us know if you need additional requirements (lighting, AV etc) and we will provide a quote.

Seminars • Our training partners will be conducting daily seminars catering to participants and sporting club officials. Run by sport professionals, we hope to make these seminars affordable for all sporting clubs and participants. • Times available between 10am - 6.00pm (last time on Monday at 4.30pm). Durations will vary and bookings are essential. Attendees will be able to register via our website or on the day at our staffed competitors/attendee booth. • Promoted via website, USE mobile app, expo guide and social media. • Includes enclosed room with seating, lighting, podium/tables and located in one of our busier buildings. • Seminar topics and times will be arranged throughout the year via our online ‘polling’ and catering to what our attendees needs. • Would you like to host your own seminar, workshop, AGM, training session or presentation during USE? Benefit from over 40,000 like-minded sporting professionals, spectators or officials and create new partnerships for your organisation? Our ‘trade day’ is Monday, 23rd November, 2015 and will be very busy, so get in early. USE Main Arena – A 9,000sqm Space for Exhibitors •

Arena for extreme/outdoor sports that need a ‘track’ or large area to showcase their sport. Including, but not limited to BMX’s, rally cars, motor cross, quad bikes, lawnmower racing, ballooning, sky diving, polo, lacrosse, gridiron, remote control etc. Centre piece of USE outdoors with large grandstand for spectators. For all USE Exhibitors the Arena is free to USE. Expressions of interest essential. Bookings close on 1st June 2015. Successful applicants will be notified and full payment required within 10 working days to secure space. For existing USE Exhibitors, a non-refundable fee of $1,000 + GST. At organiser’s discretion, up to four 30 minute sessions per day, per participant, can be scheduled (within safety and operational requirements). Event times promoted via media, USE website, USE mobile app, social media, expo guide and daily announcements. Daily times 10.00am - 6.00pm (except Monday at 4.50pm). Additional costs could be incurred by exhibitor for setup or returning arena to original condition eg. Safety barriers etc.

Located in our two main exhibition buildings for maximum exposure to visitors and the centre piece of our live contact/floor sport competitions. With ample seating, change rooms and tables for scorers and/ or coaches, these are perfect for holding your ‘inter club’ competitions at the Ultimate Sport Expo. USE exhibitors have priority over session times. We hope to give you as many sessions as we can over the three days with priority to organisations holding ‘finals’ competitions. Promoted via USE website, USE mobile app, expo guide, social media and announcements. Only authorized USE signage is allowed and must be purchased through the organiser. Please contact us for a quote. Expressions of interest essential. Bookings close on 1st June 2015. Successful applicants will be notified and full payment required within 10 working days to secure space. For existing USE Exhibitors, a nonrefundable fee of $1,000 + GST for 3 day usage. For non-Exhibitors the booking fee is $1,500 per day + GST or $3,500 + GST for 3 days. Priority is given to the following sports: boxing, karate, kendo, taekwondo, sumo, judo, MMA, UFC, cheerleading, dance sports, fencing, gymnastics, ‘baton twirling’, table tennis, and badminton. However, other requests will be considered.

‘The Ultimate Sport Marathon’ - $1000 + GST • •

Designed to direct traffic flow into your stall, become part of this ‘ultimate’, interactive competition. Held over the duration of The Expo, visitors collect a map from the ‘USE Marathon Booth’ showing the location of certain stalls to visit. At each stall they must either participate in the sport or answer your question about that stall. They have their map ‘stamped’ and move onto the next stall. When all the stamps are collected, they fill out all contact details and submit their entry for a chance to win the donated prize(s). Daily minor prizes will be given away (promotional merchandise) at 4pm daily. Data collection shared with participating exhibitors (as part of terms and conditions of entry). Maximum 2-4 exhibitor sites per building (dependant on building size). We have supplied over 14,000sqm of outside spaces for you to utilize for interactive sessions and/or showcasing your sport and have sourced suppliers who will provide our exhibitors with the best prices on the following additions: feather/box flags, signage (‘A’ frames, billboards, drop flags, vinyl digitally printed banners etc), hire potted plants/ stall furniture/display stands, sound and visual systems etc. Tell us your requirements and we will organise and deliver to site for setup.
