How Academic Advising Impacts Students’ Futures

It’s slightly ironic that Yvonne Fitzgerald’s passion is helping other people find their passion. Fitzgerald is the Director of Academic Advising for Academic and Career Development (ACD) in University College. “I worked as a graduate assistant and learned a lot about academic advising as a

support service for students as they transition in [to college], and I fell in love with it,” she stated. “I found that I can help people in a different kind of way, working with a group of people to obtain those goals they set for themselves.” When students are not directly admitted out of high school into their respective major’s program, they are admitted to University College, and that’s where Fitzgerald and ACD come in. “We ask each one of our first semester students to come in to
see an advisor, and in that first semester, we start to look at their academic [goals] and help them map out a plan that will help them move into their programs.” To assist in this, ACD also works with first-year seminars which are classes geared toward helping freshmen realize their academic plans. Academic and Career Development consists of 28 academic advisors, including Fitzgerald and two assistant directors. Some academic advisors are graduate students

and some are specialists in certain school programs, but all are here to help close to 7,000 students find the academic path that’s right for them. Each advisor, depending on his or her role, carries a case load of between 200 to 350 students. As a team, they average 1,972 academic advising contacts per month, according to Fitzgerald. Advising about academics is only one component of ACD’s initiatives. As academic advising takes place, career discussions emerge as well. Fitzgerald is pursuing initiatives
to offer even more career help than is currently available. “Students will always come in to ask about classes. They’ll always come in to ask about schedules. What we try to infuse in those conversations are: What do you want to do with that major? or Where do you see yourself in five years?, or How do you see yourself living out that major within your career?” Academic and Career Development may be a behindthe-scenes program, but its influence and impact become
part of the forefront of students’ lives. Fitzgerald emphasized that “Advising is Teaching,” a slogan that is posted around University College which was adopted from the National Academic Advisor Association (NACADA). And just like teaching, advising is a process, a point that Fitzgerald is quick to make to students and advisors. It takes work and time but is worth it in the end in order to reach a viable, valuable outcome for students. w

Early Career Exploration

Career Planning is a component of Academic and Career Development (ACD) within University College. Academic advisors and career counselors work together to engage students in exploring and committing to educational and career goals, developing and implementing meaningful academic plans, and translating learning to the world of work. “While there are specialized components within the roles of academic advisors and career counselors, the integration of the two areas greatly benefits the students,” states Jennifer Schott, Director of Career Planning.

Career counselors guide students through the major and career exploration process and support them in making decisions regarding their future career paths. It is common for many students to change their major before reaching graduation, but the more engaged they become in the exploration process, the

Assessments of students’ skills and personal traits are used by career counselors in order to help students discover the bestfit major and career options.
Schott emphasized, “We really try to help students understand who they are—their skills, values, personality, etc.— because when they truly have an understanding of themselves, they can begin to make these academic and career choices.” This is a big stumbling block for many students. Schott explained that it is really hard for some students to get out there and gather information from people outside of IUPUI because they just do not know where to start, or are too nervous, or are fearful of not being satisfied with what they end up choosing. To help with their anxiety, Career Planning offers individual and group sessions in which students will work with a counselor and learn about the many resources available to assist them. In a typical academic

year, Career Planning serves over 4,000 students through individual and group services that include hosted events, firstyear seminars, Fall Career Week, Major and Career Information Day (MCID), small outreach events, workshops, and externships.
“A new campus initiative called Career EDGE strongly supports the integration of academic and career advising,” Schott explained. Within the next five years, Career Planning wants to begin working more with pre-college students to help get them better prepared before they reach campus. It also wants to begin enhancing the externship program to include more hosts so that ultimately more students can be served. Schott also wants to see a change in the huge misconception by students believing that they do not need to see a career counselor until they are ready to graduate and start their careers.
The externship program offered by Career Planning during fall and spring break can play an integral part in students’ career exploration. During an externship, an employer in a student’s career of interest volunteers to host this student for a day of job shadowing. If students feel like they know what they want to do, they sometimes do not think they need to do any further exploration of their options. Schott emphasized how students can hurt their futures by having this mindset, claiming that, “70 percent of undergrads change their major at least one time.” Consequently, one of Career Planning’s challenges
is marketing themselves to students so they understand what it does and how it can be helpful to students at all stages of their academic journey. “I once worked with a transfer student who was here as a sophomore and was having a very difficult time choosing her undergraduate major. She was part of our externship program, and we worked together for several months on decisionmaking, critical thinking, and the major career exploration process. She ended up choosing her degree in health services management and is now actually in grad school at another IU campus. We have talked on the phone and through e-mail since she has graduated, and she is doing very well,” said Schott. The biggest need right now for the Career Planning program is volunteer hosts for externships, and funding for events the department hosts, such as Fall Career Week. “These donations would directly serve students, so they would be of most value,” Schott explained. The University College Career Planning counselors participated in a nationally certified career development facilitator training in 2011, and two of them were trained to be instructors for this program. In addition, several of the counselors “are involved in statewide career development organizations, and three of us are active board members,” Schott said. w

Some departments have lowered that maximum even further. McDonald is hopeful that IU will develop strategies to overcome this hurdle and develop new ways of ensuring that students can gain skills in on-campus settings. When discussing stress and the job market for college students, McDonald stated her belief that the recession has really impacted part-time positions, especially jobs that high school and college students typically once filled in larger numbers. Positions in the food industry and even some basic reception– type positions are now sought after by adults their parents’ ages. Because of this, students in a college degree program need to be more prepared than ever for the job market. They need to have their skill presentation together before going after any job. They need to market not only their desire for the job but also what they can bring to the company/ organization that is of benefit, how the position will fit into their current education schedule, and how the position will prepare them for their future goals. Recruiters are looking for those who are more goal-oriented, so students need to step-up and let them know their future plans. Students also need to better research what skills they need to possess in order to move forward to their next position. The Office of Student Employment has much to offer students and employers alike. They are in tune with students’ needs and offer a variety of programs to assist students in securing an advantage in the job search, and ultimately, in the workplace. The office also works with employers to help them understand the importance and benefits of filling positions with IUPUI students. Increasing Jobs and Professional Development

You might think the Office of Student Employment (OSE) just advertises student jobs, but this is far from reality. While this busy office does connect students with student jobs, it also is involved in work-study, professional development, student employee/supervisor appreciation, and job fairs. EXCELLENCE IN PROFESSIONALISM One of OSE’s most successful programs is the Excellence in Professionalism program, commonly referenced as EIP. Due to the diligence of Jenna Corcoran, Student Employment Consultant, and the OSE staff, an improved program has been crafted, including the introduction of new workshops and a change in the curriculum

In the spring 2013 semester, eighty-two students enrolled in EIP and forty completed the program. Thirty-nine of the forty students stated they would recommend the program to other students. In the fall 2013 semester, 110 students attended at least one workshop. Ninety-five students enrolled in the entire program, and when thirty-five of those participants complete it in the 2014 spring semester, the result will be an increase of about 30 percent! Due to the persistence of OSE’s efforts in promoting its free Excellence in Professionalism program, from in-class presentations to campus banners almost everywhere, I personally decided to participate in it. I was able to network and connect with faculty, staff, and a number of Indianapolis business leaders; to learn how to maintain a professional look every day on the job; to get a newly enhanced and professional-looking resume;

and to learn how to have a professional LinkedIn profile. This valuable OSE program puts IUPUI’s students a step ahead of other collegiate job applicants. With over twelve different workshops, and only eight workshops required to graduate from the program, the EIP is often a transforming professional experience. Not only can I attest to the worth of its information, but in gaining that information, it also gave me great self-confidence regarding job interviews and professionalism in the workplace. STUDENT EMPLOYMENT PARTTIME JOB FAIR AND SUMMER JOB AND INTERNSHIP FAIR To increase the number of employed IUPUI students, the Office of Student Employment has a job fair each semester: the Student Employment PartTime Job Fair in the fall, and the Summer Job and Internship Fair in the spring. The statistics show that nearly 1,500 IUPUI students attend these job fairs each year. The Student Employment PartTime Job Fair, a component of IUPUI’s Weeks of Welcome events at the beginning of each fall semester, provides a great opportunity for students to find part-time on- or off-campus employment. It is a fact that on-campus employment, in particular, increases overall student retention and graduation rates. OSE also helps IUPUI students navigate their way into good positions through the Summer Job and Internship
Fair. Catering to all majors, this job/internship fair provides connections with an average of forty different Indianapolis employers, introducing students to the world of the professional job search. The Office of Student Employment also partners with campus departments, assisting them to market their departmental job fairs. JAGUAR SERIES The JAGUAR Series is a sixsession, highly interactive training program for faculty and staff to help enhance their supervising and skill development so they become excellent student employee supervisors. On-campus employment comes with a number of challenges and supervising students enrolled in classes requires some different skills, such as knowing how to help students balance work and school, and also making the student employment experience meaningful, relating student jobs to student studies. These two major dynamics make oncampus work more advantageous than off-campus employment, and the JAGUAR Series assists on-campus student employers to create this environment. What do participants take away from the Jaguar Series? “Working with student employees puts us in a position to contribute to their professional development.” “Communication with other IUPUI offices is key to success
within your own department. The resources offered to me by the Office of Student Employment, as well as other university cohorts I’ve met while attending JAGUAR Series, have proven especially valuable.” When participants were asked if they had changed something in their role with student employees as a result of participation in the JAGUAR Series, one participant responded, “Increased feedback, especially positive and/or constructive. More aware of coaching opportunities.” Other participants in the program said: “If further sessions are offered, I would sign up without hesitation.” “I sincerely enjoyed participating in this JAGUAR Series. As a participant, I felt that my interests and questions were sincerely addressed by the leaders. Resources and materials were provided that will significantly assist with developing our student employees to their greatest potential. I will look for other opportunities to learn more in the future.” NATIONAL STUDENT EMPLOYMENT APPRECIATION WEEK The National Student Employment Appreciation (NSEA) Week in April (this year April 14-18, 2014) is another of the Office of Student Employment’s programs. Open to on- and offcampus student employees and student employee supervisors,

during this week, students and employers participate in a variety of fun activities aimed at increasing their connection, employment experiences, and professional development such as team-building activities, What Not to Wear professional fashion show, Minuteto-Win-It competitions, student employment expo, and Professional Image Project. During this national student employment event week, outstanding student employees and student employee supervisors and their contributions to the development of IUPUI as a whole are recognized. Students and employers have an opportunity to nominate their best candidates for the year. A campus committee reviews and selects winners based on a five-criteria scale. For students, the criteria are reliability, quality of work, initiative, professionalism, and uniqueness of contribution. For student employee supervisors, the criteria are how he or she has influenced the student’s life, work skills, academics, or career aspirations; what wisdom the student has gleaned from the supervisor; and how the supervisor has helped make the student the person he or she is today. Winners are announced at a recognition luncheon and the Student Employee of the Year campus winner is also eligible for state, regional, and national student employee competition/recognition. SPELLING ERRORS Students often do not take time to proof their materials. Take advantage of spell check and take note of the red and green grammar lines that might show up on your cover letter and résumé if using Microsoft Word or some other software.

2014 Faculty and Staff Retreat Overview

The final survey results are in (and are more positive than the informal event tallies indicated)
IUPUI and University College have labored continually to increase the day-to-day application of making diversity a more active, intentional part of how we work. revealing that the 2014 University College faculty/ staff retreat held February 7, 2014 at Hine Hall was a rousing success. Planned and orchestrated by the Project MOSAIC (Maximizing Opportunities to Secure an Accepting and Inclusive Culture) Standing Committee, the retreat was based on the book 35 Dumb Things Well Intended People Say written by keynote speaker, Dr. Maura Cullen. One might ask, how can a retreat be a success, especially one that is focused on making diversity more deeply entrenched in the way we do our work? It’s good you asked that question! So I will tell you why we (the committee) think the retreat was successful:
1. Dean Kathy Johnson opened with the
importance of the vision to make University College a campus leader in creating an environment where all feel welcomed all the time.
2. Executive Vice Chancellor Nasser Paydar
reiterated that diversity is a value that is inescapable if we are to become all the university and society we can be.

3. Vice Chancellor for Diversity, Equity and
Inclusion Karen Dace graced the retreat with comments that gave her personal testimony of “dumb things” that impacted her youth.
4. We viewed the results of a university–wide
survey on the Common Theme: Civil Discourse.
5. The crown jewel of the retreat was the keynote address and afternoon presentation given by nationally recognized authority on diversity and book author of 35 Dumb Things Well Intended People Say, Dr. Maura Cullen. She engaged the rapt attention of the entire 100+ faculty and staff who filled the Grand Ball Room of Hine Hall with an informative, funny, useful, and challenging interchange on how diversity—all types—is an inescapable part of living in our society.
6. Small break-out groups were led by IUPUI’s
own Khadija Khaja (Common Theme Project), Kathy Grove (Office for Women), Daniel Griffith, (Office for Intergroup Dialogue and Civil Community), and Lindsay Littrell (School of Social Work) who helped the groups’ attendees apply the speaker’s nuggets of wisdom in our professional spheres at IUPUI. While it is true that IUPUI and University College have labored continually to increase the dayto-day application of our mission’s intent to make diversity a more active, intentional part of how we work, we believe the success of the mission was moved forward at the retreat as comments like this were widely heard: “This is the best diversity event I have attended!” or “My big takeaway is the difference between equality and equity!” Do you know the difference? Project MOSAIC has plans under way to continue the conversations begun at this retreat. w

2014 Faculty and Staff Retreat What Dumb Things Do YOU Say?

The faculty and staff of University BY LINDA LOVE College were honored to have Dr. Maura Cullen, well known for her work in the field of diversity and author of the book 35 Dumb Things Well Intended People Say, as the keynote speaker for their 2014 faculty/staff spring retreat. While attending the University of Massachusetts, Amherst, Cullen noticed that many students were choosing the social justice and diversity program, so she chose that area as well. This decision changed her life. Cullen began doing presentations, and soon she was in demand to present and has been doing so
for 30 years. It wasn’t her plan, but that is the direction life has taken her. A very dynamic, downto-earth speaker, she relates her ideas in a very simple and entertaining way while engaging her audiences in lively discussions and activities. Through her presentations, Cullen hopes to help people lessen their fear of interacting with others who are different from them. Everyone says stupid things, Cullen acknowledges, but her advice is: If you say the wrong thing, don’t back away. Stay engaged in the conversation. When in doubt, ask questions of people in a sincere manner and do some self-educating via the Internet. Cullen believes that the core idea behind diversity is that all people need to be respected.

She feels that we need to accept the individual even though we may not accept his/her ideas or beliefs. When asked, “If diversity and acceptance of individuals is taught at an early age, so it just becomes second nature to people, would we still be having this conversation at the higher education level?” Cullen responded, “Yes. The conversation would only get richer. We would go from 2+2 to trigonometry. Where we are now, is that people are coming in at a higher level, like a 200-level course, where in the past, people were coming in at an introductory level or below.” When it comes to diversity, Cullen believes that vocabulary is often a tricky subject. Even the word “diversity” is problematic for some. And some words that used to have a negative connotation are now considered by younger people to be okay again. Another challenge is that people often know what they are not supposed to say, but they don’t know what they are supposed to say, so many just avoid interaction instead of asking questions and educating themselves. Cullen shared two concepts that can change one’s life personally and professionally:
1. Make “breathe” your default setting! It should
be your first reaction. Many of us use the RAB (React, Attack, Breathe) method of communicating. We react to a situation without taking time to think of what we are about to say. When we react without thinking, we usually attack the other person, and then we breathe. This is always a recipe for disaster. The better way to handle a situation is BAR – Breathe, Acknowledge, Respond. When faced with a difficult situation, one should first take a deep breath. This has a calming effect and gives you a moment to think before you speak. Next, acknowledge what the other person is saying, such as, “I hear you saying. . . .” Then you are in a better state of mind to respond correctly to the situation.
2.
Learn the difference between equality and equitable. Cullen offers this example: “I am going to hold a race and everyone running the race will get a pair of shoes – women’s size 7. I am treating everyone equally. Each person receives the very same thing; however, this is not going to work for everyone. We must treat others equitably remembering that one shoe does not fit all.” w
2014 Faculty and Staff Retreat Thoughts and Comments As part of the University College faculty, SUSAN MESHULAM is coordinator of the introductory algebra courses and academic coordinator for University College math-linked First Year Seminars. She had this to say about the 2014 faculty/staff spring retreat: “I’ve heard about [Project] MOSAIC a lot, and I’ve not been able to attend other activities that they’ve had, so I was curious [to attend the retreat]. The speaker was very motivating, and she brought up a lot of good points; I did see myself in some of them. I would definitely carry that on in my teaching as well. I really liked the activity where my partner tried to open my fist. All she had to do was ask. Communication is so key.”

MAURICE NAPPER, a senior academic advisor in Student Support Services, loved the featured speaker and breakout sessions at the University College 2014 spring faculty/staff retreat, especially the idea of having to remove yourself from your comfort zone and forcing yourself to experience difficulty in some situations in order to grow. Understanding and reinforcing the importance of collaboration between professional staff and the students was very valuable, too. He said, “I need the positive communication with the student to be able to listen and work… with them. It’s really valuable to me to know that I am able to help them.”

ASHA MCCAULEY?
Napper sees Project MOSAIC as a vehicle to force the difficult conversations about diversity to the table between the staff and the students as well as between the staff and faculty.
The 2014 faculty/staff spring retreat gave ASHA MCCAULEY, special programs coordinator with SPAN (Special Programs for Academic Nurturing), a great opportunity to meet faculty and staff that she hadn’t met before. She particularly liked learning about the BAR technique—breathe, acknowledge, and respond—that was discussed for handling conflict. Project MOSIAC is important in her eyes because it is an opportunity to collaborate on building a work environment that allows everyone to thrive. In the future, McCauley thinks it would be helpful to include more voices in decision-making processes and to make sure there are representatives from all groups in University College such as support staff, professional staff, and faculty.
An academic advisor in University College, CARLOS ZAPATA JR.’s take away lesson from the 2014 faculty/staff spring retreat was that in order for an individual to embrace diversity and be inclusive, one must make ground rules and demonstrate his/her own inclusivity. He said, “Any time we have opportunities to get professional development and to learn, I really love it. It helps us create strategies for fostering students’ academic success.”

He thinks that Project MOSIAC is important for University College faculty and staff because anytime you have a tagline for something you support, both students and employees can see the meaning and value behind it. In February, University BY ABIGAIL GODWIN College held the thirteenth AND HOPE MCGOWEN annual Appreciation Breakfast for employees who work in the auxiliary units that service and maintain the building spaces of University College and other offices in Taylor Hall. Invited guests were housekeeping, grounds maintenance, electricians, landscape technicians, painters, heating and cooling technicians, plumbers, locksmiths, and police staff. University College faculty and staff were also invited to

share breakfast with the facilities staff to thank them for their service to University College. Part of the breakfast spread was provided by business sponsors IHOP (38th Street), Starbucks (11th Street), and two Einstein Bros. Bagels restaurants (Indiana Avenue and Crawfordsville Road). Castleton Grill (82nd Street) also donated four $25 gift cards and a gift basket which were drawing giveaways. John Drew, Zone 2 manager, explained how critical their work is. “Our zone serves the entire college. Most of the people that go to school at IUPUI pass through Zone 2 at one time or another

during the day, unless they’re in the medical school or dental school. We host a lot of classes in our buildings here, so we do serve almost the entire campus community in our zone,” he said. Drew also stated that his staff enjoys what they do. He commented, “I’ve gotten very fortunate in the group that I have; they’re all very nice people, and they all get along. We always work as a team.” Dean of University College, Kathy E. Johnson, expressed her gratitude, saying, “These men and women help preserve the integrity, beauty, and functionality of the campus and create positive learning environments for more than
30,000 IUPUI students. We are very thankful for their great service to us through the year, and we are also appreciative of the support of the business sponsors who helped us carry out this special annual tradition.” Facilities staff and University College employees look forward to this event every year when they can enjoy breakfast together and the chance to build relationships. The appreciation breakfast planners are also very grateful for the business sponsors’ generous donations that helped make this year’s event a success. w

OPPORTUNITIES FOR GIVING
At the Office of Academic a n d C a re e r Deve l o p m e n t , o u r needs relate to increasing our c a p a c i t y t o m o re a d e q u a t e l y meet the needs of our students or to provide intensive service to special populations: more staff, more office space, and increased c a p a c i t y t o w o r k v i r t u a l l y, i f necessary. We ca n a l ways u se a d d i t i o n a l support for the events Career P l a n n i n g h o s t s , s u c h a s Fa l l Career Week.
The Office of Student Employment provides resources and empowers students to find meaningful, academically relevant part-time work experiences that enhance academic and personal success. Giving would allow the creation of more student positions on campus, increased funding to create more internship p ro g ra m s , a n d t h e a b i l i t y t o serve more students.
