PAYING FOR HOUSING

HOW TO PAY

All housing and meal plan charges are included in a student’s tuition bill. This bill is paid through the Office of the Bursar. Students can view their tuition bill online in their Campus Information Systems (CIS) account. Students are legally responsible for their accounts.

Payment Plan Options

All semester charges for housing, meal plan, and tuition are due together at the beginning of the semester on the dates listed above. Students may elect to sign up for a four- and five-month payment plan. Note: the five-month plan option begins in July. For more information, please visit the Office of the Bursar’s website: bursar.utah.edu.

YOUR HOUSING CONTRACT

Housing agreements are for BOTH fall and spring semesters of the 2024-2025 academic year, as long as the student is enrolled at the University of Utah. Summer semester is not part of the academic year agreement. Winter break is included in the 2024-2025 academic year housing contract. If a student is studying abroad, taking a leave of absence, or not attending the university for Spring 2025, they should notify HRE at least 30 days before the last day of Fall semester classes. Cancellation/termination fees may apply if a student chooses to cancel their housing contract or does not provide 30 days notice. For more information, please visit: housing.utah.edu/moving-out

INSURANCE

HRE is not responsible for personal property. We encourage students to obtain renter’s insurance or check to see if their family’s homeowner policy covers their belongings while living in the residence halls.

FERPA

The Family Educational Rights and Privacy Act (FERPA) of 1974, as amended, states that school officials may not disclose personally identifiable information about students nor permit inspection of their records by others without written permission from the student. Students are protected by FERPA as soon as they are admitted to the University of Utah. These records include, but are not limited to: grades, class schedules, student conduct records, identification numbers, and payment information. Questions regarding FERPA may be directed to the Office of the Registrar at 801-581-5808 or registrar@utah.edu. Learn more at registrar.utah.edu. Students will need to release their FERPA rights through CIS if they wish for anyone else to have access to their records. Note: There is a separate FERPA waiver required for housing information. See below for how to release your FERPA rights.

TIP: UMAIL

Your UMail account is your official university email address. HRE and other university departments will communicate important information to this email. It is important that students check this account often.

BUILDING SECURITY

Residential living areas are locked 24 hours a day. Buildings are accessed by physical and mobile UCards. Students are only able to access their building. All students should lock their doors.

24/7 SECURITY & STAFF SUPPORT

All HRE facilities are supported by staff and security 24 hours a day, seven days a week. If a student needs assistance after hours, they can work with the front desk in their area or contact security personnel available overnight at the Peterson Heritage Center, Kahlert Village, Lassonde Studios, and Epicenter front desks. Check out the “Your Residential Experience” section in this guide for more information.

GUEST POLICY

HRE residential living areas remain locked at all times. Only students who live in a building have access to enter. Guests must be escorted by a resident of the building at all times and may not be left alone in the resident’s space. A guest is any person who does not live within the building.

OVERNIGHT GUEST POLICY

Residents are allowed to have overnight guests up to ten (10) nights per semester. Residents may have one (1) overnight guest at a time. Guests may not stay for more than three (3) nights in a row. Each overnight guest must be approved by all roommates and suitemates prior to their overnight stay. After your roommates have approved, students must register each overnight guest in Housing U in your CIS portal a minimum of five (5) days in advance. This will send an email to all of your roommates to confirm your guest. If you have a concern, reach out to the Resident Advisor (RA) or Resident Director (RD) in your community. CAMPUS ALERT SYSTEM

The Campus Alert System is a messaging service that alerts students to all potential weather conditions, safety threats, and other emergencies on campus. This system also provides notification to residents in case of an emergency within HRE facilities. University of Utah students are automatically signed up for this service, so do not opt out of this service. Visit alert.utah.edu for more information.

COMMUNITY DAMAGES

Any instances of damage or vandalism in a community will be divided amongst the residents in that community/building, and the cost will be billed directly to student accounts. Approximately 30 days before students are charged, a notice will be sent to community members in an effort to identify the responsible individual(s) for additional investigation. However, in the event that the responsible party is not identified, the repair cost will be assessed to the impacted community.

CAMPUS COURTESY ESCORT

It is our priority to provide a safe and welcoming environment to everyone on campus. Courtesy escorts are always available as a resource to students while on campus. Campus Security can escort you to your residence hall, car, or any campus building. Courtesy escorts are available 24 hours a day seven days a week by calling 801-585-COPS

ITEMS NOT ALLOWED IN HOUSING

Some itmes are prohibited in residential facilities. Failure to comply can result in conduct action and possible eviction.

Some of the items not allowed include, but are not limited to, the following:

Personal router or modem

Drugs and alcohol, including but not limited to: full/empty alcohol bottle collections, drug paraphernalia, kegs as decoration, etc.

Explosives, Explosives, Firearms, & Weapons: Explosives (including but not limited to firecrackers, fireworks, home-made explosives, pyrotechnics, and gunpowder ), firearms, and other weapons are not permitted on campus, including all HRE facilities and properties on and off campus, except as expressly permitted by law

Appliances with an open coil such as hot plates, toasters (other than in an apartment kitchen) and deep fryers

Candles, incense, kerosene lamps, or any other open flame or incendiary device.

Pets are not allowed in HRE spaces. Emotional support animals must be approved in advance through the Center for Disability & Access (CDA) and coordinated through HRE— xcept for fish in tanks smaller than 10 gallons.

STUDENT CONDUCT & HRE POLICIES

All students are expected to abide by university and HRE policies and to report safety concerns/policy violations in their rooms, floors, and/or buildings. Students are responsible for all policies outlined on the HRE website and in their housing contract. Residents may be required to meet with Housing & Residential Education staff to discuss certain situations. All policy violation notices will be sent to the student’s UMail. Students are responsible for checking their UMail and following up per the instructions outlined in the email. The campus student conduct system is educational in nature and it is our mission to encourage, facilitate, and support the learning and development of all residents while creating an inclusive and safe living environment.

TOBACCO FREE CAMPUS

The University of Utah is a tobacco-free campus. Smoking and the use of any tobacco product (including e-cigarettes) is prohibited on all university property and in any outdoor area controlled by the university. These areas include all university residence halls and apartment buildings. This rule is applicable 24 hours a day, seven days a week. For more information, visit tobaccofree.utah.edu.

YOUR RESIDENTIAL EXPERIENCE

RESIDENTIAL EXPERIENCE MODEL

We believe that residents learn many skills as a result of living on campus. The residential experience model outlines the lessons we hope students will gain out of their residential experience. Learning is based on our educational priority: as a result of living on campus, residents will be able to develop an inclusive and engaged community where all members thrive.

Our student leaders and professional staff will connect you with ways to grow in your residence hall during your time on campus, through community meetings, one on one conversations, bulletin boards, events, and more.

ROOMMATE TIPS

Resident Advisors will share and help roommates complete their Roommate Agreement at the beginning of the fall 2024 semester. Roommate agreements set expectations for the year for things like quiet time, guests, personal space, and more.

Tips for Getting Along with Roommates:

• Be open to new experiences

• Respect one another and be clear from the start

• Address things when they’re still little

• Be mindful of your roommates’ belongings

• Lock the door and windows to protect you and your roommates‘ belongings

• It’s OK to not be best friends

Parent Advice: Encourage your student to have honest conversations with their roommates regarding concerns as they arise. The Resident Advisor on the floor can help facilitate these conversations as needed.

This is a useful opportunity for students to enhance their skills to live cooperatively with others.

GENDER INCLUSIVE HOUSING

Housing & Residential Education is committed to making each resident feel welcomed and included in our campus communities — including an environment that is welcoming to all gender identities and forms of expression. Students interested in Gender-Inclusive Housing can select this option on the room gender page in the application. Students can select a gender-inclusive space in room selection or join a waitlist for a genderinclusive space.

When you complete the housing application, select the room gender that most accurately represents the space you would like to live in.

Room selection/assignments are based on your choice.

-Female room gender houses female-indentifying students

-Male room gender houses male-indentifying students

-Gender Inclusive rooms connect others seeking a safe and supportive space for transgender, non-binary, LGBTQIA+ students, and their allies.

CRISIS SUPPORT

Mental Health First Responders (MH1) provide free, mobile after-hours crisis support for students living on campus. They serve students with licensed mental health crisis workers who offer follow-up services, ongoing support, and referrals to healthcare providers and mental health services. This service is available virtually and on-site, seven days a week, from 4 p.m. to 2 a.m. MH1 staff are employed by the Huntsman Mental Health Institute (HMHI) and work in partnership with Student Affairs departments, including HRE and the University Counseling Center.

C. Indoor Bike Storage

Lockable indoor bike storage. Students provide their own lock. Request this service in Housing U in CIS. This optional service is available to residents of all communities in a limited capacity.

IMPORTANT: Residents of Officers Circle and Chapel Glen 804 can purchase storage in 802 Chapel Glen, which is located adjacent to these buildings.

D. Bed Lofting

A lofted bed is similar to sleeping on a top bunk without a bed underneath. The desk and dresser will fit underneath a lofted bed. All triple rooms automatically come with lofted beds. Students in other room types may request to have their bed lofted at no charge. Bed lofting is available while supplies last on a first-come, first-served basis. Students are not permitted to bring their own bed lofting supplies or cinder blocks to raise their bed. In Kahlert Village, Lassonde Studios, the Marriott Honors Community, some areas in Heritage Commons, and the Epicenter, residents are able to raise their own beds. Request this service in Housing U in CIS.

E. Television Streaming Service

Students can sign up for Xfinity On Campus TV-Go service to stream shows and live TV. Visit xfinityoncampus.com to learn more.

TRANSPORTATION FOR RESIDENTS

TRANSPORTATION

There are a variety of ways to get around campus and the Salt Lake area. We strongly encourage you to consider alternate transportation methods rather than bringing a car with you to campus. Only about a third of students who live on campus bring a car with them!

Campus shuttles run regularly from the Peterson Heritage Center and around campus. To track all campus shuttle locations live, view estimated times of arrival and find nearest stops, visit uofubus.com

Your UCard also grants you free access to all public transportation in Salt Lake City, including TRAX, Frontrunner, and UTA bus routes. Download the Transit app to find a UTA route that works for you. For more information visit ride.uta.com

PARKING

Residential parking is limited, and parking next to your building is not guaranteed. If you plan to bring a vehicle with you to campus, you should also plan to purchase a University of Utah parking permit. Commuter Services offers a variety of permit types to residential students. Explore permit types at commuterservices.utah.edu.

SAFE RIDE

SafeRide is a free after-hours service for students who don’t feel comfortable walking to buildings or parking lots at night. This service is especially convenient for residents studying or working late on campus.

SafeRide functions similarly to other rideshare programs like Uber or Lyft but only operates within university boundaries, Monday - Friday from 6 p.m. - 12:30 a.m. Students may request a ride by downloading the TransLoc app and following the prompts.

DINING ON CAMPUS

LOTS OF WAYS TO DINE!

• United Table at Peterson Heritage Center (PHC) and Kahlert Village Dining Halls: tap your UCard for an all you care to eat experience!

• To-Go Meals: Take food on the go from the dining halls by requesting a to-go box.

• Flex Dollars: Work like a debit card on your UCard and can be used at dining locations across campus.

• Transfer Meals: Transfer your weekly swipes to be used at other eateries on campus. Transfer meals can be used for up to $8.55 for each meal. Eligible locations include: Miller Cafe, Honors Market, The Forum in Epicenter, Student Life Center, Crimson View, Union Food Court, Carolyn’s Kitchen in Gardner Commons, Crimson Corner, City Edge, and the Food Hall at CRCC.

TIP: UCARD

You’re a tap away from lots of great stuff! Use your UCard to get into the dining halls, use your flex dollars, or use a transfer meal. Plus your UCard is what allows you to use SLC public transit for free.

MAIL & PACKAGES

MAIL

All students who live on campus will be issued a mailing address. Once you receive your room assignment, you will be able to locate your mailing address online at housing.utah.edu/desk. Students are able to begin receiving packages for the fall semester on August 6, 2024.

MEAL PLAN FAQs

• First-year students are required to have a meal plan.

• Meal plans are optional for students living in apartments.

• Meal plan weeks start on Friday and end on Thursday.

• Meal plans work on either a weekly or semesterly basis.

• Meal plans can be changed once a semester during the first week of the semester. Complete the “Meal Plan Change Form” in Housing U in CIS.

• Hours at dining locations may vary during breaks and when classes are not in session.

• Failure to use a meal plan does not cancel a student’s financial responsibility for the meal plan.

• For the most updated list of dining hours and to view the dining rules and polocies, visit dineoncampus.com/utah.

• If you have any dietary needs or restrictions, please visit housing.utah.edu/dining/forms to fill out the meal plan accommodation request form.

PACKAGES

We utilize a package-locker system. Information on this system will be shared with you via email when you receive your mailing address. Students can mail packages to campus beginning August 6, 2024 Packages that are delivered to our mailroom will be returned to sender if sent too early. We encourage you to wait on any furniture or large items until after you arrive on campus and settle into your space.

TIP: PACKAGES

We cannot share addresses with friends, parents, supporters, or family members. Please share your address as needed so that care packages or other fun items find their way to you.

HOUSING AMBASSADORS & DESK ASSISTANTS

HRE is currently looking for motivated and knowledgeable student leaders to be a part of our team! Our student leaders are positive, welcoming, and help HRE feel like a home for our residents! If you like to help others and work on a fun, friendly team, this is the place for you. Applications are open now!

Housing Ambassador (HA): HAs provide aid to students and supporters in the HRE central office.

Desk & Mailroom Assistant (DA & MA): DAs & MAs serve on our front-line ensuring students are met with positivity, attain the support they need, and have their questions answered.

Outreach Housing Ambassador (OHA): OHAs provide specialized support to marketing and potential student recruitment efforts by assisting with housing tours, outreach events, social media content, website updates, and more.

RHA

You can make an impact right from your own home. The Residence Hall Association (RHA) is the premier student organization in Housing & Residential Education and provides numerous opportunities to get involved. First-year students are highly encouraged to get connected with RHA to develop leadership skills and make a difference on campus. Many of the events and activities during opening weekend and throughout the year are hosted by students just like you.

• Campus Events Board - This board hosts special events aimed at engaging residents and connecting them withing the greater residential community while building on the spirit of RHA and campus traditions. Interested in building stronger community? Campus Events Board is for you!

• Salt Lake Events Board - SLEB connects residents with amazing offcampus activities and events available to students as members of the Salt Lake community. On this board, you will be able to help your fellow residents explore and enjoy our beautiful city!

• Resident Relations - This board works to serve as the voice and support of residents while developing leadership within the residence halls. If you are looking to help residents grow their skills and relationships, Resident Relations is the board for you!

• Community Council - Any student who lives on campus has the opportunity to build their leadership skills within RHA through joining their community’s Community Council. Community Council is an opportunity to advocate for the students who live in your halls and be a leader on campus. The positions available are President, Marketing and Outreach Liaison, Treasurer, Salt Lake Events Liaison, and Campus Events Liaison. Application will open up at the start of the Fall semester.

• Marketing and Outreach - Marketing and outreach works closely with all the other boards to help with advertising RHA Facebook and Instagram pages. If you like promotion and social media, this board could be perfect for you!

MOVING IN

BEFORE MOVING IN

• Arrival times will be assigned based on your room location and floor via UMail mid-May. Move-in will occur August 13-15.

• Plan out what you’re bringing to campus. You are only allowed to bring one car on move-in day, so we recommend prioritizing the items on our packing list. Pro-tip: check in with your roommates to see what everyone else will bring.

• Update your emergency contact and missing persons information in Housing U in CIS.

Drive to your area’s unloading zone to unload your car. We’ll have volunteers available onsite to help you unload as well as dollies and carts to help move your items. Note: Label your items to keep track of them.

MOVE-IN WEEK: AUGUST 13-15

We are excited to welcome you to campus in August! In order to provide an efficient move-in experience, Move-in Day occurs over multiple days on August 13, 14, and 15. Additional instructions and move-in assignments will be shared in June via UMail. Please check our Moving In webpage for the most up-to-date information.

WHAT’S INCLUDED

UTILITIES

HRE provides all utilities as well as high-speed wireless Internet, Ethernet ports*, and free laundry in each area (detergent, softener, etc. not provided).

*Ethernet ports are not available at Downtown Commons 1 or 2.

BATHROOM

Bathrooms in suite-style rooms do not have locks installed on them per fire code - cluster style bathrooms have locks. There are two sinks, a privacy stall for the toilet, and a privacy changing area for the shower. Toilet paper is not provided in suite-style bathrooms. Bathrooms in suite style rooms are not cleaned by custodial teams and are the responsibility of the residents.

Furnishings vary by space. Check online at housing. utah.edu/room-types/ for more specific information.

TIP: ROOM CHANGES

Students can request a room change pending availability. Students interested in a room change should contact their RA and to begin the room change process in Housing U. Unauthorized room changes are not allowed and a penalty may apply. Room changes cannot be made during the first two weeks of the semester due to occupancy verification.

Closet/Wardrobe

May be shared with roommate if you have one.

Every room has a bed frame, mattress, and mattress cover. Beds are extra-long twins (36” x 80”). Lassonde pods and Epicenter endcap units have full beds.

APARTMENT FURNISHINGS

Apartment spaces, Lassonde pod communal spaces, Lassonde lofts, and Epicenter end-cap unit communal spaces have living room furniture (couch, chairs, end tables) and a kitchen table with chairs.

Officers Circle houses have furnished living rooms, study rooms, a kitchen, utensils (excluding cookware), and dining room.
