E-ADMINISTRATION As a universal rule, always use your name exactly as it is written in your passport whenever you have to use it in official procedures including e-mail correspondence! If there is any difference in your name it will cause you trouble and/or we may not be able to identify you in our systems! If you send an e-mail to our colleagues at UP, please always include your full name and Neptun ID code. Main ways of communication: •

TRANSMISSION OF INFORMATION, NOTICES, CORRESPONDENCE • official mails by post from the Registrar’s Offices (RO) and the committees (e.g. answers for requests, resolutions) – sent to the address registered in Neptun (university web portal for administrative tasks). Please, always update your current address in Neptun. • e‐mails from the Registrar’s Offices – sent to the e‐mail address registered in Neptun. Please maintain your mail box constantly. • e‐mails sent from Neptun by the course lecturers and practice leaders – Please, do not ban this function! (You might miss group or personal information regarding e.g. test times, changed classes, exam reschedules). • web messages sent by teachers in Neptun – pop‐up window will appear with the message when logging in to Neptun. When using Neptun it is indispensable to allow pop‐up windows! • Neptun Meet Street: messages, newsboards, forums - daily or prompt event or message notifications • contacting the Registrar’s Offices via phone: – dial the University phone centre (00‐36‐72‐501‐500) and ask for the relevant extensions listed on the Faculties’ websites (if not, please contact the institutional coordinator) • e‐mail the staff of the Registrar’s Office: – check out the e‐mail addresses on the Faculties’ websites • visiting the Registrar’s Office: – check out the opening hours during the term‐time on the Faculties’ websites – check out the opening hours during the exam period on the Faculties’ websites • submitting requests: – usually you have to fill in a form to be downloaded from the relevant RO website or submit an e‐request using Neptun’s website • corresponding with the teachers: – Search the UP or Faculties’ websites for the e‐mail address and the official phone number for the teachers. Please, make an appointment to meet them!


DORMITORY CHECK-IN & CHECK-OUT If you have previously applied for dormitory placement and have received a room, please go to your designated dormitory upon your arrival to Pécs. Check-in times will be provided to you after your online dormitory registration. Please, note: Each student have to fill and submit the online registration form prior to their departure to Hungary in order to receive a place in one of our dormitories from September. If you do not fill the registration form, we will not be able to provide you accommodation. After your arrival you will be required to pay a deposit of HUF 40.000 at the time of your check-in to the dormitory. If you make any damages in the equipment of the dormitory, it will be deducted from the deposit (if not, you will receive beck the whole amount after you properly leave the dormitory).

You will need to fill out the check-in form at the dormitory. Sign the dormitory service contract and comply with all house rules. • As a freshman you will be placed in one of our dormitories as part of your Stipendium Hungaricum Scholarship. During your first semester, while you live in the dormitory you are not entitled to the monthly accommodation fee, therefore if you decide to leave the dormitory, you will NOT receive any accommodation support until February, 2019. • For the second semester (Spring, 2019), you will not need to reapply for the dormitory, if you decide to leave the dormitory, you will receive the monthly accommodation support (HUF 40.000) to rent a private apartment (please, see the next slide). • If you decide to leave the dormitory you need to sign a check-out form in due time – as it is indicated in your dormitory contract. DORMITORY ALLOCATIONS ARE NON-NEGOTIABLE. YOU MIGHT BE ALLOCATED TO A DIFFERENT DORMITORY THAN IT IS INDICATED ON YOUR LETTER OF ADMISSION. szanto@pte.hu Please note: You need to inform the Immigration and Asylum Office every time, you move to a new address in Hungary!


RENTING A FLAT IN PÉCS For incoming students who require superior quality accommodation, rented flats are an alternative. Renting a flat can provide students with the peace, comfort and privacy they require. We encourage all students to choose this option for their accommodation. • Prices range between approximately HUF 80,000 - 150,000 (+ utilities) for a furnished flat with central heating for one or two persons that is fairly near to the city centre and/or faculties of the University. • There are numerous private companies in town, one of them is Student Housing which offers free apartment-finding service for students. They have the largest database of apartments for rent in Pécs. They offer: houses, apartments and flats for rent, roommate search They make appointments with the landlords and they take you out by car to view apartments, provide you a rental contract, etc. Apartment listings can be viewed at http://www.studenthousing.hu/fooldal&lang=en Choose your favourite apartments on their website, write them an email and leave the rest to them!

IMMIGRATION AND ASYLUM OFFICE (IAO) • •

All non-EU citizens must check in at the IAO within 30 days after their arrival to Hungary. Book an appointment and ask your ’Buddy’to take you to the Immigration and Asylum Office: http://www.bmbah.hu/index.php?lang=en (Please use Google Chrome or Mozilla Firefox for better visualization!). Address: 7623 Pécs, Csend utca 3. Opening hours: Please take the following documents with you: Monday: 8:30-11:00, 14:00-17:00 1.) Valid passport / national ID Tuesday: 13:00-16:00 2.) One passport-size photo Wednesday: CLOSED 3.) Datasheet from their website (”Residence Permit for the Thursday: 8:30-11:00, 13:00-16:00 Purpose of Studies” – filled out) Friday: 8:30-11:00 4.) Letter of Award (from Tempus Public Foundation) 5.) Student status certificate (from Registrar’s Office) and Letter of Admission 6.) Dormitory contract OR (if you live in a rented flat) lease agreement + a copy of ownership certificate from landlord + accommodation report form Then: • Wait for the call or e-mail from IAO. It takes approx. 1-2 weeks until your residence permit card arrives. • If you live in a flat, make sure you have your name on the mailbox in order to receive official letters sent by any authority. • Visit again the IAO in office hours or book an appointment (see above) • Submit your passport and refer to the phone call or e-mail where IAO notified you about your new residence permit card. • Sign the documents and receive your residence permit.

Important general information: With the type “D” visa you received at the Hungarian Consulate you can only travel in to Hungary once and its only valid for 30 days (the 30 days starts when you enter at the Hungarian border), so please make sure you visit the IAO as soon as possible preferably in the first two weeks of your arrival. Please note: You need to inform the Office of Immigration and Nationality every time you move to a new address in Hungary.

PLEASE, KEEP UP WITH THE OI’s DEADLINES! Always keep your Hungarian health insurance card (’TAJ kártya’), your residence permit and the copy of your passport with you!


APPLICATON FOR MEDICAL INSURANCE After you have received your residence permit please, visit the Central Registrar’s Office (’Központi Tanulmányi Iroda’ - KTI), and apply for your Hungarian medical insurance card (’TAJ’ card) as soon as possible to cover any kind of unexpected medical situation – it may take several weeks to receive your insurance card, therefore we highly recommend you to buy a tourist health insurance to safely bypass that period when you do not have the Hungarian national health insurance card! Dohány utca Opening hours: Monday – Thursday: 8:00-15:00, Friday: 8:00-16:00 (8:00-12:00 during exam period) (Lunch break: 12-12:30) You will need to take the following documents with you: • Passport • Valid residence permit • Accommodation confirmation (or address card) • Letter of Award – your Stipendium Hungaricum verification (you can download this from your Neptun account, from information/documents). • Student status certificate in Hungarian language – from your faculty’s registrar’s office, issued not more than 30 days prior to your application! It takes approximately 2-3 weeks to issue your ’TAJ’ card. As soon as it is ready, you will receive a notification and you can pick it up in the Central Registrar’s Office (CRO). (Buliding Z, lower ground floor H‐7622 Pécs, 1-3. Dohány utca) PLEASE, DO NOT FORGET TO RENEW YOUR CARD BEFORE IT EXPIRES IN THE CRO!

First, go to the ‘Government Office’ to fill out the application form. Address: Szántó Kovács János u. 1. Opening hours: Mon: 7:00-17:00, Tue: 8:00-12:00, Wed: 8:00-16:00, Thu: 8:00-18:00, Fri:8:00-13:30), TAKE PASSPORT AND STUDENT STATUS CERTIFICATE WITH YOU! Provide your personal data exactly as it is written in your passport! You will receive a paper there, please make sure that your data on the paper matches exactly with your data in Neptun (if your data is different in the system, please visit the Registrar’s Office at your faculty and ask them to update your personal data)! Fill in the ‘NEK’ number from this document to NEPTUN. After 2 days you can go to the Central Registrar’s Office (CRO, address: Buliding Z, lower ground floor H‐7622 Pécs, 1-3. Dohány utca, opening hours: Monday – Thursday: 8:00-15:00, Friday: 8:0012:00 ) to pick up your temporary student card (valid for 60 days only!). After 4 weeks you you will receive a Neptun notification to pick up your permanent student card at Central Registrar’s Office (it has to be validated for every semester by a sticker at the Central Registrar’s Office – otherwise you will be fined by the conductors on trains, buses!). You may also inquire about the arrival of your student card at CRO by e-mail: infokti@pte.hu

PLEASE NOTE: PREPARATORY COURSE/EXCHANGE STUDENTS HAVE TO RENEW THEIR TEMPORARY STUDENT CARD EVERY 60 DAYS!


OPENING A BANK ACCOUNT • In order to receive your monthly Stipendium Hungaricum allowances you will need to open a Hungarian bank account at a larger bank available in Pécs. We recommend OTP Bank’s branch office in Rákóczi út 1., 7621 Pécs. • Ask your buddy to go with you and help you with translation if necessary. • Take all personal documents with you including passport, student status certificate and residence permit, if you have already received it! • After you have opened your new bank account log in to Neptun and upload your Hungarian bank account number. As long as your account number is not in Neptun, you will not receive any of your SH monthly allowances. Please, do this as soon as possible!


PUBLIC TRANSPORTATION IN PÉCS BUS TICKETS, BUS FARES Before you board a bus, you should buy your tickets from a newsagent, in the ticket offices of the Pécs Public Transport Company or in the Tourinform office – do not forget to validate your ticket after boarding! Tickets can also be bought from the bus driver, but this is more expensive. An economical solution is the day card, the weekly pass or monthly student pass (50% discount with your UP student card). Attention: Do not forget to fill in your UP student card number into the monthly pass, otherwise you will be fined by the conductor (and keep your student card with you)!

GETTING A HUNGARIAN CELL PHONE Hungary has three main cellular phone service providers, you may choose any of them to get a Hungarian cell phone number:  T-Mobile  Telenor  Vodafone You can find all three stores in Árkád department store. Address: 7622 Pécs, Bajcsy Zsilinszky utca 11/1.


MEDICAL ASSISTANCE General information If you get sick (e.g. fever, flu, diarrhea, sore throat etc.) you will need to go to the GP within theiropening hours. Always have your Hungarian health insurance card (’TAJ’ card) with you to access free treatment (otherwise one meeting with the doctor costs HUF 2500). If necessary the GP may redirect you to a specialist for special treatment. Prescribed medicines can be bought at any pharmacies/drug stores with the prescription from the doctor. If you fell sick outside the GP’s opening hours, you will need to go to the General Practitioner on duty at Janus Pannonius Clinical Bloc, Department of Emergency Medicine level, Ifjúság út 13., entrance from Honvéd utca - with similar symptoms described above.

In case you have serious illness or an accident (and you are able to get there your self), you also need to go to Janus Pannonius Clinical Bloc, Department of Emergency Medicine level, Ifjúság út 13., entrance from Honvéd utca. With dental issues first, find out which dental district you belong to (with the help of your Hungarian buddy, on the following website, in Hungarian): http://www.pecs.hu/tartalmak/Vegyes_fogaszati_korzetek_elerhetosege#adatbazis, then visit your designated dentist. Basic treatments are for free with your ’TAJ’ card and your address card, but more complex dental treatments are to be paid by the patient. At weekends and holidays from 7:00-17:00 you should go to the Department of Dentistry, Oral and Maxillofacial Surgery, at 7621 Pécs, Dischka Győző utca 5.

Your monthly Stipendium Hungaricum allowances… As a Stipendium Hungaricum student, you are entitled to receive the following benefits: • monthly pocket money (HUF 40.460 for BA/BSc and MA/MSc students, HUF 140.000 for PhD students). • Dormitory placement OR • Monthly housing support of HUF 40.000 • Hungarian National Medical Insurance (TAJ card) Despite that the SH Scholarship is a generous contribution to your studies, it will not cover the overall costs of your stay in Hungary and there will be a delay too in the first payment of your monthly benefits (your will first receive your scholarship in October month, including September month’s instalment), therefore we kindly ask you to prepare additional funds to cover your expenses, especially during the first 2 months of your stay. We also ask you to buy a travel insurance for at least until the end of September month, because it will take approximately 40 days to receive your Hungarian insurance card!


… and how you can receive it Please, be advised: you will only receive your scholarship if all of the criteria below are met: • You have enrolled and activated your semester • You have received your residence permit at the Immigration Office • You have signed the attendance form in our office (by 12. October 2018) • You have opened a Hungarian bank account • All of your personal information is updated in our Electronic Study System called Neptun • We have received your letter of award from Tempus Public Foundation (or from you) • You have filled in your Hungarian bank account number into Neptun – otherwise we will not be able to transfer your scholarship.

Apply for student card

add your account no. to Neptun

at Government Office

Sign your SH student contract at SH Office of UP

Pick up student card and health insurance card – upon call at Central Registrar’s Office

Apply for resident’s permit at Immigration Office

Apply for medical insurance at Central Registrar’s Office
