Job Descriptions


Five hundred twenty-five thousand six hundred minutes, eight thousand seven hundred sixty hours, three hundred sixty-five days. No matter how we measure them, these three numbers will all mean the same thing, the length of one single year. A year ago, a group of students came together to fulfill one purpose, to help and serve one of their own. A year has passed from then and we are seeing that purpose come to life. But bringing it to life is not the end of it, we must move forward and see that purpose be something more, something bigger, and something way better. The previous term laid the foundations on what we now know as UP CAPS and explored the endless possibilities that the organization has to offer. This incoming term ’15-’16, we will be using those foundations to bring CAPS to a greater height. We will build on what we have and what we have experienced to create a more meaningful and purposeful UP CAPS. What you have in front of you are the roles that will continue on making the purpose of UP CAPS a reality. Each role is crafted to not only ensure that we fulfill the purpose of the organization but also to ensure that you, as a member, are developing into the person you want to be. We are not only here to help the students but also to help you be the best person, leader and scientist that you truly are. Each role will give you the opportunity to not only capitalize on your strengths, but to also work on your weaknesses. We’ve done our part in creating the roles we think the organization deserves, now it’s time to do your part and select the role that you think you deserve and the role which you think you can maximize your growth as a person. The future is now in your hands. Let the past help you decide where you think you fit in the organization. Let the present help you decide where you can contribute the most. Externals


The Externals Department of UP CAPS functions as the lifeblood of the organization. We handle UP CAPS’ relationships with all other outside partners, creating synergistic relationships that fulfill the needs of both our organization and our partners. Without the money and involvement from companies and the assistance and participation from student organizations, the execution and success of our events would be close to impossible. It is our job and duty as the Externals Department to connect UP CAPS’ key customers, namely the student body and businesses, to one another by creating and maintaining positive working relationships with all our partners. Our work is challenging, but it is as rewarding, as we bring the student body closer to those who can provide them the avenue to pursue whatever careers they choose.


Director for Sales and Marketing SALES AND MARKETING Role Description The Director for Sales and Marketing is in charge of leading their team of officers in (1) researching potential companies that UP CAPS could partner with and (2) establish and maintain beneficial partnerships with said companies, institutions and organizations. The Director also ensures that their team members are properly trained and work output is efficiently tracked.

Sales and Marketing Officer SALES AND MARKETING Role Description The Sales and Marketing Officers are responsible for the research of possible companies and organizations to partner with UP CAPS for our events focusing on the Career Expo. They are also in charge of establishing and maintaining the partnerships with said businesses.

Internals


The Internals Department of UP CAPS is mainly focused on the development, training, and improvement of the members of the organization. The department handles events, camps, and other activities that lead to promotion of camaraderie and collaboration among members. It is also focused on member recruitment which includes (but is not limited to) team building activities, orientation seminars and interviews for future prospects of the organization. Finally, it serves as the inside "thinktank" of the organization through its information management systems, which is in-charge of assuring member awareness of events and activities in the organization and the tracking and evaluating of the organization's constituents.


Recruitment Manager RECRUITMENT Role Description The Recruitment Manager is in charge of the planning, creation and implementation of the recruitment system and tracking its progress as a whole. The Manager is in charge of the creation and execution of selection guidelines for applicants. The Manager oversees the overall operations of the UP CAPS recruitment process and collaborates with the other teams of the Internals department for its activities and informaion dissemination.

Director for Information Management INFORMATION MANAGEMENT Role Description The Director for Information Management oversees the operations involving information dissemination, knowledge management and member tracking and evaluations. The Director oversees the internal communications, including but not limited to information dissemination within the organization (birthday, e-mail, text). Information Management Officer INFORMATION MANAGEMENT Role Description The Information Management Officer handles the documentation needs of the organization. The officer is also in-charge of data archiving for the organization. The officer also implements the member tracking and evaluation metrics set by the Vice President and the Director. The officer provides general organization information to the members through text brigades, e-mails and social media.

Director for Member Involvement and Development MEMBER INVOLVEMENT AND DEVELOPMENT Role Description The Director for Member Involvement and Development oversees the operations involving member involvement and development. The Director oversees activities directly involving the well-being of the organization and its members like team-building activities and training camps. The Director organizes the general assembly meetings. The Director is also in-charge of overseeing the whole MID team.

Finance & Legal Affairs


The Finance and Legal Affairs Department (FLAD) serves as the financial manager and legal adviser of UP CAPS. We are in charge of the financial sustainability and legal compliance of the organisation. The activities expected from the finance sub-department cover a wide range: from basic bookkeeping to providing information to assisting UP CAPS in making strategic decisions. It is responsible for the management of the organisation’s cashflow, ensuring that there are enough funds available to meet payments. Meanwhile, the legal sub-department ensures that the organisation is abiding by all the laws the latter is concerned with. It serves as the adviser of UP CAPS on a broad range of regulatory and compliance matters, including identifying areas of risk and making suggestions for improvement. If the projects of UP CAPS are the cradle of future professionals, FLAD is their nursemaid-- we ensure that these projects are well taken care of, financially and legally.


Director for Finance FINANCIAL OPERATIONS Role Description The Director for Finance shall act as the auditor, ensuring the proper compliance of financial reporting activities of UP CAPS to the University Financial Transparency Reporting Standards (UFTRS). He/She shall also approve all budget proposals for all the events of UP CAPS. He/She shall also lead the Financial Operations team.

Finance Officer

FINANCIAL OPERATIONS Role Description The Finance Officers shall act as liaisons of the Finance and Legal Affairs Department with the department assigned to them. They shall oversee the financial processes, namely disbursement, reimbusement, remittance, and liquidation of funds. They shall also oversee the creation of the budget proposal of the department/event that they are assigned to.

Finance Secretariat FINANCIAL OPERATIONS Role Description The Finance Secretariat shall monitor the records of financial transactions via the department master tracker and shall keep copies of acknowledgement receipts of said transactions, if any. He/she shall also head the income-generating projects (IGP) of UP CAPS.

Director for Legal Affairs LEGAL AFFAIRS Role Description The Director for Legal Affairs shall create memoranda of agreement (MOA) and other legal documents together with the VP for Finance and Legal Affairs and the VP for Externals, supervise MOA signing, and make sure the signatories comply with the MOA.

Communications


The Communications Department of UP CAPS may be thought of as the veins and arteries through which the organisation’s lifeblood flow - we bridge the divide between the organisation and some choice parties, be it the students of the College of Science, the partner organisations, or the companies. The best part is, we accomplish this with creativity and imagination - through designing aesthetically pleasing publicity materials for the organisation’s activities and events, documenting these, and coming up with relevant publications such as the career handbook. In turn, these are shared with the outside world using strategies that aim to garner (1) attention, and (2) high event turnout, such as through social media websites and the use of physical advertising paraphernalia. The Communications Department may also be thought of as a shield we protect the organisation’s image and branding from any sort of sullying or misuse. This year, we as a department are committed to consistency, high quality, resourcefulness, and punctuality, so as to better serve the organisation and the students of the College of Science.


Director for Creatives & Brand Management

CREATIVES & BRAND MANAGEMENT Role Description The Director for Creatives and Brand Management shall serve as the bridge between the Vice President (VP) for Communications and the Creative Officers, shall assist the VP with establishing synergy within the team, ensure that his/her members are well trained, ensure that all creative outputs (pubmats, videos, etc.) are of high quality and follows the branding of UP CAPS, and shall ensure that the organisation’s logo and other such paraphernalia are being properly used by other organisations.

Projects


The Projects Department of UP CAPS is in charge of the overall planning and execution of the organization's events. From the conceptualization, up to the event itself, the department's project heads oversee every aspect of the process in order to deliver quality events to the students. Since the department spearheads the organization's projects, we work closely with members from all the other departments as well. Aside from project planning, the Projects Department also handles all logistical acquisitions of the organization.


Project Head for Career Talks CAREER TALKS Role Description The Career Talks Project Head is in charge of the overall coordination and conceptualization of the Career Talks series, and coordinating with the event heads for the planning of each specific talk to ensure cohesiveness of all the events. He/she coordinates with the partner organizations, together with the University Relations team, in planning and executing the career talks co-handled by CAPS and the org partners. He/she is also in charge of monitoring the execution of the aforementioned plans. Lastly, the Project Head ensures that his/ her team is properly trained, working efficiently and the members' performance is being tracked
