NCTracks Reminder: Claims Connected to Terminated Sites There are many reasons why a provider may wish to terminate a site in NCTracks. However, remember that terminating the site affects claims connected with the site. Please note: Providers must submit all claims connected to the site while the site is still active in NCTracks. The site must be active in NCTracks for processing of claim corrections or replacement claims connected to the site. Providers should not reprocess or re-adjudicate claims for a terminated site. Doing so may lead to recoupments, even if original claims were paid. Claims are not considered fully paid until they are paid by NCTracks or the Encounter Process System (EPS). Any claims connected to a terminated site that are mistakenly paid to providers will be recouped. Providers may have to wait longer than expected for claims to be processed by NCTracks or EPS and to receive payment. To receive payment for claims connected to a terminated site, providers must first reinstate the site in NCTracks. Providers who wish to terminate sites in NCTracks are not required to keep the site physically open for longer than desired. However, before terminating a site in NCTracks, please follow the reminders above and contact your Vaya Health claims specialist to ensure all claims connected to the site have been fully processed.
Protected Health Information: Guidelines for Email Communications with Vaya When communicating with any Vaya department or staff member, providers should not include protected health information (PHI) in the email subject line. Even if the email itself is encrypted, the subject line is not. PHI includes, but is not limited to, the following information: Name Patient ID number Claim header number Patient’s demographic information
