WEDDING VENUE The Hudson Valley offers the most amazing venues—from all-inclusives, old churches, barns, wineries, farms, and other outdoor spaces for a DIY celebration! Use this guide for all you need to save you time, money, and, most of all . . . stress! Buttermilk Falls Inn & Spa

THE ALL-INCLUSIVE This type of venue is a one-stop shop for both your ceremony and reception. You are provided with the catering, staff, ceremony setting, reception area, and even the table settings. However, there are many questions you might ask in order to know exactly what you’re getting and what you can expect in each package the venue offers:

Where will the ceremony and reception take place? Make note of the venue’s décor and color scheme as you may want your wedding colors to blend with the aesthetics. How much time can we have for the event? If I’d like more time how much is each additional hour? How many weddings are held on the same day? If more than one event, is the venue

available for private use, and what criteria must I meet to have exclusivity? Is there an in-house wedding coordinator, and will they be present on the day of my wedding? Can I meet them prior to the wedding day? Is there a bridal suite set-up for the bridal party to use for changing into wedding attire and freshening up? A groom’s suite?

Do you have your own DJ/band, florist, photographer etc., and can I bring in your own professionals? How many guests can you accommodate? Is the parking ample to accommodate the amount of guests I expect? 9

When is the final guest count needed? Does the venue provide meals to the DJ/ band/photographer/videographer, or are they part of your guest count?

Is there a choice of an open bar versus a paying bar, and how this is accounted? When is a deposit due? Is it refundable within a certain time period? When are further payment installments due?

What packages does the venue offer, and what do they include?

AN OUTDOOR LOCATION An outdoor space can range from a local park to a mountainside or from a private garden to an entire farm or vineyard setting. Many outdoor locations provide services with the rentals, and others allow DIY weddings, where they just provide the space. In any case, the following areas and questions are vital to a successful choice of an outdoor venue: What flowers will be blooming if there are gardens? Can I see photos of different seasons?

Is there an alternate option at the park or outdoor space to hold an inside event, such as a clubhouse or pavilion?

Are there any limitations on what I can utilize in my dĂŠcor? Are candles allowed? Banners? Signage? Â

If there are no outbuilding opportunities for shelter, can tents be brought in? Are there are any restrictions on size? Where can they be set up?

Can I start setting up in advance? How early am I able to access the site for decoration, tent construction, or any deliveries? Are there any regulations or rules for usage if I choose a local park?

need to bring in a generator? What are the costs? When is the deposit due, and is it refundable within a certain time period?

RENTING A STRUCTURE Some modern brides are choosing drama and unusual digs for their wedding locations, from a simple hall to transformation of a theme-event in such out-of-the-box locations as castles, libraries, office buildings, and barns . . . you name it. Does the facility offer catering, and can I bring in an outside caterer if I wish? What is the space allotment for musicians or DJ, photo booth, or any extras I may want to bring in? Are seating, tables, dinnerware and glassware, linens, utensils and tables provided, or are these items that will need to be rented? Can liquor be brought into the venue? Does the parking area offer sufficient space for the amount of guests I am having?

Is there staff available for serving and cleaning up, or is this a responsibility of the renters? Will there be a wedding coordinator on staff for the entire event? If so, can I set up a meeting? Will there be more than one wedding or event at the location on the date reserved? If so, can an exclusive rental be made? If so, what are the costs?

eciding who will officiate your wedding ceremony is both an important and personal decision. If you regularly attend a specific church or synagogue, your choices might be the family minister, the minister of the church where your ceremony is being held, a spiritual leader, such as a deacon or rabbi, or a non-denominational officiant. Additionally, couples now have a choice of a woman or a man, for many non-denominational sects allow either. It’s really about who you feel most comfortable with.

FLOWERS It’s important to use a florist that you can trust—someone with a creative flair who understands your vision. Follow this guide as to how to interview a floral designer.

What You Need to Know: • Bring photos of your wedding gown and bridesmaid’s dresses. • Bring swatches of fabrics and also swatches of the desired colors you wish to use in your floral arrangements. • Be able to explain what you envision. Bring some photos from a magazine on a certain theme or visual you are trying to achieve. • Bring a collection of flower photos from bridal magazines. If there’s a certain flower that has sparked your imagination, bring a photo along. • Bring a list with quantities of corsages for the moms, grandmothers, godmothers, or any other special lady you may want to honor. Who is in charge of set-up and removal? Think of the pew and alter pieces if in a church or at the venue where your ceremony and reception is taking place. At times, the same room is used for both ceremony and reception, so inquire as to who helps with the floral changeover. Some florists include set-up and removal in their price— but find out if this is the case or if there is an extra cost. What percentage of the total cost is needed for a deposit, and when does the balance need to be paid? Find out the time you have to cancel an order and if the deposit will be kept or returned.

SPRING

In the early spring, the violas of different varieties are in bloom. They can be arranged in delicate nosegays and in mixed planters for the tables. And they are edible and perfect for your wedding cake! Daffodils and grape hyacinths are beautiful early spring flowers too. Later in the spring, there are many glorious flowering branches to choose from. Oh, and don’t forget lilacs, tulips, and peonies!

SUMMER

By summertime, many of the herbs are starting to bloom. Besides rosemary and lavender, don’t forget that feverfew and chamomile have lovely blossoms. Local farms will have snapdragons and zinnias and many types of amaranth. Blackeyed Susans and daisies are growing in the fields. Our area is also famous for its many varieties of sunflowers. What a wonderful season to celebrate with loads of color and texture!

AUTUMN

In the fall, wild grasses, herbs, rose hips, and various berries are everywhere. Native hydrangeas are showing subtle changes in color. Pumpkins make unique seasonal vessels for your flower arrangements, as well as decorative accents. And then, of course, there is the foliage! What a perfect time of year to celebrate the bounty of the Hudson Valley.

WINTER

Even in the winter, there’s so much to work with, and so many types of pinecones and varieties of evergreens exist. The Hudson Valley is filled with native cedar and viburnum berries, and deciduous holly plants glow with the color red. Additionally, the natural scents you can bring into your venue are delicious. We even have an anemone farm in Red Hook where you can choose flowers all year (except summer)!

This isn’t to say that you can’t add some calla lilies, orchids, gerberas, or other exotic species to your palette of flowers. Just remember that the Hudson Valley is full of native treasures and talented farmers and gardeners to work with. 59

photographer’s pictorial of your entire nuptial process—from getting ready to the end of the reception—is one of the most important aspects of a wedding. Why? Because in many cases the couple is so caught up in the moment that many things are missed. The final photos allow a couple to relive their special day for years to come.

PRIOR TO INITIAL CONSULTATION:

Research websites of local photographers, and decide if their style is what you’re looking for. Have a basic knowledge of the entire day’s timeline, including when the bride and groom’s preparation will start, all the way to the end of the reception. Know if you want more of an editorial of your wedding, more dramatic poses as in magazine ads, traditional poses, candids, or a combination of all styles.

Questions to Ask:

How many weddings have you photographed? Can I have a list of references? Do you work alone? If not, will you or another person be my photographer? It’s extremely important to actually have a good feeling and rapport with whom will be taking your photos. It can affect the end result of your photos. Can you give me various conversions of your favorite photos, such as black and white, sepia, color, soft focus, and other textures and effects? What does the cost include? DVDs for the bride/groom and their parents? Proofs? Enlargements? Many photographers charge for each individual element, and others offer ways for the couple to order their own prints and enlargements.

Is retouching an extra cost? Many photographers charge for taking out blemishes, scars if requested, and any other aspect of the photo you wish to be retouched. Are there various packages available? What are the costs? Do they include bride/groom preparations? Do you charge for mileage to sites outside of your locale? Do you charge by the hour or the event? How many photos can you expect to be taken at the wedding?

THE MUSIC Your music choices set the tone for both your ceremony and reception. It’s a major part of your wedding planning and requires much attention. Ceremony music defines the mood and is often determined by the type of nuptial agreement (religious versus non-religious) you decide to make. Reception music and entertainment can run the gamut from a DJ to an orchestra complete with a vocalist.
