We Need Your Child's Immunisation Record Following changes to the NSW Public Health Act 2010 and it's Regulation there are new record keeping requirements in regard to children's immunisation. We are now required to keep a copy of each child's Immunisation History Statement from the Australian Childhood Immunisation Register. We are required to retain this information for 3 years after the child leaves our service.

STANDARD OF CARE
Warringah Council Vacation Care operates in accordance with the requirements set forth by the Australian Children's Education & Care Quality Authority (ACECQA) including the National Quality Framework (NQF) and the framework for school age care in Australia, My Time Our Place (MTOP).
PHILOSOPHY
Warringah Council Vacation Care aims to provide the highest quality care for children in a fun and safe environment. Warringah Council Vacation Care: Provides an inclusive and anti-biased approach to childcare which welcomes and includes all children and families regardless of ability, language, race, culture, gender, religion, socio-economic status, family structure or lifestyle within the capabilities of the service. Promotes a positive environment where children have the opportunity to learn, explore, develop and be creative while fostering respect, self esteem and the unique contribution of each individual child. Acknowledges play as a vital part of a child’s development and we encourage and support the principles of play through our programming by looking at the needs, interests and abilities of all children. Promotes teamwork and values staff who are supported through communication, training and development. Builds respectful partnerships with families and the community.
GENERAL INFO
Vacation Care is for CHILDREN UP to 12 years old attending primary school. Where a centre is split into Juniors and Seniors, the Juniors age range is 4 - 7 years and the Seniors age range is 8 - 12 years. Children must have completed their first term of school to attend Vacation Care. once your booking has been processed unless a medical certificate is supplied for the day/s missed within one week of the missed day/s. Staff are employed from 7:30 am to 5:30 pm. Children are to be signed in and out by a parent/guardian between these times. Collection after 5:30 pm incurs a fee of $20 per family for every 15 minutes or part thereof. Children can only be booked into one centre except where the day/s required are not available at that centre. Prescription medication can only be administered by staff with written permission from parents/guardians. Non-prescription medication is not permitted at Vacation Care. See centre staff for further details. PG rated movies may be shown at the centre, please see staff if you have any concerns about this.
WHAT TO BRING TO VACATION CARE
Children need to bring lunch, snacks for the day as well as a refillable drink bottle. Cooking activities may be part of the day’s program but they are not meal substitutes.
Children should not bring any toys (including mobile phones and MP3 players) or expensive jewellery to Vacation Care as they may be lost.
EXCURSION DAYS
Children must arrive at the centre before 9:15 am on excursion days. A ‘Swimming Permission’ form, available at the centre, must be completed before attending swimming excursions. Children will not be able to purchase food on excursions, please do not send money with them.
WHAT TO WEAR TO VACATION CARE Please clearly label all items! Sunhat and sunscreen - no hat means children may only be allowed to play in the shade. Children without hats may miss out on outdoor activities! Parents - please apply sunscreen to your child every day before dropping them to Vacation Care. Clothing should be practical and sun smart. Singlet tops are not appropriate as exposed shoulders are prone to sunburn. Please note that centres often do messy activities so be prepared for dirty clothes at the end of the day!! The Centre does not provide protective shirts for arts and crafts. Covered shoes only - thongs, slides and most sandals are NOT appropriate or safe footwear at Vacation Care. ‘Wheelie’ shoes are inappropriate. Children who do not have appropriate footwear may not be able to participate in all activities.

FOOD
Help us be allergy friendly! Many children have allergies to various foods. Nut allergies are especially common. Please help us by not providing any nuts or nut products (including peanut butter and hazelnut spread) in your children’s lunches and snacks while they attend Vacation Care. Please provide healthy snacks and lunches. Lollies, sugary drinks and sweets are discouraged. Please ensure your child has plenty to drink and a drink bottle to fill with water.
REGISTRATION FEE $24.20
All families are required to pay a oneoff fee of $24.20 to register with the Warringah Council Children’s Services Information & Referral Service if they wish to enrol their children in Vacation Care. If your family is registered with the Information & Referral Service (Children’s Services Waitlist) you will not be required to pay the registration fee. Once families are registered with the Information & Referral Service they are eligible to apply for placement at any of Council’s Children’s Services including Vacation Care, Long Day Care, Family Day Care and Occasional Care. Once registered, families will receive a PDF version of the Vacation Care brochure via email, if the correct email address is supplied, as well as regular updates on what is happening in Warringah for Children.
FEE PAYMENT
The Vacation Care daily fee is $50.00. Please note that all payments will be processed on completion of the school holiday period. To help us with the administration of the Child Care Management System (CCMS) if you are planning to claim your Child Care Benefit as an up front discount on your Vacation Care fees families are required to pay by CREDIT CARD only. As the CCMS system means we can only estimate your fee prior to the commencement of the holidays, if paying by cheque or money order we will need to ask you to provide the full fee amount, we will then refund you the discount owing to you once your attendance data has been lodged and Council has been advised by the Family Assistance Office of the amount owing to you. Families paying full fee for Vacation Care may continue to pay by either credit card, cheque or money order.
CHILD CARE BENEFIT (CCB) AND CHILD CARE REBATE (CCR)

Child Care Benefit (CCB) is a Government subsidy for families to reduce their child care fees. CCB is available to families using Warringah Council’s Vacation Care services. Families can choose to receive their CCB as fee reduction at the time they pay their fees or to receive it as a lump sum at the end of the financial year. If you are eligible for more than 0% CCB and you wish to receive this subsidy as a lump sum at the end of the year you will need to advise the Family Assistance Office that you do not wish to receive your CCB as a fee reduction. Your income level
determines how much CCB you can receive. If your income is too high, you will not receive any CCB for approved care, but you may still be eligible to receive the Child Care Rebate. The Child Care Rebate is a payment from the Australian Government that helps working families with the cost of child care. This is a separate payment from Child Care Benefit. If you are using approved child care for work, training or study related reasons, the government will provide you with 50 per cent of your out-of-pocket child care costs. There is no income test for the Child Care Rebate. If you are eligible for Child Care Benefit but your Child Care Benefit entitlement is zero due to income, you are still eligible for the Child Care Rebate. If you have any questions with regard to your eligibility for Child Care Benefit or Child Care Rebate please call the Family Assistance Office on 13 61 50.

Warringah Council Vacation Care Programs are additional needs and disability friendly. However, before enrolment we do require detailed information about your child’s individuals needs. If your child has high support needs, additional support may need to be accessed via the Federal Governments Inclusion Support Subsidy (ISS). The application process can take some time, so please allow at least eight weeks before enrolment. Contact the Vacation Care Services Coordinator on 9942 2576 as early as possible to ensure that your child can access all aspects of the program.

How to book BOOKING PROCEDURES Read the booking conditions and information and complete the booking form overleaf. Return the completed form with full payment, by FAX, EMAIL, POST or by dropping the form into Council's letterbox at the main entrance to the Civic Centre. Late Bookings during the enrolment period: Bookings close at 10:00 am on the working day prior to the day you wish to book and are subject to availability. Late Bookings after enrolment period has closed: Late bookings incur a fee of $10 and will only be accepted where space is available and staff to child ratios are not affected.
VACATION CARE REGISTRATION FEE All families are required to pay a one off $24.20 registration fee with their Vacation Care enrolment. If you have paid a Children's Services Registration fee previously (formerly known as the "Waitlist Fee"), then you do not need to pay this fee. If you have already paid the Vacation Care registration fee then you do not need to pay it again. The fee is charged per family not per child. Please indicate on the enrolment form if you have previously paid a registration fee.

VACATION CARE & RECREATION PROGRAMS * There are no refunds, credits or transfers once your booking has been processed unless a medical certificate is supplied for the day/s missed. Refund requests must be made in writing to the Vacation Care Services Coordinator with medical certificate attached no later than one week after the last day of the holiday period. * Bookings cannot be made without full payment at the time of booking. All registration details (including special needs, emergency contacts and authorisations) must be completed before bookings can be accepted. Please advise staff at the vacation care centre, recreation program venue or customer service in writing of any changes. * If faxing—please check your Fax Transmission Report. * One enrolment form must be completed for each child attending Vacation Care or Recreation Programs.
VACATION CARE ONLY * All Vacation Care centres are required to follow the ‘enrolment priority of access’ guidelines of the Federal Government. Priority of access will be given in the following order: 1. A child at risk of serious abuse or neglect. 2. A child of a single parent who satisfies, or of parents who both satisfy, the work/training/study test under section 14 of the Family Assistance Act. 3. Any other child. * All enrolments received between Monday 26th November and Friday 30th November, indicating that they are eligible for Priority of Access, will be assessed in accordance with the Federal Government guidelines. * A $10 late fee applies to all bookings received after Thursday 17th Jan, 2013. Late enrolments will only be accepted if received before 10:00 am on the working day prior to the booking (pending vacancy). * Children can only be booked into one centre except where the day/s required are not available at that centre. * Children will only be allowed to leave the Centre accompanied by an adult nominated on the Enrolment Form. Notice in writing is required if the child is to be collected by anyone not nominated on the Enrolment Form. Centre staff
will make an alternative arrangement if a person collecting the child appears to be under the influence of alcohol or drugs or if the child could be at risk and this is up to staff discretion. * Program hours are to be strictly adhered to. Please ensure participants arrive and are collected on time. A Late Fee of $20 per 15 minutes late will apply—or part thereof. * Information on time of departure for excursions, special needs for the day, or late changes to the program, are displayed at the Centre or are available by phoning the Centre direct during opening hours. Parents/Guardians are responsible for ensuring they have all information required. * Centre and Program rules are established for the safety and well-being of all children. Consistent disregard of rules may result in exclusion from the program following consultation with Council staff and Parents/Guardians. * Children who are not immunised are to be excluded for the duration of an outbreak of an immunisation preventable disease. *If families wish to claim Child Care Benefit (CCB) now or in the future or the 50% Child Care Rebate they will need to provide us with the date of birth of the parent /guardian claiming the CCB, the date of birth of the child being enrolled and the
Family Assistance Office Customer Reference Number for both the parent/guardian and the child. * Families need to advise us the number of children attending approved care in the same week as their booking for Vacation Care to receive the multiple child CCB discount. * Families claiming their CCB as an up front discount will need to pay by Credit Card only. If paying by cheque or money order the full fee will need to be provided and Council will refund the CCB discount to families once their attendance data has been lodged with the Family Assistance Office and advice regarding the amount owing to the family has been received. * Credit card charges will be adjusted up to an extra $20.00 where incorrect fees have been estimated without contacting the card holder. If an adjustment greater than $20 is required we will contact you to advise. * Every effort is made to provide the activities exactly as advertised in this brochure, however sometimes, due to circumstances out of our control, this is not possible. If an activity is cancelled we will try to provide another activity and inform families as early as possible, usually on the morning of the scheduled activity via signage at the centre.

HOLIDAY FUN Have fun these school holidays at our fully equipped gymnastics facility. Our program caters for children from 5yrs and up with or without gymnastics experience. Under the guidance of our professional coaches, we provide a variety of exciting games and events to keep the day interesting and fun. Monday 17/12 to Friday 21/12 Monday to Friday - from January 7th to 25th Short Day: 9.00am - 3.00pm Long Day: 8.30am - 4.00pm 10% discount for Current Club Members Payment is required at the time of the booking.
