Room Selection Information and Procedures ELIGIBILITY:  Students must be fully registered for Fall 2013 courses at the time of Room Selection. 

Room Selection Lottery numbers are determined by class standing: Freshman standing: Sophomore standing: Junior standing: Senior standing:

31 or fewer credits 32 – 63 credits 64 – 95 credits 96 or greater credits

Factors such as GPA, student involvement, athletics, employment, financial aid, scholarships, living/learning community participation, EC Pulse participation, and housing assignment history among others do not influence lottery numbers at all. However, a student’s conduct history and/or association with any compromise of community standards may affect Room Selection options and/or eligibility. 

Graduate students are not eligible to participate in the room selection process.

Students must submit a housing deposit to the Office of Residence Life & Housing and complete the on-line Residence Life & Housing Lease no later than Tuesday, April 2, 2013, at 4:30pm.

The housing deposit may be submitted via check or credit card. Credit card payments are now accepted on line! Please follow the payment link on the Residence Life & Housing public website to make a credit card payment.


Students with a Student Financial Services hold on their student account will not be eligible to participate in Room Selection.

PROCEDURE: 1.

Attend any of the four 2013-2014 Room Selection information sessions scheduled the last two weeks of March.

2.

Submit a housing deposit to the Office of Residence Life & Housing by April 2, 2013, at 4:30pm. Mailed payments must be postmarked by April 2, 2013, and arrive by April 5, 2013. Check payments made by parents should be mailed to the STUDENT and the student should deliver payment to the Office of Residence Life & Housing.

3.

Agree to the terms and conditions of the Residence Life & Housing Lease found on the Room Selection portal site.

4.

After 4:30pm on Monday, April 8, 2013, Residence Life & Housing will e-mail each eligible student her or his selection number and corresponding selection time.

5.

Any group interested in a triple, suite, or apartment must also complete the Group Housing Form (only ONE per group, please!) by 4:30pm on April 2, 2013.

6.

Please note that the responses provided on the on-line preferences questionnaire may be shared with other students who plan to select without an intended roommate for the purposes of roommate matching. Students without a roommate at the time of Room Selection may have limited options available to them.

7.

All eligible students intending to select must be present at their scheduled Room Selection appointment time or must have submitted a Proxy Form to designate someone to select on their behalf.

8.

In order to cancel housing and receive a 50% refund of the housing deposit, interest students must submit the Housing Cancellation Form on MySaints prior to Tuesday, April 30, 2013. Students who cancel after April 30, 2013, but before August 31, 2013, will forfeit the $200 Housing Deposit.

Group Housing Selection 

In order to select Group Housing, a group must include the same number of students as spaces available in the triple, suite, or apartment the group would like to select. In other words, only a group of four can select a four-person suite, for example. A detailed description of the Group Housing process is available on the Room Selection site on MySaints.

Each group may submit one only Group Housing Form.

All students must be listed on the Group Housing Form. Once this form has been submitted, changes cannot be made.

If a member of the group has a financial hold or has not applied for housing by the April 2, 2013, deadline, that member will be dropped from the group. The remaining members of the group can then select according to their new total (e.g., three remaining members could then select only from among available triples or three-person suites).

Each member of the group will be assigned a value based on their class standing (rising seniors: 4, rising juniors: 3, rising sophomores: 2, returning first-years: 1). A rank order will be established based on the average of the individual group scores. In the case of a tie, the best individual lottery number within the group will serve as the determining factor. Each group will receive a "Group Number”. This “Group


Number” will be distributed on April 8, 2013, after 4:30pm to the Group Contact Person via e-mail. Individual group members will receive their room selection number in the event that it is necessary for them to participate in the regular Room Selection process. 

The primary means of communicating group housing information will be via the Room Selection MySaints site.

If a member of a group cancels housing after selecting, the group no longer exists and may be reassigned. For example, if one member of a group of three cancels, the remaining two students would be reassigned to a double room.

Any group spaces available after the completion of Group Housing will be available during the Room Change Period beginning April 23, 2013.

WHAT IS NEEDED TO PARTICIPATE AT ROOM SELECTION a) All participants must present their current Emmanuel College ID upon arrival at the Auditorium. b) All roommates must be present or have completed Proxy Forms. c) All participants should arrive prepared with a list of ranked preferences. Participants are encouraged to review available spaces just prior to their selection time in order to refine their lists. ROOM OPTIONS: St. Joseph Hall houses 410 residents in doubles, triples, and economy triple (if necessary) in its six stories. The lower level lounge features a large-screen television plus a full kitchen and dining area for community programs. The game room in the first floor lobby includes pool tables, ping pong, and foosball tables. The lobby also has a computer station area where students can check e-mail and access the Internet. St. Joseph’s is a co-ed building. St. Ann Hall is a four-story residence hall which houses approximately 206 first-year and returning residents. Each floor accommodates 40 to 60 residents who share a common area, single-sex bathrooms, a kitchen, and laundry facilities. The main lounge has a large-screen television and vending machines. Double rooms in St. Ann Hall will be made available at Room Selection only if all spaces in St. Joseph Hall and Julie Hall are selected. Julie Hall is a four-story residence housing 222 upperclass students in doubles, triples, and suites. The suites are designed with a private bathroom and a small common area. At the center of the suites is Hynes Square, a large multi-functional atrium area. Julie Hall is a co-ed building. In order to select a suite or triple in Julie, the group must submit a Group Housing Form. Please note the availability of suites may change once the location of the RA suite is determined. Also note the Boston Zoning Commission measure limiting to four the number of college students sharing an apartment does not apply to on-campus residences.


CityView at Longwood is a high-rise apartment building on St. Alphonsus Street, one block from the intersection of Longwood and Huntington Avenues. As of March 1, 2013, Emmanuel has secured twenty 4-person/2-bedroom apartments at CityView for the 2013-2014 academic year. All CityView apartments are air-conditioned, fully furnished, and include a living room, dining area, kitchen (with dishwasher), bathroom, and two bedrooms. Each apartment is wired for cable television and internet. Access to the building is controlled electronically and a concierge staffs the lobby 24 hours a day. All confirmed CityView apartments will be available for selection during the Group Housing Process on April 11.

*Satellite location costs do not include a meal plan as satellite residents are not required to have one. CityView residents are welcome to add a 15-meals/week plan for a total cost of $2,650 for the year, 8-meals/week plan for $1570, or 5-meals/week plan for $980.

SPECIAL CIRCUMSTANCES: 1)

Medical/Mobility Requests

Any student requesting a single room for medical or mobility reasons must pick from among available double room spaces during Room Selection and then request a single during the Room Change Period. On-line Room Change Requests will be available beginning Tuesday, April 23, 2013. Interested students must complete this form and submit the following documentation to the Residence Life & Housing Office: a.

A personal statement describing the specific condition and explaining how a single can meet that need.

b.

Documentation from a physician supporting the request (on office letterhead), including the telephone number of the physician.

A committee selected by the Director of Residence Life & Housing will review all requests. All information will be kept confidential. PLEASE NOTE THAT ALL REQUESTS MAY NOT BE GRANTED. A Residence Life & Housing representative will confirm results of this review process during the summer via e-mail. Students must first participate in the Room Selection process to be eligible to request a single room.


Please note that a granted request will guarantee a single accommodation will be available. The location cannot be guaranteed unless related to the medical/mobility need. These requests must be made each academic year; assignment to a single room one year does not guarantee assignment to a single room the following year. 2)

Students on Leave of Absence or Studying Abroad

Students away from the Emmanuel campus who are otherwise eligible for housing may still participate in the Room Selection process by following these steps: a. Meet the application deadline of 4:30pm on April 2, 2013, and all requirements therein. b. Assign a proxy by completing a Proxy Form. The proxy must attend the scheduled room selection appointment. By choosing a proxy, the designating student is accepting the room choice the proxy makes on her or his behalf. 3)

Unable to attend Room Selection

Any student unable to attend at his or her assigned Room Selection day/time MUST designate a proxy by completing a Proxy Form. Any student who designates a proxy agrees to accept the room choice the proxy makes. The Proxy Form will prompt for one of two designee options: either the name of a current Emmanuel College student or a representative from the Office of Residence Life & Housing. Residence Life & Housing will not make a selection for a “no show” unless the absentee previously designated Residence Life & Housing using the Proxy Form. All “no shows” will be skipped and forfeit the eligibility.
