Weststar Academy User Instructions New Hire Requirements New Hire Required Courses: Anti-Money Laundering Act & Red Flags
Weststar Mortgage Corporation (WMC) is committed to adherence of Government and State regulations. Weststar Mortgage Corporation requires that upon acceptance of employment a new hire is required to evidence or attest to completion that they have taken an Anti-Money Laundering and Suspicious Activity (AML/SARS) course required by the Bank Secrecy Act (BSA), and in addition new hire(s) must evidence or attest to completion of a Red Flags course. New hire(s) are required to submit to WMC Human Resources within 30 days of application date an Attestation with certificate of completion course requirements within 180 days of their application date. At the time of hire if the new hire has not taken any AML/SARS or Red Flags course in the previous six (6) months then the new hire is required to take the course through Weststar Academy within 30 days of their application date. Logging In/Out Login Weststar Academy can be accessed via the Intranet or directly at the following address: http://portal.betraining.com/login/weststar Username: First Initial + Last Name (example: John Doe = jdoe)

ď&#x192;&#x2DC; Important: (All users must change their password on first log-in. Click her to view instructions on changing your password) Logout Clicking on Logout will end your Symphony session, and bring you back to the login screen for username and password entry.
Change Password Clicking on the triangle will enable the change password feature. This will allow students to change their Symphony password.
Main Screen Navigation Upcoming Events The Upcoming Events window displays all upcoming events (classroom training, meetings, etc.) directly from their portal, including both scheduled and available upcoming events. You may display this window in both a list view and calendar view.
The default view is in a “list” format and includes the following information: • •
Event – The name of the event, classroom course or meeting. Options – This feature enables students to self-register for available classroom courses, including courses assigned through a training program and available public courses. • Event ID – The unique ID assigned to each day of multiple-day courses. • Date – The date of the event. • Event Type – The type of event (Training program class or public class). The Dynamic Calendar feature allows students to view and register for both public classes and classes assigned through a training program in a monthly calendar format. Click “register” to enroll in a specific class.
A â&#x20AC;&#x153;Show Allâ&#x20AC;? feature has been added to both Upcoming Events displays. Show All toggles between displaying either available and registered events, or just registered events.
Public Documents The Public Documents area of the portal provides access to documentation that may be required or helpful for all students. Click the File name to access the document.
Weststar Academy will allow you to open the document or save it to your computer for printing or future reference.
Transcript The Transcript feature provides your detailed training history, including Course Name, Pass Status, Attempt Date, Total Time in a Course and Final Score.
Note: The Transcript will record all access attempts for training courses, not just recorded test scores. Click the Transcript button at the top of the screen; this will open your transcript in a new window and allow you to view it as a formatted report. Alternatively, you may print your transcript by clicking the Print button at the bottom of the list.
Inbox The inbox is an internal messaging function that serves as a communication tool for all Symphony users. Transmitted automatically and/or on-demand, messages sent to Symphony users may include critical trainingrelated topics such as: • Assignments • Program Reminders • Classroom Reminders • Schedule Changes • Classroom Registration Confirmations To view your received messages, click the Inbox button at the top of the screen. Your messages will then appear in chronological order in a new window.
To read a message, double click it and the message will appear in a new window.
After you have read your messages, click on either the Delete Message or Delete All Messages button to remove them from your inbox.
To modify or sort the column view, adjust message order, or add and remove specific columns, click the column header to open additional options. This may be done for any column accessible via the Symphony portal.
If the list of available messages is split across several pages, use the Paging Menu at the bottom of the list to find the page that contains the desired item.
The Refresh button refreshes the list of messages to include new messages that may have been added to the inbox.
Meetings The Meetings function is available for GoToMeeting速 users. This feature provides easy Web conferencing and online meeting tools integrated with the Symphony Learning Management System (LMS).
For more information about the Meetings function and GoToMeeting features, see the Collaboration User Guide.
Help Help provides online documentation for all Symphony features and functions.
Training Programs (Required Courses) Training Programs Training programs are required trainings that are developed, scheduled and assigned to specific audiences to illustrate the courses that an employee must take. Training programs are used for internal certification, annual compliance training, employee development initiatives and any other scheduled, structured training topics. You may access your active, assigned training programs via Weststar Academy. The Training Programs window displays the training programâ&#x20AC;&#x2122;s title, due date for completion, the number of online and classroom courses.
To change the view displayed in the Training Programs window, select the appropriate column and adjust the settings.
The Training Program completion status will display a certificate when all required and elective courses have been completed. If a training program still has pending courses, no completion certificate will be displayed.
To access a specific training program, click its respective title.
A window will then open containing specific details about the training program selected, including these main categories: • Training Program Details • Assigned Courses • Summary • Training Program Files
Training Program Details The Training Program Details window includes a training program’s name, description and due date.
The due date is the set target for completion of the program. Due dates may be assigned to both the training program and the individual courses it’s comprised of.
Assigned Courses Training programs are structured to assign courses with flexible completion standards. Courses may have different requirements, such as: • • • •
Required Elective Optional Final Assessment
Required Courses include both the online and classroom courses you are required to complete as part of your training program. You will not receive a “Completed” status until you have met all of your training program’s course requirements. Following is a description of the data featured in each column within the Training Program window: • • • • •
Column 1 identifies the type of course with an icon; either a computer to designate an online course or a pencil to illustrate one that takes place in a classroom. Column 2 displays the course title. Column 3 gives students the flexibility to launch the online training course or self-register for scheduled classroom training. Column 4 provides the due date for each course, which — in turn — outlines a structured completion schedule. Column 5 shows the score for completed courses.
Elective Courses are similar to Required Courses in that you may still access both online and classroom training courses. Electives provide some flexibility as you may choose which courses to complete, as long as you meet the minimum elective-course requirement as outlined in the Training Program Summary. Note: Both Required Courses and the minimum number of Elective Courses must be completed to satisfy the requirements of the Training Program.
Optional Courses include both online and classroom courses, and are available as â&#x20AC;&#x153;recommendedâ&#x20AC;? training for users who may need a refresher on a selected topic.
The Final Requirement is a single course, survey, or test you must take after all the required and/or elective courses have been completed to demonstrate competency. If assigned, the Final Requirement will be the last step toward satisfying your training programâ&#x20AC;&#x2122;s completion requirements.
Taking Online Courses Assigned to a Training Program To launch an online course that has been assigned to a training program, click the Launch option.
This will open the selected course in a new window.
Once you have achieved a score for the online course, it will be recorded in the Score category of the training program.
Training Program Summary The Summary area of the training program provides a count of the number of courses in each category.
Your administrator has the option to require that the courses be taken in a specific order. If this option has been selected, a message will appear under the required course count in the Summary area of the portal. Courses are not available in the course list until the prior course has been successfully completed.
Training Program Files The Training Program Files area of the training program provides access to documentation that may be required or helpful in completing courses within the training program. Click the File name to access the document.
Weststar Academy will allow you to open the document or save it to your computer for printing or future reference.
Public Courses (Optional Courses) Public Courses Optional courses, or public courses, are courses or classes that are available to all users. The Public Courses section of the Weststar Academy contains a list of online and classroom courses available to all users. You may launch the online courses directly from the portal without a specific audience assignment. Course results will then appear on administrative reports seamlessly, as if you accessed the course via a training program.
If the selection list is split across several pages, use the Paging Menu at the bottom of the list to find the page that contains the desired item. To refresh the course list and view any courses that may have been added since you began your current editing session, click the Refresh button.
Registering for Public Classroom Courses To register for a public course, click the Register option next to its title.
The available class dates will display in a new window. Register for a specific class date by clicking the Register link next to the appropriate class offering.
A confirmation screen will appear to confirm the class details. Click Confirm once the Class Details has been reviewed, and a registration request will be sent automatically to your supervisor via notifications.
The course status under Options changed to “Awaiting Approval” until a decision is made by a supervisor or training manager.
Once registration is approved, the course status under Options will change to “Unregister,” which will allow you to cancel the registration. Classes that do not require supervisor approval will immediately change to “Unregister.”
Taking a Public Online Course To launch a public online course, click the Launch option.
This will start the selected course and open a new window.
Once you have achieved a score for the online course, it will be recorded in the Score category of the Public Courses window.
