Additional scholarships and trophies and other special class winners will be decided and awarded by the governing authority of the Executive Committee(YMF) based upon artisitic merit as recommended by the 2009 jury panel. Total Scholarship Endowment Fund of up to $10,000 awarded to top winners from various classes. 3


YIP’S MUSIC FESTIVAL 2009 GENERAL 1. The festival proceedings and awards decisions shall be under the management of Yip’s Music Festival (hereinafter referred to as YMF). Thus the governing authority shall reside with the YMF Committee whose executive decisions are final.

RULES

2. All matters not dealt with in the Rules and Regulations shall be referred to the YMF Executive Committee whose decisions and governing authority shall be final and binding on all matters concerned. 3. Complaints and protests will only be considered upon receipt of written submission to the YMF Executive Committee. Complaints may be written and submitted at any time, however not until after the completion of the festival, will a thorough review be done by the YMF. Emergency complaints may always be directed to any member of the YMF. 4. It shall be the commitment of the YMF Executive Committee to ensure fairness and impartiality as best as can be. All final decisions reside within the governing authority of the YMF Executive Committee and the Director.

ELIGIBILITY

REGULATIONS

5. The Festival is open to amateurs only. An amateur is defined by an individual whose principal means of livelihood is not obtained from the profession of music and who has not been in receipt of remuneration for the practice of music which forms the major source of his/her income. 6. The Festival is, unless otherwise stated, open to all competitors without regard to residence or place of domicile. 7. No age limit is imposed, except where indicated. In such cases, age is as of January 1, 2009. Classes designated as “Open” are offered for all aged competitors, within the guidelines noted for the particular classes. 8. Students studying with a member of the jury panel during the festival year are not eligible to enter. 9. New this year: For all classes where an age requirement is stated, upon submission of the application, must also include one age verification document. Such a proof of age document must be government certified such as health card, passport or birth certificate. A photocopy of the document is acceptable.

SCHOLARSHIPS / TROPHIES 10. Trophies will be awarded to all participants who have attained first class. Recipients must have attained a mark of 80 or more. 11. Scholarships are available to individual winners. Recipients must have attained a mark of 88 or more. 12. Schoarships are awarded and decided by the governing authority of the YMF Executive Committee, based on the recommendation of the jury panel. 13. Scholarships will be awarded only to those competitors who have entered in at least TWO or more classes. Failure to participate in all classes entered and programmed will NOT be awarded with scholarship. 14. A complete list of scholarships and awards is printed under a separate section in this syllabus. 15. Participants having been awarded a top trophy or scholarship are not eligible to receive the same award in succeeding years. A top award is defined as being individually listed in the complete listings of awards and scholarships. Additional awards and scholarships do not apply to this category. 16. Competitors must enter a minimum of TWO classes to be eligible for the Best of Festival Award. 17. YMF reserves the right to do live recordings on all performances as well as all other recordings of concerts and events related to the festival. These recordings may be used for transmission in all media. 18. Scholarship recipients must be present for the prize giving ceremony following the Gala Concert. In the event, one cannot attend, a designated representative by the recipient may be substituted. This procedure requires authorization in written form and must be submitted before the Gala Concert. Please be aware of Rule (53) as well. 19. Annual trophies will be awarded to participants who have participated in at least TWO or more classes AND have placement (First, Second, Third) in each class. 20. Participants having placed First in any class are not eligible to compete in the same class again.

22. An administration fee of $30 will be charged for all N.S.F. cheques. 23. It is recommended by the YMF Executive Committee that for facilitating purposes, all entries be submitted either by mail or in person along with all appropriate fees.

26. No special scheduling requests will be considered. 27. Test pieces for all graded classes must be chosen from the current RCM syllabus. Pieces in other classes that are not listed as grade classes need not be chosen from the aforementioned syllabi. 28. Application for irregular song entry should be accompanied by approval from RCM at time of application. 29. A test piece cannot be used in more than one class. 30. Competitors are required to specify the duration of each piece of music they enter. 31. For all classes that base on restricted performance time, the competitors must restrict to the required performance time. In the event of overtime, the competitors will result in disqualification of prize with only adjudication given. 32. An unclear form, missing information, misleading information or errors on the application may result in an arbitrary decision taken by the Executive Committee which includes refusal of the entry leading to disqualification. It is the responsibility of the participant to ensure that everything is properly filled. All entry fields on the application form are mandatory. No refunds are made under these circumstances. 33. The YMF Executive Committee reserves the right to refuse any entry.

REGULATIONS

25. No changes to repertoire upon submission of application form. Participants are solely responsible for their selection of repertoire.

24. Important for Yip’s Music Festival 2009 piano competitors. As issued by the Royal Conservatory of Music (RCM), a new piano syllabus is taking effect. Due to the changes in repertoire in the new syllabus and in accordance to RCM policy, a crossover period is allowed where competitors are eligible to use repertoire as stated in the previous syllabus to complete their corresponding grades. Yip’s will honour this crossover period only for the 2009 festival. Should there be a case where repertoire has been shifted to a higher grade as compared to the previous 2001 piano syllabus, YMF will default to the new 2008 syllabus. This notice does not apply to Violin classes of the festival.

RULES

21. All entries must be received by the deadline dated of February 23, 2009 or be postmarked on that date. All entries must be accompanied by all the appropriate entry fees as stated for each class by the time of submission. Options include handling the application in person at any Yip’s campus. Please observe our daily 6p.m. cut-off. Email or fax of application form is accepted however all appropriate monetary funds must be properly submitted in accordance to the deadline date. Simply emailing the application form is not the equivalent of a placeholder. It is also the responsibility of the competitor to submit an original form to the office as an original application is still required. Cheques or money orders are to be made payable to Yip’s.

34. All fees are non-refundable and non-transferable. 35. An active phone number and email address is required for communication purposes upon submission of application form.

PROGRAMME PROCEDURE 36. The YMF Executive Committee shall decide on the order in which the classes will take place including the order the competitors will perform in each class. 37. Competitors should be aware that classes may be potentially scheduled at the discretion of the YMF on any of the SIX days of the festival. Any accommodations will not be granted under any circumstances. 38. Competitors must arrive at least 20 minutes prior to the start of the class. The festival and YMF reserves the right to disqualify any competitor who is not present or not ready to play when called in order. 39. Accompanists are the responsibility of the competitors. Program order will not be changed to accommodate accompanists. A list of accompanists is available upon request.

RULES

40. All competitors must ensure that bar numbers are indicated on the score. Please select original scores that include such notation as this facilitates things. Should one choose a score without, then it is the responsibility of the participant to indicate such notation in the music. 41. All pieces must be played from memory with the exception of Non-competitive classes or unless otherwise indicated. Competitors who fail to comply with this rule will be given an adjudication only. No mark or grade will be awarded. 42. New! Piano Studies Class requires ONLY ONE study to be performed. All studies performed now require memorization of the piece. Participants who fail to comply with this rule will be given an adjudication only. No mark or grade will be awarded. 43. Rehearsal on site and offstage facilities are neither permitted nor arranged. 44. Photography, audio and video recording of Festival proceedings are strictly prohibited. Only YMF officials and sanctioned personnel as authorized by YMF are allowed access to such equipment.

& REGULATIONS

45. During competition, in order to ensure absolute fairness, communication with the Adjudicators in any form is strictly prohibited by any person other than YMF personnel. No participant may approach the Adjudicator. This may result in disqualification. No teacher or member of the public may speak to the Adjudicator. Necessary questions from a participant must be directed to the Adjudicator’s assistant or to a member of the YMF Executive Committee. 46. All test pieces must be performed without repeats, with the exception of a Da Capo. 47. Competitors should bring only the original copy of the music to be performed regardless if the class enrolled requires memorization or not. For works requiring accompaniment, bring two original copies, one for adjudicator(s) and one for the accompanist. 48. No photocopies of test pieces will be allowed in the Festival unless the competitor provides proof of legal authorization from the publisher. 49. Competitors must perform test pieces as stated on the application form. Failure to do so will result in disqualification. 50. Cell phones and other electronic devices (blackberry, iPod, iPhone) cannot be used and must be turned off. Only members of YMF Executive Committee may be permitted to use such devices for communication and security reasons. A reminder will be made prior to the start of each festival class and group. Anybody in violation of this rule, will be asked to leave the room should an incident occur which causes a disturbance of which re-entry into the competition room will not be possible until a suitable break.

GALA CONCERT & PRIZE-GIVING CEREMONY 51. One complimentary ticket will be awarded to the first place winner of each class. 52. Unclaimed trophies will be forfeited after THREE months from the Gala Concert. 53. Competitors who receive high marks may be asked to perform in the Gala Concert without remuneration or payment of incidental expenses. Awards will be presented to the winners of individual classes as well as to scholarship and trophy winners after the Gala Concert during the Prize-Giving Ceremony. Attendance to the Gala Concert must be confirmed before the ceremony. This is to facilitate seating and concert logistics. Failure to respond before the concert will automatically forfeit the right to their scholarship prize regardless if the recipient or a designated representative shows up. Only trophies and certificates may still be claimed following the concert. 54. It is recommended that all competitors, family and friends attend and support the Gala Concert.

However, competitors may enter a piece not listed in the current RCM syllabus as an “irregular list submission”.
