STREAMLINING DOCUMENT FLOW FROM THE DESKTOP Unity Document Suite is a user-friendly suite of 3 applications and an optional server module that integrates fully into existing business processes. Unity is of particular interest for users in corporate offices who work with multifunctional printers (MFPs) and want to optimise document workflows.
As a convenient desktop document management solution, Unity Document Suite supports office workers in creating, organising, combining, searching and converting PDF or other files. Unity’s personalised and bidirectional scanning platform enables seamless document capture, conversion, routing and management directly from Konica Minolta bizhub MFPs. Thanks to Unity’s comprehensive functionality, users find it easy to assemble documents of any type, perform OCR (Opti cal Character Recognition), annotate files and edit images.
Users will appreciate the Unity Document Suite, as it helps them optimise their internal and external document and communication processes: the application’s efficient doc ument capture capabilities facilitate document processing and distribution of incoming and outgoing information. KEY FEATURES Document capture – Scanning of hard copy documents: Information from hard copy documents is captured by scanning them at the MFP and converting the content into the appropriate electronic file format, which looks just like the original. The functionality includes personalised and departmen tal scanning (user & group management). – Document access from various sources: Incoming and outgoing content can be accessed for example from MFPs, desktop clients, accessible files, e-mail or FTP servers. Various file formats can either be scanned or imported from the different sources and easily imple mented into internal processes. – Scanning options: The administrator can centrally de fine the scan settings and can limit the range of settings that should be available to end users. In addition, scan settings like resolution, colour, etc. can be modified. Users can personalise the scanning destinations and available workflows directly from their desktop. – Scan preview: A preview of the scanned pages can be displayed on the MFP panel before the scanned data is sent to its destination. This preview offers page removal options and the opportunity to change document file settings (file format, file name) after the document captu ring process.
Document processing – Converting paper and PDFs into editable, searchable documents: Unity lets users access information in paper and PDF documents by transforming these into editable and searchable Microsoft Office and Corel WordPerfect files. During editing, it is possible to change typo and text colours, fonts and point size. Also, all content can be searched for alphanumeric patterns or text. Logical Form Recognition is available to turn paper forms into fillable PDF or Microsoft Word forms. – Document conversion: Graphics, charts and text can be copied from PDF files and put into Microsoft Office documents. It is easy to extract data from filled PDF and printed forms at the desktop PC for inclusion in spreadsheets or databases. Also available is the conver sion of paper and PDF files into .WAV audio files using a built-in RealSpeak engine (text-to-speech functionality). – Character recognition in 120 languages: The inte grated OCR engine recognises text in 120 languages and ensures the accurate conversion of text and con tent, eliminating the time-consuming manual correction of recognition errors. – Document indexing: Automatic full-text indexing of scanned documents is possible, including easy and reliable document indexing with multiple keywords and/ or XML metadata and metadata options. This creates electronic files that can be searched, edited and trans mitted to document management systems.
– Creation, editing and mark-up of industry-standard PDF files: Universally viewable PDF files can be cre ated that are compatible with Adobe Acrobat without requiring the application itself. Scans and photos can be combined with word processing, spreadsheet and pre sentation files for automatic conversion to PDF format. – Modifying and merging documents: Paper documents can be merged with e-mails, faxes and Microsoft Office file, and pages can be rearranged by simple drag-&drop. Documents can be created in a secure, searchable common file format. The text can be modified by view ing, editing, or marking it. Bookmarks, footers, or Bates stamps can be inserted and documents signed electro nically. Pages can be annotated using drawing tools, text tools and notes.
Document distribution – Automated routing and custom workflows: These capabilities provide the MFP with automated routing and workflows that can be applied to specific folders. Users can jump-start workflows by sending files from a bizhub MFP to any destination across the enterprise. It is possible to notify users automatically whenever new documents are delivered into specific folders. Scanning options and multistep buttons on the MFP can be customised to provide personalised scanning destinations and workflows.
Content & document management – Effective collaboration: Unity Document Suite offers an extensive variety of possible annotations, enabling users to add comments, highlight sections, redact confidential information or add text to the document. This facilitates col laboration on documents, saves time and speeds up results. – Document security: Document access can be permit ted in stages. Users can for example restrict editing of the document, or restrict printing, or both. – Creation of document forms: Unity Document Suite provides a smart toolset to create forms for any busi ness use. Text fields, tick boxes, radio buttons and drop-down lists can be added for smart documents, facilitating the creation of documents such as loan appli cations, surveys, student registrations and the like. – Support of PDF portfolios: PDF portfolios allow users to share several documents in a single PDF file without touching the originals. Unity Document Suite supports this PDF standard and lets users create PDF portfolios with a few clicks to quickly compose document sets for conveni ent sharing. – Connect to ECM applications: It is possible to connect to popular enterprise document management systems and solutions. As an interface between the bizhub MFP and back-end as well as desktop applications, Unity facilitates the logical and convenient filing of documents into these systems.
