Trainee Contract- AIESEC Chennai
All the trainees coming to reside in the trainee house of AIESEC Chennai will adhere to the following guidelines. These guidelines are intended to impart specific instructions for the upkeep & maintenance of the trainees. They also lay down certain instructions to maintain the decorum & discipline of all resident trainees in the trainee house. We do hope that these guidelines would be taken in the right spirit of things & that all our honored guests from abroad will abide by it. This agreement is made between Party 1, namely AIESEC Chennai which is a
student
organization
and ,
Party who is
with Passport No.
2, namely a trainee from , who has
come to India through the AIESEC Internship Program. Both the parties have agreed upon the following terms and conditions.
PART 1 – Pre-Arrival 1. Trainee would have received the following from AIESEC Chennai
TN acceptance note Invitation Letter Trainee Contract of Understanding Survival kit
2. Pre-arrival expectation setting to completed by a member of AIESEC Chennai.
3. Trainees are informed to take travel, health and personal insurance from their own home countries, AIESEC Chennai takes no responsibility in providing the same. 4. Realization is subject to all documents in proper condition being received by AIESEC Chennai before the arrival of the trainee.
PART 2 – On Arrival 1. Trainees are requested to inform about their arrival plans at least a week in advance, in order for an airport pickup to happen. 2. AIESEC will help you move into an Accommodation module outsourced to a local client. 3. Trainee will be introduced to the local environment. 4. SIM cards will be given within 4 Days of arrival. 5. All travel expenses after arrival will be borne by the trainee. 6. If the duration of the internship is more than 6 months (180 days) then a registration at the Foreigner’s Regional Registration Office (FRRO) is mandatory. The following documents are required for registration.
4 passport sized photo graphs TN and EP acceptance notes Invitation Letter from the TN Stipend letter from the TN (if required) Photocopies of passport and visa page.
A copy of the rental agreement of the accommodation Module(will be provided by AIESEC Chennai) Undertaking Letter & Letter from the landlord. (will be provided by AIESEC Chennai)
PART 3 – Accommodation & Finances Intern Accommodation: Address:
THIS PART IS NOT APPLICABLE IF THE ACCOMMODATION IS PROVIDED BY THE ORGANIZATION WHERE THE INTERNSHIP IS CARRIED OUT AND NOT BY AIESEC CHENNAI 1. AIESEC Chennai and Party 2 agree that Party 2 will have to pay the rent as per the following schedules 1.1.1 If the duration of accommodation is more than 15 days the Party 2 is liable to pay the full rent 1.1.2 If the duration of accommodation is less than 15 days the Party 2 is liable to pay half of the monthly rent. 1.2 AIESEC Chennai Outsources their Accommodation Module to a External Client which adheres to all Minimum Quality Parameters Of AIESEC India
1.3 Each trainee Accommodation module has its own predetermined rent cycles, which all trainees are expected to follow. 1.4 The rent is strictly to be paid by the due date irrespective of salary being received by party 2 from his/her employer to the external party introduced by AIESEC local chapter. 1.5 There will be no adjustment made and the rent will only be counted as mentioned in points 1.1 and 1.2 and will not be calculated on the number of days the Party 2 has stayed. 1.6 Point 1.1 to 1.3 is also applicable at the time of departure. 1.7 The rent has to be paid in advance for every month, on the predetermined.
2. Party 2 agrees to compensate AIESEC Chennai for any loss/damage caused to trainee house property because of him/her. 3. AIESEC Chennai have flats outsourced to an external company and the module works as a house for both male and female interns .
4. Party 2 shall Sign an Official Trainee Accommodation contract with the external client who outsource accommodation, in AIESEC Chennai’s Presence on Arrival and thus forth all the legalities and rules put down with the external client have to be adhered by Party 2( Intern) 5. Party 2 agrees to pay the rent of Rs.

6. Party 2 agrees to follow the rules and regulations set by the Corporation of Chennai, Greater Chennai Police, The Government of Tamil Nadu and the Government of India. 4.1.1 AIESEC Chennai and Party 2 agree to the rules of the Corporation of Chennai of not having loud music after 11pm. Party 2 also agrees to not create unnecessary disturbance to the neighbors and endeavor to maintain good ties with them. 4.1.1(a) House parties are not permitted unless authorized by AIESEC Chennai, if any unauthorized party is hosted, it will constitute a breach of contract and may result in expulsion from the house. 5. Party 2 takes the responsibility of any illegal activity that he/she is indulging in, and will have no objection on to his/her expulsion of the trainee is found guilty of any of such activities. 5.1.1 AIESEC Chennai will not provide any legal support to any trainee who is accused of breaking the laws of the constitution of India. 6. AIESEC Chennai and Party 2 agree that failure to pay the rent on time WILL lead to his/her expulsion from the said trainee Accommodation.
7. AIESEC Chennai and Party 2 agree that in no event or case Party 2 will leave his/her luggage in the trainee house if he/she is not residing in the said house and in such a case the luggage will be treated as unknown luggage and will be moved out of the trainee house. However, Party 2 can leave the luggage with some other intern living in the house giving him/her the responsibility of the same. 8. Party 2 understands that they will be charged rent if they are travelling and their luggage is still in the trainee house and wish to resume their stay in the said house. Party 2 also understands that if they do not wish to pay rent for the month when they are travelling, Party 1 has the right to allot their space to some other trainee. 9. Party 2 agrees that it is his/her moral responsibility along with the other trainees to keep the trainee house clean which includes regular cleaning of the rooms they reside in, the kitchen and the bathrooms.
10. Party 2 agrees excessive invitation to guests or externals would not be appreciated and they are advised to limit the number of externals who come to visit them in the premises. 10.1.1 People who have been expelled from AIESEC (EXPELLED MEMBERS) are not allowed in the premises what so ever, the trainees are requested not to invite or entertain such people. 10.1.2 Party 2 also agrees that if a particular external has been found guilty of causing trouble (eg. Brawl in the neighborhood etc), the external’s entry in the trainee house is permanently banned. Party 2 is aware of the fact that if the ban is not adhered to, it can lead to serious consequences for the intern in question like being penalized or expelled.
11.1 AIESEC Chennai and Party 2 agree that AIESEC Chennai is responsible for providing the following infrastructure 11.1.1 A bed with mattress, pillow for every trainee. 11.1.2 A kitchen with a working fridge and a stove in every trainee house.
11.1.3 Basic Amenities like lights and fans in the trainee house 12. AIESEC Chennai has no responsibility to provide any infrastructure other than what is mentioned in this contract. It is important to note that AIESEC Chennai does posses certain flats with air-conditioning and washing machines, but availability and accommodation in those flats are at the sole discretion of AIESEC Chennai. 13. Party 2 understands that timely payment of rent will lead to better planning and increased investments in the trainee houses leading to better comforts. 14. Party 2 understands that he would have to share his room with a minimum
of two other interns. 14. AIESEC Chennai agrees 14.1.1 To interact with the Landlords and external clients of the said houses. 14.1.2 To visit the trainee houses regularly and discuss problems and issues if
any.
14.1.3 To provide proof of utilities consumption ie., electricity, internet
14.1.4 That incase a bed has been paid for by a trainee, and the trainee is away on travel that the bed will not be occupied by no other person, without the permission of the trainee concerned. 14.1.5 To provide contact details and support for utility services such as plumbers, electricians, carpenters to the trainees. 14.1.6 To respect the privacy of the trainees, and will inform at least one person residing in the flat when any AIESECer is planning on visiting the flat.
14.1.7To provide logistical support to the trainees. 14.1.8 To inform trainees of any changes or moving out of the apartment at least 3(three) days before any act is taken. 15. Party 2 agrees that it is his/her responsibility to take complete care of his/her belongings and not to leave them open or lying unattended. Party 2 will have to either carry their own locks or purchase it at their own cost to keep all their valuables safe. Party 2 agrees that AIESEC Chennai is not responsible for the loss or theft of his/her personal belongings in the trainee house.
16. Party 2 agrees that he/she can only stay in the trainee flat up to 1 week after the completion of the internship. 16.1.1 Clause 16 is also applicable if the trainee has resigned or has been fired by the employer before the completion internship. 16.1.2 If clause 16.1.1 comes into effect, the security deposit will be returned 1 day before the departure of the trainee from India. 17. Party 2 is aware that only the following services are included in the monthly charge. 17.1 Wi-Fi Internet 17.2 Domestic Maid 17.3 Cooking Gas
17.4 Drinking Water And the following is excluded and will have to be borne by the trainee: Electricity bill Apartment society maintenance charges (if any) 19. Party 2 is aware of the following: 18.1.1 Electrical appliances like an electric heater, geyser or air conditioner will cause the intern to pay extra for electricity consumption as per the usage and the increase in electricity bill. 18.1.2 Using the landline phone of the trainee house (if any) will also have to be borne by the trainees collectively. 18.1.3 Any repair and maintenance of appliances and house facilities such as plumbing issues, electricity issues, and carpentry issues will have to collectively borne by the trainees. 18.1.4 AIESEC Chennai is the sole lessee of the apartments and has complete ownership towards making any changes in the apartment, and not the trainees. 20. AIESEC Chennai has the right to choose the accommodation or the trainee house for Party 2 and Party 2 will not have any choice of shifting over to any of the other trainee houses on their own. If found to do so then their security amount will be forfeited and might lead to expulsion of the trainee from the said house. However, if not satisfied, Party 2 is free to look for alternative accommodation on his/her own and can claim his/her security deposit by giving a two week’s advance notice to AIESEC Chennai. Party 2 can expect to get assistance in shifting their luggage if needed.
21. Party 2 agrees to keep AIESEC Chennai informed of their travel plans if they are planning on leaving the apartment for more than two days.
